# Every show on sale the minute you announce it

Your event page goes live on the minute your post promised. After the show, Fai, your AI teammate, drafts the settlement from your ticket sales.

  [Get started free](https://manage.ticketfairy.com/registration) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

Your post says the show goes on sale at 10:00, and at 10:00 the first release of 300 goes on sale. When it sells out, the second release of 500 opens straight away, and the final release of 400 is next in line: 1,200 tickets in all.

- **Face value** for every ticket a fan passes on from their order
- **36 hours** by default, for the next fan on your [waiting list](https://www.ticketfairy.com/features/orders-refunds-and-resale/resale-transfers-and-waiting-lists) to buy a returned ticket when the show is two weeks or more away
- **10M+** tickets issued on Ticket Fairy

- Your show goes on sale on the minute you announced.
- Tickets stay with fans at face value.
- You settle with each act from the night's ticket sales.

## Put each show on sale the minute you announce it

Each show starts from the Concert template with your general admission price and the room's capacity. The template asks about a VIP package, a seated ticket and the merchandise add-on, and you keep the ones you say yes to.

Each release has its own sale dates, so the second release opens the moment the first sells out. The event page can go public at the time your announcement names. Tickets you hold back for the label, a radio competition or a sponsor stay out of the public on-sale. In a seated hall, fans pick their exact seat on your seat map or choose an area at its own price.

The line-up can reveal act by act at the date and time you choose, in your event's own time zone. The support announcement goes out a week after the headliner without anyone staying up to press a button. General admission, VIP and seated tickets group into categories, so fans choose where they stand first and the price second.

One price suits a small room, and an [early bird](https://www.ticketfairy.com/event-ticketing/event-promo-codes) ladder suits most shows. Phased releases suit a big room, where rising prices keep fans buying early. The full checkout can sit on the act's own website or yours. Every sale shows in the same dashboard and the same report.

You can sell tickets for a standing music club and a seated live entertainment venue from the same account.

- **Concert template**: releases, VIP and merch sized to your room
- **Scheduled on-sale**: the page goes public on the minute you announced
- **Held tickets**: named reserves for partners, kept out of the on-sale
- **Line-up announcements**: each act revealed when you choose
- **What's on calendar**: every public show listed on your own website automatically

## Keep tickets with fans when a show sells out

You set the most tickets one order and one account can buy, so a tout needs a new account and a new card for every few tickets.

On the shows under most pressure, you can add an identity check, and each buyer's card is held until they pass it with an ID photo and a selfie. A fan who can no longer come lists their ticket for resale from their order at its own price, or sends it to a friend. Once a release sells out, each ticket listed for resale goes to the next fan on your waiting list.

When the public sale opens, every fan sees their place in a waiting room in front of checkout and goes through in turn. The fans already paying finish quickly, and refreshing the page gains nobody an advantage. You can run a presale for your mailing list or the act's fan club with an access code or a personal invitation. Your most loyal fans buy before the public race starts.

When a show is at the top of the resale sites, you can put a name on every ticket and check it at the door. The Waiting List report shows how many fans you could not serve, so you know when a second date is worth announcing. The whole list gets an email the moment it goes on sale.

- **Face-value resale**: on your own event page, with the old code canceled
- **Waiting list**: returned tickets offered to the next fan in line
- **Buyer ID checks**: on the whole show or the busiest ticket types
- **Waiting room**: buyers let in to checkout in turn

[Orders, refunds & resale](https://www.ticketfairy.com/features/orders-refunds-and-resale) [Checkout](https://www.ticketfairy.com/features/checkout) [Private sales & presales](https://www.ticketfairy.com/features/private-sales-and-presales)

Sam can no longer come, so their ticket goes back on sale at face value. Jordan, next on the waiting list, buys it: Sam's code stops working and Jordan gets a fresh ticket.

## Know which announcement sold your tickets

A tracking link for each post, newsletter, poster and partner site shows the clicks, orders and revenue each one brought in.

You connect the ad networks you use to your brand just once, and each network records the ticket sales its ads brought in. You can compare this show with your last one at the same number of days out. By the second week, you know whether to add a date or put more into ads. The co-promoter or the act's management can have a live sales link for the tickets they have a stake in. They need no role on your event.

Fans who comment a word such as TICKETS under the announcement get your ticket link in a private message straight away. An artist team can run a followers-only presale that grows the act's following while it builds the presale list. Every buyer gets a referral link, and the fans who bring their friends show up in your referral results.

