Understanding your event reports

# Email your ticket sales report to your team

Your co-promoters, your venue manager and your marketing team all want to know how ticket sales are going, and most of them never open the dashboard. With the sales report email, each of them gets the sales in their inbox every morning or once a week, in their own language, with revenue only for the people who should see it.

Send your event's ticket sales to the people who need them by email, every day or once a week, each in their own language and with or without revenue.

For: Keeping your co-promoters, venue and team up to date on ticket sales

Takes: 4 minutes

- [Open Email this report](#step-1)
- [Turn on the emails](#step-2)
- [Choose how often](#step-3)
- [Add the people who get it](#step-4)
- [Choose each person's language](#step-5)
- [Leave out revenue for some people](#step-6)
- [Save the settings](#step-7)
- [Check when the next email goes out](#step-8)

## Before you start

- You're an owner or an admin on this event. Other roles do not see **Email this report**.
- You have the email address of each person who should get the report. You do not need to give them a Ticket Fairy login.

1. ## Open Email this report

Open your event, go to **Performance** and select **Email this report** above the sales figures. The **Email the sales report** window opens with the current settings.

**Note:** When the report is already on, the line beside the button says how often it goes out and to how many people.
![The Email the sales report window, sent every Monday to two people, one without revenue](https://www.ticketfairy.com/embeds/posters/marketing-sales-report-emails--dialog.png) Event, Performance, Email this report.
2. ## Turn on the emails

Turn on **Send the sales report by email**.
3. ## Choose how often

Under **How often**, choose **Every day** for the sales of the day before, or **Once a week** for the sales of the 7 days before, and choose the day in **Day of the week**.

**Note:** The email goes out at about 3am on your event's clock, which the window names.
4. ## Add the people who get it

Select **Add a person**, then enter their email address in **Email address** and, optionally, their name in **Name**.

**Note:** You can add up to 20 people, and each email address once.
**Tip:** Add each person the same way.
5. ## Choose each person's language

Choose the language of each person's copy in **Language**.

**Note:** The report is in English, American English, Spanish, French, German, Russian, Indonesian, Danish, Norwegian, Swedish or Finnish.
6. ## Leave out revenue for some people

Optional: turn off **Show revenue** for anyone who should see ticket counts only.
7. ## Save the settings

Select **Save**. The window closes, the dashboard shows "Sales report emails saved.", and the line beside **Email this report** says how often the report goes out and to how many people.
8. ## Check when the next email goes out

Open **Email this report** again. The line under the list says when the next email goes out and on which clock.

**Note:** When no email is due, the line says so: emails go out while tickets are on sale and until the event ends, and never for a canceled or postponed event.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

## Or have it done for you

Fai, the assistant inside your dashboard, can show you who gets the sales report and change it: turn it on or off, set every day or once a week, and add or remove people with their language and revenue choice. She shows you the change and asks you to approve it before she saves.

### In your dashboard, with Fai

On \<EVENT NAME\>, email the sales report every Monday to \<NAME\> at \<EMAIL\> with revenue and to \<NAME\> at \<EMAIL\> in \<LANGUAGE\> without revenue, and show me the change before you save it

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

No setup fees. No required monthly ticketing fee. No credit card required.

## Stop the emails for everyone

Open **Email this report**, turn off **Send the sales report by email** and select **Save**. The dashboard shows "Sales report emails turned off." The people stay on the list, so turning it on again sends to the same people.

Ask Fai to turn the sales report email off for the event. She shows the change and asks you to approve it.

### In your dashboard, with Fai

Turn off the sales report email for \<EVENT NAME\> and keep the people on the list

## Take one person off the list

Open **Email this report**, select **Remove** on that person and select **Save**.

**Note:** Each person can also take themselves off with the **Stop these emails** link in their email, which asks them to confirm first. When the last person leaves, the emails turn off.

Ask Fai to remove a person from the sales report email. She shows the list without them and asks you to approve it.

### In your dashboard, with Fai

Take \<EMAIL\> off the sales report email for \<EVENT NAME\>

## Questions you might have

What does the window say when a teammate saved first?: When someone else saves while you are editing, your **Save** stops and the window says "Someone else saved changes to these emails while you were editing." Under it, the window names who changed them and when, for example "Changed by Sam Patel on 15 Jun 2026, 10:42.", and lists what they changed person by person, such as an added or removed email address, a new language or revenue turned on or off. Your changes stay in the window: select **Keep my changes** and then **Save** to replace their version, or **Use their version** to drop yours.

Why does it say the event is very busy?: During a big on-sale the event can be too busy to save for a moment. Nothing was saved and your changes are still in the window, so select **Save** again after a few seconds.

Do you need to give the people on the list a Ticket Fairy login?: No. The report goes to their email address, and they read it in their inbox.

What does a copy without revenue show?: The ticket counts, with every money figure left out. Turn **Show revenue** back on for that person to send them revenue too.

Why did a person disappear from the list?: They used the **Stop these emails** link in their email. Add them again if they want the report back.

Can I send a test email now?: No. The first email goes out at the next time the window shows after you save.

Can Fai set this up for me?: Yes. Tell Fai who should get the report, how often, in which language and whether with revenue. She shows you the change and saves it once you approve.
