# Email or text your fans and ticket holders from your brand

Doors times, a venue change, a lineup announcement or a last call for the final tickets all start as one message to the right people. Promoters and venue teams draft it once in Messaging, see how many people it reaches and what it costs before sending, and keep every message with its results and history in one list.

Email or text the ticket holders and fans of your events: start from a blank message, a template or a design Fai makes for you, build the email in the visual builder, choose who gets it in plain words, send a test to yourself or your team, then send it now or later and follow its results.

For: Sending emails and texts to ticket holders and fans across your events

Takes: 9 minutes

## Before you start

- You're an owner, an admin or a marketing team member of the brand. Messaging is part of every plan.
- Your brand is verified. **Messaging** stays greyed out in the brand menu until it is.
- Your own account has passed identity verification. You can draft without it, and **Before you send** asks for it before anything goes out.
- To send marketing texts, your brand has its own text number set up for marketing texts. Event information texts go from Ticket Fairy's number at no cost.

1. ## Open Messages

Go to your brand, select **Messaging**, then **Messages**. Every email and text your team has drafted, scheduled or sent is listed with its status, who it went to and how it did.

**Note:** Filter by **Drafts**, **Scheduled**, **Sent** or **Not sent**, by email or text, or by event.
![Ticket Fairy Messages list with drafts, scheduled and sent emails and texts, their groups, statuses and results](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--messages.png) Messaging, Messages.
2. ## Start a new email or text

Select **New email** or **New text**, then choose how to start.

   - **Start from a blank message**: Opens an empty draft. A new email opens in the visual builder.
   - **Let Fai design it**: For an email only. You tell Fai what it is about, and she designs it in your brand style with your event and a ticket button.
   - **Use this**: On a template under **Or start from a template**, copies that template into a new draft. Later changes to the template do not change your message.
**Note:** A new email starts as marketing and a new text starts as event information. Nothing is sent until you choose to send it.
![Ticket Fairy New email dialog with Start from a blank message, Let Fai design it and your templates and the ready-made ones](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--new-message-picker.png) Messaging, Messages, New email.
3. ## Name the message and choose the event

Under **About this message**, enter a **Name**, then search for the **Event** it is about. Only your team sees the name.

**Note:** An email can go without an event, to everyone who agreed to your emails or to your brand team. A text is about one event, except a marketing text to everyone who agreed to your texts.
![Ticket Fairy message editor with the event, the group, the subject line, the message, the Fai panel and Before you send, and Send now at the foot](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--email-editor.png) Messaging, Messages, a draft email.
4. ## Choose email or text and the kind of message

Under **Send as**, choose **Email** or **Text**, then choose the **Kind of message**.

   - **Event information**: What anyone with a ticket needs to know about the event, such as times, changes and reminders. A text of this kind goes out from 14 days before the event until 3 days after it, and must not read like an offer.
   - **Marketing**: Announcements and offers. It goes only to people who agreed to hear from you, and every marketing email carries an unsubscribe link.
5. ## Choose who gets it

Under **Who gets it**, choose a **Group**, such as **Everyone with a ticket** or **Fans who haven't bought for this event yet**. The count under the list says about how many people are in the group right now.

**Note:** The list offers only the groups that fit the channel and the kind of message. **People with certain ticket types** and **People with certain add-ons** then ask you to choose which.
6. ## Enter the subject line and preview text

For an email, enter the **Subject line** and the **Preview text**. For a text, enter the **Text message** instead.

**Tip:** Select a detail under **Add personal details:**, such as **First name** or **Event link**, and each person gets their own.
7. ## If you chose Email, build the message in the visual builder

Drag blocks such as **Heading**, **Text**, **Event card** and **Button** onto the email, then select a block to change its words. Your logo, colors, fonts and footer come from the design named above the builder.

**Note:** Select **Change design** to use another of your brand's designs for this email. Select **Plain editor** if you want to enter the message as plain text instead.
![Ticket Fairy message editor with an email in the visual builder, its blocks, the brand design in use and Change design](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--email-builder.png) Messaging, Messages, an email in the visual builder.
8. ## If you chose Text, check the text parts and the cost

Read the count under **Text message**, which shows the characters and how many text parts the message is sent as. A marketing text also shows its estimated cost under **Before you send** once you save.

