## Start Each Day From Fai's Draft

Choose the days and the changeover you want between sets, and Fai builds doors, soundchecks, sets, changeovers and curfew from your schedule, stages, opening hours and advancing. Plan the days around the show from the same timeline. Add a build day before and a break day after, each starting with the usual cues of load-in, rig and sound check, or de-rig and load-out. ## Catch Clashes and Late Finishes Before Show Day

A cue that needs a check is outlined with the reason in plain words: it clashes with another cue on the same stage, no department owns it, it runs past curfew for the stage or the whole site, or the performer's advance is not signed off yet. A red badge beside the day and stage counts what is left, and Fai lists clashes and gaps under Needs your decision on the event's Today page.

The running-order checks read the whole day every time it changes. They find an act landing after their soundcheck, a changeover shorter than the stage needs, a rider the stage cannot meet, and a set past curfew, each marked by how serious it is. Many come with a fix Fai has already tried against the rest of the day: you see every cue it moves and the new times before you apply it, and you can undo it straight after.

Set each stage's shortest changeover and opening hours once, and how long an act needs between two appearances, and the checks hold every later change to them. Fai can also draft each act's and each department's call times for you to approve, and drafts them again when a cue moves.

## Move a Cue and the Rest of the Stage Follows

Move a cue earlier or later by the minutes you choose, and choose whether every later cue on that stage moves by the same amount. Cues already done or skipped stay where they are, so a late change never rewrites what has happened, and every day sheet, backstage TV and calendar follows the new times.

Your whole production team can work on the run of show at once. If a teammate changes the same cue at the same moment, the second save does not overwrite the first: the run of show shows you their version so you can check it and try again. A removed cue comes off every day sheet and keeps its history.

## Lock the Plan and Name Who Calls Each Stage

Lock a stage's day when the plan is final, and nobody can add, change, move or remove its cues until someone unlocks it, while calling cues on show day still works. Lock the whole site to freeze every stage for that day. Name a show caller for each stage, or one for every stage, and they can call cues and lock or unlock their stage and nothing else.

This is how a festival hands the day from the production office to the stage managers. The plan is fixed, each stage manager has exactly the access their stage needs, and the owners, admins and producers on the event can still call any stage when a caller is off on a break. A show caller can also ask Fai to call a cue in their own words, such as "the headliner is live", and Fai waits for their yes.

## Call Every Cue From the Side of the Stage

Now and next shows each stage's cue on now, the one next with a countdown and the rest later, against the event's own clock, so everyone reads the same time wherever their phone is set. Your show caller marks each cue standby, live or done with big buttons built for a phone in one hand, or skips one that is not happening. Going live and done records when the cue really started and finished.

A wrong tap is undone one step at a time, and both calls stay in the cue's history. If two people call the same cue at once, the first call counts and the second is shown where the cue is now. The page remembers each person's stage, leads the list of sections on a phone during the event, and keeps the last version it loaded if the signal drops, then catches up.

Arrivals due today and open incidents sit on the same page, so the show caller knows who is still on the road and what else is happening around the stage. Report an incident from the top of Now and next without losing your place in the show.

## Know How Late Each Stage Is Running and Catch It Up

Once a stage has a called time, it says how late or early it is running, and every cue still to come shows when it is now expected. If the stage will finish after it closes at this pace, a warning says by how much. When a stage is behind, one button moves the rest of today by exactly how late it is really running, and cues already done stay as they are.

When a cue was called late or not at all, fix when it started or finished and enter the reason. The running time corrects itself, and the earlier time stays in the cue's history with who changed it, so your record of the day stays honest. The planned times only change when someone moves the rest of the day; until then, Now and next and the day sheets show the delay beside the plan.

After the show, How the day ran shows for each stage how many cues were timed, how many started late, the average and the latest start. That is the conversation with your stage managers and your curfew officer, backed by the times your team called.

