# Let exhibitors follow up their event leads and see their results

After an expo or a conference, exhibitors want their leads in their own hands the same day, and a thank-you email to every good conversation while the visit is fresh. Their own page gives each exhibitor its leads, follow-ups ready to check and send, and the numbers that show what the booth was worth.

Give each exhibitor a page of its own, with no sign-in, where its team sees the leads from its booth at your event, approves follow-up emails that Fai drafts, gives booth staff scanner links, downloads its leads and sees its results. You make the page from the exhibitor's leads and send the link from Outside teams.

## Avant de commencer

- You need an owner, admin or producer role on the event.
- The exhibitor is in the event's Exhibitors section, with a contact email so visitors' replies to a follow-up reach them.

1. ## Open the exhibitor's leads

   Open the event, select **Operations**, select **Exhibitors**, select **Leads**, then select **Open** beside the exhibitor.

   **Remarque:** The same panel holds the exhibitor's leads, results and booth staff, as in the guide to the lead scanner.
2. ## Make their team page

   Select **Make their team page**. The exhibitor is added to your outside teams, and Outside teams opens on it.

   **Remarque:** If the exhibitor already has an outside team, the button names it instead. Choose a different team for it under **Outside team page** in **Lead setup**.
3. ## Email the exhibitor their page link

   In the team's panel in Outside teams, select **Email the link** under **Page link**, then confirm.

   **Remarque:** The contact opens the page with no sign-in. It shows **Still needed from you** until they add their booth staff, give them scanner links and check the follow-ups Fai drafted.

## The exhibitor's page

The page shows the booth's **Leads**, **Follow-ups**, **Booth staff**, **Results** and **Ratings**. The exhibitor adds its own booth staff and scanner links, changes its rating words and selects **Download leads**.

**Remarque:** Email and phone show only for visitors who can be contacted. Every time the list is opened or downloaded, it is recorded.

## Follow-up emails the exhibitor approves

On **Follow-ups**, the exhibitor selects **Draft follow-ups for everyone you can contact**, and Fai drafts one email for each visitor from the rating and notes. The exhibitor reads each one, selects **Change** to edit it, then **Approve and send**.

**Remarque:** Nothing is sent before the exhibitor approves it, and each visitor gets one follow-up at most. The email comes from your event with replies going to the exhibitor, and it carries a link the visitor can use to stop the exhibitor's emails.

## A follow-up to check

The exhibitor changes the **Subject** and the **Email** in plain text. Your event's details, why the visitor got the email and the link to stop the emails are added below it.

4. ## Check that follow-ups went out

   Back in the exhibitor's panel, select **Results**. **Follow-ups sent** counts the emails the exhibitor sent.

## Show a sponsor its results

1. ### Ask Fai to set up the sponsor's page

   Ask Fai to give the sponsor its page, with its outside team and its tracking link. The sponsor's outside team page then shows what you are delivering for them and the clicks and sales through their link.

   **Remarque:** Sales show in each currency on its own. Send the page link from Outside teams, as for an exhibitor.

Fai links a sponsor to its outside team and chooses its tracking link after you confirm.

Give the sponsor \<SPONSOR NAME\> at \<EVENT NAME\> its own page with the \<TRACKING LINK NAME\> tracking link

## Questions que vous pourriez avoir

Why can the exhibitor not send follow-ups?:  Their page says visitors cannot reply to them yet. Add a contact email to the exhibitor in Exhibitors, or to its outside team, and the follow-ups can go.

How many follow-ups can Fai draft?:  Up to 50 at a time and 200 a day for each exhibitor, only for visitors who can be contacted. A visitor who already has a follow-up does not get another.

What if a follow-up could not be sent?:  It shows **Not sent**, and the exhibitor selects **Send again**. A follow-up is never sent twice.

Can the exhibitor see the email address of a visitor who said no?:  No. When a visitor says at the booth that they do not want to be contacted, or stops the exhibitor's emails with the link, their email address and phone number disappear from the exhibitor's leads and download.

Can I read an exhibitor's follow-ups?:  The exhibitor's panel shows how many were sent in **Results**. The drafts and emails belong to the exhibitor and are on its own page.
