# Let people apply to promote your event and choose who joins your team

Festival promoters, club nights and touring shows sell more tickets when people with their own following share the event. Applications bring you promoters you have not met yet, and you decide who joins after reading about their audience and how they plan to sell.

Add an Apply to promote section to your event page, choose the questions applicants answer, and read each application with Fai's suggestion beside it. The people you approve join your team as promoters with their own link to sell tickets to your event.

## Before you start

- You need an owner or admin login for the event or the brand. If **Applications** isn't on your **Team** page, ask the brand's owner to make you an admin.

1. ## Open Applications on your event's Team page

   Open your event, select **Team**, then select **Applications**. Until you turn applications on, the tab says "You are not taking applications yet".

   **Note:** To set up every event under your brand at once, open **Team** on your brand and select **Applications** there.

## When to set it up on your brand

Settings you save on your brand's **Applications** tab are the default for every event under the brand, including events you create later. Settings you save on one event apply to that event only, and it keeps them when you change the brand's. Set up the brand when most of your events take promoters on the same terms, and an event when one night needs its own questions or its own introduction.

2. ## Open the application settings

   Select **Choose the questions first**. On an event, the panel says whether the event uses your brand's settings or settings of its own.

   **Tip:** **Start taking applications** turns applications on straight away with the questions as they are, and you can open **Settings** to change them later.

3. ## Turn on Take applications

   Turn on **Take applications**. While it's on and the event hasn't ended, your event page shows an Apply to promote section.

   **Note:** The section isn't shown where your event is embedded on another website.
4. ## Enter an introduction

   Optional: Enter an **Introduction** that applicants read above the questions, such as what promoters earn and what you expect from them.

   **Note:** It can be up to 1,000 characters. Without one, applicants read a short message that names your brand and says approved promoters get their own link.
5. ## Choose how each question is asked

   Under **Questions**, choose how applicants meet each question.

   - **Required**: Applicants can't send the application without an answer. On social profiles it means at least one link or username.
   - **Optional**: Applicants see the question marked as optional and can leave it empty.
   - **Hidden**: Applicants never see the question.
   **Note:** Applicants never type their name or email address. Both come from the Ticket Fairy account they apply with.

## The standard questions

Eight questions are ready to use. **Social profiles**, **City and country** and **How they will promote** start as required. **Total followers**, **Mobile number**, **Promotion experience**, **Tickets they expect to sell** and **Promoter group or company** start as optional. Social profiles take a link or username for Instagram, TikTok, X, Facebook, YouTube and one other site, and followers and expected sales take whole numbers.

6. ## Add your own questions

   Optional: Under **Your own questions**, select **Add a question**, enter the question, then choose the type of answer.

   - **Short answer**: An answer on one line, such as the name of a club night they run.
   - **Long answer**: An answer over several lines, such as the venues they have filled before.
   - **Yes or no**: Applicants choose Yes or No, such as whether they can hand out flyers on the night.
   **Note:** Turn on **Required** beside a question that every applicant must answer. You can add up to 10 questions of 200 characters each, and **Remove** takes one off the form.
7. ## Choose how you hear about new applications

   Under **Emails about new applications**, choose how often we email you.

   - **An email for each one**: Each owner and admin of the event gets an email as each application arrives. This is the setting you start with.
   - **One summary a day**: Each owner and admin gets one email a day that counts the new applications for each event they manage.
   **Note:** New applications also appear in your dashboard notifications, whichever you choose.
8. ## Save the settings

   Select **Save settings**. You see "Settings saved", and **Copy apply link** appears at the top of the tab.

   **Note:** If a teammate changed the settings while you were editing, choose **Load their version** or **Save mine anyway**.
9. ## Check the Apply to promote section on your event page

   Open your event page and find the Apply to promote section. Its button opens the apply page, which asks applicants to sign in before it shows your questions.

## An applicant's side of it

An applicant signs in to Ticket Fairy, or creates an account, before the form opens, and the form names the account they are applying as. After they send it, the apply page says their application is with you, and they can change their answers until you decide. Once you decide, the same page shows your decision, and an approved promoter gets a button to open their promoter dashboard.

**Note:** On a password-protected event, a visitor who has not entered the password goes back to the event page first.

10. ## Share your apply link

    Optional: Select **Copy apply link** and paste the link wherever you look for promoters, such as your social posts or an email to your regulars.
11. ## Read the applications waiting for you

    Under **Waiting for review**, read each person's location, followers, expected sales and **Fai's suggestion**. A number beside **Applications** counts the applications waiting for you.

