# Add an event spell from the Grand Spellbook, or share yours with other event teams

Another festival or venue team has probably built the riders tracker, sponsor board or debrief list your event needs. The Grand Spellbook is where event teams share those spells, so you can add your own copy in a minute and change it however you like.

Takes:  8 minutes

- [Open the Grand Spellbook](#step-1)
- [Find a spell](#step-2)
- [Open the spell](#step-3)
- [The spell and its sample entries](#step-4)
- [Select Add to my brand](#step-5)
- [Choose the event](#step-6)
- [Choose whether to take the author's updates](#step-7)
- [Add your copy](#step-8)

## Before you start

- Anyone on your brand's team who can open Spellbook can add a spell from the Grand Spellbook. Your copy is yours to change, and only you see it until you share it with your team.
- Sharing your own spell in the Grand Spellbook needs you to be one of your brand's owners or admins and able to change the spell, and the spell must be live: shared from the studio at least once.

1. ## Open the Grand Spellbook

   In Spellbook, select **Grand Spellbook** at the top of the page.

   **Note:** If the page says "The Grand Spellbook isn't available for your brand yet.", your brand can't use it yet.

   ![The Grand Spellbook page with Search by name, Your spells in the Grand Spellbook and six spells from other event teams, each with who made it, where it adds or New app, Does things by itself, how many brands use it and who it is for; Sponsor desk is marked In your brand](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery.png)
   *The Grand Spellbook, with spells other event teams share.*
2. ## Find a spell

   Enter a word from the spell's name in **Search by name**, or look through the cards. Each card says who made it, where it goes, such as "Adds to Artists" or "New app", and how many brands use it.

   **Note:** A card marked **In your brand** is one your brand already has a copy of.
3. ## Open the spell

   Select the spell's name. Its page says what it helps with and who it's for, and lists **What it does in your brand**: the tabs and pages it adds, the lists it makes, the information it reads, what it can change, its automations and what it teaches Fai.

   **Note:** Its automations arrive switched off, and nothing runs until someone on your team turns one on.

   *A spell's page in the Grand Spellbook, with what it does in your brand and what other teams think of it.*

## The spell and its sample entries

Only the spell itself is shared, with the sample entries its author put in it. The entries the author's team added never travel, and neither do their people, events or conversations. Nothing from your brand goes back to the author.

4. ## Select Add to my brand

   Select **Add to my brand** on the spell's page. A dialog opens with what you get.

   **Note:** If the spell uses something your account can't use, the page lists it and you can't add the spell.

   ![Add "Artist riders" to your brand dialog naming Northern Lights Festivals, with what it adds, Event (Choose an event), Get the author's updates ticked, the line that only you see your copy, Cancel and Add to my brand](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery-add.png)
   *Adding a spell: what you get, its event and the author's updates.*
5. ## Choose the event

   If the spell works inside one event, choose the event in **Event**.
6. ## Choose whether to take the author's updates

   Leave **Get the author's updates** ticked to see each improvement the author shares and choose whether to take it. Untick it to keep your copy as it is.
7. ## Add your copy

   Select **Add to my brand**. Ticket Fairy confirms with "Your copy of “Artist riders” is in Spellbook. Only you see it until you share it." and opens your copy in the studio.

   **Note:** Your copy starts in Practice with the spell's sample entries. Try it with your own events, ask Fai for any change, then select **Share with your team** when it is ready.

## Or have it done for you

Fai searches the Grand Spellbook for you, tells you what a spell would add to your brand, read and change, and adds your own copy after she asks. Your copy arrives in Practice, where only you see it, with its automations switched off.

### In your dashboard, with Fai

```
Find a spell in the Grand Spellbook for tracking artist riders, tell me what it would add to our brand, then add a copy
```

## Take an update from the author

1. ### Open the update

   Open your copy in the studio. When the author shares an improvement, the studio says so, such as "Northern Lights Festivals shared an update to “Artist riders”." Select **See the update**.

