Get Your Door Team Scanning on Their Own Phones

Invite each person who scans as Door Staff, on your brand for your regular team or on one event for a one-night crew. That login opens the Entry Fairy app and nothing in your dashboard, so it is safe to hand to casual staff, and every admission carries the name of the person who scanned it. The invitation carries the app store links, so your team installs the app themselves the day before. Every phone sees a scan made on another, so a ticket admitted at one entrance shows as already checked in on every other phone, with the time and who scanned it.

Decide What Each Ticket Lets Its Holder Do at the Door

A ticket admits its holder once, and a second scan is refused as already checked in. Turn on repeat scanning for a ticket type that needs more, such as a weekend pass that comes back once a day or a backstage pass that comes and goes within the hour, and set how many scans each day or each hour allows. Give VIP or the guest list their own doors open and last entry times. The app refuses a refunded, cancelled or replaced ticket and says why in plain words.

Hand Every Guest the Right Wristband

Match each wristband or badge to the ticket types that get it, with the artwork your wristband printer works from. As a ticket scans, the app shows your door team which band to fasten on, so a day ticket never leaves the gate with a weekend band. Give a band to an add-on as well, such as a campsite band for everyone who bought camping, and a VIP ticket with camping shows both bands. Copy your bands to the next edition when you duplicate the event.

Sell Tickets to Walk-Ups at the Door

Your door team sells tickets from the same Entry Fairy app they scan with. Take cash, or let the buyer tap their card, phone or watch on the back of your team's phone, so there is no card reader to hire or ship. The money goes through the payment processing account your online tickets already use, and a second door, a roaming seller and the box office can all take payments at the same time. When a VIP table booking scans with a balance left to pay, the app shows the amount and your team marks it paid.

Know Who Has Arrived While the Doors Are Open

Open Check-In from your own phone to see arrivals each hour against the tickets you sold, so you can see when the queue builds and when the rush has passed. The same report breaks arrivals down by day, by ticket type, by add-on and by the person scanning. When an attendee at the front of the queue is told they are already inside, search their name or email address to see when their ticket went in and who scanned it. Undo a scan made by mistake, or ask Fai how many are in and whether a guest has arrived.

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each entrance before the doors open.

No. Door Staff opens the scanning app and nothing in your dashboard, so you can hand it to casual staff for one night.

On a ticket that admits once, the app says it is already checked in and shows when and who admitted it, on any phone. Where you have allowed re-entry, the attendee is admitted again while the ticket is within its limits.

No. The app counts the scans in the 24 hours before each new scan, so the window moves with the ticket. An hourly rule works the same way over the previous hour.

Compatible Android phones, in the country of the payment processing account the event uses. The option appears once the event has a venue and either your business address or the venue's address is complete. If a phone does not offer it, the app names the reason: fix what it names and save, and the option appears within a minute.

As many as you need. Card payments on a phone are set up once on your payment processing account, so no phone needs setting up on its own.

Not in your dashboard. The check-in report breaks arrivals down by hour, day, ticket type, add-on and the person scanning, and each phone shows its own running count.