    **Note:** On your brand's Team page the list covers every event, and the **Event** filter shows one event's applications.

## Fai's suggestion

Fai reads each application when it arrives and gives a one-line summary with her reasons. Her suggestion is **Fai suggests approving**, **Fai suggests a closer look** or **Fai suggests declining**, and it changes nothing. An application stays waiting until you approve or decline it, and the applicant never sees what Fai suggested. When she suggests a closer look, she also drafts a request for more information, which you check before anything is sent.

12. ## Open an application

    Select a person's row. Their application opens with every answer, Fai's suggestion and the **History** of every change.

## When to approve for all your events

Approving for **This event** makes the person a promoter of this event only, which suits someone you are trying out. **All your events** makes them a promoter of every event under your brand, including events you create later, which suits someone you want across your program. You see the choice with an owner or admin login for the brand; with an event login, approval covers this event.

13. ## Choose the events they promote

    Under **Approve for**, keep **This event** or choose **All your events**.
14. ## Add a note to the email

    Optional: Enter a note under **Add a note to the email (optional)**, such as when their promoter pack arrives.

    **Note:** The note can be up to 1,000 characters. Turn off **Email this person about your decision** to decide without emailing them.
15. ## Approve or decline the application

    Select **Approve** or **Decline**. Declining asks you to confirm first, and then the application moves to **Approved** or **Declined**.

    **Note:** Approving adds the person to your team as a promoter with their own promoter link. Someone who already has a role on your team keeps it, and the application still counts as approved.

## The email the applicant gets

If you approve, the email says they are an official promoter for this event or for all your events, gives them their promoter link and a button to open their promoter dashboard. If you decline, it thanks them for applying and says you decided not to add them this time. Your note appears in either email under a line that names your brand, and the applicant also sees your decision in their Ticket Fairy notifications.

16. ## Check that the promoter joined your team

    Select **Team** at the top of the page. The person you approved is on the list with the **Promoter** role.

## Ask an applicant for more information

1. ### When to ask for more information

   Ask when an application is missing something you need to decide, such as the events they promoted before or how many tickets they expect to sell, or when Fai suggests a closer look. The person gets your note by email, updates their application, and it comes back to you to approve or decline.
2. ### Open the application and select Ask for more information

   Under **Waiting for review**, select the person's row, then select **Ask for more information**.

   **Note:** Only applications waiting for review offer it.
3. ### Enter your note

   Under **Your note to them (required)**, enter what you would like to know, such as which nights they promoted before and how many tickets they sold.

   **Note:** The note can be up to 1,000 characters. When Fai suggested a closer look, the dialog opens with her draft note and questions and says "Fai drafted this request. Check it and change anything you need before you send it."

4. ### Tick the questions they must answer

   Optional: Under **Questions they must answer (optional)**, tick each question you want the person to answer again.

   **Note:** The list has the standard questions and your own questions. A ticked question is marked as requested on their application and must be answered, even a question your form hides.
5. ### Send the request

   Select **Send request**. You see "Request sent. We emailed them your note.", and the application moves to **Asked for more**.

   **Note:** A request always emails the person, and the application's **History** records who asked, when, and the note. Without a note, you see "Enter a note so they know what you need."
6. ### What the applicant sees

   The email and their Ticket Fairy notifications say you would like more information, with your note, the questions you ticked and a button to open their application. Their apply page shows your note above the form with their answers filled in, and the questions you ticked are marked "Requested". If they have not answered 3 days after your request, we email them one reminder that you are waiting for their answers, and no more after that.
7. ### Check who you are waiting for

   Select **Asked for more**. Each row shows the date you asked under **Asked**, and opening one shows **You asked for more information** with your note, the questions and who asked.
8. ### Review the updated answers

   When the person sends their answers, the application comes back to **Waiting for review** marked **Updated**, and you hear about it the way you chose for new applications. Open it to read **They answered your request** above their new answers, then approve or decline it.

   **Note:** Fai reads the new answers and updates her suggestion.
9. ### Decide without waiting

   You can approve or decline an application under **Asked for more** at any time, without waiting for the answers. Its decision section says "You do not have to wait. You can approve or decline now.", and **Approve** and **Decline** work as they do for any waiting application.

