# Let the Social Assistant draft your event posts and replies

Promoters running several events at once lose ticket sales to the post nobody had time to draft and the question nobody answered. The Social Assistant prepares that work for every event you publish, from the announcement to the thank-you, so your team decides rather than drafts. Nothing goes public until your team approves it, apart from the jobs you let it do on its own.

The Social Assistant watches your events, ticket sales and fan comments, and drafts the next social post for each event, answers to ticket buyers' questions and messages to fans who have not bought yet. It hides ticket scams in your comments, and your team approves, edits or dismisses everything else in one list.

For: Running the social accounts that promote your events

Takes: 10 minutes

## Before you start

- You're an owner, admin, support or curator of the brand. Owners and admins also choose what the assistant does on its own.
- Your Instagram account or Facebook Page is connected to the brand, and the events you want posts for are published.

1. ## Open the Assistant under Social

Open your brand, select **Social** and then **Assistant**. **Ready for you** lists the drafts waiting for a decision, the most urgent first.

**Note:** Each card says what the draft is, the event and account it is for, and why the assistant suggests it. **Check this one carefully** marks a draft the assistant is less sure of.
![Ticket Fairy Social Assistant Ready for you list with a last-chance event post, a reply to a fan's question, a scam comment to hide and a message to fans who asked about tickets](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--ready-for-you.png) Ready for you, with one draft of each kind.

## Jobs the assistant runs for you

The assistant runs these jobs for your brand, each on its own schedule. Each job either drafts for your approval or, where you allow it, acts on its own and lists what it did under Done.

- **Event posts**: Every hour, it checks your published events in the next 60 days and drafts the post each one is due: the announcement, the on-sale reminder, low tickets, a ticket type or the whole event selling out, the last chance, the event day and the thank-you. The draft uses your brand voice, the event's details and how many tickets are left.
- **Replies to questions**: Every 15 minutes, it drafts answers to fans' questions from the last 7 days in comments, direct messages and mentions, using your event details and FAQs. When your details don't answer a question, it drafts nothing and leaves the question to your team.
- **Scam guard**: Within about a minute of a comment arriving, it checks for ticket scams and touts, such as an offer to sell tickets by direct message. It hides a comment it is sure about and never deletes one.
- **Fan follow-up**: Every day at 09:47 UTC, it looks for fans who asked about tickets under your posts in the last 7 days and haven't bought, for events in the next 45 days. When at least 5 of them asked on one account, it drafts a message to them with the event's ticket link.
- **Weekly summary**: Every Monday at 08:05 UTC, it emails owners and admins what the assistant did, what waits for approval and the event posts due in the week ahead. The same summary appears in their dashboard notifications.

## Roles and the drafts they decide

You can open the Assistant page as an owner, admin, support or curator. You can approve or dismiss posts and fan messages as an owner, admin or curator, and auto-replies as an owner or admin. You can decide replies and comments to hide as an owner, admin, support or curator, and replies to direct messages need an owner, admin or support role. You can change Settings as an owner or admin.

**Note:** A card you cannot decide shows no buttons. If you're a curator, a post you approve on an account that asks for approval waits in Content for an owner or admin.

2. ## Approve a draft as it is

Select the approve button on the card.

   - **Approve**: On a post, the post goes into your posting queue at the time on the card. On a fan message, a draft waits in Fan messages, and nothing is sent until you launch it there.
   - **Approve and send**: On a reply, the reply is sent to the fan.
   - **Hide comment**: On a comment marked **Possible scam**, the comment is hidden from everyone but its author.
   - **Approve and turn on**: On an **Auto-reply**, such as sending the ticket link to fans who comment TICKETS, it is set up and switched on at once.
**Note:** A message on a card shows what a fan gets, with an example fan's name and your event filled in.
3. ## Open a draft to change it

Select **Edit** on a post or a reply.

**Note:** A post opens with its caption, image or video, date, time and accounts. A reply opens with its words.
![Ticket Fairy Social Assistant post draft open for editing, with its caption, event image, date and time in the event's time zone and the accounts it posts to](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--edit-draft.png) A post draft open for editing.
4. ## Change the draft and approve it

Change the words, the image, the time or the accounts, then select **Approve with changes**.

**Note:** The date and time are on the event's own clock, and the line under them names its time zone. On a reply, the button reads **Approve and send**.
**Tip:** **Replace** swaps the image or video for one you upload, and **Remove** takes it off.
5. ## Add an image to an Instagram post

If a post card says **Needs an image**, select **Add an image** and upload a photo or video.