## Give Every Team, Act and Stage Its Own Day Sheet

Your event starts with the departments an event of its type usually has, such as Stage management, Sound and Security and safety at a festival. A department's day sheet lists the cues it owns, its people, pickups and arrivals, key contacts, radio channels and its rota shifts with any places still to fill. A performer's sheet adds their set, hotel, advancing and their whole stay with what changed since they last looked, and a stage's sheet lists its performers and tech contacts.

Share a sheet by link and anyone with it reads it on their phone without signing in, always showing the latest run of show and how late each stage is running. Phone numbers and hotel addresses stay off a shared sheet unless you include them. One step emails every department lead their own sheet for the day, each link shows how many times it was opened, and you can turn a link off at any time. Print any sheet for the clipboard at the gate.

Add the crew, volunteers, collaborators and anyone else to each department, and choose who leads it: the lead receives the sheet and their phone number shows on it. A performer's day sheet can also go in their document pack, beside the site rules, their contract and their rider.

## Put Now and Next on Backstage TVs and in Every Calendar

Make a private link for a TV at the side of a stage or in the green room, choose one stage or every stage, and open it in the TV's browser by link or QR code with no sign-in. The TV shows the act on now with the minutes left, the act next with its start time, the changeover between them and whether the stage is on time or late, following the run of show as it changes.

The TV shows act names, stages and times, never notes, phone numbers or your team's names, so it can hang where artists, guests and runners pass. Each TV link says when it was last shown, so you know every TV is working, and you can stop a link at any time.

Give your production team a calendar link for every stage or one, and each person adds it to Google Calendar, Apple Calendar, Outlook or any calendar app that takes a web address. Load-ins, soundchecks and set times sit beside everything else they have on, and a moved cue moves in their calendar too.

## How Event Teams Run Their Show Day

- ### A Three-Stage Weekend Festival

  Fai drafts Saturday and Sunday from the schedule, the checks flag a headliner landing after their soundcheck, and the production manager applies the fix before locking both days. Each stage manager is named show caller for their stage and calls the day from their phone.

### Run of show

#### Who can build the run of show and call cues?

The event's owners, admins and producers build it, from Run of show on the event's Operations page, and can call every stage on Now and next. Show callers call cues and lock or unlock their own stage. A show caller with another role on the event asks Fai to call a cue, and Fai waits for their yes.

#### Can Fai build and change the run of show?

Yes. Fai reads the run of show, drafts it from your schedule, adds, changes, moves or removes cues, locks or unlocks a day, names show callers, calls cues and moves the rest of a stage's day. She shows you each change and waits for your yes first, and nothing changes on a locked day.

#### How many cues can a day hold?

Up to 1,000 cues on each day of the event. Build and break days can be up to 14 days before or after the event.

#### How often does Now and next update?

Every 20 seconds, and it says when it last did. Backstage TVs ask for new times every 20 seconds too, and a stopped TV link ends within 20 seconds.

#### Does a late stage change the planned times?

No. The planned times change only when someone moves the rest of the day. Until then, Now and next and the day sheets show the delay beside the plan. Unlock a locked stage on the run of show before you move it; calling cues works on a locked stage at any time.

#### Does my team need an account to read a day sheet?

No. Anyone with a shared link reads the sheet on their phone without signing in. Sheets sent to department leads work until the end of the day after the show, and a department whose lead has no email address is left out and named in the dialog.

#### Can I see who opened a day sheet or a backstage TV link?

You see how many times each day sheet link was opened and when each TV link was last shown. The names of the people who opened them are not recorded.

#### How quickly does a moved cue reach someone's calendar?

When their calendar app next checks the link. Most apps check every few hours, and some let people refresh sooner. A calendar holds up to 1,000 cues and leaves out skipped cues.

#### Do shared day sheets show the running-order problems?

No. In the dashboard each day sheet shows the problems that touch its own cues, and day sheets you share by link never show them.
