Spellbook

# Get the board or tracker your team is missing

Fai, your AI teammate, builds it with your own Ticket Fairy data. She adds it to a page your team already uses, or makes a new app when nothing fits.

[Get started free](https://manage.ticketfairy.com/registration) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo) ![Ticket Fairy Spellbook with Fai's conversation beside the Riders board she built from a festival's own artist advances](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--studio.png)

- The view your team asks for, built by Fai
- Your own events and data from the first preview
- Every change tried in practice before your team sees it

- **25,000+** events powered
- **10M+** tickets issued
- **10+** countries
- **20%** more tickets from referral rewards

## Add a new view to the pages your team already uses

You can ask Fai for the view your team is missing, and she adds it as a tab to the event page where that work already happens.

Fai checks what Ticket Fairy already does before she builds anything. When you ask for a riders board, she adds a Riders board tab to Artists with every act in its Advancing status, how many parts of each act's advance are confirmed, each act's set time and who looks after them. Nothing is copied, so the board always matches Advancing. A deliverables board in Sponsors or a requests board in Press works the same way.

- **Tabs in your pages**: in Artists, Advancing, Sponsors, Press and your other event pages
- **Nothing copied**: no second list to keep up to date
- **Details side by side**: an owner, a set time or a room count beside each act

![Ticket Fairy Riders board tab in Artists with each act under Not started, In progress, Ready to sign off or Signed off, its confirmed parts, set time and who looks after it](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--riders-board.png)

## Answer a few quick questions and watch it take shape

Fai asks a few quick questions built from your own events, such as what each card should show and when an act counts as done, and you answer with one tap or in your own words.

As you answer, you watch the spell take shape beside the conversation. When Fai knows enough, she tells you what Ticket Fairy already has and what the spell adds, and she makes it only when you say so. If you would rather skip the questions, Fai makes it with sensible choices and tells you which ones she made.

- **One-tap answers**: built from your own events, acts and team
- **Answers in your own words**: enter any answer the choices miss
- **Taking shape as you answer**: the spell builds up beside the conversation
- **Skip the questions**: Fai makes it with sensible choices

## Build a new app for work that has no page yet

Fai can build a new app for work that has no page in Ticket Fairy yet, such as ideas for next year, press requests or the nightly box office cash-up.

An app can have its own lists with statuses, such as requested, agreed and done, with who can change each status and what must be filled in first. It can have pages of figures, charts, tables and boards, buttons and forms for the jobs your team does every day, and skills that teach Fai how your team works with it. Every entry keeps its history, so you can see who changed what and when its status changed. You can also start from a ready-made spell, such as event debrief actions, and a spell can come with sample entries that you remove in one step.

- **Lists with statuses**: with who can change each status
- **Pages over your data**: figures, charts, tables and boards
- **Buttons and forms**: for the jobs your team does every day
- **Ready-made spells**: a riders board, ideas for next year and event debrief actions

![Ticket Fairy Spellbook page asking what spell Fai should make, with the team's spells, such as Artist riders and Sponsor deliverables, and ready-made spells to start from](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--home.png)

## Try every change in practice before your team sees it

Every change happens in Practice, where you and anyone else who can change the spell try things out and buttons don't send anything, and your team keeps using the Live spell until you share your changes.

There is nothing to set up or connect: you see your spell with your own events and data as Fai works. With Point to change on, you can point at any part of the preview and tell Fai what should change, and she changes only that part. Fai checks every page with your data before she tells you it is ready. Undo, or Ctrl or ⌘ + Z, takes back your last request to Fai, and History keeps every change with who made it, so you never lose work.

- **Practice**: where the people who can change the spell try it out, and buttons send nothing
- **Live**: what your team uses until you share
- **Point to change**: point at a part and say what should change
- **Undo and History**: one click back, with every version kept

![Ticket Fairy Spellbook History beside the Riders board preview, with each version, who made it and a way back to it](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--history.png)

## Share each spell when it is ready

Only you see a spell until you share it. When you share it, Ticket Fairy lists exactly what your team gets, such as a Riders board tab in Artists, and you choose whether everyone on your team sees it or only you.

Each person sees only what their role already lets them see in Ticket Fairy. Buttons follow the same rules as the dashboard pages they come from, and a change that needs approval shows exactly what it will do and waits for you to confirm. Sharing a spell and every change to its live entries show in your activity log, and changes in Practice stay in the spell's own history.

- **Private until shared**: only you see it until you share it
- **What your team gets**: listed before you share
- **Team roles**: each person sees only what they can already see
- **Same approvals as your dashboard**: a change that needs approval shows what will happen first

![Ticket Fairy Share this spell with your team dialog listing a Riders board tab in Artists, with Everyone on your team or Only you](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--share.png)

## Let your spells do the follow-up work

A spell can do the follow-up work for your team by itself. You tell Fai what should happen and when, such as asking your production manager to approve a rider as soon as it moves to Approved and reminding them two days later if it is still waiting.