   **Note:** Your copy's card on the Spellbook page also says **Update ready**.

   ![Update "Artist riders" dialog: What the author says, What changes (a Due date field added, a status renamed), What it can do now with New: Create tasks and I agree to what this update adds and changes, Your changes with Replace my changes with the update, the practice line, Make my own copy, Cancel and Update](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery-update.png)
   *An update from the author, with what changes and what it can do now.*
2. ### Check what changes

   Read **What the author says** and **What changes**. If the update can do more than your copy, **What it can do now** lists it: tick **I agree to what this update adds and changes**.
3. ### Replace your own changes

   If you changed your copy, tick **Replace my changes with the update**. Select **See what you changed** first to see what you would replace.

   **Note:** Your changes stay in **History**, so you can go back to them later.
4. ### Take the update

   Select **Update**. Ticket Fairy confirms with "Your practice copy has the update. Your team gets it when you share."

   **Note:** Your team keeps what you last shared until you share again. If the update changes an automation that is on, the automation pauses when you share and asks to be turned on again.

Fai tells you what an update to your copy changes, what it can do now and what of yours it replaces, and takes it into Practice after she asks.

### In your dashboard, with Fai

```
Is there an update to <SPELL NAME> from the Grand Spellbook? Tell me what it changes before you take it
```

## Stop taking the author's updates

1. ### Make the copy your own

   In the studio, select **Make my own copy**, then **Make it my own**.

   **Note:** You get no more updates from the author. They keep the credit, and your copy keeps working as it is.

Fai makes a copy your own after she asks, so it no longer offers the author's updates.

### In your dashboard, with Fai

```
Stop taking updates for <SPELL NAME>
```

## Review a spell or report a problem with it

1. ### Review the spell

   On the spell's page in the Grand Spellbook, go to **Reviews** and select **Review this spell**. Choose the stars in **How many stars do you give it?**, enter what you think if you want to, and select **Save review**.

   **Note:** You can review a spell your brand added. Your brand has one review, which anyone on your team can change, and other event teams read it under your brand's name. The author can reply.

   ![Artist riders' listing once the brand has a copy: Report a problem, Add another copy, By Northern Lights Festivals, Staff pick, 4.6 · 12 reviews, Reviewed for the Grand Spellbook on 20 Oct 2026, Your copies, What it does in your brand, What's new, then Reviews with Review this spell, Tidewater Live (5 stars, with Reply from Northern Lights Festivals), Ticket Tent Club Nights (4 stars), Report this review on each, Show more reviews](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery-review.png)
   *What other teams think of a spell, and where to add your own review.*
2. ### Report a problem

   Optional: Select **Report a problem** on the spell, or **Report this review** on a review, say what is wrong in your own words and select **Send**.

   **Note:** Only the people who review the Grand Spellbook read your report. They don't show your name to anyone else, and you are told what came of it.

Fai reads a spell's reviews to you, saves or changes your brand's review after she asks, and reports a problem with a spell or a review for you.

### In your dashboard, with Fai

```
Give <SPELL NAME> in the Grand Spellbook four stars and say it saved us an hour a day on riders
```

## Share your own spell in the Grand Spellbook

1. ### Open the spell in the studio

   In Spellbook, select **Change with Fai** on the spell you want to share.

   **Note:** Only the live spell goes to the Grand Spellbook, never your practice copy. Share it from the studio first, and share your latest practice changes too if you want them in it.
2. ### Open Share in the Grand Spellbook

   Select **More for this spell**, the three dots at the top of the studio, then **Share in the Grand Spellbook**.

   ![Share in the Grand Spellbook dialog filled in with Name Artist riders, What it helps with, Who it's for Festival producers, the lines on who can find it, what goes and the review, Cancel and Send for review](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery-share.png)
   *Sharing your spell in the Grand Spellbook, ready to send for review.*
3. ### Describe the spell for other event teams

   Enter its name in **Name**, one or two sentences in **What it helps with**, and who it suits in **Who it's for**, such as festival producers.

   **Note:** When you share it again later, enter what is new in **What changed since you last shared it**. Brands that have a copy read it before they update.
4. ### Fix anything that names your brand

   If the dialog lists parts of the spell that name your brand, select **Ask Fai to fix these**, check her change and share it with your team.