Fai can ask one person, or up to 100 at once, for more information with your note and the questions they must answer, starting from her own draft when she suggested a closer look. She shows you who she will ask, the note and the questions, and asks you to approve it first.

### In your dashboard, with Fai

Ask \<APPLICANT NAME\>, who applied to promote \<EVENT NAME\>, which events they promoted before and how many tickets they sold, and show me the request before you send it

## Approve someone you declined

1. ### Open the declined application

   On the **Applications** tab, select **Declined**, then select the person's row.
2. ### Approve the application

   Choose the events under **Approve for**, then select **Approve**. They join your team as a promoter and get the approval email.

   **Note:** A declined application offers only **Approve**, and its **History** keeps the earlier decline.

Fai can find a declined application and approve it for one event or all your events, after showing you who it is and asking you to confirm.

Find \<APPLICANT NAME\> in the declined promoter applications for \<EVENT NAME\> and approve them for this event, and ask me before you do

## Approve or decline several applications at once

1. ### Tick the applications

   Under **Waiting for review**, tick each application you have decided on.

   **Note:** You can decide up to 100 applications at a time.
2. ### Select Approve, Decline or Ask for more information

   Select **Approve**, **Decline** or **Ask for more information** above the list.

   **Note:** Asking several people sends each of them the same note and questions. When the ticked applications are for different events, the dialog lists only the standard questions.
3. ### Confirm the decision

   Check the choices in the dialog, then select the button at its foot, which shows how many applications you are deciding.

   **Note:** The dialog offers the same **Approve for** choice and note as one application, and **Email these people about your decision** starts turned on.

Fai can approve, decline or ask for more information on up to 100 applications in one go, such as every person she suggests approving, and shows you the list to confirm before anything changes.

Approve every promoter application for \<EVENT NAME\> that you suggest approving, and show me the list before you do

## Stop taking applications

1. ### Turn off Take applications

   Select **Settings**, turn off **Take applications**, then select **Save settings**.

   **Note:** The Apply to promote section leaves your event page, and everyone who already applied stays in your list for you to decide on.

## Put an event back on your brand's settings

1. ### Select Use brand settings

   On the event's **Applications** tab, select **Settings**, then **Use brand settings**.

   **Note:** The event then follows your brand's settings, and changes you make on the brand reach it.

Make \<EVENT NAME\> use our brand's promoter application settings again

## Questions you might have

How is this different from the Invite Promoters link?:  Anyone who opens the link from **Invite Promoters** joins your team as a promoter straight away, with no questions and no approval, which suits a group you already trust. Applications start from your event page, ask your questions and wait for you to approve each person. You can use both, and the link works as it always has.

Do applicants need a Ticket Fairy account?:  Yes. The apply page asks them to sign in, or to create an account, before it shows your questions. Their name and email address come from that account, so an approved promoter signs in with it to see their sales.

Can an applicant change their answers?:  Yes, until you decide. They open the apply page again and select Change your answers, and the **History** in their application records each change. Once you approve or decline them, their answers stay as they were.

What happens to applications if I change the questions?:  Answers already sent stay under each question as the applicant saw it, even one you rename or remove. Someone filling in the form at that moment sees your new questions with what they had entered and sends it again.

Fai says she could not read an application. What do I do?:  Open the application and select **Ask Fai again**. Her suggestion appears in a minute or two, and you can approve or decline the person without it.

Why can't I choose All your events?:  You need an owner or admin login for the brand to approve someone for every event. With a login for one event, approve them for **This event**, or ask the brand's owner to approve them for all your events.

Why does an application say it changed after I opened it?:  Someone on your team decided it, or the applicant changed their answers or answered your request, after you opened it, so your decision was not saved. You see "This application changed after you opened it. Check it and decide again.", and the application shows where it stands now.

Can I ask the same person for more information again?:  Yes, once they have answered. While the application is under **Asked for more** you can approve or decline it, but not send another request. When their answers bring it back to **Waiting for review**, select **Ask for more information** again. The application shows your latest request, and its **History** keeps every one.

Can I take back an approval?:  An approved application stays approved. To take the person off your team, select **Team** and remove them there, as you would any team member.

When does the Apply to promote section leave my event page?:  When you turn off **Take applications**, and when the event ends. Anyone who opens the apply link after that sees "This event is not taking promoter applications at the moment."

Who on my team can review applications?:  You can review applications with an owner or admin login for the event or for the brand, and Ticket Fairy's support team can open them when they help you. Other roles on your team see the Team page without the **Applications** tab.
