# How does event accreditation fit with your ticketing and CRM?

What accreditation has to do for staff, crew and press, and why keeping it beside your ticket sales rather than beside a second system is the whole job.

Accreditation is four jobs: decide who gets in, issue each of them something that proves it, control how often and how long it works, and be able to say afterwards who was inside. The integration question is what it costs to do those four beside a ticketing system that knows nothing about them.

Run accreditation in a system of its own and the cost is two lists that have to agree: names entered twice, a second app on the gate, and a reconciliation at the end of the night. Here the passes sit on the same event as the tickets, every scan is recorded against that event, and the same scanner reads a pass and a ticket. You keep one list of who gets in, run one app on the gate, and export nothing between two systems at the end of the night.

## What you need before you start

- You're an owner or an admin on the event or the brand.
- **Multi-Entry Passes** is in your menu. It appears once passes are turned on for your brand or your event -- ask us if you cannot see it.

1. ## List the groups you accredit

   Staff, crew, production, security, press, partners, contractors. Each group is one pass type, and the list is usually shorter than the one you have been keeping in a spreadsheet.
2. ## Create a pass type for each group

   On **Multi-Entry Passes**, select **Manage types**, then **Create Pass Type**. The name is what your gate staff will read on the night, so use the word they use.
3. ## Decide how often each group may enter

   Set **Maximum number of uses per event** per type. Contractors in for one delivery and press in for one set need a cap; crew working the whole build do not.
4. ## Issue accreditation from the list you already hold

   Take the list each department sends you and add it under **Upload Recipients** as a CSV of first name, last name and email address with no header row. Record who approved it in **Notes**.
5. ## Brief the gates that will see passes

   Tell the staff entrance what a valid pass looks like on the scanner and what to do with a refusal. The app takes both kinds of code, so the difference is in what your team expects rather than in the setup.

   A pass is checked against the event, brand or venue it was issued for and against its own limit, not against which entrance it was presented at.

## Questions you might have

Do we have to run accreditation and ticketing as two systems?:  No. Passes are issued from the same event as the tickets and scanned by the same app, so there is one list of who may enter and one record of who did. That removes the export, the second app and the reconciliation.

Is an accredited person the same record as a ticket buyer?:  Not on its own: you issue a pass to a name and an email, and that doesn't create or find a customer record. So somebody who works an event and later buys a ticket shows up twice, once as a pass holder and once as a customer. Tell us if you need the two joined for a season.

Can accreditation run across a whole season?:  Yes. A pass can be held at brand or venue level rather than on one event, which is what a season crew pass needs, and the **Season** type is the one to use for it.

Can we limit which entrance an accredited person uses?:  Not on the pass itself. A pass carries no zone or entrance list: it is checked against the event, brand or venue it was issued for and against how many times it may be used. Which door somebody goes to stays a matter of who you gave which pass to.

What record is there of who came in?:  Every scan records what was scanned, when, and who scanned it, and each pass carries the name it was issued to and any note about who approved it.
