# Every sponsor promise delivered, with the proof to show

Each promise in a sponsor deal becomes a deliverable with an owner, a due date and proof. Sponsors see their results, and you renew from a proof of performance report.

- Every sponsor promise with an owner and a due date
- Photos, links and figures kept as proof
- A proof of performance report for each sponsor

## Each sponsor deal becomes a list of promises with owners

When a sponsor signs, your partnerships team lists what the deal promises: the logo on the main stage, the branded bar, the mentions in your emails, the posts on your channels and the hospitality passes. Each promise becomes a deliverable with an owner and a due date on your team's task board, so nothing in the contract depends on someone remembering it.

You can start each sponsor from the tier it bought, such as Gold or Headline, with that tier's usual deliverables already listed, then add or remove what this deal changed. Fai can read the signed sponsorship agreement and suggest the deliverables it promises, for you to check before they are added.

A deliverable can belong to anyone on your event team, or to an outside team such as your stage builders or your social media agency. The owner sees it with their other work, and you see which deliverables are late before the sponsor does.

- **Deliverables from the deal**: each promise with an owner and a date
- **Tier templates**: the usual deliverables for each tier
- **From the agreement**: Fai suggests the deliverables it promises

## Your team attaches proof as each promise is met

When the banner goes up or the post goes out, the owner marks the deliverable done and attaches the proof: a photo of the logo on stage, the link to the post, the email that carried the mention or the number of drinks the branded bar served. The proof stays with the deliverable, so you never hunt through phones for a picture months later.

Your crew can add a photo from their phone on site, with the time it was taken, so the proof shows the logo was up when the gates opened. A deliverable marked done without its proof stays flagged, so your partnerships lead knows which ones still need a picture or a figure.

- **Photo proof**: taken on site, with the time
- **Links and figures**: posts, emails and counts as proof
- **Proof still needed**: done items without proof flagged

- [You approve press, run the photo pit and share photos](https://www.ticketfairy.com/event-operating-system/accreditation/media-accreditation-and-assets)

## Sponsors see their deliverables and results as they happen

Each sponsor gets its own page with every deliverable, its status and its proof, so its marketing team checks progress without emailing you. The page also shows the clicks and ticket sales from the sponsor's tracking link, so a sponsor who promoted your event sees the sales it brought in.

You choose what each sponsor sees, so private notes and your own costs stay with your team. When a deliverable is late, you can explain it on the page before the sponsor asks, and your partnerships team keeps the relationship on good terms.

- **Sponsor page**: deliverables, status and proof
- **Tracking link results**: clicks and ticket sales from the sponsor
- **Your notes stay private**: the sponsor sees only what you share

## Each sponsor gets a proof of performance report

After the event, each sponsor gets a report of what its money bought: every deliverable with its proof, the attendance on each day, the people who scanned in at its activation, the reach of the posts that named it and the sales from its tracking link. Your partnerships team sends one clear report rather than assembling a deck from screenshots.

The report builds on the results each sponsor already sees on its page, so the figures in the report and on the page agree. You can download it to send with your renewal proposal, or share its link with the sponsor's team.

- **Proof of performance**: every deliverable with its proof
- **Audience figures**: attendance and activation scans
- **Download or share**: a report to send with the renewal

## Activations count the people who stopped by

At a sponsor's activation, its staff can scan visitors' tickets with the same scanner links your exhibitors use. Each scan counts towards the sponsor's results, so the sampling tent or the branded charging station shows how many fans it met, not only that it was there.

Visitors who say they would rather not be contacted keep their details private, and the sponsor still sees the count. A sponsor with an activation and a booth sees both in its report.

- **Activation scans**: fans met at the sponsor's space
- **Contact choices kept**: counts without private details

- [Give exhibitors a lead scanner for their booth at your event](https://www.ticketfairy.com/guides/give-exhibitors-a-lead-scanner-for-their-booth)

## Sponsor income stays true in your budget

Each sponsor's cash value and the value of what it gives in kind go into your event budget as income, kept apart. When a deliverable is cut and the sponsor's fee changes, the budget changes with it, so your profit figures and your sponsor list always agree.