Fai can tell you how this show is selling against the last one, or which link brought the most buyers. She can also tell you how many tickets are left in each release. She answers from the same reports your team sees.

- **Tracking links**: clicks, orders and revenue for each placement
- **Ad pixels**: each network you advertise on, set up once
- **Compared with last time**: this show's sales against your last one
- **Live sales links**: for the co-promoter or the act's management

## Book acts at a fee the show can carry

With Fai, a small promoter or venue team works like a big one. You hold the date in the room you want, then make the agent an offer with what you paid the act before and the guarantee range Fai suggests beside it.

The deal can be a flat fee, a guarantee against a percentage of ticket sales, a guarantee plus a percentage, or a door deal, and you see how many tickets pay for the guarantee. After the show, Fai drafts the settlement from your ticket sales, your costs and the deal, and you share it with the act's team line by line.

Each counter-offer is kept as a new version, and when the agent accepts, the act is booked onto your show with the agreed fee. The contract goes out for signature by email, and you see every deposit and balance by the date it is due. The agent sends back the contract, invoice and rider, and Fai puts the invoice into your payments due, the rider into the act's advance and the agreed terms on the booking. A shared settlement locks its lines. A correction is a reversing line or a new version, and the version you shared stays as it was.

Offers and settlements work whether you rent rooms as a promoter or run the booking for your own music venue, across every event your brand runs. You see what you paid each act last time and how many tickets those shows sold, and you can add a radius clause to the contract.

- **Offers**: past fees and a suggested range beside each one
- **Deal types**: flat fee, versus, plus or a door deal
- **Settlements**: drafted from ticket sales, costs and the deal

[Venue operations](https://www.ticketfairy.com/event-operating-system/venue-operations) [Contracts & payments](https://www.ticketfairy.com/event-operating-system/contracts-and-payments) [Vault](https://www.ticketfairy.com/features/vault)

The act's guarantee takes 350 tickets at your ticket price to pay, and the show sells 612. The guarantee is covered, and Fai drafts the settlement from your ticket sales, your costs and the deal.

## Advance every act and run the night at your live music venue

Every act on the bill gets an advance sheet for travel, hotel, schedule, technical needs, hospitality and their guest list.

The tour manager gets a link with no sign-in that opens only the sections you choose, and you see every change they make. Fai fills in what she can from the contract, the rider and the tour book. She drafts the run of show with doors, soundchecks, sets, changeovers and curfew. On the night, the show caller calls each cue. A backstage TV shows the act on now, the one on next and how late the stage is running.

Each department gets its own day sheet. The crew open it on their phones from a link, and it always shows the latest times. Fai gives each act a dressing room around their set and flags any overlap. You see the hotel rooms you hold for the band and crew next to their advance. You can lock a stage once its plan is final, so nobody moves a cue by mistake.

A support act with a laptop needs a set time and a guest list, and a headliner with a production needs the full advance. You choose the sections each act's team sees. Your team runs the night from the same advances whether there are two acts on the bill or six.

- **Advancing**: travel, hotel, technical and hospitality for each act
- **Run of show**: drafted by Fai from your set times
- **Day sheets**: each team's part of the day on their phone
- **Now and next**: backstage TVs with the time left

## Get guests, crew and the crowd in on time

You can send comps to press and the act's guests from your dashboard, each with a barcode. The act's management can have an allocation they fill themselves.

The band and crew get a pass that scans in the same app as a ticket and takes nothing from your ticket stock. VIP can come in before the main doors with their own door times. Your door team puts the right wristband on every wrist as each ticket scans. You follow arrivals by hour while the room fills, and see every refused ticket by reason and entrance while you can still act.

Your door team scans on their own phones and sells to walk-ups from the same app. Walk-ups pay with cash, or with a card, Apple Pay or Google Pay tapped on your team's compatible Android phone, so your venue takes card payments at the door without a separate card reader. Merch stands keep their stock by stand, and the act's share of merch sales goes into the settlement.

Guest tickets come from a ticket type of their own, so comps never eat into a paid release and add nothing to your takings. Fai can tell you how many people are in or whether a named guest has arrived, and she answers from the door figures.

- **Guest tickets and allocations**: comps for press and the act's guests
- **Band and crew passes**: scanned at the same door as tickets
- **Early entry for VIP**: doors open and last entry for each ticket type
- **Arrivals by hour**: against the tickets you sold

## How you can use Ticket Fairy for your concerts and venue

- ### A headline show that sells out fast

The promoter caps tickets per order and per account and turns on the waiting list. Buyers of front standing tickets pass an ID check.

