- **11** pages that show you how

Before the first ticket sells you owe the venue a deposit, the headliner a deposit and the production company a quote, and after the show you pay everyone else before you know what the night made for you. These are the questions promoters and festival finance leads ask about holding event money, paying the people behind the show and closing the books, answered with each platform's own published facts.

## How fast can I pay artists and suppliers from my ticket money?

With Vault you can pay artists and suppliers from your ticket money before your event payout arrives, and you can be paid daily as tickets sell on your own Stripe or Xendit account.

Vault shows how much of your ticket money you can spend today in each currency, apart from money still on its way or held, so you know what the next deposit can come from before you commit to it.

Payment speed elsewhere depends on the route. Wise states that 70% of its transfers arrive in 20 seconds and 95% in under 24 hours, and Mercury states that 99.6% of the domestic payments sent in 2025 arrived in one business day or less.

## Can I pay my whole line-up and crew in one go after the show?

Yes. You can pay up to 100 artists, suppliers and crew in one batch from Vault, typed in or uploaded from a spreadsheet, straight away or on a date you pick.

You can start the batch from the event's list of who you owe, so the amounts from your artist and supplier bookings are already filled in, and a teammate can check it before anyone sends it.

Wise Business sends up to 1,000 payments from one CSV or XLSX file, and Ramp batches up to 500 bills per vendor. The BILL API pays up to 50 bills in one request.

## How do I know who I still owe for an event?

On Ticket Fairy each event has a list of who you owe, filled in from your artist and supplier bookings with deposits and balances, and you pay it from Vault once a person on your team approves.

Your headliner's balance, the sound company's quote and the venue hire sit on the event itself, so settling up is one job instead of twenty transfers and a spreadsheet.

Business payment tools start from the invoice instead. Ramp gives each business an email inbox that turns each vendor invoice into a draft bill, and BILL captures key invoice fields with its AI, which it states at 99% accuracy.

- You can see who you owe for each event, filled in from your artist and supplier bookings with deposits and balances, and pay them from Vault once a person approves.[11](#source-11)
- You can pay artist fees, deposits and supplier quotes at the amounts already filled in from your event's bookings.[7](#source-7)
- Each business gets a dedicated @ap.ramp.com email inbox, and Ramp creates a draft bill from each vendor invoice emailed to it.[12](#source-12)
- BILL AI codes multi-line bills and captures key invoice fields, which BILL states at 99% accuracy.[13](#source-13)

[Ramp vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-ramp)

## How do I pay the invoice an artist's agent sends me?

You add it to the event. You can put an agent's invoice into payments due with its amount, due date and who to pay, so your budget and settlement include it.

When you upload a supplier's invoice to an event, Fai adds the supplier to the event's list to pay in Vault, matches them to your saved recipient and prepares the payment for a person on your team to send.

Wise's AI reads the bills you email to a dedicated address and adds them as unpaid invoices, and Brex's AI captures invoice line items, suggests the matching purchase order and drafts a payment.

## Can I pay a European headliner in euros?

Yes. You hold a balance in each currency you sell tickets in, and before you convert, Vault shows the rate and the fee beside the mid-market rate.

You can pay from any balance you hold, so a euro fee can come out of your pound or dollar balance at a rate you see first.

Wise Business holds and converts 49 currencies in one account. Mercury pays vendors in 40+ local currencies at a 1% exchange fee, and Ramp pays foreign-currency vendors through Wise at market-competitive exchange rates.

- Vault holds a balance in each currency you sell tickets in.[1](#source-1)
- Before you convert, Vault shows you the rate and the fee beside the mid-market rate, so you know the cost first.[1](#source-1)
- Hold and convert 49 currencies in one account[18](#source-18)

- Ramp partners with Wise for foreign-currency vendor payments at market-competitive exchange rates with no additional transaction fees.[20](#source-20)

[Mercury vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-mercury)

## What does it cost to convert currencies when I pay international acts?

It varies by provider, so compare the rate as well as the fee. Before you convert in Vault, you see the rate and the fee beside the mid-market rate.

Wise converts at the mid-market rate and shows its conversion fee separately, from 0.24%. Mercury charges a 1% fee on non-USD wires and 3% on non-USD card transactions, and Brex card transactions in another currency carry an FX rate markup of up to 3%.

BILL charges no BILL fee on international FX wires and Local Transfers, and an exchange rate applies.

## Can sponsors and venues abroad pay me in their own currency?

Yes. You get local receiving account details in the currencies you are paid in, so a sponsor's payment arrives in the currency it was sent in and waits in Vault until you spend it.

Wise Business gives you local account details in 22 currencies for a one-time 50 GBP setup fee on its UK pricing. Mercury and Ramp give you US routing and account numbers for each account.

## Do I have to move my ticket money to another account before I can spend it?

No. Where your events take payment through Vault, you spend the ticket money where it lands: on a card, paying a supplier or paying a whole batch.

Next year's venue deposit can come out of this year's ticket sales without waiting for a payout and a transfer. Each Vault card spends from the same balance your events pay into, within the limits you set.

- You can pay artists and suppliers from your ticket money in Vault before your payout arrives.[1](#source-1)
- You can give each team member virtual and physical cards in their name, with limits and event dates.[29](#source-29)
- You can pay up to 100 artists, suppliers and crew in one batch from Vault, typed in or uploaded from a spreadsheet, straight away or on a date you pick.[6](#source-6)

[Ramp alternatives](https://www.ticketfairy.com/compare/banking/ramp-alternatives)

## Can I make sure two people approve every payment?

Yes. You can require a second person to send every payment from Vault: one person prepares it and a different owner sends it.

