# Send free tickets to your guest list

If you promote events or run a venue, you let press, artist guests, sponsors and crew in free at every event you run. Ticket Fairy issues each of them a ticket with a barcode from your own ticket types, so your door team scans them in like any other buyer, and those tickets don't count towards your takings. You can see who was sent which ticket, and who sent it.

Takes:  5 minutes

- [Pick the ticket type and how many](#step-1)
- [Enter who the tickets are for](#step-2)
- [Send them and check the list](#step-3)

## Before you start

- You're the owner, an admin or a curator on the event. With the Customer Support role, you can't see the list of issued tickets or send from the page.
- You have a ticket type the guests should come in on. A Guest list ticket type works well for this, so the comps are easy to count later.
- You have each person's name and email address. One email address receives the whole batch you send it, so a couple sharing a booking is one entry and two names.

1. ## Pick the ticket type and how many

   Open your event, select **Guest Tickets**, select **Send Guest Tickets**, then choose the **Ticket Type** and the **Quantity**. If your event has tables, they're listed here too, and the field is called Ticket/Table Type.

   **Note:** The quantity is how many tickets this one person receives, up to 40. A guest ticket comes out of that ticket type's stock like a sold one.

2. ## Enter who the tickets are for

   Enter the **Email address** and then **Confirm email address**, and give a **First Name** and **Last Name** on each ticket holder card. Your door team sees the names, and every ticket in this batch goes to the email address.

   **Note:** Copy Details Below fills the rest of the cards from the first one, which suits a group under one name. Guests don't see **Notes (optional)**, and it's included in your exports.
3. ## Send them and check the list

   Select **Send**. A few seconds later, the list of issued tickets on the page shows the name, the ticket type, who sent it and when.

   **Note:** If your event emails guest tickets, each guest also gets an email with their barcode. We take a few seconds to create the tickets, so it's normal for the list to be empty for a moment.

## Or have it done for you

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

Fai can send guest tickets for you from a list you give her. She shows you the recipients, the ticket type and the count and asks you to approve before she emails anyone, because you can't unsend a ticket. You can also do all of this in the dashboard.

### In your dashboard, with Fai

```
Send a Guest list ticket for <EVENT NAME> to <NAME> at <EMAIL ADDRESS>, show me the ticket type and the count before you send it
```

## Send a whole list at once

Select **Upload Guest Tickets** and upload a spreadsheet with no header row: first name, last name, email address, how many tickets, the ticket type by name, then add-ons, notes and up to two attendee tags. Each row can have up to 50 tickets, and the page offers a template to start from.

Fai takes the same list in the conversation and shows it to you before she sends anything.

### In your dashboard, with Fai

```
Here is my press list for <EVENT NAME>. Send each of them one Guest list ticket, and show me the whole list and the total before you send
```

## Issue more tickets than the type has left

If you ask for more than the ticket type has left, the form says so and offers **Override stock levels.**, which an owner or an admin can turn on and confirm. You can then issue tickets past the number you set for that ticket type, so the size of the room is your only limit.

Fai reads what the type has left, names the shortfall and waits for you to say yes before she goes past it.

### In your dashboard, with Fai

```
Send 12 Guest list tickets for <EVENT NAME> to <EMAIL ADDRESS> and tell me first whether that type has 12 left
```

## Take a guest ticket back

Open **Orders**, select the **Guest** tab, find the order and select **Cancel** in its row menu. The barcode stops working at the door from that moment, and the guest is not charged anything either way.

**Note:** You need an owner, admin or support role to cancel. With a curator role, you can send guest tickets but can't take one back, so ask someone with one of those roles.

Fai finds the order and shows you the guest and the tickets on it. She can't cancel it unless you ask Ticket Fairy support to turn that on for her, so cancel it yourself on the page.

### In your dashboard, with Fai

```
Find the guest ticket order for <EMAIL ADDRESS> on <EVENT NAME> and show me what it holds
```

## Questions you might have

**Do guest tickets use up the tickets I have to sell?**

 Yes. Each one comes out of the ticket type you pick, exactly as a sold ticket does, and the form stops you at the number that type has left unless an owner or an admin turns on the override. If you give a lot away, make a Guest list ticket type with its own allocation, so the comps never eat into a paid release.

**Do guest tickets show up in my sales figures?**

 They add nothing to your takings, because a guest order has a value of zero. They are still tickets, and the two sales reports count them differently: Ticket Sales leaves complimentary orders out, and Sales by Type lists them under their ticket type at zero. The check-in figures include them, and a ticket export has a Guest Ticket column so you can tell the two apart.

**Can I send one person several ticket types?**

 Send one batch per type to the same email address. Each batch is its own order and its own email, and all of them arrive in the same person's inbox.

**Who on my team can send guest tickets?**

 You need an owner, admin or curator role. With the Customer Support role, you can't see the list of issued tickets, and with the Promoter or Door Staff role, you don't see the page at all. We record who sent each batch, on the list and in your activity log.

**The guest says the email never arrived. What now?**

 Check the issued list first. A row on the list means we created the ticket, but that doesn't mean the email arrived: the address may have a typo, the message may have gone to spam, or your event may be one Ticket Fairy has set to issue guest tickets without emailing them. Read the address on the row, and if it is right, cancel that order from the Guest tab and send a fresh one. This only sends a new email if your event emails guest tickets, so ask Ticket Fairy support whether yours does and whether the first one was sent.