**Note:** Instagram posts need an image or video, so Approve stays greyed out until the post has one.
![Ticket Fairy Social Assistant announcement post for Instagram marked Needs an image, with Approve greyed out and Add an image offered](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--needs-image.png) An Instagram post that needs an image before it can be approved.
6. ## Dismiss a draft you don't want

Select **Dismiss** on the card, then **Dismiss** in the confirmation.

**Note:** The assistant won't suggest that draft again, and you can still do it yourself at any time. The reason you enter is optional.
![Ticket Fairy confirmation before dismissing a Social Assistant suggestion, with an optional reason](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--dismiss.png) The Dismiss confirmation.
7. ## Select several drafts at once

Select **Select all shown**, or the box on each card, then select Approve selected or Dismiss selected above the list.

**Note:** You can select up to 50 drafts at a time. A post that still needs an image is left out of Approve selected.
![Ticket Fairy Approve the selected suggestions? confirmation over the Social Assistant list, saying posts go to the publishing queue, replies are sent and comments are hidden](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--approve-selected.png) The confirmation Approve selected opens.
8. ## Confirm the approval

   Select **Approve** in the confirmation.

**Note:** Each draft reports its own result, so one that cannot be completed never holds up the rest. The ones left over stay in Ready for you, and Done lists the reason.
9. ## Check what happened in Done

Select **Done** to see what happened to each suggestion, who decided it and when.

**Note:** **Hidden automatically** marks a comment the scam guard hid on its own, and **No longer needed** a draft whose moment passed.
**Tip:** **Show what was sent** on a reply opens the fan's message and the reply that was sent, beside **Open conversation**. **Open in Queue** on an approved post opens it in your posting queue.
![Ticket Fairy Social Assistant Done list with a comment hidden automatically and its Undo, an approved post, a reply sent automatically and a dismissed draft](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--done.png) Done, with who decided each suggestion and when.
10. ## Undo a comment the assistant hid

If a hidden comment was fine, select **Undo** beside it, then **Show it again**.

**Note:** Everyone can see the comment on your post again. Done keeps both the hide and the undo, with who did each.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

## Or have it done for you

Fai, the assistant inside your dashboard, lists what the Social Assistant has ready and explains why it suggested each draft. She approves a draft as it is or with your changes to the words, the time or the accounts, dismisses one, undoes a comment the assistant hid, and says what happened to any suggestion. She also approves every draft for one event in one go, after telling you the counts by kind and the drafts she leaves for you. She asks before every change, and a new image is added on the Assistant page.

## Approve every draft for one event

1. ### Show one event's drafts

Choose the event in the event filter above **Ready for you**.

**Note:** **Review drafts** beside an event on Social Home opens the list already narrowed to it.
2. ### Start Approve all

Select the Approve all button above the list, which names your event.

**Note:** The confirmation counts what it approves by kind and says which posts go out as soon as they are approved. It lists the drafts it leaves for you to check, such as a post that still needs an image or one another role has to approve.
![Ticket Fairy Approve all confirmation for one event over the Social Assistant list, counting a post, a reply, a comment to hide, a fan message and an auto-reply, with an event-day post left for an image](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--approve-all.png) Approve all for one event, and its confirmation.
3. ### Confirm it

Select the approve button in the confirmation, which counts the drafts.

**Note:** A line above the list counts the drafts as they are approved, and **Stop** finishes the batch in progress and approves no more. A draft a teammate decided first is left as they decided it.

Fai approves every draft waiting for one event, 50 at a time, after telling you the counts by kind, the posts that go out at once and the drafts she leaves for you. She asks before she approves them.

### In your dashboard, with Fai

Approve everything the social assistant has ready for \<EVENT NAME\>

## Delete a reply the assistant posted

Select **Delete reply** beside the reply in **Done**, then **Delete reply** in the confirmation.

**Note:** The reply goes from the post for everyone, and the fan's comment stays. You can delete a public reply to a comment on an account whose comments you can moderate.

**Warning:** A deleted reply can't be brought back.

Delete the reply on the Done list of the Assistant page.

## Choose what the assistant does on its own

1. ### Open Settings

Select **Settings** on the Assistant page.

**Note:** Owners and admins change these settings. Everyone else sees the same choices without the controls.
![Ticket Fairy Social Assistant Settings with each job at its default: event posts, replies, fan follow-up and the weekly summary asking first or on, and the scam guard hiding scam comments automatically](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--settings.png) Settings, with every job at its default.
2. ### When to let a job act on its own

Do it automatically is offered for two jobs, and each still holds back what it is unsure of. Replies to questions sends a reply on its own only when your event details fully support it, the assistant is confident, and the reply is a public answer to a comment or a direct message inside the fan's 24-hour reply window; every other reply waits in Ready for you. Scam guard hides only the comments it is sure about, and the rest wait for a decision. Neither job ever acts on comments from your own accounts or from your team.
3. ### Choose a mode for each job

Choose a mode beside each job.