The rule covers payment batches, single payments and recurring payments, so no single login can pay out the takings of a show.

Wise Business lets one or two team members approve payments, for all payments or above an amount. Brex admins add one or more approvers with threshold amounts, and Ramp sets up multi-step bill approval chains with conditions.

- You can require a second person to send every payment from Vault.[7](#source-7)
- Payment approvals by 1 or 2 team members, for all payments or above an amount[30](#source-30)
- Admins can add one or more approvers with threshold amounts for outgoing business account payments.[31](#source-31)
- Configurable multi-step bill approval chains with conditions; payment release approvals on Plus[32](#source-32)

[Brex vs Ramp for events](https://www.ticketfairy.com/compare/banking/brex-vs-ramp-for-events)

## Can I give my crew cards with spending limits for the event?

Yes. You can give each team member virtual and physical cards in their name, set crew cards to work around your event dates with a daily limit, and see the event each card payment was for.

You can give up to 50 people on your crew a virtual card each in one go, with the event linked and a name on every card, so nobody shares a card or waits to be paid back.

Ramp lists unlimited physical and virtual cards in its plans, and Mercury issues one physical card per team member and unlimited virtual cards. Extra team member cards on Wise Business cost 3 GBP each.

- You can give each team member virtual and physical cards in their name, with limits and event dates.[29](#source-29)
- You can set crew cards to work around your event dates with a daily limit, and each card payment shows the event it was for.[29](#source-29)

[Ramp vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-ramp)

## What happens if a runner loses their card on site?

You freeze it. You can freeze, cancel or change the limits on a Vault card from the card itself, so a lost card stops working in seconds.

You can unfreeze it if it turns up, or raise a limit before a big supplier order without issuing a new card.

Mercury lets you change card limits and add a merchant lock, and Tipalti blocks card payments that go more than 15% over the card budget by default.

## How do I get a receipt for everything my crew spends?

Your cardholders add a photo or PDF of each receipt to the card payment, and Vault tells you when the receipt total does not match the payment.

Fai can remind cardholders about missing receipts, and each card payment keeps its note and its event, so your accountant gets every receipt behind the event's spending without a shoebox of paper.

- Your cardholders add a photo or PDF of each receipt to the card payment, and Vault tells you when the receipt total does not match.[40](#source-40)
- You can set crew cards to work around your event dates with a daily limit, and each card payment shows the event it was for.[29](#source-29)

[Brex vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-brex)

## Can I pay the venue rent and a weekly residency automatically?

Yes. You can pay a venue, a resident artist or a regular supplier the same amount from Vault every week, every month or once on a date.

You can pause, resume or stop each schedule, and a second person approves it when your team needs one. You can also pay on an invoice's due date.

Brex lets you set wires to repeat monthly, weekly or on a custom schedule, and on BILL a recurring bill acts as a template for identical periodic vendor bills.

- You can pay a venue, a resident artist or a regular supplier the same amount from Vault every week, every month or once on a date.[41](#source-41)

[BILL vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-bill)

## How do I take VIP table deposits and sponsorship payments?

You can take table deposits, venue hire and sponsorship through a Vault payment link, and the money goes straight into your Vault balance.

You see how many times each link was paid and what it collected, so you stop matching transfer references by hand. Wise Business customers get paid with payment links and QR codes too.

## Can I invoice sponsors and traders from the same account I pay suppliers from?

Yes. You can invoice a sponsor, a trader or a partner venue from Vault and see which invoices are still unpaid.

Sponsors and food traders pay for their part of your event by invoice rather than at a ticket checkout, and their payments land in the same Vault balance you pay your suppliers from.

BILL sells AP and AR plans priced per user per month, from $49 on Essentials to $89 on Corporate.

- You can invoice a sponsor, a trader or a partner venue from Vault and see which invoices are still unpaid.[46](#source-46)

## What will my accountant need when I close the season?

Your accountant gets statements and a record of every payment: you can download a PDF statement or a file of every payment for any dates up to a year, and a letter that proves you paid an artist or supplier.

Vault keeps a record of who asked for each statement and who downloaded it. Wise Business exports transaction history as CSV or PDF for up to 365 days, and Mercury gives you monthly statements and CSV downloads of transactions.

- You can download a PDF statement or a file of every payment for any dates up to a year, and a letter that proves you paid an artist or supplier.[48](#source-48)
- Transaction history exports as CSV or PDF for up to 365 days from the Transactions page on the website; Business accounts can also export transaction attachments as a ZIP; accounting-software sync.[49](#source-49)
- CSV file downloads of transactions for upload to any accounting platform, monthly statements from the Documents tab, and direct sync to QuickBooks Online, Xero and NetSuite.[50](#source-50)

## Can AI prepare my event payments for me?

Yes, and a person still sends the money. Fai prepares your finance work and leaves each result for you to check and approve, and she never sends money on her own.

You can turn off any work Fai does on her own, one event at a time. Tipalti MCP connects AI platforms to Tipalti data on a read-only basis, and Mercury lets you issue dedicated agent cards for approved transactions.

[Tipalti vs Ticket Fairy](https://www.ticketfairy.com/compare/banking/ticket-fairy-vs-tipalti)

## Can I pay the production company I use every event with fewer checks?

Yes. Once a second owner agrees, a supplier you pay every event can be marked trusted, so payments to them ask for fewer security checks.

One owner asks for trusted status, a 24-hour cooling period runs, and a second owner approves it, so two people on your team always agree before a payee is trusted.
