# Create a meeting type for your event calls

Festival, venue and promoter teams take the same calls again and again: sponsor pitches, supplier briefings, artist agent catch-ups and buyers asking about group tickets. A meeting type sets each one up once, so every booking gets the right length, place, gaps and people.

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

Takes:  6 minutes

- [Open Meeting types and select Add a meeting type](#step-1)
- [Enter a name](#step-2)
- [Choose who takes it](#step-3)
- [Choose the length](#step-4)
- [Choose where it happens](#step-5)
- [Choose the people who take it](#step-6)
- [Set how meetings are shared](#step-7)
- [Set the booking rules](#step-8)
- [Limit how many meetings each person takes](#step-9)
- [Choose whether a no-show gets a rebook link](#step-10)
- [Select Add meeting type](#step-11)
- [Booking a meeting of this type](#step-12)

## Before you start

- You need an owner or admin login on the brand.
- You can create meeting types on every plan. Free and the older Starter plan include 3 meeting types with 1 person each; for more, and for meetings shared across a team, you need Pro or higher. Choose a paid plan in your dashboard, or start the 30-day Pro trial by adding a card.
- Everyone who takes the meeting is already added under Availability, with their Google Calendar connected.

1. ## Open Meeting types and select Add a meeting type

   Go to your brand, select **Meetings**, then **Meeting types** and **Add a meeting type**. On Free and Starter, the tab shows how many of your 3 meeting types you've used.
2. ## Enter a name

   Enter the meeting's name in **Name**, such as Sponsor pitch. The guest sees this name in every email about the meeting.

   **Tip:** Use **Description** under the name for a line that tells your team what the call is for.
3. ## Choose who takes it

   Choose how the meeting is shared in **Who takes it**.

   - **One person**: The same person takes every meeting, such as your sponsorship lead.
   - **Shared by a team**: Each meeting goes to one person from a team, shared fairly. It needs Pro or higher.
   - **Everyone together**: Every person you choose joins each meeting, so a time is offered only when they're all free.
4. ## Choose the length

   Choose how long the meeting lasts in **Length**, from 15 minutes to 2 hours. A new meeting type lasts 30 minutes.
5. ## Choose where it happens

   Choose **Zoom**, **Phone call**, **In person** or **Somewhere else** in **Where**, then enter the phone number, address or link it asks for. A Zoom meeting gets its link from the Zoom account of the person who takes it.
6. ## Choose the people who take it

   Choose them in **People who take it**. The list shows everyone who takes meetings for your brand.

   **Note:** On Free and Starter, each meeting type has 1 person, and the form says "Your plan includes 1 person for each meeting type." when you reach it.
7. ## Set how meetings are shared

   Optional: Open **How meetings are shared** and set each person's **Share**, **Priority** and **Most a day**. For **Everyone together**, tick **Must attend** for the people a time has to suit.

   **Note:** Higher priority gets meetings first, a bigger share from 1 to 10 gets more of them, and 0 in Most a day means no limit.
8. ## Set the booking rules

   Optional: Open **Booking rules** and choose the **Gap before**, **Gap after**, **Least notice**, **Days ahead** and how often **Times start every**. A new meeting type needs 4 hours' notice, can be booked 60 days ahead and starts every 30 minutes.
9. ## Limit how many meetings each person takes

   Optional: Enter a number in **Most meetings a day for each person** or **Most meetings a week for each person**. 0 means no limit.
10. ## Choose whether a no-show gets a rebook link

    Leave **Send a rebook link after a no-show** on to email the guest a link to choose a new time when you mark them as a no-show.

    **Note:** With the switch off, the no-show is recorded without an email.
11. ## Select Add meeting type

    Select **Add meeting type**. The meeting type appears on **Meeting types** with who takes it, its length, where it happens and how many people take it.

## Booking a meeting of this type

You and your team book a meeting of this type for a guest from **Find a time**, or by asking Fai. The guest gets an email with the time, the join link or place, and a link to change or cancel it.

## Or have it done for you

Fai can create, change and archive meeting types with every setting on the form: length, place, people and how they share meetings, gaps, notice, limits and the rebook link. She shows you the meeting type and asks you to approve it before she saves. If your plan doesn't include something, she says what it allows and offers the upgrade.

### In your dashboard, with Fai

```
Create a 30 minute zoom meeting type called sponsor pitch taken by <PERSON>, with a 10 minute gap after and at least a day's notice
```

## Change a meeting type

Select **Edit** beside the meeting type, change what you need, then select **Save meeting type**. Meetings already booked keep their time and the person who takes them.

Fai can change any setting on a meeting type after you approve the change.

### In your dashboard, with Fai

```
Make the sponsor pitch 45 minutes and add <PERSON> to it
```

## Archive a meeting type

Select **Archive** beside the meeting type, then **Archive** again to confirm. Nobody can book it any more, and the meetings already booked stay.

**Tip:** Archiving frees a place on Free and Starter, so you can add a different meeting type. The link under the list shows the meeting types you archived.

Fai can archive a meeting type after you approve it.

### In your dashboard, with Fai

```
Archive the supplier briefing meeting type
```

## Questions you might have

**How many meeting types can I have?**

 Free and the older Starter plan include 3 meeting types, each with 1 person, and archived meeting types don't count. Pro and higher plans have no limit on meeting types or people. When you reach the limit, the tab shows **Upgrade your plan**.

**Why can't I choose Shared by a team?**

 Sharing meetings across a team is included on Pro and higher plans. Choose a paid plan in your dashboard, or start the 30-day Pro trial by adding a card. A meeting type you set up before a plan change keeps working and stays editable.

**How does Shared by a team choose who gets each meeting?**

 Ticket Fairy looks at the people who are free at the time the guest chooses and still under their **Most a day**. The highest priority comes first. Among equal priorities, the person with the fewest meetings of this type in the last 30 days for their share gets it.

**What happens if someone misses a meeting?**

 Open the meeting under **Bookings** after it starts and select **Mark as no-show**. With **Send a rebook link after a no-show** on, the guest also gets an email with a link to choose a new time with the same person. The missed meeting stays in the list as "No-show".

**What if a teammate changed the meeting type while I was editing it?**

 Your changes stay in the form and the dashboard says someone else changed it first. Select **Load their version** to see theirs, or **Save mine over it** to keep yours.