   - **Off**: The job stops, and nothing new appears from it.
   - **Ask me first**: The job drafts, and nothing happens until someone on your team approves the draft.
   - **Do it automatically**: The job acts on its own and lists what it did under Done. Only Replies to questions and Scam guard offer it.
**Note:** Every job starts on Ask me first, apart from Scam guard, which starts on Do it automatically, and Weekly summary, which starts **On**.
4. ### Save the settings

   Select **Save**.

**Note:** If a teammate saved first, the page shows their choices instead of yours. Check them and save again.

Fai reads what each job is set to and changes a job's mode for an owner or admin. She asks before she saves.

### In your dashboard, with Fai

Set the social assistant to answer questions automatically but keep asking me first about event posts

## Ask the assistant to check your events now

1. ### Start a check

When Ready for you is empty, select **Check now**.

**Note:** The assistant looks for event posts to draft straight away, and new drafts appear in a few minutes. The list under Next up shows the posts it drafts next, and when.
![Ticket Fairy Social Assistant with nothing waiting, listing the next event posts it drafts and when, with Check now](https://www.ticketfairy.com/embeds/posters/marketing-social-assistant--next-up.png) Nothing waiting, and the posts the assistant drafts next.

Fai starts a check for event posts, replies, the scam guard or fan follow-up, and asks before she starts it.

### In your dashboard, with Fai

Ask the social assistant to check our events for new posts now

## Review the drafts from Social Home

1. ### Open Social Home

   Select **Social** and then **Home**.

**Note:** The Assistant section shows how many drafts are waiting and the three most urgent, each with Approve and Dismiss. **See all** opens Ready for you.
![Ticket Fairy Social Home Assistant section with the three most urgent drafts waiting, each with Approve and Dismiss](https://www.ticketfairy.com/embeds/posters/marketing-social-home--assistant-panel.png) The Assistant section of Social Home.
2. ### Review one event's drafts

Select **Review drafts** beside an event under **Upcoming events**.

**Note:** Ready for you opens with that event's drafts only. The line starting with Next under each event names the post the assistant drafts next for it, and when.
![Ticket Fairy Social Home Upcoming events, with the posts planned and published, drafts waiting, tickets sold from social and the next post the assistant drafts for each event](https://www.ticketfairy.com/embeds/posters/marketing-social-home--upcoming-events.png) Upcoming events on Social Home.

Fai lists your upcoming events with the drafts waiting for each one and the next post the assistant drafts.

## Questions you might have

Does anything go public without our approval?: Only what a job set to Do it automatically does. Out of the box that is the scam guard, which hides scam comments and never deletes them. Every post, reply and fan message waits for someone on your team until you change that in Settings.

Why hasn't the assistant drafted a post for my event?: It drafts for published events starting in the next 60 days, and only when one of the stages is due, such as the on-sale reminder in the 48 hours before tickets go on sale or the last chance 1 to 3 days before the event. It skips a stage when you already have a post with the same goal planned or published for it, when a teammate dismissed that draft before, or when there is no time left to post before the moment passes. It drafts up to 10 posts a check, and the rest come the next hour.

What time does the assistant suggest for a post?: Usually 18:00 on the event's own clock, at least an hour ahead. The event-day post is suggested for 10:00 on the day, the thank-you for 11:00 the next morning, and a last-chance post at least 24 hours before the start. When every account on the post has saved posting times, it uses the free posting time nearest to that, within 3 hours.

Which accounts does an event post go to?: The accounts you set up for that event, its venue or its event series come first. Without one, the post goes to your brand-wide accounts. Select Edit to change them before you approve.

Why did a draft leave Ready for you without anyone deciding it?: Its moment passed: a teammate answered the question first, the private reply window closed, or the event started. Done lists it as **No longer needed**.

Two of us approved the same draft. What happened?: The first decision counts. The second person sees "Someone on your team already handled this." and the card shows the draft as it is now.

Why does Check now say to try again?: A check ran for your brand in the last couple of minutes, and the message says "Event posts started a moment ago. Try again in a couple of minutes." New drafts from that check appear in a few minutes.

The Assistant page says it isn't available. What now?: "The assistant isn't available for this brand yet" means the assistant is turned off for your brand. Contact Ticket Fairy support to turn it on.

Does the scam guard check comments from our own team?: No. Comments from your connected accounts and from people on your brand's team are never checked, hidden or suggested for hiding.

How many drafts can Approve all approve at once?: Up to 500 for the event. The confirmation says when more are waiting, and you run it again afterwards to approve the rest.

What does approving a fan message do?: It saves a draft message to the fans in Fan messages, with the event's ticket link. Nothing is sent until you open it there and launch it.
