# Keep the Power On, the Effects Safe and Every Team Online

A generator that runs dry during the headline set takes the stage, the bars and the food court down with it. One unchecked pyro operator or rigging point can end the night, and a card reader with no signal turns a queue into lost sales. With Ticket Fairy, you plan your generators and the loads in every zone from the power sheets you already share with your electrician. Your power crew logs every refuel, and you hear about a low generator before it stops. Every pyro, laser, drone and confetti cue is registered with its licensed operator, permit and exclusion zone, and each effect, rigging point and structure is signed off before doors. Every team orders the connection it needs, and anyone on site reports a fault from a link.

## Plan Generators and Loads for Every Zone

Give each zone of your site its generators and the loads they carry, from the main stage and the bars to the food court. Your production manager and your electrician work from one power plan for the whole site, laid out by the zones you drew on your site map, so everyone can see which generator feeds what and where the supply is tight before the build starts.

The power plan builds on the site map your team already draws, with its areas around the stages, bars and trading zones, so the zones your electrician powers are the same zones your stewards, traders and suppliers see on their maps.

- **Power plan**: generators and loads for each zone
- **By zone**: the zones on your own site map

- [Keep Your Site Plan Current and Every Delivery Through the Right Gate](https://www.ticketfairy.com/event-operating-system/site-and-logistics/site-map-and-deliveries)

## Bring Your Trader Pitches Into the Plan

The power plan extends the power sheets you already share with your electrician: each pitch with its trader, the amps they need and whether they need water, grouped by zone with the totals at the top. The sheet always shows the pitches as they are now, so a trader you move shows up in the right zone without a new spreadsheet, and your electrician plans the cable runs from facts.

Your electrician opens the sheet from a link with no sign-in, and it never shows a trader's contact details. Each link works until the date you choose, shows how many times it was opened, and stops the moment you say so. Make one for a single zone, such as the food court, or for the whole site. Ask Fai to make the link, list the ones you have sent or stop one, and she waits for your yes before she does.

- **Amps for each pitch**: what every trader needs
- **Water**: which pitches need it
- **Link for your electrician**: no sign-in and always up to date

## Keep Every Generator Fuelled From Doors to Curfew

Refuel rounds take your fuel crew from generator to generator, and they log every fill as it happens. You always know when each generator was last filled, and a low-fuel alert comes before a generator runs low, with time to get fuel to it. The stage stays lit, the fridges stay cold and the card machines stay online.

The fuel log is a record of every refuel, so your fuel bill has evidence behind it and next year's order starts from what this year actually used. The same generator fuel figures feed your sustainability report after the show, so the numbers your power crew logs on the night are the numbers you share.

- **Refuel rounds**: every generator on the crew's route
- **Fuel log**: every refuel recorded
- **Low-fuel alerts**: before a generator runs low

## Register Every Effect Against Its Cue

Pyro, lasers, drones and confetti make the moment the crowd remembers. Keep each effect on the cue it belongs to, with its licensed operator, the permit that covers it and its exclusion zone. Your production manager, your safety lead and your effects supplier work from the same register, so everyone knows what fires, when and on whose authority.

Your effects supplier sends its public liability insurance, risk assessment and method statement from its own page, with no sign-in. Fai reads the expiry date and the cover in each file and tells you what does not match, such as a policy that ends before the event does, and reminders go to the supplier before the file is due and before it expires.

- **Effects register**: pyro, lasers, drones and confetti for each cue
- **Permits**: each effect with the permit that covers it
- **Supplier paperwork**: insurance and risk assessments read by Fai

## Check Every Operator's Licence Before They Work

Each effect names its licensed operator, checked against the documents they hold. You already ask crew for the certificates their shifts need, and nobody goes on a shift without them unless you give a reason. A document belongs to the person, so it counts at every event of your brand until it expires, and a licence that ends before the show is caught before the operator arrives.

Operators add their licence on their own My shifts page, with its expiry date, and your team checks it or sends it back. Each time someone on your team opens a person's file, it is recorded with their name, so sensitive documents stay with the people who need them.

- **Licensed operators**: checked against their documents
- **Expiry dates**: a licence that ends before the show is caught
- **Reason to go ahead**: kept with their place and in the activity log

## Draw Each Exclusion Zone and Fire on the Called Cue

Mark the exclusion zone for each effect on the same site plan your stewards and security already use, so the area is clear before the cue and everyone can see where it starts and ends. The firing plan sits on your running order, so every effect fires on the cue your show caller calls, and nothing goes off because someone misread a printed sheet.

Lock the day when the plan is final, and nobody can change its cues until someone unlocks it, while calling cues on show day still works. Show callers you name for each stage call the cues and lock or unlock their stage, and nothing else. Share the site plan with the fire service from a private link that always shows the map as it is now, with only the places they need.

