## Give Everyone on Your Door Their Own Scanning Login

Invite each person who scans as Door Staff. That login opens the Entry Fairy app and nothing in your dashboard, so you can hand it to casual staff for one night without showing them your sales, your guest list or your buyers. Because each person has their own login, every admission carries the name of the person who scanned it, and you can see later who let each attendee in.

Put your regular door team on your brand, and their login carries to every event the brand runs. Put a one-night crew on that event's team instead, and their access ends with that event. ## Keep the Queue Moving at Every Entrance

Your door team points the phone at the QR code on a buyer's phone, a wallet pass or a printed ticket, and the app admits the attendee or says why not. A ticket admitted at the main gate shows as already checked in on every other phone, with the time and the name of whoever scanned it. A refunded, cancelled, resold or replaced ticket is refused with the reason in plain words, so the person holding the ticket now is the one who gets in.

When an attendee at the front of the queue is told they are already inside, your door manager searches Individual Tickets on the Check-In page by name or email address. Checked In At and Checked In By show when the ticket went in and who scanned it, so the conversation is settled with facts. If a ticket went in by mistake, Unscan ticket puts it back so the attendee can be admitted properly.

Show the answers to your own checkout questions on the scan view, such as an access request or a meal choice, and your door team sees them the moment each guest's ticket scans.

## Let Each Ticket Through the Door as Often as You Sold It

A one-night ticket admits its holder once, so a screenshot passed to a friend does not get a second person in. A weekend pass needs to come back each day, and a backstage pass comes and goes all evening. Give each ticket type the rule it needs, and the app checks it at every scan on every phone, so your door team never has to make a judgement call at the gate.

A Day rule sets how many entries a ticket allows in each day, and an Hour rule sets how many returns it allows within the hour. Combine the two on one ticket type, such as one entry a day and no more than two in an hour, and the app admits the holder only while every rule still has room. The windows move with the ticket, so a weekend pass scanned at eight on Friday evening is ready again by eight on Saturday.

Door times work the same way. Give VIP early entry, or close the guest list at midnight, with a Doors Open Time and a Last Entry Time on that ticket type alone. A ticket scanned outside its times is refused as not valid yet or no longer valid, so nobody at the gate has to watch the clock. ## Put the Right Wristband on Every Wrist

A day ticket that leaves the gate with a weekend band, or a camper without a campsite band, lets somebody into an area they did not pay for. Match each wristband or badge to the ticket types and add-ons that get it, and the app shows your door team the band's name and artwork as each ticket scans. They fasten on the band they see, without remembering which ticket types share a colour while the queue builds.

One band can cover several ticket types, such as one day band for the Friday, Saturday and Sunday tickets. Give a band to an add-on as well, such as a campsite band for everyone who bought camping, and a VIP ticket with camping shows both bands. Choose Badge for a pass worn on a lanyard, such as an artist or crew badge matched to a crew ticket type you keep off your public event page.

Edit a band to change which tickets get it, deactivate a band you are not handing out yet, and turn on Credentials when you duplicate the event so your active bands carry over to next year's ticket types. Each band gets a Code you can change to match the reference on your wristband order.

## Test Every Phone the Day Before Your Doors Open

The night goes smoothly when the door is settled the day before. Send the guest list their tickets, then send yourself one guest ticket and scan it on every phone. The first phone admits it, every other phone shows it as already checked in, and you know each phone is signed in and connected before the first guest arrives.

Guest tickets carry each guest's name and their own code, so your door team scans them like any other ticket and there is no separate list at the door. Artists and crew can come in on a crew or artist ticket type you keep off your public event page, with repeat scanning turned on so they can come and go through load-in and the show.

## Watch Your Crowd Arrive Hour by Hour

While the doors are open, Check-In on your phone or laptop shows, on its Hourly tab, how many tickets your door team scanned in each hour against the tickets you sold, with a tab for each day of a multi-day event, so you can see when the queue builds and when the rush has passed. After the event, the same report tells you when to put more people on the door next time.