When a sponsor pays, the payment is recorded against its deal, so your finance team sees which sponsors have paid in full and which deliverables are still owed before the final installment is due.

- **In your budget**: cash and in-kind income kept apart
- **Payments against the deal**: who has paid and what is still owed

- [You spot an overspend before the invoices arrive](https://www.ticketfairy.com/event-operating-system/budget-and-costs/event-budget-and-artist-costs)

## You renew sponsors from what they got this year

When you plan the next edition, you copy each sponsor and its deliverables forward, and your partnerships team opens the renewal meeting with this year's report. A sponsor who sees its logo on stage, its activation busy and its link selling tickets is a sponsor who renews and often moves up a tier.

Fai can draft each renewal email from the sponsor's report, with the figures that matter most to it, and you approve each one before it goes.

- **Copy to next edition**: sponsors and deliverables carried forward
- **Renewal drafts from Fai**: written from each sponsor's report

## How you can deliver for your sponsors

- ### A festival with a headline sponsor

The headline sponsor's deal promises stage logos, a branded bar and four social posts. Each becomes a deliverable with an owner, the crew photograph each logo before gates open, and the sponsor's report shows the bar's sales beside the posts' reach.
- ### A technology conference

Gold sponsors start from the Gold template with six deliverables each. Their staff scan delegates at the demo area, and each sponsor's report counts the delegates it met on each day.
- ### A sports event with shirt and pitch-side partners

The partnerships team attaches the broadcast clips and photos of each pitch-side board as proof. The renewal meeting opens with the report rather than a deck built the night before.
- ### A trade show with a title sponsor

The title sponsor's deal includes the lanyards, the registration desk banner and a keynote mention. Each deliverable has an owner, the desk team photographs the banner on the first morning, and the sponsor reads its progress on its own page before the show ends.
- ### A food festival with a drinks partner

The drinks partner's branded bar counts every serve, and the figure becomes proof on its deliverable. The partner renews for a bigger bar after seeing the serves by day in its report.

## Questions About Sponsor Deliverables

### Sponsor deliverables

#### Can I track what I promised each sponsor without a spreadsheet?

Yes. Each promise in a sponsor deal becomes a deliverable with an owner and a due date, on your team's task board, and you see which ones are late.

#### What counts as proof that a deliverable was met?

A photo taken on site, a link to a post or email, a figure such as drinks served or visitors scanned, or a file. The proof stays with the deliverable.

#### Can sponsors check their own progress?

Yes. Each sponsor gets its own page with its deliverables, their status and proof, and the clicks and sales from its tracking link. You choose what it sees.

#### What does the proof of performance report include?

Every deliverable with its proof, attendance on each day, the visitors scanned at the sponsor's activation, the reach of posts that named the sponsor and the sales from its tracking link.

#### Can I start a sponsor from its tier?

Yes. Each tier can have its usual deliverables listed, so a new Gold sponsor starts with the Gold list, and you change what this deal adds or removes.

#### Do sponsor fees show in my budget?

Yes. Each sponsor's cash and in-kind value go into your event budget as income, kept apart, and the budget changes when a deal changes.

#### Who can manage sponsors and their deliverables?

You need an owner, admin or producer login on the event. A deliverable can be owned by anyone on your event team or by an outside team you work with.

#### What happens when a deliverable is late?

It is shown as late to you and its owner on your team's task board before the sponsor sees it. You can add a note for the sponsor on its page, so its team knows what happens next.

#### Do sponsors and their deliverables carry over to my next edition?

Yes. When you copy your event to the next edition, your sponsors and their deliverables come with it, without this year's proof, so your team starts each renewal from a ready list.

#### What can Fai do for my sponsors?

Fai can suggest the deliverables a signed sponsorship agreement promises, update your sponsors and draft renewal emails from each sponsor's report. She shows you each change and waits for your yes first.
