Let department leads approve their team's hours at your event

At a festival, the bar manager or head of security knows who really worked each shift far better than the office does. Letting each lead approve their own department's hours on their phone spreads the job across the people who can answer for it, and leaves you only the lines they could not settle.

Give the lead of each on-site department at your event the job of approving their own team's hours. Leads approve and correct the hours of their department's shifts from their My shifts page, with Fai's checks and no sign-in, and never see costs or their own hours.

Before you start

  • You are an owner, admin or producer on the event. The event's Operations page opens for those roles only.
  • Each shift names a department with the same name as one of the event's departments, such as Bar or Security.
  • The lead has a My shifts link, which you email from People in your brand's Event Operations.
  1. Make them the department's lead

    In the department, tick Leads this department as you add the person, or select Make lead beside them.

    Note: Enter the same email address their My shifts link goes to. Their hours approval covers every shift whose department has the same name.

Your team's hours for the lead

The lead opens their My shifts link and finds Your team's hours under their own shifts, with an Event choice when they lead at more than one event. They see the lines of their departments waiting for approval with what Fai noticed, approve the lines with nothing odd in one go, and open a line to change its hours with a reason. Every approval and change is recorded with their name.

  1. Check what the leads approved

    Open the event's Shifts, select Hours, then select Approved above the list.

    Note: Each line says who approved it and when. The lines still waiting are the ones for you or the lead to settle.

Or have it done for you

Fai adds a person to a department and makes them its lead, after you confirm. The lead approves their team's hours on their own My shifts page.

Questions you might have

Can a lead approve their own hours?
No. A lead's own line stays for the event's owners, admins or producers, and their page says so.
Does a lead see pay or costs?
No. Leads see hours only. The cost per hour and the approved cost are for the event's owners, admins and producers.
What if a lead sees no hours?
Their page says No shift at this event is in a department you lead yet. Check that the shifts name the same department as the one they lead, and that their department email is the one their My shifts link goes to.
What if the lead and I change the same line?
The first change counts. The second person sees that someone changed the hours while they were looking, with the new total, and can check and save again.
How many changes can a lead make from their page?
Each approval and change counts towards the link's 60 changes a day, and one button approves many lines at once. The page covers up to 10 of your events where they lead.
