# Issue reusable event passes to crew and artists

Without a pass that works more than once, your crew, artists and contractors need a fresh ticket for every trip through the gate. If you manage festival production or a venue, you issue named multi-entry passes instead, with a use limit you set for each pass type. Your door team scans them in the same app as tickets.

Durée:  6 minutes

- [Open Multi-Entry Passes](#step-1)
- [Create a pass type](#step-2)
- [Set the maximum uses per event](#step-3)
- [Add the people who get a pass](#step-4)
- [Send the passes](#step-5)
- [Crew passes at the door](#step-6)

## Avant de commencer

- You are an owner, an admin or a curator on the brand. Ticket Fairy support turns passes on for a brand, so ask Ticket Fairy support if **Multi-Entry Passes** is not in your menu.
- Your door team scans with the Ticket Fairy app. The same scanner accepts passes and tickets, so your team scans both without switching anything over.

1. ## Open Multi-Entry Passes

   Go to your brand and select **Multi-Entry Passes**. A pass made here works at every event that brand runs.

   **Remarque:** An event can have its own passes too, under **Interact** when you have that event open, and those work at that one event only. Start at the brand for crew members who work across several events.
2. ## Create a pass type

   Select **Create new entry pass type**, then enter a name, such as Crew, Artist or Production, and any details such as the role, access area or shift in **Description (optional)**.

   **Remarque:** A name can contain up to 100 characters. **Type** offers **Member** and **Season**, and the choice does not change where the pass works.

3. ## Set the maximum uses per event

   Set **Maximum number of uses per event**. The limit covers the whole event, not each day.

   **Remarque:** A crew member who enters six times and leaves six times needs at least 12 uses, and a higher figure leaves room for an extra trip through the gate. Set a number on every type you create.
4. ## Add the people who get a pass

   Under **Create New Pass**, pick the **Type** and add the person under **Enter Recipient** by first name, last name and email.

   **Remarque:** For a whole crew, switch to **Upload Recipients** and select **Add from CSV**: the CSV takes first name, last name and email address, in that order, with no header row. Every row needs all three, and the rows appear in the dashboard so you can correct one before you send.
   **Conseil:** Enter who approved the access in **Notes (optional)**. The note goes on every pass you create from this form, and the pass list shows it beside the holder.

5. ## Send the passes

   Select **Send** or **Send All**, then confirm.

   - **Send**: Emails that pass to its named recipient.
   - **Send All**: Emails every pass in the list.
   **Conseil:** Use **Send** again if a crew member asks for another copy. Sending again sends the same code, so a crew member who lost the email receives the same pass again rather than a second one to keep track of.

## Crew passes at the door

Your door team scans a pass in the same app they use for tickets and checks the result. A pass shows the name of the person it belongs to and its type, the same way a ticket shows its ticket type. Give each entrance the list of pass types its team should accept, and tell them what to do when a pass is refused.

**Remarque:** Set the event check-in window to cover every time the pass should work, including load-in and breakdown where needed. Give public ticket types their own door times when staff access starts earlier than buyer admission.

## Ou faites-le faire pour vous

Fai, votre coéquipière IA, peut vérifier les ventes, mettre à jour votre événement ou modifier un billet à votre demande.

Fai can create the pass types, issue the passes and send them out. She asks you to approve each action first. You can also manage the passes in the dashboard. Review every recipient before sending, because you can't recall an email once it's sent.

```
Create a Crew Member pass type for this brand with twelve entries per event, issue one to every person in the list I paste next, and show me the names before sending anything
```

## Update a pass

Select **Edit** under **Existing Passes**, change the name, email address, pass type, number of uses or notes, then save.

**Remarque:** The pass keeps the same QR code. Use Edit only when the pass still belongs to the same person.

Fai can find the pass and update its holder, type, uses or notes after showing you the current details. MCP and the CLI do not manage entry passes.

```
Find the entry pass for <PERSON> on <EVENT OR BRAND>, show me its type, email address, uses and notes, then ask what I want to change
```

## Remove a pass

Choose the delete button for the pass, check the person named in the confirmation, then confirm the removal.

**Remarque:** The pass stops working at the gate and its scan history remains available. Issue a new pass when access moves to another person.

Fai can show the pass holder, type and remaining uses, then remove it after you approve the change. MCP and the CLI do not manage entry passes.

## Questions que vous pourriez avoir

**Does a pass take a ticket out of my allocation?**

 No. Passes do not reduce ticket stock or appear in ticket orders.

**What is the difference between Member and Season?**

 They are labels only. Where a pass works depends on where you made it: a brand pass works at every event that brand runs, an event pass at that one event.

**Can I upload a crew list rather than adding people one at a time?**

 Yes. **Upload Recipients** takes a CSV of first name, last name and email address with no header row, and issues a pass to each row.

**Does my door team need a second app for passes?**

 No. The same app scans tickets and passes and identifies each from its code.

**Can one person have more than one pass?**

 Yes. Each pass has its own QR code and use limit, so a crew member working two roles can have a separate pass for each role.

**Can I give one person more entries than the rest of their type?**

 Yes. **Maximum number of uses per event** appears again on the pass itself, and the number on the pass is the one counted for that pass, whatever the type says.

**Why was a pass refused at the gate?**

 The scanner refuses a pass outside the event's check-in window, for the wrong brand or event, after its use limit, or when its type has been removed. Removing a type stops every pass under it, however many uses each one had left, and the changes can take a few moments to reach the door app. Reissue those people on a type you are keeping before you remove the old one.