**Note:** A text part holds up to 160 characters. An emoji or a curly quote makes each part hold 70, and the editor names the character so you can replace it.
![Ticket Fairy message editor with a marketing text to ticket holders who agreed to texts, its character and text part count, and the estimated cost under Before you send](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--text-editor.png) Messaging, Messages, a draft text.
9. ## Optional: Ask Fai to draft it

In the Fai panel under the message, enter what the message is about in **What's it about?**, then select the button under it. Fai's draft appears in the panel, and nothing changes in your message until you select **Use this**.

**Tip:** With a message already in place, select **Shorter**, **Friendlier** or **Clearer**, or enter your own change in **Tell Fai what to change**.
![Ticket Fairy Fai panel under a new email, with a brief about a new doors time, three subject line ideas and Fai's draft email with Use this and Discard](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--write-with-fai.png) Messaging, Messages, a new email with Fai's draft.
10. ## Save your changes

Select **Save changes**. The checks run again on what you saved, and **Send now** and **Schedule for later** wait until you have saved.

**Note:** If a teammate saved the same message while you were editing, your changes stay on the page and you choose **Load their version** or **Save mine instead**.
11. ## Check Before you send

Read **Before you send** under the message. An item under **Must fix** stops the send until you change it, and an item under **Check this** is worth a look but does not stop it.

**Note:** The checks cover an empty group, the subject line length, missing links and fields, text parts, quiet hours, how many marketing messages your fans had this week, and an event information text that reads like an offer or goes out too long before or after the event.
12. ## Send yourself a test

Select **Send me a test email** or **Send me a test text**. The test goes to the email address or mobile number on your own account, with the personal details filled in as yours.

**Note:** A test text needs a mobile number on your account profile. A test never counts as a send and never reaches your buyers or fans.
13. ## Optional: Send a test to your team

Select **Send a test to others**, tick the people on your brand team or the event team who should check it, then select the send button under the list. Each person gets the test with their own name and details filled in.

**Note:** You are ticked first, and next time the people you chose are ticked again. You can send a test to up to 20 people at a time, and a test text skips anyone with no mobile number on their account.
![Ticket Fairy Send a test email dialog with you ticked first, the other people on the brand and event teams to tick, and the send button](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--send-test-to-others.png) Messaging, Messages, Send a test to others.
14. ## Select Send now

Select **Send now**, read who it goes to, how many people and any cost, then select **Send now** in the dialog. Large groups go out in batches over a few minutes.

**Warning:** A sent message can't be taken back. Select **Keep editing** if anything in the dialog looks wrong.
![Ticket Fairy Send this message now? dialog naming the message, the group and about how many people it goes to](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--send-now-confirm.png) Messaging, Messages, Send now.
15. ## If you want it to go out later, schedule it instead

Select **Schedule for later**, choose the date and time under **Send on**, then select **Schedule**. The time is in your own time zone, and the dialog names the event's time zone when it differs.

**Note:** A marketing text that falls inside your quiet hours waits and goes when quiet hours end.
![Ticket Fairy Schedule this message dialog with the date and time the message goes out, in your time zone](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--schedule-message.png) Messaging, Messages, Schedule for later.
16. ## Check the results and history

Open the message from **Messages** once it is sent. **Results** shows how many people it was sent to, delivered to and opened by, and **History** shows who saved, scheduled and sent it, and when.

**Note:** Opens are counted for emails only, and some email apps hide or fake them, so read the open rate as an estimate.

## Or have it done for you

Fai, the assistant inside your dashboard, can draft an email or a text with you, start it from one of your templates, save it as a draft, count who it reaches, run the checks, send a test to you or to up to 20 people on your team, and send or schedule it. She shows you the message, the group and the number of people, and asks you to approve before she saves, sends or schedules anything.

