# Keep track of where your event's artists and crew are staying

Accommodation is the part of a festival that fails quietly: a booking made in one person's name, a room nobody assigned, a driver arriving at an address that is full. One list of what you have taken, and who is in it, prevents most of that.

Record each hotel, apartment or house you have taken for your event, and put every artist and crew member in a bed, so nobody arrives at midnight without a room.

For: Housing the artists and crew who work your event

Takes: 7 minutes

- [Open the accommodation for the event](#step-1)
- [Add each place you have taken](#step-2)
- [Put people in it](#step-3)
- [Check nobody is left without a bed](#step-4)

## Before you start

- Event management is switched on for your account, and your artists and crew are on the event already. You are putting people you have recorded into places you have taken.
- You know what you have booked and for which nights. A house held for three nights and a hotel held for one are different problems on the last morning.

1. ## Open the accommodation for the event

Open the event and select **Accommodation**.

**Note:** Each property you have taken is a row, with its address and what it holds. A campsite, an apartment and a hotel all sit in the same list.
![Ticket Fairy accommodation tab listing each property taken for an event with its address and the people staying in it](https://www.ticketfairy.com/embeds/posters/marketing-event-production--accommodation.png) The places taken for an event, and who is in them.
2. ## Add each place you have taken

Add the property with its name and address, and note what it holds.

**Note:** The address is what a driver at two in the morning needs, so put the real one in rather than the name of the booking.
3. ## Put people in it

Assign each artist and crew member to the place they are staying.

**Note:** Assigning by name is what turns a booking into an answer. Anyone can then say where a person is without finding the person who made the booking.
4. ## Check nobody is left without a bed

Read down your artists and crew for anyone with no place against their name.

**Note:** The people missed are usually the ones added late: a stand-in driver, an extra engineer, the artist who brought two more than the contract said.

## Or have it done for you

Fai can open the event so you can work the list. Where your artists and crew are staying is recorded in the dashboard today.

### In your dashboard, with Fai

Open \<EVENT NAME\> so I can check where the crew are staying

### From your own assistant, over MCP

Connect your assistant to [our MCP server](https://www.ticketfairy.com/mcp-server) and ask it:

Keep `--read-only` in your MCP configuration. This task only reads data, so your assistant does not need tools that make changes.

Pick the brand, find the event \<EVENT NAME\> and show it

## From your terminal

Install the CLI from [our CLI page](https://www.ticketfairy.com/cli), sign in with `ticketfairy auth login`, and choose the brand you are working on with `ticketfairy brand use <BRAND_ID>`. `ticketfairy brand list` and `ticketfairy event list` show the IDs the other commands use.

Read the event the stays belong to.

### Show the event and its dates

ticketfairy event get \<EVENT\_ID\>

## Handle the changes that always come

1. ### Move a person to another place

Take the person off one property and put them on the other.

**Note:** Change it in the list rather than in a message, so the next person to look is not working from an out-of-date answer.
2. ### Record the travel that goes with the stay

Open **Travel** for the flights and transfers around each stay.

**Note:** A room booked for the right nights and a flight landing on the wrong day is the most common version of this going wrong.

Fai can open the event. Stays and travel are recorded in the dashboard today.

## Questions you might have

Is this the same as selling rooms to ticket buyers?: No. This list houses the people working your event. Selling a room alongside a ticket is a separate thing you set up on the event itself.

Can one property hold both artists and crew?: Yes, and most do. Each person is assigned by name, so a house with two artists and four crew in it reads correctly.

What about a crew member staying at home?: Leave them unassigned and note it, so the gap in the list is a decision rather than an oversight.