An automation can start when an entry is added, changed or moves to a new status, at a set time every hour, day, week or month, or when someone presses a button. Its steps can ask chosen teammates to approve, tell your team in the dashboard, on their phones and by email, update the spell's own lists, run Ticket Fairy actions you could run yourself, have Fai look things up or draft text, and wait before checking again. You test each automation first and see exactly what it will do without asking before you turn it on. From then on it runs as you until someone turns it off, and every run is kept step by step.

- **When something changes**: an entry is added, changed or moves to a new status
- **On a schedule**: every hour, day, week or month, at the time you choose
- **Approval first**: a teammate approves before anything that moves money or cannot be undone
- **Test, then turn on**: see what every step would do before it runs by itself

## Everything a spell can do for your team

- ### Requests in your own words

You tell Fai what you need the way you would tell a new colleague, such as "track our artist riders from requested to agreed".
- ### A plan before Fai builds

Before she makes anything, Fai tells you what Ticket Fairy already has and what the spell adds, and you choose with one tap to make it or change something.
- ### Tabs in your event pages

A spell can add tabs to Artists, Advancing, Sponsors, Press, Tasks, Accommodation and the other [Event Operating System](https://www.ticketfairy.com/event-operating-system) pages of your events, for everyone you share it with.
- ### One event or every event

A spell can work across your brand or belong to one event, and a tab shows the data of the event you open it in.
- ### Statuses with rules

You can let only the roles you choose change each status, and say what must be filled in first.
- ### History on every entry

Each entry keeps who added it, every change with its old and new values and every status change, and a deleted entry can come back.

- ### Skills for Fai

A spell can carry skills that teach Fai how your team uses it, and she follows them when you ask her for help with that spell.
- ### A live page in the conversation

When you ask Fai to show you something, such as tonight's sales, she shows a live page in the conversation that you can keep as a spell.
- ### The look of your dashboard

Spells use the same parts as the rest of your dashboard, so your team already knows how to use them, and a white-label partner's spells carry its own branding.
- ### Archive and bring back

You can archive a spell your team no longer needs and bring it back later with its versions and entries.
- ### Teamwork without lost changes

When a teammate changes a spell or moves an entry a moment before you, you see their change and nothing is overwritten.
- ### Spells on your phone

Spell tabs show on your event pages in the Ticket Fairy Promoter app, so your team has the riders board with them on show day.
- ### Sample entries to start

A spell can start with sample entries so you can see how it works, and you remove them all in one step when your own arrive.
- ### More that Fai does

Fai can also answer questions about your sales, set up your events and prepare your emails.

  [Learn more](https://www.ticketfairy.com/features/fai)
- ### Approvals on your phone

When an automation needs your approval, the request reaches you in Spellbook, by email and on your phone, and you can approve or decline it from any of them, even for a spell you cannot open.
- ### Every run kept

Each run shows what started it, every step, who approved and how long it waited, and a run that needs a person says so in plain words and waits.
- ### Spells other organizers share

Add a ready-made spell from the Grand Spellbook after you see everything it adds to your brand, take its author's improvements when you choose, and share your own after a Ticket Fairy review.
- ### Custom fields on artists and tasks

Add the details your team tracks, such as a rider status or hotel nights, as [custom fields](https://www.ticketfairy.com/features/checkout/checkout-questions-and-attendee-details) on artists, sponsors, suppliers, volunteers and tasks, with every earlier value kept. A spell or Fai can add them for you.
- ### Pages for people outside your team

Let artists, suppliers, volunteers or ticket buyers fill in a form, or see and change their own entries after they confirm their email, on a public page from your spell. What they send arrives in your lists, and you can take the page down at any time.
- ### Spells checked every day

Ticket Fairy checks every shared spell each day. If one stops working, the people who can change it get one message in the dashboard and one email, with the problem in plain words and Fix with Fai to put it right.
- ### Spells stay with your team

You can give a spell to a teammate. When someone leaves, your owners and admins can take over their spells, and their automations pause until a teammate turns them on as themselves.
- ### Spreadsheets into spells

Give Fai a CSV or Excel file and she proposes the lists and fields, shows you every entry before anything is added, and tells you where Ticket Fairy already keeps something.
- ### Lists out as spreadsheets

Any list downloads as a spreadsheet that opens in Excel, with your filters, and every download is recorded.
- ### Ready for your next event

Copy a spell to your next event with the lists you choose, such as your suppliers and contacts, and duplicating an event brings its spells along.

## Artists, Crew and Show Day, Beside Your Ticket Sales

You can plan, staff and run the production side of your event, from artists and crew to accreditation and show day.

- ### [Get every artist advance back complete and on time](https://www.ticketfairy.com/event-operating-system/artists-and-line-up)

You advance each act within its allowances, catch running-order clashes early and publish a line-up fans can add to their calendar.
- ### [Give your team more time for the show](https://www.ticketfairy.com/event-operating-system/fai-and-automation)

Fai can take admin across your event off your hands: she reads the paperwork that comes in and suggests your next job each hour. Your terminal or your own AI assistant can use the same tools.

