# Give members early entry, free drinks and more at your events

Club nights, venues, theaters and festival brands with a membership want members to feel the difference every time they come. Members walk in before the queue, collect a free drink at the bar, pick the best seats before anyone else and spend their monthly credit on your next show, and your door and bar teams see who is a member on every scan.

Takes:  14 minutes

## Before you start

- You're an owner or admin of the brand, and you have at least one membership tier.
- Your door and bar teams scan with the Entry Fairy app and are signed in with a role on the brand or the event.
- For a members' area, your event has check-in zones for your door team's phones. Your Ticket Fairy contact sets these up with you.
- For members' seats, your event sells reserved seats from a seat map in **Configure Seat Map**.

1. ## Open the tier that gets the perk

   In **Memberships**, open the **Tiers** tab and select the tier whose members get the perk.
2. ## Add the perk

   Under **Perks**, select **Early entry** or **Free drink** in **Quick add**, or choose another perk from **Add another perk**.

   - **Early entry**: Members get in a number of minutes before your doors open to everyone else.
   - **Free drink or extra**: Members get a voucher at each event, such as a drink, a cloakroom ticket or parking. Your bar team scans it once.
   - **Re-entry**: Members can leave and come back in, even on a ticket that lets everyone else in once.
   - **Members' area**: Members get into a lounge or other area that your door team scans as its own check-in zone.
   - **Members' seats**: Members get sections of your seat map that only they can choose, and can choose their seats before your general sale opens.
   - **Member credit**: Members get an amount to spend on your tickets and add-ons for each month or year they pay for. Credit they don't spend by the end of that month or year lapses.
   - **Birthday reward**: Members who tell you their birthday get an email from you on the day, with a voucher, credit to spend on your tickets or only your message.
   - **Guest passes**: Members get a number of guests to bring each month or year, spread over any of your events their free entry covers.
   - **Waitlist priority**: Members on a waiting list are offered returned and resold tickets before everyone else on it.
   - **Last-chance tickets**: Members can still buy tickets for a number of hours after your general sale ends.
   - **Buy more tickets**: Members can buy more tickets in one order, or on one account, than your ticket limits allow everyone else.
   - **Member travel rate**: Signed-in members pay less of your markup, or none of it, when they book a hotel for your event.
   - **Hear first**: Your join page tells fans that members hear about each on-sale before everyone else. The perk sends nothing itself: you send that message to your members, with the members' early access email below.
   - **Member code**: Members see a partner discount code or link, such as money off at the bar next door, that nobody else sees.
   - **Priority support**: Conversations members start with your support team or with Concierge are marked high priority in your support inbox.
   - **Priority entry**: Your door team sees Priority entry on every scan of a member's ticket or card, so they can send the member to your fast lane.
3. ## Choose which events it covers

   Under **Which events**, keep **All your events** or choose **Events I choose** and pick the **Events** and **Event series**.

   **Note:** Guest passes, member codes and priority support cover all your events, so they have no event choice. A series covers the events you add to it later too.
4. ## Enter the perk's settings

   Enter the settings the perk shows, such as **Minutes before doors open** for early entry or **What members get** for a free drink.

