Give Every Buyer the Answers Before They Ask

Most of the questions in an organiser's inbox have the same few answers: when the doors open, what to bring, how to get home and where the venue is. Put those answers in the confirmation email every buyer keeps, send replies to your team, and reveal a secret venue to every ticket holder at the moment you choose. Keep the emails you send for every event as templates, so your invitations, application answers and gift certificate emails sound like you whoever on your team sends them.

  • Fewer questions in your inbox
  • A venue reveal every ticket holder hears about
  • Your regular emails ready in your own words

Tell Every Buyer Their Order Went Through

A buyer who is not sure their order worked emails you to check, or buys again. The moment the payment goes through, your buyer sees Your tickets are confirmed! with a line asking them to bring their tickets to your event, and View your order and Add to Wallet put their tickets one tap away. Buyers who check out on your own website with the embedded checkout see the same confirmation.

Orders do not all end the same way, so the confirmation page tells each buyer what happens next. A buyer whose order waits for your approval reads that their request has been received and that their tickets follow once you approve it. A buyer starting a payment plan sees that their first payment is processing and that their schedule follows by email. A buyer at an online event is told to follow the instructions in their email to watch the stream, and a buyer paying in cash at a store is told their tickets follow once they pay. Buyers who check out on your own website see the same message.

Every buyer then gets their confirmation email with their tickets attached, ready to print or open on their phone. It is the email they keep and open again on the day, which is why it is the best place for your answers.

  • Your tickets are confirmed!: in the buyer's own language
  • View your order and Add to Wallet: the tickets one tap away
  • What happens next: approval, payment plans and online events explained
  • Tickets attached: in the confirmation email, ready to print or open

Answer Buyers' Questions in the Confirmation Email

Add the door time, last entry, the age limit, what to bring and how to get home to the confirmation email, in your own words. Your text sits beside the tickets, so buyers arrive knowing what to expect and your team answers fewer emails in the week of the show. You change it whenever a detail moves, and you can take it off again just as easily.

A live preview beside the editor shows your text inside the confirmation email, so you read it the way a buyer will before you save. With your team's address as the Reply-to address, buyers' replies about access, names and timings reach a person who reads them.

Four short paragraphs read better on a phone than one long one. Take the questions from your own inbox: the ones buyers really ask are the ones worth answering here. When a detail changes close to the day, edit the text the same day and email the buyers who already have their tickets as well.

  • Door time and entry rules: so buyers plan their arrival
  • Live preview: your text inside the email before you save
  • Reply-to address: buyers' replies reach your team

Sell Tickets While Your Venue Stays a Secret

A secret location builds excitement, as long as every ticket holder finds out where to go at the right moment. With Hide this venue from customers on, your event page goes on sale without the venue, so fans buy for the line-up and the date and the mystery becomes part of the night.

Set a Location Disclosure Date, such as the morning of the event. At that time the venue appears on your event page and every ticket holder gets an email with the location, with nothing for you to send on the day. You plan the reveal weeks ahead and spend show day on the show.

Add directions, the entrance to use and anything else ticket holders need as Additional Location Information. The location email carries that text with the venue name and address, so the reveal arrives as a complete plan for the night and not a bare postcode.

  • Hide this venue from customers: the venue stays off your event page
  • Location Disclosure Date: the reveal planned in advance
  • Location email: every ticket holder told at the reveal

Tell Everyone Attending When the Venue or Entrance Changes

When the venue moves or the entrance changes, everyone coming needs to hear about it today. Announce Location sends the new directions, and you read the email before it goes. Every ticket holder and every RSVP gets it, so nobody turns up at the wrong door.

Each ticket holder's address gets the update once, and RSVPs who are not already on that list get it too, so a buyer with six tickets reads one clear message and not six copies. The email arrives with Location Updated: and your event name as its subject, or Location Disclosed: while the venue is still hidden.

Announcing sends the email and saves the location information. Whether new buyers see the venue on your event page is still up to the hide switch and the disclosure date, so you can tell your ticket holders first and show the public later. If the date moves as well as the venue, postpone or reschedule the event and every ticket holder hears about the new plan.

