# Glass and tokens paid for before the bar queue

Your drinkers buy their session, souvenir glass and token card in one checkout, and your designated drivers get a ticket that never offers either.

  [Get started free](https://manage.ticketfairy.com/registration) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

A drinker's Friday 18:00 session costs $20, with a $10 souvenir glass and a $20 token card in the same checkout: $50 paid before the day, and a blue wristband at the gate. The designated driver ticket gets into the same session with a green wristband and is never offered the glass or tokens.

- Each session sells to its own capacity, so no hall is ever over.
- Drinkers buy their glass and tokens before the day, so the bar queues move.
- Breweries apply, pay and arrive with their paperwork, ready to pour.

## Sell each session to its own capacity

Your entry ticket can have time slots for each afternoon and evening, each with the number of drinkers your hall holds.

When Friday evening sells out, it greys out on your event page while Saturday afternoon stays on sale. Each session counts apart, so a busy night never takes room from a quiet one. A long weekend builds from the Multi-day festival template, with tiers, a VIP ticket and parking ready to price.

An evening can cost more than an afternoon, and a weekend ticket sells beside the sessions for the drinkers who want every one. Each ticket type has its own price and allocation, so the weekend ticket never eats into the places your single sessions need. A brewery can run its own tastings and tours on the same beer tasting ticketing system, selling each one as a time slot with its own capacity.

You can run a trade session for licensees and buyers on the same event. Its ticket type stays hidden and opens with an [access code](https://www.ticketfairy.com/event-ticketing/event-promo-codes) you give the trade, so the public never sees it. You set the dates the code works and how many tickets it opens.

- **Session time slots**: each session sold to its own capacity
- **Multi-day festival template**: tiers, VIP and parking ready to price
- **Access codes**: a hidden trade session for licensees

[Seating & timed entry](https://www.ticketfairy.com/features/seating-and-timed-entry) [Ticket types & pricing](https://www.ticketfairy.com/features/ticket-types-and-pricing) [Private sales & presales](https://www.ticketfairy.com/features/private-sales-and-presales)

Each session sells to the 600 drinkers your hall holds. Friday evening and Saturday evening are sold out at 600 and grey out on your event page, while Saturday afternoon, at 410, and Sunday afternoon, at 240, stay on sale.

## Sell the glass, the tokens and the driver's ticket together

A souvenir glass and a card of beer tokens sell as add-ons beside the session ticket, each with its own price and stock.

You can limit them to the tickets they belong with, so your designated drivers are never offered a glass or tokens. When drinkers buy their tokens before the day, your bar staff take less cash and the queues are shorter. When you match each ticket type and add-on to the wristband its holder gets, your door team sees the right band in the scanning app.

When the glasses run out, the glass add-on goes off sale and the sessions stay on sale. You can add a second glass for the evening, or a smaller one for drinkers who want to try more beers.

Your door team sees the band for each ticket as they scan it, with one color for each session and another for designated drivers. Bar staff can then tell at a glance who is driving home.

- **Glass and token add-ons**: offered only with the tickets they belong to
- **Designated driver tickets**: a ticket type with no glass or tokens
- **Wristbands by ticket type**: the right band shown as each ticket scans

## Check every drinker's age once at your gate

You set the youngest age you admit, and buyers enter their date of birth at checkout. Ticket Fairy works out their age for the day your festival opens and tells a buyer who is too young before they pay.

At the gate, door staff see each guest's age status as they scan and mark the wristband as ID checked. Bar staff see from the wristband that the check was done, and your bar team logs each refusal.

One check at the gate means no second check at each bar, so the queues move on a busy evening. Your license holder gets a dated record of every drinker refused service from the refusal log, ready for a licensing officer. Tickets turned away at the gate are a separate record: Refused scans counts them by reason, entrance and hour.

With names and ID on, each attendee's ticket email asks them to bring photo ID. The check at the gate then matches the name on the ticket to the person holding it.

- **Minimum age at checkout**: worked out for the day you open
- **ID checked at the gate**: marked on the wristband for every bar
- **Refusal log**: every refusal recorded for your license holder

[Checkout](https://www.ticketfairy.com/features/checkout) [Front of house](https://www.ticketfairy.com/event-operating-system/front-of-house)

Door staff check each drinker's age once, at the gate, and mark the wristband as ID checked. Inside the Friday evening session, the brewery bars serve from the wristband without a second check.

## Choose your breweries and get every bar ready to pour

Breweries apply on your public application page, which shows your bar fees and the extras you offer, such as power and water.

You describe the mix you want, such as local breweries first and one cider bar, and Fai ranks each application against it with her reasons. You approve, waitlist or decline each brewery. Approved breweries accept your terms, pay their invoice, book a load-in time and upload the certificates you ask for.

When a brewery drops out the week before, a brewery on your [waiting list](https://www.ticketfairy.com/features/orders-refunds-and-resale/resale-transfers-and-waiting-lists) is one decision away. Each brewery can send its insurance and any certificate your license needs, and Fai picks up each expiry date for you to check.

Breweries enter their own listing for the directory on your website, with the words drinkers filter by, such as IPA, stout or gluten free. You check and publish each one, and drinkers plan their route around the hall before they arrive.

