- **19** questions answered
- **9** pages that show you how

Long before the gates open, you are booking artists, confirming suppliers and traders, rostering crew, issuing passes and keeping track of who you owe. Some platforms help your team with all of that and sell your tickets too, and some leave the tickets to a ticketing partner.

## Can I sell my festival tickets in the same system I use to book artists and crew?

Yes, on Ticket Fairy: you sell your tickets and scan them at the door in the same system that holds your artist contracts, suppliers and crew. Festival Pro sells tickets too, with a 2% commission.

Prism.fm describes itself as booking software, and promoters using it bring their sales in from ticketing partners. Lennd's pages say it syncs approved ticket and credential requests to its ticketing partners, and we did not find ticket sales of its own in Lennd's public documentation.

When you sell in the same system, your artist settlements start from the tickets you actually sold, after refunds, so you are not copying sales into a spreadsheet after the show.

- You can sell your tickets and scan them at the door with the same Ticket Fairy account you use for artist contracts, suppliers and crew.[1](#source-1)
- Its own ticketing with branded event pages, QR e-tickets and a scanning app, at a 2% commission[2](#source-2)
- Prism describes itself as booking software for venues, promoters and agencies and integrates with ticketing partners rather than selling tickets.[3](#source-3)

## How much does festival management software cost?

Most platforms give you a price only when you ask for a quote. Festival Pro publishes plans from $50 to $420 a month billed yearly, plus 2% on ticketing, and Beatswitch publishes an annual starting price for each product.

You get a price from Lennd, Cvent, Rosterfy and Prism.fm by asking for a quote or a demo. Lennd's terms add a subscription fee for each extra event and for every additional 1,000 contacts.

On Ticket Fairy you pay one standard booking fee on every plan, and you choose whether your buyers pay it on top of your ticket price or you absorb it. You can compare the plans on the [Ticket Fairy pricing page](https://www.ticketfairy.com/pricing).

- Published subscription prices by team size, shown per month and billed yearly. USD per month: Small: Entry 50, Basic 99, Starter 165; Medium: Starter 165, Pro 299, Ultimate 420; Large: Pro 299, Ultimate 420, custom (no price). GBP: 45, 79, 135, 249, 330. Plus 2% on event ticketing and invoices paid through Festival Pro (excluding Stripe fees); extra file storage $45/£30 per GB per year; add-ons such as the attendee app, public calendar and artist/vendor pages are marked 'Available to purchase' without a published price. Prices subject to change.[4](#source-4)
- Beatswitch publishes annual starting prices per product: Artists from EUR 2,000, Credentials from EUR 3,000 and Mobile Apps from EUR 4,000, excluding VAT.[5](#source-5)
- Lennd’s terms charge additional subscription fees for each event added after the first and for every additional 1,000 contacts.[6](#source-6)
- Every plan has one standard booking fee, and you choose whether buyers pay it on top of your price or you absorb it.[7](#source-7)

## Can I send contracts to all my artists at once and get them signed online?

Yes. On Ticket Fairy you send contracts to many performers, traders or suppliers at once, and each one signs online with a signature certificate.

On Festival Pro's paid plans you can mass send contracts to artist lists, then counter-sign, rescind and download them. With Lennd you make contracts in bulk from your Word templates.

We did not find e-signing in Lennd's public documentation. Rosterfy users collect signatures on contracts through a Docusign integration.

## How do I get riders and tech specs from every act without chasing emails?

Send each act an advance link they open without a login. On Ticket Fairy, Fai fills in the advance from their riders, tour books and emails, and you see each part as it comes in.

Every hour, Fai also looks in your connected mailboxes for agent emails and adds the contracts, invoices and riders they attach to that act.

With Festival Pro, artists upload their tech specs, riders, photos and stage plots to an artist advance form. Beatswitch users advance their artists through a branded production website for each event.

- Your artists can open their advance from a link without a login, and Fai fills in the advance from riders, tour books and emails.[12](#source-12)
- Fai can look in your connected mailboxes every hour for agent emails and add the contracts, invoices and riders they attach.[13](#source-13)

## Can my door team scan crew, artist and press passes with the same app as tickets?

Yes. On Ticket Fairy your door team scans accreditation passes with the same app as your tickets, so they let in buyers, crew, press and artists from one app.