## Questions About Spellbook

### Spellbook

#### Does Spellbook cost extra?

No. Spellbook is on every plan. When Fai builds or changes a spell, she uses your plan's Fai usage, and Free includes limited usage. Opening a spell, working through its lists and using its buttons never use it, apart from custom code, which Fai adds only when a spell needs it and which uses a little each time it works something out.

#### Who can see a spell I make?

Only you, until you share it. When you share it, everyone on your team can open it, and each person sees only the data their role already lets them see. You can also ask Fai to limit who opens a spell, who changes its entries and who uses its buttons to the roles you name. Ticket Fairy support can open a spell when they help you with it.

#### Who can change a spell after I share it?

You and your brand's owners and admins, plus any role you ask Fai to add. Your team keeps using the Live spell until you share your next changes.

#### Do buttons send anything while I try out a spell?

No. In Practice, buttons don't send anything and nothing changes for your team. Your team sees your changes once you share them.

#### What happens if a teammate changes the same spell at the same time?

Neither change is lost. If a teammate changed the spell a moment before you, you see their change and can make yours again. If two people move the same entry, the first move counts and the other person sees where it is now.

#### Can a spell change my events or orders?

Only through a button in the spell or an automation you turn on, and only in ways your role already allows, with the same checks as the dashboard page the action comes from. When a change needs approval, the button shows exactly what it will do and waits for you to confirm. Before you turn an automation on, you see everything it will do without asking. Opening a page in a spell never changes anything.

#### Does Fai copy my Ticket Fairy data into a spell?

No. A tab such as a Riders board in Artists reads your Ticket Fairy data each time it opens, so it always matches. Only the entries in a spell's own lists are kept in the spell, and they stay in your Ticket Fairy account with the rest of your data.

#### Which pages can a spell add a tab to?

The Event Operating System pages of each event, such as Artists, Advancing, Sponsors, Press, Tasks, Accommodation and Shifts. One spell can add up to 10 tabs, and your team sees them once you share the spell.

#### Can my team use spells on their phones?

Yes. Spell tabs show on your event pages in the Ticket Fairy Promoter app for everyone you share the spell with.

#### Can I make a spell without describing it to Fai?

Yes. You can start from a ready-made spell, such as a riders board in Artists, ideas for next year or event debrief actions, and use it as it is or ask Fai to change it.

#### What does Fai leave out of a spell?

Fai does not copy into a spell something Ticket Fairy already tracks, such as artists, riders, rooms, sponsors or tasks. She shows it from the page where it already is, so nobody has to update the same thing twice.

#### Can an automation message my buyers?

An automation's own messages go to your team, in the dashboard, on their phones and by email. For emails and texts to your buyers, Fai can set up automatic messages for you.

#### Who can turn an automation on, and who does it act as?

Anyone who can change the spell can turn its automations on and off. Before it turns on, you see exactly what it will do without asking, and from then on it acts as you, with your permissions, until someone turns it off. If you can no longer make its changes, it pauses and tells the people who can change the spell.

#### Can an automation move money without asking?

No. A step that moves money or cannot be undone always waits for a teammate to approve it first.

#### How many automations can a spell have?

Up to 30, each with up to 25 steps. An automation pauses if it runs more than 200 times in a day, and when you share a change to it, it pauses until someone turns it on again.

#### Do automations use my Fai usage?

Only the steps where Fai looks something up or drafts text, the same as a conversation with her. Every other step uses none, and if your usage runs out, the run waits until you top up.

#### Can I use spells other organizers made?

Yes. In the Grand Spellbook you add your own copy of a spell another organizer shared, after you see everything it adds, reads and changes in your brand, and its automations arrive switched off. Your brand's owners and admins can share your own spells there too. Ticket Fairy checks every spell before other organizers can find it, and only the spell travels: never your team's entries, people or events.

#### Can I add my own fields to artists, sponsors and tasks?

Yes. Your brand's owners, admins and producers add custom fields to artists, sponsors, suppliers, volunteers and tasks on the Custom fields page or on a record's own page, and fill them in where the team already works. Every earlier value is kept, and a spell or Fai can add fields too. Custom fields come with Event Management, and each kind of record takes up to 30 fields for your brand and 30 for each event.

#### Can people outside my team use a spell?

Yes, through a public page. You make a page of your spell public, such as a volunteer sign-up or an artist's rider form, and send its link. A page can also let each person confirm their email with a code and then see and change only their own entries. What they send arrives as entries in your lists, the page keeps one link, and a public page never asks for a password, a card number or a sign-in code. Every page has a Report this page link, and Ticket Fairy can take down a page that breaks the rules.

#### What happens to spells when someone leaves the team?

Their spells stay as they are, and a spell only they saw stays private. Your brand's owners and admins see the spells they left and can take any of them over. Their automations pause before the next run, so nothing runs as someone who left, and anyone who can change the spell can turn an automation on again as themselves.

#### Can I bring my spreadsheets into a spell?

Yes. Give Fai a CSV or Excel file of up to 20 sheets and 20,000 rows a sheet, and she proposes the lists and fields and shows you every entry and anything left out before she adds them. Each entry remembers which file and row it came from, and any list downloads as a spreadsheet again whenever you want it.
