# Let members into your events with their membership card

Club nights, venues and series promoters reward their regulars by letting them in without buying a ticket each time. A member shows the membership card on their phone, your door team scans it like a ticket, and the place counts towards your capacity and your check-in report.

Takes: 8 minutes

- [Open the tier that includes entry](#step-1)
- [Add free entry to the tier](#step-2)
- [Choose which events it covers](#step-3)
- [Set how many events a member can come to](#step-4)
- [Let members bring guests](#step-5)
- [Save the tier](#step-6)
- [Two ways a member gets in](#step-7)
- [Events that check age or ID](#step-8)
- [Membership cards at the door](#step-9)
- [Check a member's entries](#step-10)

## Before you start

- You're an owner or admin of the brand, and you have at least one membership tier. Only owners, admins and Ticket Fairy staff see the **Members** tab, where each member's entries are listed.
- The events members come to belong to the brand and have at least one ticket type on sale or hidden for members.
- Your door team scans with the Entry Fairy app and is signed in with a role on the brand or the event.

1. ## Open the tier that includes entry

In **Memberships**, open the **Tiers** tab and select the tier whose members should get in free.
2. ## Add free entry to the tier

If **Free entry to events** is not under the tier's **Perks**, select **Free entry** in **Quick add**.

**Note:** A new tier starts with this perk already added. Members of the tier get into the events you choose next, using their membership card.
3. ## Choose which events it covers

Under **Which events**, keep **All your events** or choose **Events I choose**, then search for each event in **Events** and each series in **Event series**.

**Note:** A series covers every event in it, including events you add to the series later. A canceled event is never included.
4. ## Set how many events a member can come to

Optional: Enter how many events a member can attend in **Events each billing period**, from 1 to 100.

**Note:** Leave it empty for no limit. The count starts again at the start of each month or year the member pays for.
5. ## Let members bring guests

Optional: Enter how many friends a member can bring to each event in **Guests each time**, from 0 to 10.

**Note:** Guests come in on the member's reservation, so a member who reserves with two guests gets three tickets. A member who arrives without reserving gets in alone.
6. ## Save the tier

Select **Save changes**, and the free entry applies straight away to everyone on the tier.

## Two ways a member gets in

A member can reserve a free place from their membership page before the event, with their guests. That reservation is a normal ticket: it holds their place, shows on your attendee list and scans offline like any ticket. Or a member can walk up and show their membership card, and the scan takes a place for them there and then. Each entry takes a place from the event's lowest-priced ticket type that is on sale and not hidden, or from a members-only ticket type when the tier has one.

## Events that check age or ID

When an event asks buyers for their date of birth or checks their photo ID, a member reserving a free place is asked for the same thing first. The member enters their date of birth, or photographs their ID and themselves, and gets their ticket once they pass. A member who doesn't meet the event's age limit, or doesn't pass the ID check, gets no free place, the same as a buyer. A member who already passed an ID check on Ticket Fairy isn't asked again. When an event checks the age of everyone with a ticket, free entry covers the main member only, without guests or other people on a household membership, who get tickets from the event page.

## Membership cards at the door

Your door team scans the card in Entry Fairy the same way they scan a ticket. A card needs the scanning phone to be online, because the scan checks the membership there and then; a reserved ticket scans offline. When a card is refused, Entry Fairy shows the reason, such as "This membership has ended." or "This event is not included in this membership tier." Every scan of a member's card or ticket shows their member number, tier and door perks, such as priority entry or early entry.

7. ## Check a member's entries

On the **Members** tab, select the member and check **Event entries** for each event they reserved or came to.

**Note:** To reserve a place for the member yourself, select **Reserve free entry**. Member entries also show on the event's attendee list and check-in report, as tickets with a price of 0.

## Or have it done for you

Fai, your AI teammate, can check sales, update your event or change a ticket when you ask.

Fai can add free entry to a tier with the events, visit limit and guests you choose, reserve a place at an event for a member, and cancel a member's reservation. She asks before each change.

### In your dashboard, with Fai

```
Give the Inner Circle tier of <BRAND NAME> free entry to every event, two visits a month and one guest per visit, and show me the change before you save it
```

## Questions you might have

**Does a member's free entry use up my capacity?**

Yes. Each entry takes a place from a ticket type on the event, so it counts against that ticket type's stock and the event's capacity like any ticket. When those places are gone, the member sees that the event is sold out.

**Can members get in if the scanner has no signal?**

A member who reserved ahead has a normal ticket, which scans offline. Scanning the membership card itself needs the phone to be online, so ask members to reserve ahead for venues with a weak signal.

**What happens when a member reaches their visit limit?**

They can't reserve or scan in again until their next billing period starts. They can still buy a ticket in the usual way.

**Can members get in free to an event that checks age or ID?**

Yes. Members pass the same date of birth or ID check as everyone buying a ticket, before they get their free place. Ask members to reserve ahead for those events: a member who scans their card at your door without passing the check is asked to reserve on their membership page first or buy a ticket.

**Can a member share their card with a friend?**

The card lets in one person. A household tier gives each person their own card with their own visits, and a member who loses their card can get a new one, which stops the old one working at once.

**Can a member cancel a reservation?**

Yes, from their membership page until the event starts, and the place goes back on sale. You can cancel one yourself with **Cancel entry** under **Event entries** on the member's page. A reservation that has already been scanned stays.

**Can a member resell or transfer a free member ticket?**

No. A member ticket carries no price, so resale, gifting and transfers are off for it. The member cancels the reservation instead.

**Do members get in free during a free trial?**

Not by default. On a tier with a free trial, turn on **Free entry during the trial** under **More options**. Otherwise, free entry starts on the day of the first payment.

**Does Ticket Fairy charge a fee on member entries?**

No. A member's free entry carries no fee and stays out of your ticket sales and payouts.