You upload each department's list as a CSV of first name, last name and email address, and each person gets a named pass.

With Lennd you print badges on site or before the event, with barcodes or RFID. With Festival Pro you give each organization a set number of passes, and its lead contact names each pass holder.

- Your door team can scan accreditation passes with the same app as tickets.[16](#source-16)
- You can upload each department's accreditation list as a CSV of first name, last name and email address, and each person gets a named pass.[17](#source-17)

- Festival Pro assigns organizations a fixed number of passes by type and lets the lead contact name each pass holder.[19](#source-19)

[Lennd vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-lennd)

## How do I build a rota for my festival crew and volunteers?

On Ticket Fairy you build your rota, fill open shifts, recruit volunteers, approve hours and check your staff in, and you can add up to 500 shifts from a spreadsheet.

Fai matches the columns of your CSV or Excel file, and you check every row before the shifts are added.

Rosterfy users get shifts filled automatically from people's availability, for paid staff and volunteers. On Festival Pro your volunteers pick their own shifts, and you see any clashes flagged.

- You can build your rota, fill open shifts, recruit volunteers, approve hours and check staff in.[20](#source-20)
- You can add up to 500 shifts to your rota from a CSV or Excel spreadsheet; Fai matches the columns and you check every row first.[21](#source-21)
- Automatic Rostering fills shifts from user groups or role offers based on availability.[22](#source-22)
- Volunteer and staff shifts that people can choose themselves, shift import from a spreadsheet and clash flags[23](#source-23)

[Rosterfy vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-rosterfy)

## How do I work out what I owe each artist after the show?

You settle the artist's deal against what the show earned and cost. On Ticket Fairy, Fai drafts that settlement from your actual ticket sales after refunds, and every line shows where its figure came from.

You check each figure, add or reverse lines and share the settlement, then mark it agreed and paid.

Promoters using Prism.fm generate settlements from the offer, ticket sales, expenses and other financial data they hold in Prism.

- You can settle with artists from a draft built on your actual ticket sales after refunds, and see where every line came from.[24](#source-24)
- Prism generates settlements from the offer, ticket sales, expenses and other financial data you keep in Prism.[25](#source-25)

## How do I pay all my artists and suppliers after the festival?

On Ticket Fairy each event has a list of who you owe, filled in from your artist and supplier bookings with deposits and balances, and you pay it from Vault once a person on your team approves.

Fai can prepare the payments, but she never sends money. A person on your team sends each payment she prepares.

[Festival Pro vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-festival-pro)

## How do I get my hire suppliers to confirm what I ordered?

Send each supplier your hire list to confirm. On Ticket Fairy, your suppliers confirm what you ordered on their own page, with no sign-in, and upload their quote.

Fai suggests the prices from each quote for you to check, and your crew counts each delivery as it arrives.

On Festival Pro you keep quotes and purchase orders in its Finance and Billing area. With Lennd you collect equipment and asset requests from your departments and vendors.

- Your hire suppliers can confirm what you ordered on their own page with no sign-in and upload their quote, and Fai suggests the prices from it for you to check.[28](#source-28)
- Quotes and purchase orders from Finance and Billing, and equipment requests from contractors[29](#source-29)
- Lennd collects and tracks equipment and asset requests from departments and vendors.[30](#source-30)

[Lennd vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-lennd)

## How do I take trader applications and pitch fees for my festival?

Open an application page with your pitch fees. On Ticket Fairy, traders apply on your own page, and Fai ranks the applications against the mix of traders you want.

Once the festival is open, you check each trader's takings and invoice them a share of their sales.

With Festival Pro you take vendor applications and pitch fees, send invoices and track unpaid amounts.

- Traders can apply on your own application page with your pitch fees, and Fai ranks the applications against the mix you want.[31](#source-31)

## Can every team see the run of show and their own day sheet?

Yes. On Ticket Fairy your run of show names who calls each cue, and each team gets its own day sheet with show-day timing.

On Festival Pro you build running orders, stage calendars and a combined master schedule. Beatswitch users build their timetable by drag and drop and publish a show-day timetable.

- Your crew can see who calls each cue in your run of show, and each team gets its own day sheet with show-day timing.[34](#source-34)
- Running orders, stage calendars and a combined master schedule[35](#source-35)

[Beatswitch vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-beatswitch)

## How does my team report an incident on the festival site?

On Ticket Fairy your team logs anything that goes wrong on site in seconds, and your safety lead hears about a serious incident at once.