   - **Minutes before doors open**: For early entry, from 15 to 240 minutes, and 30 to start with. Your door time for everyone else stays as it is.
   - **What members get**: For a free drink or extra, up to five items such as Free drink, Cloakroom or Parking, each up to 60 characters. Each item is its own voucher.
   - **How many each visit**: How many of an item a member gets at each event, from 1 to 10, and 1 to start with.
   - **Area names**: For a members' area, up to 10 names, each spelled exactly as the check-in zone is named on your event.
   - **Members-only seat channels**: For members' seats, the channel keys your Ticket Fairy contact gives you for up to 10 sections of your seat map that only members can book. The perk needs a channel, hours of early seat choice or both.
   - **Hours of early seat choice**: For members' seats, from 1 to 168 hours before your tickets go on sale that members can choose their seats. If the tier also has early access to tickets, members choose seats from whichever of the two starts earlier.
   - **Credit each period**: For member credit, the amount each member gets for each month or year they pay for, above 0 and up to 10,000. The **Currency of the credit** starts as **Your brand's main currency**, and members spend the credit on tickets priced in that currency.
   - **What members get**: For a birthday reward, **Your message only** to start with, **A voucher** with **What the voucher is for** in up to 60 characters, such as Free drink, or **Member credit** with the **Birthday credit** amount, above 0 and up to 10,000.
   - **Your birthday message**: For a birthday reward, the words members read in their birthday email, in up to 500 characters.
   - **Ask for the birthday when people join**: For a birthday reward, off to start with: turn it on to ask for the day and month on your join page, which people can skip. Members can always add it on their membership page.
   - **Guests**: For guest passes, from 1 to 50 guests for each month or year you choose in **Each**. The count starts again at the start of the next month or year.
   - **Priority**: For waitlist priority, from 1 to 9. A tier with a higher number is offered tickets before a tier with a lower one.
   - **Hours after general sale ends**: For last-chance tickets, from 1 to 168 hours, and 24 to start with.
   - **Extra tickets in each order**: For buying more tickets, from 0 to 20 above your limit for each order. This or the next number needs to be above 0.
   - **Extra tickets on each account**: From 0 to 20 above your limit for each buyer account.
   - **Markup taken off**: For the member travel rate, from 1 to 100 percent of your hotel markup, and all of it to start with.
   - **What the code gives**: For a member code, what members get with it, up to 60 characters, with the **Code** itself in up to 64 characters. Your join page shows what the code gives, never the code.
   - **Partner**: Optional: the business that takes the code, in up to 80 characters, and a **Web address** starting with https:// where members use it.
   - **How urgent**: For priority support, **High** to start with, or **Urgent** to put members above everyone else.
5. ## Open the perk's More options

   Optional: Select **More options** on the perk and change the settings you need.

   - **Who it covers**: Early entry covers **Everyone on the member's order** to start with, so friends come in together. A free drink and re-entry cover **The member only**, and a free drink can cover **Each ticket on the member's order**.
   - **Timed entry tickets too**: Early entry is off for tickets with their own entry time, such as a time slot, until you turn this on.
   - **During a free trial**: Members on a free trial get no free drink or extra until you turn this on.
   - **Months before members get it**: From 0 to 120 months, counted from the day the member joined, such as 12 for a perk after a year. Empty means from the day they join.
6. ## Save the tier

   Select **Save changes**, and the perk applies straight away to everyone on the tier.

   **Note:** A perk with months to wait applies to each member on the day they reach that many months.

## The member line on each scan

When your door team scans a member's ticket or membership card in Entry Fairy, the scan result shows a member line, such as "Member #1042 · Gold · Priority entry · Early entry · Member since 2024". It shows on every member's ticket, whether the member reserved a free place or bought the ticket. A member who arrives before your doors open is let in when their tier has early entry for the event, and a member who left can scan back in when their tier has re-entry. Everyone else is turned away at those times, as today.

## Free drinks at the bar

Members get their vouchers when they reserve a free place with their membership or buy a ticket to an event the perk covers. Each voucher has its own code, which the member finds on their membership page. Scanning the member's ticket at your entrance leaves their vouchers unused. Your bar team scans the voucher code in Entry Fairy, and a second scan of the same voucher shows that it was already used.

## Perks checked at the door

Early entry, re-entry and a members' area are checked when your door team scans the ticket, so the scanning phone needs to be online for them. A phone set to a members' area in Entry Fairy lets in members whose tier names that area, and turns other tickets away with "Members only. This ticket does not include" followed by the area's name.

## Member credit at checkout

Each payment for the membership gives the member the credit amount. When the member buys tickets or add-ons for an event the perk covers, signed in with the account they joined with, their credit comes off the order at checkout, after any promotion, and the order summary at checkout shows how much credit came off. Credit pays for tickets and add-ons in its own currency only, never for fees, tax, donations, gift cards or memberships. The credit is spent when the order is placed, and it goes back to the member if the order stays unpaid for 2 hours. Credit the member hasn't spent lapses at the end of the month or year it was for, and the next payment brings the new amount.

## Birthday rewards

Members give their birthday as a day and a month, never a year, on their membership page, or on your join page if you ask for it there. On their birthday, the member gets one email from you with your message and their reward, once a year. A birthday voucher is for the first event the perk covers in the 60 days after the birthday, and your bar team scans it once, like any member voucher. Birthday credit is added to the member's credit and can be spent for 60 days. A member on a free trial gets your message only, and a member born on 29 February gets their reward on 28 February in other years. A birthday counts only when the member adds it at least 30 days before it, members can change it once a year, and each person gets one birthday reward a year from you.

