Understanding your event reports

# Create a recap of your event and share it

After a show, venues, artists, agents and sponsors all ask the same thing: how did it go? The Recap page puts your event's sales, attendance, where your buyers came from and what brought them on one page. You share it in a link that works for 90 days, shows revenue only when you choose, and never shows a buyer's name or contact details.

See your event's ticket sales, check-ins, buyer cities and campaign sources on its Recap page, then send the recap to a venue, artist or sponsor in a link they open without signing in, with or without your revenue.

For: Reporting how an event went to your venue, artists and sponsors

Takes: 5 minutes

- [Open the Recap page](#step-1)
- [What the recap shows](#step-2)
- [Start a recap link](#step-3)
- [Name the link](#step-4)
- [Choose whether it shows revenue](#step-5)
- [Create the link](#step-6)
- [Copy the link and send it](#step-7)

## Before you start

- You're an owner or an admin on this event. A **Stats**, **Limited Stats**, **Customer Support** or **Limited Support** login can read the Recap page but cannot share it, and a Limited Stats login sees it with no revenue. Promoters do not see it.
- The people you share with need nothing: no Ticket Fairy login and no role on your event.

1. ## Open the Recap page

Open your event and go to **Recap** in its **Statistics** menu. The page shows **Sales and attendance**, **Where your buyers came from** and **What brought your buyers**, with **Share recap** at the foot.

**Note:** Tickets and orders are counted as on your **Performance** page, and check-ins as on your **Check-In** page. **No-show rate** appears once the event has ended.

## What the recap shows

**Sales and attendance** shows **Tickets sold**, **Orders**, **Net revenue**, **Checked in**, with the ticket holders who did not arrive under it, and **No-show rate**, then **Sales over time** as **Tickets** or **Net revenue**. **Where your buyers came from** lists the billing cities of your orders, and **What brought your buyers** the campaign sources from the tags on your links, with orders that had no tag under **Direct or not tagged**. Cities with fewer than 10 buyers are added together in **Other places**, and sources with fewer than 10 orders in **Other sources**.

**Note:** The small groups are added together so that nobody who opens the recap can pick out a buyer.

2. ## Start a recap link

Select **Create a link** in **Share recap**. The **Create a recap link** dialog opens.
![The Create a recap link dialog with the Name field and the Show revenue switch, off](https://www.ticketfairy.com/embeds/posters/marketing-sales-insights--create-recap-link.png) Event, Statistics, Recap, Create a recap link.
3. ## Name the link

In **Name**, enter who you are sharing it with, for example "Venue team", so you can tell your links apart.

**Note:** The name is up to 255 characters. Only you and your team see it; the people you send the link to do not.
4. ## Choose whether it shows revenue

Leave **Show revenue** off to share ticket sales and attendance only, or turn it on if the people you share with should see your net revenue.
5. ## Create the link

Select **Create link**. **Your link is ready** shows the link, whether it shows revenue and the date it works until, 90 days from today.
6. ## Copy the link and send it

Select **Copy link**, paste the link into your email or message, then select **Done**. The link appears under **Share recap** with its name, **Shown** or **Hidden** under **Revenue**, the date under **Works until**, and under **Created** the day you created it and who created it.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

Your email address [Create a free account](https://manage.ticketfairy.com/welcome) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

No setup fees. No required monthly ticketing fee. No credit card required.

## Or have it done for you

Fai, the assistant inside your dashboard, reads the same recap, and can make a recap link with the name and revenue choice you give her or stop one. She asks you to approve each link she makes or stops.

### In your dashboard, with Fai

Give me a recap of \<EVENT NAME\>, then make a recap link called \<NAME\> \<WITH OR WITHOUT\> revenue for me to send, and show it to me before you create it

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

## Send a link again

Select **Copy link** on the link's row under **Share recap**, then paste it into your message.

**Note:** A link past its date shows **Expired** and has no **Copy link**. Create a new link for anyone who still needs the recap.

Fai lists your recap links with their names and dates but never shows a link itself. Copy it from the Recap page, or ask Fai to make a new one.

### In your dashboard, with Fai

List the recap links of \<EVENT NAME\> and the date each stops working

## Stop a link

Select **Stop link** on the link's row under **Share recap**, then select **Stop link** again in the confirmation. The link stops working at once: anyone who opens it sees that it no longer works.

**Note:** A stopped link cannot be turned back on, so create a new link for anyone who should still see the recap.

Ask Fai to stop a recap link by its name. She finds it, shows you which link she will stop and asks you to approve it.

### In your dashboard, with Fai

Stop the recap link called \<NAME\> on \<EVENT NAME\>

## Questions you might have

What does the person I send the link to see?: They open the link in their browser without signing in and see your event's name, date and place and the same recap as your Recap page: sales and attendance, sales over time, where your buyers came from and what brought them. Net revenue appears only when you turned on **Show revenue** for that link. The page never shows a buyer's name or contact details, and cities and sources with few buyers are added together in **Other places** and **Other sources**. The figures update every few minutes.

What does a stopped or expired link show?: It shows "This link does not work." and "It may have been stopped, or it is more than 90 days old. Ask the event organiser for a new one." Nothing about your event is shown.

How do I take an expired link off the list?: A link past its date has already stopped working, so its row shows **Remove** instead of **Stop link**. Select **Remove**, then select **Remove** in **Remove this expired link from the list?**. The link comes off the list for everyone on your team.

Can I make a link work for longer than 90 days?: No. Every link works for 90 days from the day you create it. Create a new link when someone needs the recap after that.

Can I change the name or the revenue choice of a link?: No. Create a new link with the name and choice you want, send it, and stop the old one.

Why is the No-show rate empty?: The **No-show rate** is worked out once the event has ended, and until then it says **Shown after the event ends**. **Checked in** and the ticket holders who did not arrive update as tickets are scanned.

Why do I not see Share recap?: Only owners and admins of the event can create and stop recap links. Other roles see the recap without the **Share recap** section. Ask an owner or an admin of the event to share it.

Why can I see the recap but no revenue?: A **Limited Stats** login sees the Recap page with every money figure hidden. Ask an owner or an admin of the event to change your role if you need revenue.

What if many people open the link at once?: The recap is worked out once every few minutes for everyone who opens the link. If a lot of people open it from the same place in one minute, they see "Many people are opening this recap right now. Try again in a minute."

Can Fai share the recap for me?: Yes. Ask Fai for a recap link and say who it is for and whether it should show revenue. She shows you the link before she creates it, gives you the link and the date it works until, and can stop a link you name.
