Send free tickets to your guest list Einladungen und Gästelisten # Send free tickets to your guest list Promoters and venue teams let press, artist guests, sponsors and crew in free at every event they run. Ticket Fairy issues each of them a ticket with a barcode from your own ticket types, so the door team scans them in like any other buyer and those tickets stay out of your takings. You keep a record of who was sent which ticket, and who sent it. Send a guest, a reviewer or a crew member a ticket at no charge from the Guest Tickets page, one person at a time or from a spreadsheet, and see who you have sent tickets to. A support login cannot read the issued list or send from the page. - You have a ticket type the guests should come in on. Many teams make a Guest list type for exactly this, so the comps are easy to count later. - You have each person's name and email address. One email address receives the whole batch you send it, so a couple sharing a booking is one entry and two names. 1. ## Pick the ticket type and how many Open your event, select **Guest Tickets**, select **Send Guest Tickets**, then choose the **Ticket Type** and the **Quantity**. An event that sells tables lists those here as well, so the field is named Ticket/Table Type. **Hinweis:** The quantity is how many tickets this one person receives, up to 40. The names are what the door sees, and the email address is where every ticket in this batch arrives. **Hinweis:** Copy Details Below fills the rest of the cards from the first one, which is what you want for a group under one name. **Notes (optional)** stays with you and comes out in your exports. 3. ## Send them and check the list Select **Send**. The issued list on the page fills in a few seconds later with the name, the type, who sent it and when. **Hinweis:** Each guest also receives an email with their barcode, on an event that emails guest tickets. Keine Kreditkarte nötig. ## Send a whole list at once Select **Upload Guest Tickets** and give it a spreadsheet with no header row: first name, last name, email address, how many tickets, the ticket type by name, then add-ons, notes and up to two attendee tags. One row can carry up to 50 tickets, and the page offers a template to start from. It issues tickets past the number you set for that type, so the size of the room becomes your only limit. The barcode stops working at the door from that moment, and the guest is not charged anything either way. **Hinweis:** You need an owner, an admin or a support login to cancel. A curator can send guest tickets and cannot take one back, so ask one of those three. Fai finds the order and shows you the guest and the tickets on it. Do guest tickets show up in my sales figures?: They add nothing to your takings, because a guest order is recorded at zero. They are still tickets, and the two sales reports count them differently: Ticket Sales leaves complimentary orders out, and Sales by Type lists them under their ticket type at zero. The check-in figures include them, and a ticket export has a Guest Ticket column so you can tell the two apart. Can I send one person several ticket types?: Send one batch per type to the same email address. Each batch is its own order and its own email, and all of them land in the same person's inbox. Who on my team can send guest tickets?: The owner, an admin and a curator, and those three alone. A support login cannot read the issued list, and a promoter or door login does not see the page at all. Each batch is recorded with the name of the person who sent it, on the list and in your activity log. The guest says the email never arrived. What now?: Check the issued list first. A row there means the ticket was made, which is a different thing from the email arriving: the address may have a typo, the message may have gone to spam, or your event may be one we have set to issue guest tickets without emailing them. Read the address on the row, and if it is right, cancel that order from the Guest tab and send a fresh one. That sends a new email only on an event that emails guest tickets, so ask us whether yours does and whether the first one was sent. ## Hast du noch eine Frage?