### In your dashboard, with Fai

Draft an email to \<GROUP, SUCH AS EVERYONE WITH A TICKET OR FANS WHO HAVEN'T BOUGHT YET\> for \<EVENT NAME\> about \<WHAT THEY NEED TO KNOW\>, send a test to me and \<TEAMMATE NAME\>, then show me the checks and how many people it goes to before you schedule it for \<DATE AND TIME\>

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

## Change or cancel a scheduled message

1. ### Open the scheduled message

In **Messages**, select **Scheduled**, then select the message.

**Note:** A scheduled message can't be edited while it waits, so cancel the schedule, change it and schedule it again.
2. ### Select Cancel schedule

Select **Cancel schedule** beside the time it goes out, then **Cancel schedule** again in the dialog. The message goes back to your drafts and does not go out.
![Ticket Fairy Cancel the schedule? dialog over a scheduled email](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--cancel-schedule.png) Messaging, Messages, a scheduled email.

Fai can cancel a scheduled message and put it back in your drafts, after she shows you which message it is and when it was due to go out.

### In your dashboard, with Fai

Cancel the schedule on \<MESSAGE NAME\> and put it back in my drafts

## Send a message again

Open the sent message and select **Duplicate** at the foot of the editor. A copy opens as a new draft with the same event, group and wording, ready for the next event or a second send.

Fai can copy a message into a new draft and change the event or wording before you check and send it.

### In your dashboard, with Fai

Copy \<MESSAGE NAME\> into a new draft for \<EVENT NAME\> and show it to me

## Questions you might have

Why can't I select Send now?: Either you have unsaved changes, so select **Save changes** first, or **Before you send** has an item under **Must fix**, such as a missing subject line, a group with nobody in it, an event that ended more than 15 days ago, or an event information text that reads like an offer. Send an offer as a marketing text instead.

Who can I send marketing texts to?: Only to people who agreed to get texts from you: **Ticket holders who agreed to texts** for one event, or everyone who agreed to your texts across your brand, with or without an event. Marketing texts go only from your brand's own text number. Event information texts can go to anyone with a ticket from Ticket Fairy's number.

What does a marketing text cost?: We charge your brand the price per text part shown in Settings for every part sent. **Before you send** and the **Send now** dialog show the estimated cost for the group before you send, and event information texts are free.

Can I email fans who haven't bought a ticket for this event yet?: Yes. Choose the event, set the kind of message to **Marketing** and choose **Fans who haven't bought for this event yet**. It reaches people who agreed to your emails and have no ticket for that event.

Does a marketing email need an unsubscribe link?: Yes, and we add one at the bottom of every marketing email that doesn't already carry one. **Before you send** tells you when it will be added.

Can I delete a message?: You can delete a draft or a message that was not sent: open it and select **Delete** at the foot of the editor. A scheduled or sent message stays in your history, so cancel the schedule first or use **Duplicate** to start again.

What happens if a message is not sent?: It shows as **Not sent** with the reason at the top of the message. Open it, change what the reason names and select **Save changes**: the message goes back to your drafts, ready to send or schedule again.

Can two of us work on the same message?: Yes. The editor shows who last edited it and when. If a teammate saves while you are editing, your changes stay on the page and you choose whose version to keep.

Where are the emails I sent before Messaging changed?: In **Messages**, marked **From the previous Messaging page**. They are brought in the first time someone on your team opens Messaging, with their results.

Can I email a list of specific people?: Yes. Choose the event, then **Specific email addresses**, and enter up to 500 addresses, one per line or separated by commas. The email goes to the addresses that match ticket holders of that event, and **Before you send** names any address with no ticket.

Which groups can a message go to?: For an event: everyone with a ticket, certain ticket types or add-ons, people who came or did not, orders where nobody has checked in, the waiting list, people who pre-registered, people who started checkout but did not finish, people who were refunded, your promoters, specific email addresses, or your event or brand team. Across your brand: everyone who agreed to your emails, fans who have not bought for an event yet, or, for a marketing text, everyone who agreed to your texts. For a text to everyone who agreed to your texts, the count of people can take a few minutes to appear.

Can my team get a text?: Yes. Choose the event, set **Send as** to **Text** and choose **Your brand team** or **Your event team**. Anyone on the team with no mobile number on their account is left out.
