# Add your own fields to your event's artists, sponsors, suppliers, volunteers and tasks

Every festival and venue team tracks something the standard pages don't ask for: whether an act's rider is agreed, how many hotel nights a sponsor gets, which suppliers need a parking pass. A custom field puts that detail on the artist, sponsor, supplier, volunteer or task itself, where your event team already looks.

Takes:  6 minutes

- [Open Custom fields](#step-1)
- [Select Add a field](#step-2)
- [Name the field](#step-3)
- [Choose what it holds](#step-4)
- [Enter the choices](#step-5)
- [Choose the events](#step-6)
- [Set the field's rules](#step-7)
- [Add the field](#step-8)
- [Fill in the field on a record](#step-9)

## Before you start

- Custom fields come with Event Management. Your brand's owners, admins and producers can add fields and fill them in; everyone on the event's team sees them.

1. ## Open Custom fields

   In your brand's menu, select **Event Management** and then **Custom fields**.

   **Note:** The page lists your fields for each kind of record: artists, sponsors, suppliers, volunteers and tasks. In Spellbook, **More** opens the same page.

   ![The Custom fields page: Artists with Rider status (Every event, Choices: Requested, Received, Agreed, with Change and Remove) and Hotel nights (Number), Sponsors with Parking passes, Suppliers, Volunteers and Tasks with No custom fields yet, Add a field under each, and Also show one event's fields and Show removed fields at the top](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--custom-fields.png)
   *Your own fields for artists, sponsors, suppliers, volunteers and tasks.*
2. ## Select Add a field

   Under the kind of record the field is for, such as **Artists**, select **Add a field**.

   ![Add a field to artists dialog: Name Rider status, What it holds One choice from a list, Choices Requested, Received and Agreed with Add a choice, More options folded, Cancel and Add field](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--custom-field-add.png)
   *Adding a field: its name, what it holds and its choices.*
3. ## Name the field

   Enter the field's name in **Name**, such as Rider status.
4. ## Choose what it holds

   In **What it holds**, choose the kind of value, such as **One choice from a list**, **Date** or **Amount of money**.

   **Note:** A field keeps what it holds. To hold something else later, you add a new field.
5. ## Enter the choices

   If the field holds a choice, enter the first one under **Choices**, and select **Add a choice** for each one after it.
6. ## Choose the events

   If you chose an event in **Also show one event's fields**, choose under **Which events** whether the field is for **This event only** or for every event, such as "Artists at every event".

   **Note:** Without an event chosen, a new field is for every event.
7. ## Set the field's rules

   Optional: Open **More options** to enter **Help text**, set the **Lowest** and **Highest** number, or tick **Must be filled in** or **Personal details**.

   **Note:** Once a field marked Must be filled in has a value, nobody can leave it empty. For a field marked Personal details, the activity log names the field when it changes, never what it holds.
8. ## Add the field

   Select **Add field**. Ticket Fairy confirms with "Field added."
9. ## Fill in the field on a record

   Open the event, then the artist, sponsor, supplier, volunteer or task. Under **Custom fields**, select **Change** beside the field, enter or choose the value and select **Save**.

   **Note:** Artists show their fields on the artist's overview, and sponsors, suppliers, volunteers and tasks in the window that opens each one. **Add a field** there adds a field without leaving the record.

   *The fields on one artist, each with its value and Change.*

## Or have it done for you

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

Fai adds custom fields for you, fills them in on the records you name and tells you a value's earlier values. She asks before she adds, changes or removes a field and before she changes a value.

### In your dashboard, with Fai

```
Add a Rider status field to our artists with the choices Requested, Received and Agreed, then set it to Received for <ARTIST NAME> at <EVENT NAME>
```

## See a field's earlier values or go back to one

1. ### Open the earlier values

   On the record, select the line under the field that counts its earlier values, such as "2 earlier values".

   **Note:** The list starts with the oldest value. Each one says who set it and until when, or that it was read from a document.

   ![Earlier values of "Rider status" drawer, oldest first: Requested (Set by Tom Okafor, until 22 Oct, Go back to this), Agreed (Set by Jess Moreau, until 24 Oct, Go back to this), Received (Set by Fai, Now)](https://www.ticketfairy.com/embeds/posters/marketing-spellbook--custom-field-history.png)
   *Every earlier value of a field, who set it and until when.*
2. ### Go back to an earlier value

   Select **Go back to this** on the value you want, then **Go back to this** again to confirm. Ticket Fairy confirms with "The earlier value is back."

   **Note:** The value the field had stays in its earlier values, so nothing is lost.

Fai reads a field's earlier values to you, with who set each one, and puts an earlier value back after she asks.

### In your dashboard, with Fai

```
What was the rider status for <ARTIST NAME> before it changed?
```

## Change, remove or bring back a field

1. ### Change a field

   On the Custom fields page, select **Change** beside the field, make your change and select **Save**.

   **Note:** A field marked "From the spell “Riders board”" belongs to that spell: select **Change it in the spell** to change it with Fai.
2. ### Remove a field

   Select **Remove** beside the field, then **Remove** to confirm.

   **Note:** The field no longer shows on your records. Everything already filled in stays, and each record lists it under **Removed fields**.
3. ### Bring a field back

   Turn on **Show removed fields** and select **Bring back** beside the field. Its values show again.

Fai changes, removes or brings back a field after she asks. She tells you when a field belongs to a spell and changes it in the spell instead.

### In your dashboard, with Fai

```
Add a Parking pass choice to the supplier field Access, then remove the Hotel nights field from sponsors
```

## Questions you might have

**Who can add custom fields and fill them in?**

 Your brand's owners, admins and producers, on the Custom fields page and on each record alike. Everyone on the event's team sees the fields and their values. Anyone else sees "Owners, admins and producers can add and change these custom fields."

**Which records can have custom fields?**

 Artists, sponsors, suppliers, volunteers and tasks, on the event pages where your team already works with them. A field can be for every event of your brand or for one event only.

**How many custom fields can I add?**

 Up to 30 fields for each kind of record across your brand, and up to 30 more for each event. When you reach that, the page says "This already has as many custom fields as it can. Remove one first."

**What happens if two of us change the same value?**

 Neither of you loses anything. If a teammate saved first, you see "Someone else changed “Rider status” while you were working on it. It now reads:" with their value, and you choose **Save mine** or **Keep theirs**. Every value stays in the field's earlier values.

**Can a spell add custom fields?**

 Yes. A spell can add fields to your artists, sponsors, suppliers, volunteers or tasks, and they show on your records once the spell is shared with your team. One of your brand's owners, admins or producers shares a spell that adds fields. If the spell is made private or archived, its fields stop showing and their values stay.

**Can a value come from a contract or rider?**

 Yes. Some values come from documents Ticket Fairy reads, such as an artist's contract, and their earlier values say "Read from a document". A value someone on your team entered is never replaced by a later document.

**Why can't I see Custom fields?**

 Custom fields come with Event Management. If the page says "Custom fields come with Event Management, which this brand doesn't have yet.", your brand needs Event Management first.