- **Exclusion zones**: drawn on your site plan
- **Firing plan**: each effect on its cue in the running order
- **Locked days**: the final plan protected from changes

- [Share a private event site map with emergency services and suppliers](https://www.ticketfairy.com/guides/share-a-private-site-map-with-emergency-services-and-suppliers)

## Sign Off Effects, Rigging and Structures Before Doors

Each effect is signed off before doors. Rigging points, stages and structures go through the same timed inspections as your fence and barrier lines, each with its build checklist, signed off and kept with its full history. You open the gates knowing every structure above and around your crowd has been checked, and you can show a licensing officer exactly what was checked, when and by whom.

Fence and barrier lines sit on the site plan with their build checklists, and rigging points, stages and structures join them, so your safety lead works from one list of everything that has to be checked. Every sign-off stays in the history, and nothing is rewritten after the fact.

- **Effects sign-off**: every effect before doors
- **Rigging and build sign-off**: rigging points, stages and structures
- **Full history**: every inspection and sign-off kept

## Get Every Team on Your Site Online and Fix Faults Fast

Traders need their card readers working, your box office needs to sell and your press need to file their stories. Each team orders the connection it needs for the zone it works in, your network team plans from the full list of orders and sees on a coverage map where the network reaches. Anyone on site opens the fault report link on their phone and says what is not working and where, so your network team goes straight to it.

Outside teams already order radios, hi-vis vests and buggies from your kit list on their own page, with no sign-in. They see the price and availability of each piece of kit, choose the dates and where it goes, and follow each order from approval to invoice to hand-back, while approved orders hold the kit for that team. A team that worked your last event can order the same again in one step.

- **Connectivity orders**: each team orders the connection it needs by zone
- **Coverage map**: where your network reaches across the site
- **Fault report link**: opened by anyone on site, from any phone

## How Production Teams Keep the Site Running

- ### A Greenfield Festival on Generators

The power crew runs refuel rounds through the night and logs each fill. On Saturday the food court generator triggers a low-fuel alert mid-afternoon, and it is topped up before the dinner rush.
- ### A Headline Set With Pyro

Each pyro cue carries its operator, permit and exclusion zone. The operator's licence on file expires the week before the show, so the gap is caught in advance and a renewed licence is added before load-in.
- ### An Arena Show With a Flown Rig

Every rigging point is inspected on a timetable and signed off before doors. When the venue's safety officer asks, the history shows each check, its time and the person who signed it.
- ### A Street Food Market

The electrician gets a power sheet link for each zone and plans the cable runs from it. Traders order their connection for their pitch, and a card reader fault is reported from a phone and the network team goes straight to the right pitch.
- ### A Festival With a Busy Press Tent

The press team orders a connection for the press tent and the coverage map shows it covered. A drop during the headline set is reported from the fault link and the network team is on its way.

- ![Ticket Fairy request for public liability insurance, with each supplier asked, the file one sent, what Fai read in it and the buttons to accept it or ask for changes](https://www.ticketfairy.com/embeds/posters/marketing-event-file-requests--request.png) Fai reads each supplier's insurance and tells you what does not match.

## Questions About Power, Effects and Your Site Network

### Power, effects & network

#### Where do the trader loads come from?

From each trader's power and water needs in their panel in Traders, and the pitch they are placed on. The power sheet groups them by the zones you drew on your site map.

#### Does my electrician need a login to see the power sheet?

No. The sheet opens from a link with no sign-in and never shows a trader's contact details. A link works for 3, 7, 14, 30 or 60 days, and you can stop it at any time.

#### Why is a trader missing from a zone's sheet?

The trader is not placed on a pitch inside that zone on the site map. Place them on the map, or make a sheet for Every zone, which lists them as not on the site map.

#### How are an operator's documents checked?

From the documents they add on their My shifts page. A document counts while it shows Valid or Not checked yet; Expires before the shift, Sent back and Missing do not count. Someone without the document goes on a shift only with a reason, kept with their place and in the activity log.

#### What files can people add?

A photo, a PDF or a Word file of up to 25 MB. A person can add 10 documents a day from their page and keep up to 30.

#### Who can see people's documents and suppliers' files?

The event's owners, admins and producers. Each time a file is opened, it is recorded with the name of the team member who opened it.

#### Can I change a cue after the day is locked?

Not until someone unlocks the stage. Calling cues on show day still works on a locked day.

#### Are rigging inspections the same as barrier inspections?

Yes. Rigging points, stages and structures use the same timed inspections, sign-off and history as your fence and barrier lines.

#### Does someone need a Ticket Fairy account to report a network fault?

No. The fault report link opens on any phone, so anyone on site can use it.

#### Can a team order more kit than I have?

No. Approved orders hold the units for that team, so the price list and the team pages count them as not available. A priced order gets an invoice that is due 14 days after it is made.
