Understanding your event reports

# Export every ticket sale across your brand

At the end of a season your accountant, your venue partner or your client asks for every sale in one file. The brand Performance page exports every ticket bought across your events in the days you choose, with each event's totals and each ticket tier's sales beside them, ready to open in a spreadsheet.

Download one ZIP of spreadsheets with every ticket bought across your brand's events in up to 12 months: each transaction, each event's totals and each ticket tier's sales.

For: Handing a season's ticket sales to an accountant, a partner or a client

Takes: 5 minutes

- [Choose the events on the Performance page](#step-1)
- [Open Export transactions](#step-2)
- [Choose the days](#step-3)
- [Ask for an email](#step-4)
- [Start the export](#step-5)
- [Download the ZIP file](#step-6)
- [What the ZIP holds](#step-7)

## Before you start

- You're an owner or an admin of the brand, or you have a **Stats** login for it. A **Limited Stats** login does not see **Export transactions**, because the file holds money.

1. ## Choose the events on the Performance page

Open your brand, go to **Performance** and choose the events under **Show sales for**. The export covers the events the page shows, all of them when the page shows **All events**.
![The brand Performance report for all events, with Export transactions beside the periods](https://www.ticketfairy.com/embeds/posters/marketing-brand-sales--overview.png) Brand, Performance, Export transactions.
2. ## Open Export transactions

Select **Export transactions** beside the periods. The **Export transactions** window opens, set to the last 12 months, and names the events it covers under the days.

**Note:** When you have exported this brand before, **Your recent exports** at the foot of the window lists your last five.
![The Export transactions window with the days, What you get, the email switch and your recent exports](https://www.ticketfairy.com/embeds/posters/marketing-brand-sales--export-transactions.png) Brand, Performance, Export transactions.
3. ## Choose the days

Under **Purchases made between**, enter the **First day** and the **Last day** of the purchases you want.

**Note:** One export covers up to 366 days, ending today at the latest, and each day is the event's own day. For a longer time, export it in parts.
4. ## Ask for an email

Optional: turn on **Email me a link when it is ready**. When the file is ready, you get an email whose **Open the Sales page** link opens the brand's Performance page with this export in the **Export transactions** window.

**Note:** The file itself is never attached, so every download is checked against your role at the time.
5. ## Start the export

Select **Start the export**. The window says "We are preparing your export." and shows how far it has got while the file is built.

**Tip:** You can close the window and keep working. The export carries on, and the Performance page remembers it in this browser: when you come back, the page says how the export is going and offers **Open the export**.
6. ## Download the ZIP file

When the window says "Your export is ready to download.", select **Download the ZIP file**. Your browser saves the ZIP.

**Note:** The line under the button says until which day you can download it, 30 days after it is ready, and how many tickets, events and ticket tiers the file holds. After that day, start a new export.
![A finished export with Download the ZIP file, the last day to download it and the rows it holds](https://www.ticketfairy.com/embeds/posters/marketing-brand-sales--export-ready.png) Brand, Performance, Export transactions, Download the ZIP file.

## What the ZIP holds

Three spreadsheets. "transactions.csv" has one row per ticket bought in those days, with its event, purchase time, ticket type, price paid, refund, net revenue, discount code, promoter, referrer, the source and campaign tags it came from and the buyer's city and country. "events.csv" has each event's capacity, tickets, orders, refunds and net revenue, and "ticket\_tiers.csv" each ticket type's price, sale dates, capacity, tickets sold and when and how its sale ended.

**Note:** The file has no buyer names or email addresses; export those from **Customers**. It does name promoters and referrers and holds buyers' cities, so share it only with people who should see them.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

Your email address [Create a free account](https://manage.ticketfairy.com/welcome) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

No setup fees. No required monthly ticketing fee. No credit card required.

## Or have it done for you

Fai, the assistant inside your dashboard, can start the same export for the dates and events you name, after she shows you what it covers and you approve it, and she can tell you when it is ready and list your recent exports. You download the file from the brand's Performance page; Fai never sends it.

### In your dashboard, with Fai

Export every ticket sale of my brand from \<FIRST DAY\> to \<LAST DAY\> for \<ALL EVENTS OR A SERIES, VENUE OR CITY\>, email me a link when it is ready, and show me what it covers before you start it

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

## Download an earlier export again

Open **Export transactions** on the brand's Performance page. Under **Your recent exports**, select **Download** beside the export you want.

**Note:** Each export shows its days, when you started it and whether it is ready, still being prepared, expired or could not be finished. The list follows your login, so it shows the same exports in any browser.

Ask Fai for your recent exports of the brand. She lists them with their days and whether each is ready, and gives you the Performance page link to download a ready one.

### In your dashboard, with Fai

List my recent sales exports for \<BRAND NAME\> and tell me which ones I can still download

## Questions you might have

Who can export a brand's transactions?: An owner or an admin of the brand, a **Stats** login, and Ticket Fairy support. **Limited Stats**, **Support** and **Limited Support** logins cannot start or download one. The person who started an export is the only one who can download it.

Why can I no longer download an export?: The window says why. "This export has expired. Start a new export to get the file again." means the 30 days are over. "You can no longer export this brand's sales, so you cannot download this file. Ask a brand owner or admin for access." means your role changed. "Only the person who started this export can download it." means a teammate started it, so ask them for the file or start your own export.

Why does the link in my email not open the export?: An export opens from the link only for the person who started it, signed in on the brand it covers. When it cannot open, the Performance page says so; sign in with the login that started the export, or find it under **Your recent exports** in **Export transactions**.

Why does the export cover only my newest events?: One export reads up to 5,000 events, the newest first, and leaves out any older ones. A finished export that left events out says "Covers your newest 5,000 events only." For the rest, choose a series, a venue, a city or specific events on the Performance page and start another export.

Do the totals match the Performance page?: For each event, the rows of "transactions.csv" marked as counted as sold add up to its tickets, and its Net Revenue column adds up to its net revenue, counted the way the brand and event Performance pages count them. A ticket the buyer refunded is a row too, with its refund, and is not counted as sold.

What time zone are the purchase times in?: Each event's own. The days you choose are each event's days, and every time in the files carries the event's offset.

Can Fai export the transactions for me?: Yes. Tell Fai the days and the events. She shows you what the export covers and starts it once you approve, then tells you when it is ready to download from the Performance page.
