## Start Any Message in Seconds

Every new email or text starts the way that suits the job: a blank message, one of your templates or a ready-made one, or an email Fai designs for you. Tell Fai what the email is about and she designs it in your brand style, with your event and a ticket button, ready for you to change.

Messages lists every email and text your team has drafted, scheduled or sent, with its status, who it went to and how it did. Filter by Drafts, Scheduled, Sent or Not sent, by email or text, or by event, and search by name or subject.

In the week of a show you only care about one event. Messaging opened from that event shows only its messages, its automatic messages and its templates, and every new email or text you start there is already about that event.

## Choose Who Gets It in Plain Words

Pick the group by the words you would use yourself: Everyone with a ticket, People with certain ticket types, People with certain add-ons, People who came, Ticket holders who didn't come or Fans who haven't bought for this event yet. The count under the list says about how many people are in the group right now.

Reach the people on your [waiting list](https://www.ticketfairy.com/event-ticketing/event-waiting-list), the people who pre-registered, buyers who started checkout but did not finish, people who were refunded, your promoters, or your event or brand team. Paste a list of specific email addresses and the message goes to the ones that match ticket holders of the event.

Every message is one of two kinds. Event information is what ticket holders need to know about an event they are going to, such as times, changes and reminders, and it can go to anyone with a ticket. Marketing is announcements and offers, and it goes only to people who agreed to hear from you, with an unsubscribe link on every marketing email.

## Build Emails That Look Like Your Brand

Build each email from blocks such as a Heading, Text, an Event card and a Button, and change the words in place. Your logo, colours, fonts and footer come from your brand's email design, so every email looks like it came from you, whoever on your team sends it. Add personal details such as each person's First name and the Event link.

Classic, Bold, Minimal and Newsletter are ready-made designs that already use your logo, colours and fonts from Brand Guidelines. Use one as it is, or copy it and arrange an Image, Social links and a Footer around the message area, with Email style for the colours, the font and the email width.

Make one design your default and every new email starts in that look. For a festival announcement, Change design gives that one email a different look. Save a change to a design and every email that uses it and has not gone out yet takes the new look, including scheduled and automatic messages, while emails already sent keep the look they went out with.

## Reach Fans by Text When It Matters Most

Fans open a text faster than an email, so a presale alert or a last call brings them back to your event page while tickets are on sale. Event information texts, such as an event-day reminder or a change of doors time, go to anyone with a ticket from Ticket Fairy's number at no cost to you.

Marketing texts go from your brand's own text number, under the business name your fans know you by, to the ticket holders who agreed to texts. Request the number in Messaging settings with the monthly charge and the price per text part in front of you, and we set it up and register it with the phone carriers for you. Give the number up whenever you no longer need it and the monthly charge stops.

The editor counts the characters and text parts as you type, and names any character, such as an emoji or a curly quote, that makes each part hold less. Before you send and the Send now dialog show the estimated cost for the group before anything goes.

## Keep Your Fans Happy to Hear From You

A text at midnight or a fourth offer in one week is how fans unsubscribe. Set quiet hours and a marketing text due inside them waits and goes out when they end, in each event's own time zone, so fans at a show abroad are not woken by a text sent from home.

Enter how many marketing messages a week your fans should get. Before you send warns your team when the same fans have already had that many in the last seven days, and you decide whether to send. Quiet hours, the weekly limit and whether Fai suggests messages are set once for the brand, so every event follows them from its first message.

## Check, Test and Send at the Moment That Counts

Before you send reads your saved message and lists what to change. An item under Must fix stops the send, such as a group with nobody in it or a missing subject line, and an item under Check this is worth a look, such as quiet hours or a long subject line.

Send yourself a test, or send one to the people on your brand or event team who should check it. Each person gets the test with their own name and details filled in, and a test never reaches your buyers or fans.

Before anything goes, the Send now dialog names the message, the group, about how many people it goes to and any cost. Schedule for later sends it at the date and time you choose, and the dialog names the event's time zone when it differs from yours. Large groups go out in batches over a few minutes.

## See What Every Message Achieved

Open a sent message and Results shows how many people it was sent to, delivered to and opened by, with the open rate. History shows who saved, scheduled and sent it, and when, so when a buyer says nobody told them, you can see what went out and to whom.

Duplicate any message and a copy opens as a new draft with the same event, group and wording, ready for the next event or a second send. A message that could not go out shows as Not sent with the reason at the top, and Edit and try again turns it back into a draft to fix.

Two of you can work on the same message. The editor shows who last edited it and when, and if a teammate saves while you are editing, your changes stay on the page and you choose Load their version or Save mine instead. Emails sent from the previous Messaging page are listed too, with their results.

## Draft and Send With Fai Beside You

Tell Fai what the message is about in the panel under it, and she drafts the email or the text, with subject line ideas. Ask for it Shorter, Friendlier, More urgent or Clearer, or tell Fai what to change, and nothing changes in your message until you choose Use this.

## How Organisers Use Emails and Texts

- ### A Festival Announcing Its Line-Up

  The festival sends a marketing email in its house design to Fans who haven't bought for this event yet, with the line-up in an Event card and a ticket button. Results the next morning show how many fans opened it, and the team duplicates it for the second wave of names.
- ### A Club Night With a Last Call

  On Friday afternoon the club texts the ticket holders who agreed to texts that the final release is nearly gone, from its own number. The editor shows the text parts and the cost before the promoter sends it.
- ### A Venue Moving Its Doors Time

  The venue drafts an event information email to Everyone with a ticket about a later doors time, sends a test to the duty manager and schedules it for nine on the morning of the show.
- ### A Conference Changing a Workshop Room

  The organiser emails only People with certain ticket types, the workshop pass holders, about the new room. Delegates on other passes hear nothing that does not apply to them.
- ### A Promoter Group With Several Brands

### Emails & texts

#### Who can send emails and texts from Messaging?

You need an owner, admin or marketing team role on the brand, and your brand needs to be verified. You can draft without it, but your own account needs to have passed identity verification before anything goes out.

#### Who can I send marketing texts to?

Only ticket holders who agreed to texts, and only from your brand's own text number. Event information texts go to anyone with a ticket from Ticket Fairy's number at no cost.

#### What does a marketing text cost?

Your brand pays the monthly charge for the number and the price per text part shown in Settings for every part sent. A text part holds 160 characters, or 70 when the text has an emoji or a curly quote.

#### Which countries can I get a text number in?

The United States, Canada, the United Kingdom, Ireland, Australia and New Zealand. In the United States and Canada the phone carriers approve a new business number before it sends marketing texts, and Text messages says when they have approved yours.

#### How do quiet hours and the weekly limit work?

Quiet hours hold marketing texts only, and start at 20:00 and end at 09:00 until you change them. The weekly limit is any number from 1 to 21 and starts at 3. It shows a warning and never stops a send.

#### Does a marketing email need an unsubscribe link?

Yes. The ready-made designs carry one in their footer, and Ticket Fairy adds one at the bottom of any marketing email that does not already have one.

#### How long after an event can I message its ticket holders?

Messages about an event can go out until 15 days after it ends.

#### How many people can I send a test to?

Up to 20 people on your brand or event team at a time. A test text skips anyone with no mobile number on their account.

#### Can I email a list of specific people?

Yes. Choose the event, then Specific email addresses, and enter up to 500 addresses. The email goes to the addresses that match ticket holders of that event, and Before you send names any address with no ticket.

#### Can I change a scheduled message?

Select Cancel schedule and the message goes back to your drafts. Change it, then schedule it again. A sent message cannot be taken back.