## Members' seats on your seat map

Members signed in on your event page can choose seats in the members' sections of your seat map, at the price of the ticket type each seat is linked to, and every other seat as usual. Everyone else can't choose those seats. A buyer who tries is told "These seats are for members only. Sign in with the email address you joined with, or choose other seats." With hours of early seat choice, members can choose seats that many hours before your tickets go on sale to everyone.

7. ## Check a member's perks and vouchers

   On the **Members** tab, select the member and check **Perks** and **Vouchers** on their page.

   **Note:** A perk that still has months to wait shows the day the member gets it. Each voucher shows its event and whether it was used.

## Or have it done for you

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

Fai can add any of these perks to a tier with the settings you choose, and read the vouchers each member has. She shows you the tier with the change and asks before she saves it.

### In your dashboard, with Fai

```
Give the Inner Circle tier of <BRAND NAME> memberships early entry 30 minutes before doors open and one free drink at every event, and show me the tier before you save it
```

## Tell your members first about an on-sale

1. ### Set up the members' early access email

   In **Messaging**, open **Automatic messages** and select **Set up** on **Members' early access opens**.

   **Note:** It goes to **Your members** who agreed to your emails, 24 hours before sales open to everyone. It is a marketing email, so it carries an unsubscribe link.
2. ### Set when it goes out

   Under **When it goes out**, enter how many hours before ticket sales open your members hear about them.

   **Note:** Members with early access on their tier can buy in that time, so the email reaches them when they can act on it.
3. ### Switch it on

   Choose the events it is for under **Send for**, then select **Switch on**.

   **Note:** To email your members once instead, choose **Your members** as the **Group** of a new email, and pick **Tiers** to reach only some of them. An email about tickets or events is marketing and goes to the members who agreed to your emails; an email about the membership itself goes to every member.

Fai can switch on the members' early access email for your events and change when it goes out, or draft a one-off email to your members. She shows you the message and when it goes out, and asks before she switches it on or sends it.

### In your dashboard, with Fai

```
Switch on the members' early access email for every event of <BRAND NAME>, 24 hours before sales open, and show me the message and when it goes out before you switch it on
```

## Keep a section of your seat map for members

A members' section is a group of seats on your seat map with its own channel key. The tier's members' seats perk names that key, and the same key on each event's seat map keeps the same seats for members at every show.

1. ### Get the channel key for the members' seats

   Tell your Ticket Fairy contact which seats are for members. They put those seats in a section of your seat map, with the same channel key on each event's map, and give you the key.
2. ### Add members' seats to the tier

   In **Memberships**, open the tier, add **Members' seats** from **Add another perk**, enter the key in **Members-only seat channels** and select **Save changes**.

   **Note:** Seats in the section stay for members until your Ticket Fairy contact takes them out of it. Then everyone can choose them.

Fai can change a tier's perks and its card colors for you. She shows you the tier with the change and asks before she saves it.

### In your dashboard, with Fai

```
Change the <TIER NAME> tier of <BRAND NAME> memberships as I describe, show me the tier with the change, and ask me before you save it: <THE CHANGE>
```

## Give each tier its own card colors

Open the tier, select **More options**, turn on **Use your own card colors**, then choose the **Card color** and **Text color** and select **Save changes**. Members of the tier see these colors on their membership card in Apple Wallet and Google Wallet, so your door team can tell tiers apart.

Fai can change a tier's perks and its card colors for you. She shows you the tier with the change and asks before she saves it.

### In your dashboard, with Fai

```
Change the <TIER NAME> tier of <BRAND NAME> memberships as I describe, show me the tier with the change, and ask me before you save it: <THE CHANGE>
```

## Remove a perk from a tier

Open the tier, select the perk's trash button and select **Save changes**. Members lose the perk straight away, and vouchers they already have keep working.

Fai can change a tier's perks and its card colors for you. She shows you the tier with the change and asks before she saves it.