Only your safety team sees medical and safeguarding details. Your team follows each incident until it is closed, and you keep a complete record of what happened.

We did not find an incident log in Festival Pro's or Lennd's public documentation.

- Your team can log anything that goes wrong on site in seconds, and a serious incident alerts your safety lead at once.[37](#source-37)

[Festival Pro vs Lennd vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/festival-pro-vs-lennd)

## Can I draw my festival site map and share it with my crew and attendees?

Yes. On Ticket Fairy you mark the stages, bars, toilets, first aid and routes on your site plan, share it with your team, and publish an attendee map on your event page.

With Festival Pro you plan your site on your own map or on a satellite or street map, set the scale, download a PDF and share it publicly.

[Festival Pro vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-festival-pro)

## How do I keep track of who is doing what before the festival?

On Ticket Fairy your team sees every job before the festival on one board, each with an owner and a date, so you spot what is stuck while there is still time to fix it. Fai also checks each event every hour and lists problems with a drafted fix for you to approve.

On Festival Pro you organize projects with tasks, subtasks, priorities, deadlines and status filters. With Lennd you give each group's portal its own tasks with due dates.

## Can I hold dates and send offers to artists' agents?

Yes. On Ticket Fairy you hold dates on your rooms and stages, challenge the first hold and send an offer to an artist's agent, then compare the contract they send back with your offer.

Prism.fm users track holds, confirmed shows and on-sales on a calendar, and with Shared Holds a venue can let promoters place holds.

- You can hold dates on your rooms and stages, see every hold in queue order, challenge the first hold and confirm the date.[44](#source-44)
- You can send an offer to an artist's agent and compare the contract they send back with your offer, term by term.[13](#source-13)
- The calendar tracks holds, confirmed shows, on-sales and announcements across multiple venues, stages and rooms.[45](#source-45)
- Shared Holds let venues give promoters access to their calendars to place holds, with dates and hold levels synced between accounts.[46](#source-46)

[Prism.fm vs Ticket Fairy](https://www.ticketfairy.com/compare/event-management/ticket-fairy-vs-prism-fm)

## Can I import my artists, crew shifts and pass lists from spreadsheets?

Yes. On Ticket Fairy you import a list of your artists, add up to 500 shifts from a CSV or Excel file, and upload each department's pass list as a CSV.

If you are moving from another platform, you export your lists from it first. Festival Pro exports artist and ticket buyer data as CSV spreadsheets, and Lennd exports any view as CSV or Excel.

Each act's contract, invoice and rider then go under **Agent paperwork**, and Fai says what each file is.

- You can add each artist by name or import a list of your artists, then attach each one's contract, invoice and rider to their record.[47](#source-47)
- You can add up to 500 shifts to your rota from a CSV or Excel spreadsheet; Fai matches the columns and you check every row first.[21](#source-21)

On Ticket Fairy you can be paid daily as tickets sell, or after the show with nothing to set up.

You also choose whether your buyers pay the booking fee on top of your ticket price or you absorb it.

## Do I need different software to run a conference than a festival?

Usually, yes. A festival team manages artists, stages, crew, traders and passes, while a conference team works mostly on registration, sessions and speakers.

Conference teams using Cvent, for example, control who attends each session, collect speaker agreements and slides, and find venues and vendors by sending requests for proposals. On Ticket Fairy you manage artist contracts, advancing, suppliers and crew beside your ticket sales.

- OnArrival identifies who to admit or deny for sessions that need pre-registration or attendee verification.[50](#source-50)
- Speaker Resource Center collects speaker agreements, headshots, bios, session information and slides in one place.[51](#source-51)
- Vendor Marketplace lets planners post requests for proposals to venues, caterers, A/V providers and other vendors and receive matches in 24 to 48 hours.[52](#source-52)
- You can sell your tickets and scan them at the door with the same Ticket Fairy account you use for artist contracts, suppliers and crew.[1](#source-1)

## Can AI take some of the festival admin off my plate?

Yes, with you approving the work. Fai checks each event every hour and lists problems with a drafted fix for you to approve, and she files each event's email into its own inbox.

Fai treats emails, riders and files as information, never as instructions, and you can turn off any work she does on her own, one event at a time.