  • Announce Location: an update to every ticket holder and RSVP
  • One email per address: no repeats for buyers with several tickets
  • You confirm first: read the email before anybody gets it

Keep the Emails You Send Every Event as Templates

The doors email, the thank-you, the invitation and the gift certificate message go out for every event, and drafting each one again takes time your team does not have. Save the wording once as a template, and anyone on your team starts the next message from it with your words already in place.

Templates hold the words for emails, for texts and for the email a buyer gets with each gift certificate. The look of an email comes from your brand's email design, so one template works with any design. Ready-made templates from Ticket Fairy cover the moments every event has, from the line-up announcement to the thank-you, and you save a copy of any of them to make it your own.

Each template is for every event on your brand, or only for the event it belongs to. Your house templates are ready for every event you add, and a template for one festival stays with that festival.

  • Use this: a new message starts from your words
  • Save as template: keep the wording of a message you drafted
  • Every event or one event: house templates or one festival's own

Send Invitations, Application Answers and Gift Certificates in Your Voice

Use your templates wherever you choose the wording: the approved and declined emails on an application form, the message that goes with a partner's ticket allocation, the gift certificate email a buyer forwards and the emails you send ticket holders. Each person hears from you in the same voice.

Duplicate a template to start the second and third message in a set, and preview any template to see the email as it will arrive. Switch off a template your team no longer uses and its wording waits under Switched off until next year's edition, when Switch on brings it back.

Already have an email design made elsewhere? Upload your own HTML as a zip file and send messages from it in the plain editor. When a teammate saves the same template while you have it open, your changes stay on the page and you choose whose version to keep.

  • Invitations and allocations: the message with a partner's tickets
  • Application answers: approved and declined emails on a form
  • Gift certificate email: the code and its link filled in for each buyer
  • Switch off and on: last year's wording kept for next year

Ask Fai to Draft the Words and Announce the Venue

Ask Fai, the assistant inside your dashboard, to draft your confirmation text from what she knows about your event, and read it before you save it. When the venue changes, tell Fai the new directions and she shows you the event and the location text, then emails every ticket holder and RSVP once you approve.

Fai also looks after your templates with you. She lists them, saves a message as a template, changes or copies one, and switches one off or on, showing you the template and asking you to approve before she saves, copies or switches anything.

  • Drafted by Fai: door times, rules and travel in plain words
  • Venue updates: announced once you approve
  • You approve first: nothing is sent or saved until you say so

How Organisers Use Confirmation and Venue Emails

  • A Warehouse Party at a Secret Location

The promoter hides the venue and sets the disclosure date for midday on the day of the party. Every ticket holder gets the address and the entrance to use at midday, and the event page shows the venue to late buyers from then on.

  • A Club Night With an Age Limit

The club adds the age limit, the ID it accepts and the last entry time to the confirmation email. Buyers arrive with the right ID, and the questions about entry that used to fill the inbox on a Friday stop arriving.

  • A Festival That Moves Its Entrance

Two days before gates open, the festival moves its main entrance for road works. The team enters the new directions, selects Announce Location and every ticket holder and RSVP has the new entrance that afternoon.

  • A Conference With Its Own Support Inbox

The organiser enters the registration team's address as the Reply-to address. Delegates who reply about dietary needs or name changes reach the people who can help, and the team answers from the inbox it already uses.

  • An Agency With House Templates

The agency saves its invitation, its application answers and its gift certificate email on the brand for every event. A new account manager sends the agency's wording on their first week, without drafting anything from scratch.

Questions About Confirmation Emails and Venue Announcements

Confirmations & venue

You need an owner or admin role on the event. To announce a location, the event also needs a saved venue.

No. The text goes on the confirmation for the whole event, so keep it to what is true for everybody who bought.

To the usual sender address, not to your team. Enter an address whenever you want a person to see what buyers send back. To take your text off again, select Clear on the card, and emails already sent keep their words.

It stays unavailable while Venue Details has unsaved changes. Select Save at the foot of the page, then select Announce Location again.

No. The email cannot be recalled, so check the location text, the venue visibility and who it goes to before you confirm.