- **Brewery applications**: your fees, questions and certificates
- **Ranked by Fai**: against the mix you describe, with her reasons
- **Brewery directory**: listings breweries enter and you publish
- **Festival website**: each brewery and what it is pouring, beside your session tickets

## Staff every bar with volunteers who know their shift

Run your beer festival like a company many times your size. Your volunteers apply on their phones, and Fai reads each application against the roles you need. Accepted volunteers get a private page where they pick shifts, ask to swap or drop one and read their day sheet.

A bar shift can carry a minimum age, so Fai offers it only to people old enough to serve. After the festival, you approve each person's hours from the times they checked in and out.

Last year's volunteers come back with their answers already filled in, so the regulars who run your cellar bar sign up in a minute. You can accept, waitlist or decline people in batches, with one email each.

Volunteers see the hours they gave against the hours they worked on their own page, and you give the rewards people earned. You plan crew meal times and food needs for the kitchen, and your meal desk hands out meals.

- **Volunteer applications**: read by Fai against your roles
- **Shifts with a minimum age**: offered only to people old enough
- **Hours and rewards**: approved from check-in times

[Crew & volunteers](https://www.ticketfairy.com/event-operating-system/crew-and-volunteers) [Crew meals & safety](https://www.ticketfairy.com/event-operating-system/crew-meals-and-safety)

The Saturday cellar bar shift from 17:00 needs 2 volunteers aged 18 or over. Fai offers it to Sam and Priya but not to Ellie, who is under 18, and both accept.

## Pay your breweries and see what the festival made

Brewery fees, bar takings and sponsor money go into your festival budget beside your own costs. When a brewery pays you a share of its bar takings, it enters them on its own page with its till reports, and Fai checks the reports against the figure.

You send your share as an invoice with a link to pay. You can pay the breweries you buy beer from straight from Vault. Ticket payouts arrive daily as sessions sell. When Ticket Fairy processes the payments, payouts usually arrive 10 to 15 business days after the event. Where there are chargebacks or cancellations, funds can be held for the chargeback window.

Your festival budget shows planned against actual on every line, so you know what the beer, the hall and the glasses cost before the doors open. If a brewery questions a figure weeks later, you both start from the same reports.

A sponsoring brewery can have its own ticket allocation, and hand tickets to its best customers through one link, with no login to your event. You can raise or lower the number at any time.

- **Share of bar takings**: checked by Fai and invoiced with a link
- **Vault payments**: breweries and suppliers paid
- **Partner allocations**: tickets a sponsor hands out

## How you can use Ticket Fairy at your beer festival

- ### A charity beer festival run by volunteers

Volunteers apply on their phones and pick their bar shifts, and Fai offers the cellar shifts only to volunteers old enough to serve.

A brewery runs a weekend in its yard, with guest breweries applying for the other bars. It gives its best trade customers a partner allocation and sells a token card with every ticket.
- ### A city craft beer week

Each buyer of a paid ticket gets a referral link and earns money back when friends buy through it.
- ### A cider and perry festival

A cider festival sells an afternoon and an evening session, with a designated driver ticket that comes with no glass.

Every refusal at the bar goes in the log for the license holder.
- ### An autumn festival in a marquee

A marquee festival sells reserved tables as their own ticket type beside general entry, with a stein and food tokens as add-ons.

The door team scans every group in on their own phones.

## Beer festivals: your questions about Ticket Fairy

### Beer festivals

#### Can each session have its own capacity?

Yes. The session ticket can have time slots, each with the number of drinkers it takes. A full session greys out on your event page while the others stay on sale.

#### Can I sell souvenir glasses and beer tokens with the session ticket?

Yes. Each one sells as an add-on beside the entry ticket with its own price and stock, and you choose the ticket types it goes with.

#### How do I sell a designated driver ticket?

It can be its own ticket type, left out of the glass and token add-ons. With its own wristband, bar staff can tell who is driving.

#### Can volunteers pick their own bar shifts?

Yes. Each volunteer you accept gets a private page to pick shifts, ask to swap or drop one, and read their day sheet.

#### Does Fai choose the breweries?

No. Fai ranks applications against the mix you describe, with her reasons, and your team approves, waitlists or declines each brewery.

#### How soon do I get my ticket money?

You can get paid daily as sessions sell on your brand's own connected Stripe account, where your country supports it, or a Xendit account in Indonesia. When Ticket Fairy processes the payments, payouts usually arrive 10 to 15 business days after the event. Where there are chargebacks or cancellations, funds can be held for the chargeback window.

#### Can my gate team scan tickets without a phone signal?

No. The Entry Fairy app needs an internet connection to scan tickets, so a quick check of the connection at each gate before you open saves a queue.

#### Does Ticket Fairy suit a small beer festival?

Yes. A one-hall festival with two sessions sells the same way as a city-wide beer week, and a free event carries no ticketing fee.

#### Can a brewery sell its own tastings and tours?

Yes. For a brewery tasting or bottle share, you sell capped sessions with a glass and tokens the same way as a festival, from one evening to a weekend of sessions. A brewery tour can be its own ticket type with time slots, so you sell your beer tastings and tours from one event page.