### In your dashboard, with Fai

```
Change the <TIER NAME> tier of <BRAND NAME> memberships as I describe, show me the tier with the change, and ask me before you save it: <THE CHANGE>
```

## Questions you might have

**Do early entry and re-entry work when the scanner has no signal?**

 They are checked when your door team scans the ticket, so the scanning phone needs to be online. Ask your door team to stay online at the doors where members arrive early.

**Can a member's friends come in early with them?**

 Yes. Early entry covers everyone on the member's order to start with. To let in only the member, choose **The member only** under **Who it covers**.

**Can a member use a free drink voucher twice?**

 No. Each voucher scans once, and a second scan shows that it was already used. Members get new vouchers for each event the perk covers.

**Does a member get a free drink for each ticket they buy?**

 Not to start with: the member gets their own vouchers. To give one to each ticket on the member's order, choose **Each ticket on the member's order** under **Who it covers**.

**What happens to a member's place on a waiting list when their membership ends?**

 They stay on the waiting list in the order they joined it, behind members. They lose the place ahead of everyone else that their tier gave them.

**Can fans see a member code before they join?**

 No. Your join page shows what the code gives and the partner's name, and members see the code and its link on their membership page once they join.

**Does a members' area change who gets in anywhere else?**

 No. Only the areas that a perk names check for members. Every other zone and door lets people in as it does today. A phone set up for a members' area and for another zone too lets people in as it does today, so set up the phone at the members' area for that area only.

**Can I give a perk only to members who have stayed a long time?**

 Yes. Enter a number of months in **Months before members get it** under the perk's **More options**, such as 12 for members who have stayed a year. The months count from the day the member joined.

**Does the member travel rate cover flights?**

 No. It takes your markup off hotels booked for your event, for members signed in to the account they joined with. Flights keep your usual markup.

**Do these perks cost anything?**

 No. Ticket Fairy charges nothing for member perks or vouchers. A free drink or extra is given at no price, so it adds nothing to your ticket sales. Member credit is the exception, as the next answer explains.

**Who pays for member credit?**

 You do. Credit comes off the member's order as a discount from you, so you receive that much less for the order. Ticket Fairy's fees are worked out on the price before the credit comes off, so the credit doesn't lower them.

**Can members save up credit they don't spend?**

 No. Credit lapses at the end of the month or year it was for, and the next payment brings the new amount. A member who pays yearly gets the amount once a year.

**What happens to credit when an order is refunded?**

 When you refund or cancel the whole order, the credit spent on it goes back to the member while the month or year it came from is still running. When one ticket is refunded or resold, the member gets back that ticket's share of the credit as credit, and the rest of the ticket's refund as money. The credit is shared across the order's tickets and add-ons by their price. Credit that has lapsed does not come back.

**Do members on a free trial get member credit?**

 No. Credit starts with the member's first payment, because each payment brings the credit for that month or year. Free and complimentary memberships get no credit either.

**Which orders can members spend credit on?**

 Tickets and add-ons a signed-in member buys on your event page for an event the perk covers, in the credit's currency. Credit isn't used on resale tickets, table bookings or orders with a deposit, events priced with the newer ticketing fee, or tickets an AI shopping assistant buys for the member. Those orders are priced as usual.

**Do you ask members how old they are for a birthday reward?**

 No. Members give the day and the month only, never the year. A member who hasn't given their birthday gets no birthday reward until they add it on their membership page.

**Can a member change their birthday to get a second reward?**

 No. A birthday counts only when the member adds it at least 30 days before it, and a member can change it once a year. Each person gets one birthday reward a year from you, even if they leave and join again. If a member typed it wrong, your team can correct it on the member's page, and this does not give a second reward.

**How is a birthday reward different from a birthday gift?**

 A birthday reward is sent for you: the email, the voucher or the credit go out on the member's birthday. **Birthday gift** is a perk you give the member yourself and mark as delivered on the **To deliver** tab.

**Which seat maps work with members' seats?**

 The seat maps on **Configure Seat Map**, which your Ticket Fairy contact builds with you. [Sell reserved seats for your event from a seat map](https://www.ticketfairy.com/guides/sell-reserved-seats-from-a-seat-map) covers setting one up.

**Can I run a prize draw only for my members?**

 Yes. A prize you draw can go only to buyers who are members, or give members extra entries. [Choose who wins a prize at your event](https://www.ticketfairy.com/guides/choose-who-wins-a-prize-at-your-event) covers each step.
