Send Every Event's Reminders, Thank-Yous and Last Calls on Time

A club night every week or a season of shows means the same doors reminder, the same thank-you and the same last call for every event, and the one week nobody has time is the week it gets missed. Switch on a ready-made message once and it goes out for every event at its moment, to the right people. Fai follows each event's sales, dates, check-ins, waiting list and pre-registrations and prepares the messages worth sending, and nothing she suggests goes out until someone on your team says yes.

  • Every event gets its reminders and thank-you
  • More tickets sold at the moments that matter
  • Nothing sent without your team's yes

Cover Every Moment From On-Sale to the Morning After

Seven ready-made messages cover the moments every event has. Tickets on sale now tells everyone who pre-registered the moment sales open, Announce to your fans reaches the fans who agreed to your emails and have not bought yet, and Last chance gives them one honest last call when most tickets are gone.

Know before you go gets everyone with a ticket the time, the place and what to bring two days before the event. The Event-day reminder is a short text a few hours before doors with a link to their tickets. The day after, Thank you for coming reaches the people who came with a thank-you and a question about how it went, and Sorry we missed you sends a friendly note to the ticket holders who did not make it.

Each one comes with starter copy that fills in each event's name, date, venue and link and each person's first name, so the same message reads right for a Tuesday quiz and a Saturday headliner.

  • On-sale and announcements: pre-registered fans and your fans hear first
  • Know before you go: the time, the place and what to bring
  • Event-day reminder: a short text with their tickets
  • Thank you for coming: a thank-you and a question about the night

Set the Timing and the Group Once

Each message goes out when you decide, in minutes, hours or days, before or after the event starts or ticket sales open. Last chance goes by your sales instead, at the share of tickets sold you choose. It starts with the right group, such as People who came for a thank-you, and you can pick another.

Change any wording yourself, or use Put it in your voice with Fai and she rewrites the starter copy in your brand's voice, keeping every personal detail in place. Use her version if you like it, or change any line yourself.

Switching a message on approves every message it sends, so the dialog tells you exactly what will happen before you confirm. From then on it goes out for each event at its moment without asking each time, and you can pause it at any time.

  • When it goes out: before or after the moment that matters
  • Send when this much is sold: a last call timed by your sales
  • Put it in your voice with Fai: starter copy that sounds like you

Use One Message for Every Event or a Version for Each Series

Send a message for all events, for the events in one event series or for one event. All events and an event series include the events you add later, so next month's dates are covered the day you create them. Give your weekly club night its own thank-you, and let every other event use your brand's version.

Each event gets one version of each message. The version for that event comes first, then the one for its event series, then the one for all events. Open Messaging from an event and Automatic messages lists every message that goes out for it, with a line under any version that another one replaces, so you see exactly what each event will get.

  • All events: including the events you add later
  • One event series: a version for a regular night or a tour
  • One event: a version for a single show

See Where Each Message Went and Pause It When You Need To

Sent so far lists every event a message went out for, and Open message shows that send with its results. When an event is skipped, the reason sits beside it, such as nobody being in the group for that event, so you never wonder whether your thank-you went.

Pause a message for a quiet month and resume it when you are ready, and the messages it already sent stay in Messages. Change the timing, group or wording of a message that is on and your changes apply to every message it sends from then on. Delete one you no longer need and it stops going out, with its sent messages kept.

  • Sent so far: each event, with its results
  • Skipped, with the reason: why an event got nothing
  • Pause and resume: stop a message without losing it

Let Fai Spot the Moments Worth a Message

Fai looks across every event on your brand for the moments worth a message: the announcement, a sales push, a last chance when tickets are nearly gone, know before you go, the thank-you, and the news for your waiting list and the fans who pre-registered. She prepares the email, and each suggestion under Fai's suggestions names the event, says why now and shows about how many people it reaches.

For you also shows what is coming up and what was sent recently, with the suggestions to review, the scheduled messages, the drafts and what went out in the last 30 days at a glance. Fai drafts from your events and your brand guidelines, so her emails sound like you and carry your event and its details.

When your plans change, Ask Fai for new ideas has her look at your events again. A suggestion that no longer fits, such as one for an event that has started, leaves For you on its own.

  • Sales and dates: a sales push or a last chance at the right time
  • Waiting list and pre-registrations: fans told when their chance comes
  • Check-ins: a thank-you to the people who came

Preview a Suggestion, Then Send, Schedule or Switch It On

Preview the message shows the subject line and the email Fai prepared before you decide anything. Review and edit opens it in the editor, Schedule sends it at the time Fai suggests, Send now sends it straight away, and Not now sets it aside. Each choice that sends asks you to confirm and tells you about how many people it goes to.

When Fai suggests switching on an automatic message, such as a thank-you after every event, Switch it on turns it into a standing message once you confirm. From then on the message goes out for every event at its moment, and you pause or change it in Automatic messages whenever you need. A good suggestion becomes a habit your team never has to remember.

  • Preview the message: the subject and the email, before you decide
  • Review and edit: change anything, then send it yourself
  • Switch it on: a suggested automatic message for every event

Keep Your Team in Control of Every Send

Every suggestion waits on For you until somebody on your team decides. Not now lets you tell Fai why, such as that you already announced it on social media, and Fai uses your answer to make better suggestions while your team sees who dismissed it. When two teammates approve the same suggestion at once, it still becomes one message.

Ask Fai, the assistant inside your dashboard, to set up, change, pause, resume or delete an automatic message, or to list and act on the suggestions waiting for your team. She shows you the message, when it goes out and who gets it, and asks you to approve before she switches anything on, schedules or sends. Prefer to decide everything yourself? Turn off Suggestions from Fai in Messaging settings.

  • Not now: dismiss it, with a reason for Fai
  • Who decided: your team sees who sent or dismissed it
  • One message: however many people approve it

How Organisers Use Automatic and Suggested Messages

  • A Weekly Club Night

The club switches on Thank you for coming for its Friday series. Every Saturday morning the people who came get a thank-you, and the team checks Sent so far instead of remembering to send it.

  • A Festival Near Selling Out

The festival sets Last chance to go when most tickets are sold. Fans who agreed to its emails and have not bought yet get one last call while there are still tickets to buy.

  • A Theatre Season

The theatre switches on Know before you go for all events, with its own wording about the cloakroom and the bar. Every new production added to the season gets it two days before opening night.

  • A Promoter With Pre-Registered Fans

Tickets on sale now tells everyone who pre-registered the moment sales open, and Announce to your fans reaches the rest of the list an hour later. The on-sale message goes out even when the team is busy at the venue.

  • A Venue Team Reviewing Suggestions

On Monday the venue manager opens For you, schedules Fai's sales push for a quiet Thursday show and dismisses an announcement already made on social media, with the reason for Fai.

Questions About Automatic and Suggested Messages

Automatic messages
