# Build a budget for your event

Promoters and production managers price an event long before the first ticket sells, and they need one place that adds up the artist fees, venue hire, production and sponsorship. The Budget page keeps those lines with the event, so you and your team can see at any point whether the plan comes out in profit.

Takes:  8 minutes

- [Open the Budget page](#step-1)
- [Add a section](#step-2)
- [Add a line to the section](#step-3)
- [Choose whether the line is a cost or income](#step-4)
- [Choose the type of line](#step-5)
- [Assign the line to someone on your team](#step-6)
- [Split a section into sub-sections](#step-7)
- [Check the totals](#step-8)

## Before you start

- You're an owner or an admin on this event. If you can't see **Budget** in the event menu, ask the event's owner to make you an admin.
- Anyone you want to assign a line to is on the event's team.

1. ## Open the Budget page

   Open your event and select **Budget** under **Edit**. An event with no budget yet shows **New Section** in the middle of **Budget Management**.
2. ## Add a section

   Select **New Section**, enter a name such as Talent, Production or Venue Hire, then select the tick to save it.

   **Tip:** Press Enter to save the row you are entering and Escape to cancel it. Tab moves you to the next field.
3. ## Add a line to the section

   Select **Add Item**, the plus on the section's row, then enter what the line is for under **Title** and its cost or income under **Amount**.

   **Note:** Enter the amount as a number, such as 4500 or 1250.50. A new line is in the event's currency.
4. ## Choose whether the line is a cost or income

   Choose an option under **Expense/Revenue**.

   - **Expense**: Money the event spends, such as an artist fee or the sound hire. It adds to the total.
   - **Revenue**: Money the event brings in, such as a sponsorship or a bar guarantee. It comes off the total.
5. ## Choose the type of line

   Choose a category under **Type**, such as **Talent**, **Production**, **Venue Hire** or **Marketing**. The page saves a line only once it has a title, an amount, Expense or Revenue, and a type.

   **Note:** Type is a category for the line itself, separate from the section it sits in. **Miscellaneous** takes anything the other fourteen do not cover.
6. ## Assign the line to someone on your team

   Optional: Choose a person under **Assigned To** to show who looks after that cost, then select the tick to save the line.

   **Note:** The list holds the people on the event's team. Invite someone to the event first if they are not on it.
7. ## Split a section into sub-sections

   Optional: Select **Add Sub Section** on a section, then enter a name such as Sound or Lighting under Production.

   **Note:** A sub-section shows a **Sub-total** under its own lines, and its lines count in the section's **Total**.
8. ## Check the totals

   Check the **Total** under each section and **Total Budget** at the bottom. Each total is the expenses less the revenue, labeled **Expenses** when costs come out ahead and **Revenue** when income does.

   **Note:** A budget with lines in more than one currency shows one total row per currency, because the page never converts one currency into another.

## Or have it done for you

Fai can read your event budget and its totals, create, rename or delete a section, and add, change or remove a planned cost with its amount. She shows you each change and asks before she makes it. Choose a line's type and the person assigned to it on the Budget page.

### In your dashboard, with Fai

```
Set up a budget for <EVENT NAME> with sections for talent, production and venue hire. Add <COST> at <AMOUNT> under production, show me the plan and ask before you save anything
```

## Change a line or a section

Select the value you want to change, enter the new one, then press Enter or select the tick. A changed section name or line saves straight away.

Fai can rename a section you added and change a planned cost's amount or name after you approve. Change a line's type, Expense or Revenue, or assignee on the Budget page.

### In your dashboard, with Fai

```
In the budget for <EVENT NAME>, change <LINE> to <AMOUNT> and show me the new total before you save it
```

## Remove a line or a section

Select **Delete Row** on a line or **Delete Section** on a section, then select **Yes**.

**Warning:** Removing a section also removes its lines and sub-sections, and any spent costs filed under it in the Event OS Budget. The page has no undo, so copy the budget first if you might want them back.

Fai can remove a planned cost or a section you added, after showing you what goes with it and asking first.

### In your dashboard, with Fai

```
Remove <LINE> from the budget for <EVENT NAME>. Show me what it is and the new total, then ask before you remove it
```

## Copy the budget into a spreadsheet

Select **Copy** above the columns to put the whole budget on your clipboard, then paste it into a spreadsheet.

**Note:** The copy has one row per section, sub-section, line and total, with the title, amount, Expense or Revenue, type and the person assigned.

Fai can read the whole budget back to you, section by section, with the totals.

### In your dashboard, with Fai

```
Read me the budget for <EVENT NAME> section by section with each total and tell me whether it comes out in profit
```

## Questions you might have

**Can I see what I have actually spent against the budget?**

 The Budget page holds the plan. If your event uses Event OS, its Budget tab shows the same sections and lines with the costs you have recorded as spent, and raising purchase orders adds committed costs there.

**Can my team work on the budget with me?**

 Yes. Owners and admins on the event can add and change every section and line. The person who owns or created a section can also add lines to it.

**Why won't my new line save?**

 A line needs a title, an amount, Expense or Revenue, and a type before it saves, and the page names the first one still empty, such as "Please enter amount!". Fill it in, then select the tick again.

**Can I budget in more than one currency?**

 Lines you add here are in the event's currency. A line added in another currency elsewhere keeps its own currency, and every total shows one row for each currency.

**Does a budget line pay a supplier or an artist?**

 No. A line is a figure in your plan and moves no money. Pay suppliers and artists from Vault or record what you paid on the event's payments due.