   **Note:** Ticket Fairy refuses a spell that names one of your records, people, events or team, an email address or a phone number, or a page that only your brand can open, so that any organizer can use it.
5. ### Send it for review

   Select **Send for review**. Ticket Fairy confirms that your spell is sent for review.

   **Note:** Ticket Fairy checks every spell before other event teams can find it. You are told in the dashboard and by email when it is added, or when it isn't, with the reason.

Fai sends a spell your team uses for review in the Grand Spellbook, with its name, what it helps with and who it's for. She asks first, and she tells you that only the spell goes, with its sample entries.

### In your dashboard, with Fai

```
Share <SPELL NAME> in the Grand Spellbook for festival producers
```

## Take your spell back or out of the Grand Spellbook

1. ### Open your shared spells

   In Spellbook, select **More**, then **Your spells in the Grand Spellbook**. Each spell says where it stands, such as **Waiting for review** or **In the Grand Spellbook**, and how many brands use it.

   ![Your spells in the Grand Spellbook: Sponsor deliverables In the Grand Spellbook (Used by 37 brands, 41 copies, since 12 Sept 2026) with See it in the Grand Spellbook and Take out of the Grand Spellbook; Box office cash-up Waiting for review with Take back from review; Ideas for next year Not added with Why it wasn't added](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--gallery-yours.png)
   *Your shared spells and where each one stands.*
2. ### Take the spell back

   Select **Take back from review** to stop it waiting for review, or **Take out of the Grand Spellbook** so other event teams can no longer find or add it, then confirm.

   **Note:** Brands that already have a copy keep using it, without any more updates. You can share the spell again later.

Fai lists what your brand shared in the Grand Spellbook and where each spell stands, and takes one back from review or out of the Grand Spellbook after she asks.

### In your dashboard, with Fai

```
Take <SPELL NAME> out of the Grand Spellbook
```

## Questions you might have

**Who can share a spell in the Grand Spellbook?**

 Your brand's owners and admins, for a spell they can change. The spell must be live, because only its live version goes to the Grand Spellbook: share it from the studio first, with your team or with only you. Anyone on your team who can open Spellbook can add a spell from it.

**Who can find a spell I share?**

 Event teams on Ticket Fairy can find it once Ticket Fairy adds it. If your brand uses a partner's dashboard, the partner's other brands can find it. Each brand that adds it gets its own copy, credited to your brand. You see how many brands use it, never which ones.

**What does Ticket Fairy check before other event teams can find my spell?**

 That nothing in it names your brand, so that any organizer can use it: none of your records, people, events or team, no email addresses or phone numbers, and no links to pages only your brand can open. A person also checks that the spell does what its words say and that its automations and the things it teaches Fai suit other event teams. When it isn't added, you see why in **Your spells in the Grand Spellbook**, change it and share it again.

**Can I share a spell I added from the Grand Spellbook?**

 Yes, once you change it. A copy that is the same as the spell you added is refused with "This is the same as the spell you added from the Grand Spellbook. Change it before you share it." A changed copy is shared as your own spell, and its page says which spell it is based on.

**What happens to the copies when a spell leaves the Grand Spellbook?**

 They keep working. When the author takes a spell out of the Grand Spellbook, or Ticket Fairy takes it down, no one else can add it and the brands that have it get no more updates. Their copies stay as they are.

**Does an update change the spell my team uses straight away?**

 No. An update goes to your practice copy, and your team gets it when you share. If you changed your copy, the update replaces your changes only when you tick **Replace my changes with the update**, and they stay in History.

**Why can't I add a spell?**

 The spell's page lists anything it uses that your account can't use, and you can't add it while it does. A spell made for one event needs you to choose one of your events. If the author shared a newer version while you looked, the dialog says so and offers **Add it as it is now**.

**What do Made by Ticket Fairy and Staff pick mean?**

 "Made by Ticket Fairy" marks a spell Ticket Fairy made itself, and **Staff pick** one the people who review the Grand Spellbook recommend. Each spell's page also says when it was reviewed for the Grand Spellbook and shows its stars and reviews from the event teams that use it.

**Does adding a spell cost anything?**

 No. Adding a spell and using it work like any spell you make. If it has automations that ask Fai to look things up or draft text, or custom code, those use your plan's Fai usage when they run.