Returned tickets go to the next fan at face value, and the size of the waiting list makes the case for a second date.
- ### A two-room music venue

The booker holds a Saturday in the big room and offers the act a guarantee against a percentage of ticket sales, and the act is booked onto the show when the agent accepts.

Fai drafts the settlement once the show ends, and the act's team agrees it the next day.
- ### A promoter bringing a tour through town

The tour manager fills in the advance from a link with no sign-in, and Fai picks up the hotel and set times from the tour book.

The run of show and each crew day sheet are ready a week before load-in.
- ### A seated concert hall

Fans pick their seats on the hall's seat map, and seats for the label and the act's family are held back from the on-sale.

Two days out, once the act's team confirms their guests, the house seats are released.
- ### An independent promoter testing channels

A promoter gives the newsletter, three Instagram posts and two partner blogs their own tracking links. By the second week, the promoter can see which ones sold tickets and moves the ad budget to them.

## Concerts & live music: your questions about Ticket Fairy

### Concerts & live music

#### Does resale let fans charge more than face value?

No. Nobody sets their own price. The new buyer pays the ticket type's current price. The seller gets back what they paid, less a resale fee of 10% of the ticket price. You can keep any ticket type out of resale or turn resale off for the event.

#### How long does a fan on the waiting list have to buy?

A fan has thirty-six hours when the show is more than two weeks away. The time gets shorter as the show gets closer, down to eight hours on the last day. If the fan does not buy in time, the offer passes to the next fan in line.

#### How many tickets can one fan buy for my show?

You choose, from 1 to 20 per account for each ticket type. A buyer with no customer account yet can buy up to the per-order limit in a first order, so set a per-order limit as well.

#### Can I sell numbered seats and standing on the same show?

Yes. The seated areas of your venue go on your seat map, and the floor sells as its own ticket type. Or you can create a ticket category for each area of the room without a map. Ticket Fairy staff build the seat map with you, from your venue's layout.

#### Can the act's team check the settlement?

Yes. You can share the settlement with the artist's team, and every line shows how its figure was worked out. Once you share it, its lines are locked. To change anything, you reopen it as a new version, and the shared version is kept.

#### Does the tour manager need a Ticket Fairy login?

No. The advance link opens without a sign-in and shows only the sections you chose. You can stop a link or send a new one at any time.

#### Can a promoter who hires my venue run their own night?

Yes. With the Administrator role on that event's team, they set up the tickets, guest list and publishing themselves. A promoter who sells a night your team builds gets the Promoter role with their own link.

#### Does the scanning app need a signal?

Yes. The Entry Fairy app needs an internet connection to scan tickets, so a quick check of the connection at each door before you open saves a queue.

#### Can I make offers to agents and advance the band here too?

Yes. You make offers to agents, advance each act and plan the run of show in the same dashboard as your ticketing, resale and the door, as part of the [Event Operating System](https://www.ticketfairy.com/event-operating-system). You can book a demo, and we set up your first show with your team.

#### Which music venues and concerts use Ticket Fairy?

Venues of every size sell tickets here, from small acoustic rooms and jazz clubs to amphitheatres, and promoters sell outdoor concerts too. Whether you promote shows or are the venue owner, you get ticket sales, offers, advancing and the door in one dashboard.

#### What happens to our social posts if a show is postponed?

You pause them in one step. When you select Post an update for the show on Social Home, every scheduled promotional post for it pauses, an update post is drafted for each network you post on, with no ticket link, and fans who comment for tickets get your update. When the new date is set, you resume the paused posts in one step. Owners and admins of the brand can post and resume an update.

#### Can concert promoters use it as well as venues?

Yes. A promoter sells shows in the rooms they hire, and a music venue sells its own program, both from the same account. A venue can also give a visiting promoter a role on that show, so they run it themselves.

#### How do I know if a show is selling well enough to add a second date?

You can compare this show with your last one at the same number of days out, and by the second week you know whether to add a date or put more into ads. Your Performance page shows tickets sold, net revenue and box office sales for each show as they come in, and tracking links show the clicks, orders and revenue each post or partner site brought in. On the night, Box Office Sales splits door sales by seller, with cash and card apart, and you follow arrivals by hour.

#### How do walk-ups pay at the door?

They pay in cash on any phone that runs the scanning app, or by tapping a card, phone or watch on a compatible Android phone. Taps work when your payment processing account is in a country where tap to pay works, your event's venue is in that same country, and your business address or the venue's address is complete.
