Put the Hotel's Rooms on Sale at the Rate You Agreed

Turn the hotel's offer into rooms buyers can book in minutes. Choose the room from your event's Accommodation page, enter the nights, the rooms each night and the rate buyers pay, then enter the hotel's release date as the last day buyers can book. Once you save, the rooms are on sale at that rate.

Hotel deals are rarely the same every night, and the block does not force them to be. Hold more rooms on the Saturday of a weekend festival and fewer on the Sunday, so the block matches the contract line by line. The rate is for one room for one night, in the currency the room sells in on your Accommodation page, so what buyers pay matches what you agreed with the hotel.

Choose whether to give buyers a deadline. Enter the hotel's release date and buyers see it as the date to book by, which turns the hotel's deadline into a reason to book now. Leave it empty when you own the rooms outright, such as a lodge on your own site, and the rooms stay on sale until you give them back.

Let Buyers Book Their Room With Their Ticket

Buyers sort their stay in the same checkout as their ticket, on your event page and in the checkout on your own website. They see the room for the block's nights at your rate, with the date to book by, and pay for both together, so nobody has to find the hotel, phone it and quote a block code.

Booking at the moment of purchase is when buyers are most likely to say yes, and it keeps the booking with you. A festival far from town fills its partner hotel, a conference fills its delegate rooms and a sporting weekend fills the hotel next to the ground. The rooms are on sale through your event page, your embedded checkout and the checkout API, so an app or a partner website can sell them too.

A refunded room goes straight back on sale for the next buyer while the block still holds it, so a cancellation in the last week is a room someone else can book. Buyers who booked keep their rooms whatever you change later.

Sell Every Kind of Place to Stay With Its Taxes and Fees

Hotels are only the start. Your Accommodation page holds hotels, hostels, campgrounds, glamping, apartments, villas and resorts, each with its room types, how many guests each sleeps, the bed type and a nightly price. Add the taxes and fees the place charges, such as a city tax, a resort fee, a cleaning fee or a site fee, and they are added when guests book their stay.

Each tax or fee is charged the way the place charges it: a percentage of the stay, a fixed amount per stay, per night, per guest or per guest per night. Mark one as already included in your nightly prices and buyers see it without paying it twice. A tax can also apply to the fees as well as the stay, and you can switch any of them off for new bookings without removing it.

When a block for ticket buyers holds a room on certain nights, the block sets the rooms and the price on those nights. A change across many nights on the Accommodation page leaves the block's nights as they are and says how many it kept, so a quick price change never undoes the rate you agreed with the hotel.

Know at a glance whether the block is filling. The totals add up the room nights held, booked and still for sale across every block for ticket buyers, and each block shows the same for every night. The Accommodation page shows the blocks too, with the day buyers can book until, so whoever looks after rooms works from the same numbers.

Night-by-night figures tell you more than a total. A block that is full on the Saturday and half empty on the Thursday needs a different conversation with the hotel from one that is quiet every night, and you see which one you have weeks before the release date. Know Who Is Staying Each Night

Every booking appears in Bookings with the guests, the property, the room type, the check-in and check-out dates, the nights, the total and who booked it. Search by name or email, or show only the guests staying on one night, so a question from a guest or the hotel takes seconds to answer.

Open a booking to see the staying guests, their special requests and dietary requirements, the order it came from and the room once one is assigned. Your team can check guests in and out, and cancelling a booking releases its nights for others to book after you confirm it.

The Guest list shows everyone staying on a chosen night with their room, party size and requests, and downloads as a spreadsheet for the hotel's front desk or your own welcome team.

Give Unsold Rooms Back So the Hotel Can Sell Them

The rooms nobody booked go back to the hotel by themselves once the last day to book has passed, and the block's history says so. When you want the hotel to have them sooner, give back every room nobody booked or keep some on sale each night, and email the hotel in the same step with your reason.

Before the date, Fai looks at each night. When buyers have booked every room on a night she suggests asking the hotel for more, and when rooms are going unbooked she suggests giving them back so the hotel can sell them sooner. Her suggestion waits on the event's Today page, and nothing is sent or given back until an owner or admin approves it.

Choose between the two kinds of release by what you owe the hotel. If unsold rooms cost you money, give them back early and keep a few on sale each night for late buyers. If the hotel takes the risk, leave the block to release itself on the date and let buyers book until the last moment. A room a buyer booked is never taken away.

Change the Rate or the Rooms Without Upsetting a Booking

When the hotel offers more rooms or a new rate, change the block and every booking already made stays exactly as the buyer paid for it. New buyers pay the new rate from the moment you save, and the block will not let you hold fewer rooms on a night than buyers have booked.

A block added by mistake can be removed, and its history is kept. Next year, copy the block into the new event with its dates moved and no bookings carried over, so the room, nights, rooms, rate and last day to book are ready for the hotel to confirm.

How Organisers Sell Somewhere to Stay

  • A Festival Far From Town

    The festival agrees eighty rooms a night at a partner hotel and puts them on sale at checkout. Buyers add a room to their weekend ticket, and the rooms nobody booked go back to the hotel the day after the last day to book.

  • A Conference With Delegate Rooms

    Delegates book their room with their pass at the agreed rate. When the Tuesday night sells out, Fai suggests asking the hotel for more rooms, the organiser approves her email to the hotel on Today, and adds the extra rooms to the block once the hotel agrees.

  • A Sporting Weekend

    The hotel offers a better rate a month out. The organiser changes the block, new buyers pay the new rate and every room already booked keeps the price its buyer paid.

  • A Glamping Field at a Festival

    The organiser adds the glamping field as a property with bell tents and pods, a site fee per guest per night and a city tax as a percentage. Buyers book a tent with their ticket, and the welcome team downloads each night's guest list for the field.

  • An Agency Running a City Break Weekend

    The agency holds two blocks at one hotel on different nights and gives back the quiet Thursday early to avoid paying for it. The Friday and Saturday stay on sale until the release date, and the team emails the hotel from the same dialog each time they give rooms back.

Owners and admins of the event, because the block sets what buyers pay at checkout. Producers can manage the hotel blocks for acts and crew. Fai can add or change a block for ticket buyers once an owner or admin approves it.

You cannot hold fewer rooms on a night than buyers have booked. The block shows the rooms in use on each night, so keep at least that many.

Only one block for ticket buyers can hold a room on the same night. Change the other block, or choose other nights.

Buyers pay for the room in the currency it sells in on the Accommodation page, so the block's rate uses that currency too.

Add the same hotel and room to the new event's Accommodation page first. The copy brings the room, nights, rooms, rate and last day to book with the dates moved, and never copies bookings.