Checked In counts the scans so far, Total Sold counts the tickets you issued and remaining shows the gap between them. The Date, Ticket Type and Add-Ons tabs split arrivals by day, by ticket type and by add-ons such as parking or camping, and By Staff Member lists how many tickets each person on your door scanned. The figures stay with every past event, so you can compare when the rush came this year and last year. Choose the ticket holders who have not checked in as the audience for an email, and remind them when the last entry is or how to find the gate.

## See Why People Were Turned Away While You Can Still Act

The Refused scans tab on Check-In counts every scan your door team refused, by reason, by entrance or scanner, by ticket type and by hour. A run of tickets shown again after check-in at different entrances usually means a ticket is being shared as a screenshot. One entrance refusing tickets that are outside their check-in times usually means a sign or a briefing is wrong. You see both while the doors are still open.

Look at one day or the whole event, and open the list of each refused scan to see when it happened, the reason, the entrance, the ticket type and the ticket holder. With the list narrowed by where the scan happened and by reason, and your door manager can deal with the pattern rather than the person in front of them. ## Sell to Walk-Ups From the Phone That Scans

Your door team sells tickets to walk-ups from the same Entry Fairy app they scan with. Take cash, or let the buyer tap their card, phone or watch on the back of your team's phone, so there is no card reader to hire or ship. The money goes through the payment processing account your online tickets already use, and a second door, a roaming seller and the box office can all take payments at the same time.

Box Office Sales on your event's Performance page shows every sale by date or by seller, with cash and card apart, so you can settle up with each seller at the end of the night. A walk-up who would rather pay on their own phone can scan a quick-buy QR code at the door and buy there while your team keeps scanning. ### Door scanning

#### Which phones can scan tickets?

Entry Fairy is free from the App Store and Google Play for iPhone, iPad and Android. Each person scanning needs a phone or tablet that can install it and a login of their own.

#### Does scanning work without a signal?

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each entrance before the doors open.

#### Can a Door Staff login see my sales or my guest list?

No. Door Staff opens the scanning app and nothing in your dashboard. You need an owner or admin login on the event, or on the brand that runs it, to invite the door team.

#### Does a once-a-day re-entry rule reset at midnight?

No. The app counts the scans in the 24 hours before each new scan, so the window moves with the ticket. An hourly rule works the same way over the previous hour. A changed rule applies to later scans, and entries already recorded still count.

#### What if a phone dies at the door?

Open the ticket inside its order and set its status to checked in by hand. A ticket admitted this way records nobody's name, so keep it for when a phone cannot scan.

#### What happens when one ticket matches two wristbands?

The app shows both bands when it scans, which suits a VIP who also bought camping. Where you chose both ticket types and add-ons on one band, a ticket gets it only when it also carries one of those add-ons. A refunded or cancelled ticket is refused, so it shows no band.

#### Does Checked In count people or tickets?

Tickets. The Hourly tab counts every accepted scan, so a ticket that leaves and comes back counts each time. Total Sold counts every ticket issued for the event, complimentary and not-yet-paid tickets included, and the figures load when you open Check-In, with Refresh tabs loading the scans since then.

#### Who can see the check-in figures and refused scans?

Owners and admins, and Stats, Limited Stats, Support and Limited Support logins, can open Check-In. A Limited Stats or Limited Support login shows every figure except the names of the people scanning. Refused scans shows for owners, admins, producers and Stats and Support logins, and opening the list of each refused scan records your name.

#### Can I see how many people came through each gate?

The check-in report breaks arrivals down by hour, day, ticket type, add-on and the person scanning, and each phone shows its own running count. Refused scans is split by entrance or scanner.

#### Which phones can take card payments at the door?

Compatible Android phones, in the country of the payment processing account the event uses, once the event has a venue and either your business address or the venue's address is complete. If a phone does not offer it, the app names what to fix, and the option appears within a minute of saving. As many phones as you need can sell at once, and none needs setting up on its own.
