## Sell to Walk-Ups and Hand Over Will-Call Without a Queue

Your box office sells walk-up tickets from the Entry Fairy app on a phone, for cash or with a tap of the buyer's card, phone or watch on the back of your team's phone, so there is no card reader to hire. A buyer collecting tickets gives their name, email address or order number, and your team finds the order and hands the tickets over.

Every walk-up sale is an order on your event, and its ticket scans at the door the moment it is bought. Box Office Sales on your event's Performance page shows every sale by date or by seller, with cash and card apart, so you can settle up with each seller at the end of the night. A ticket handed over at will-call goes through the same check-in as your door, so it is admitted once, with the time and the name of whoever scanned it. ## Fix a Name or Reprint a Lost Ticket Without Making a Second One

A buyer whose phone has died, or whose email never arrived, gets the same ticket again, printed at the box office or sent to any address they give you. Correct a misspelt name or email address on the ticket and the QR code stays the same, so the ticket already saved to a phone still scans and your door sees one ticket however many copies exist.

A resend goes to the address you enter for that one send and leaves the order as it was, so edit the ticket as well when the buyer should keep the new address. Ask Fai to find a buyer's order and tell you its tickets and the address on them, so you know what was sent before you send it again.

## Start Every Till With a Float and Balance It Before You Lock Up

Give each till its cash float before the doors open, so the night starts from a known figure. Box office mode keeps the float with its till and counts every walk-up sale, card or cash, against the till that took it. At the end of the night, count each till's cash and set it beside its float and its takings.

Every till shows whether it matches, so you know before you lock up which one needs a second look, and the night's total is ready as soon as the last till is counted. On a multi-night run, each night closes on its own, so a short till on Thursday is found on Thursday.

## Check Ages Once at the Door and Serve With Confidence at the Bar

Your checkout asks buyers for a date of birth and turns away anyone under your minimum age. At the door, each ticket shows its age status as it scans, so your team knows who must show ID before they reach the front. When a guest shows their ID, the door team marks ID checked on their wristband or pass, and the check travels with them.

Your bar staff serve a marked wristband without asking again, so the bar queue moves faster, and when they turn someone away they log the refusal there and then. Each bar keeps its own log, so you have a record of every refusal for your licensing debrief.

For an event where you need to know who is buying before the night, ask buyers for an ID check at checkout. Their card is held until they pass, and the Needs Verification tab on Orders lists the holds still waiting, where you can send the check again, take the payment without it or release the hold.

## See Why People Were Turned Away While You Can Still Act

The Refused scans report on Check-In counts every scan your door scanners and staff gates refused, by reason, entrance, hour and ticket or pass type, while the doors are still open. A run of tickets shown again after check-in at one entrance usually means a ticket is being shared as a screenshot, and you can move an extra person there before it grows.

Open the list of each refused scan to see when it happened, at which entrance, the reason and whose ticket it was. Fai reads the same report and tells you which reason is growing, so your door manager deals with the pattern rather than the person at the front of the queue.

## Know What Every Guest Needs Before They Arrive

Guests who need access support should not have to email ahead and hope the message reaches the right person. Buyers ask at checkout for a companion ticket, a place on the viewing platform or a BSL-interpreted session, your access team works each request from an access desk link on the day, and your public map shows an access layer with the viewing platforms, accessible toilets and quiet areas.

Plan every provision your event offers in the Accessibility section, from wheelchair access and a hearing loop to sign language interpreters, live captioning and sensory-friendly hours, for the whole event, one item on your programme or one venue. Each provision moves from Planned to Confirmed to In place, with its cost and provider, and its cost joins your event budget. Bring in a list of provisions from a CSV file, and see the attendee requests beside each one.

## Log Every Found Item and Take Lost Reports Online

Phones, keys and backpacks pile up at the information point. Enter what was handed in, where it was found and where it is kept, and add a photo so the owner recognises it. Each item gets a reference such as F-12 for its label, so anyone on your information point finds it in the box again.

Take a lost report at the desk with what was lost and how to reach the owner, and give them a reference to quote when they collect. Turn on the public report page, and guests report what they lost without signing in, from a link on your event page, in your emails or on a QR code on site.

## Let Fai Match Lost Items and Hand Each One Back

Fai compares the words, the kind of thing and the place in every lost report and found item, and shows each possible match with why she thinks they belong together. You confirm the match or dismiss it, and when the owner left an email address, Fai drafts the email telling them, for you to approve on Today.

When the owner collects, record who is collecting and how you checked the item is theirs, such as the reference and photo ID or a description only the owner would know. The item shows as handed back, and you can always see who handed it in and who collected it.

Set how long you keep found items, and anything kept longer shows as ready to record as gone, with what happened to it. Nothing is thrown away or deleted by itself, and an item recorded as gone by mistake can be kept again.

### Box office & door

#### Can my box office take cards on a phone?

Yes, on compatible Android phones in the country of the payment processing account the event uses, once the event has a venue and either your business address or the venue's address is complete. The money goes through the same account your online tickets use, and cash works alongside it.

#### Does a reprint or a resend make a new ticket?

No. The same QR code goes out again, so the door sees one ticket whichever copy the guest shows. Nothing is emailed when you save a name or email change, so send the tickets again yourself. You need an owner, admin, Support or Limited Support login on the event to resend.

#### Whose age does checkout check?

The buyer's, against the date of birth they give, on the day your event starts. Checkout does not check each ticket holder's age, which is why the check at the door matters for groups. A ticket bought through a quick-buy link skips the date of birth question, because your door team checks ID there.

#### Can I let a refused person in from the Refused scans report?

No. The report only shows what happened. Let a refused ticket in with the door scanner, or a pass at a staff gate with a supervisor's link. Each time you open the list of refused scans your name is recorded, because it names ticket holders.

#### Which access provisions can I list?

Closed and live captioning, ASL, BSL and other sign language interpreters, audio description, hearing loops, wheelchair access and companion seating, sensory-friendly hours, service-animal accommodation, large-print and braille materials, accessible parking, live translation, subtitled screenings, descriptive audio and anything else under Other.

#### Is Fai's map check a safety plan?

No. Fai looks for first aid, ways out, drinking water, toilets and accessible viewing for your crowd, using common starting points from event safety guidance. Check them against your own safety plan and local rules.

#### Who can manage lost property and see the owner's details?

You need an owner, admin or producer login on the event, from Lost property on the event's Operations page. Only those logins see the owner's and finder's details, and every time someone opens them it is recorded. Anyone on the event's team can ask Fai to log a found item, take a lost report or hand an item back.

#### Does Fai email the owner of a lost item by herself?

No. Fai drafts the email when the owner left an email address, and you approve it on Today before it is sent.

#### Do guests need an account to report something lost?

No. Anyone with the link to the public report page can report something lost without signing in, once you turn the page on in Lost property settings, where you also set how many days you keep found items.

#### Does scanning work without a signal?

No. Your box office and door team need an internet connection to scan tickets, so check the connection at each entrance before the doors open.
