# Make statements of what you owe your promoters

Promoters and street teams stay keen when they are paid on time and can see how the figure was reached. Ticket Fairy adds up the commission each promoter earned on your finished events and puts it on a statement, so you and your promoters agree the amount from the same record.

Takes:  10 minutes

- [Open Commission on your brand's Team page](#step-1)
- [Select Payouts](#step-2)
- [Commission ready to pay](#step-3)
- [Select Events](#step-4)
- [Mark the event ready to pay promoters](#step-5)
- [Select People](#step-6)
- [Select Create statement](#step-7)
- [Choose the currency and the events](#step-8)
- [Create the statements](#step-9)
- [Check the statement](#step-10)

## Before you start

- You need an owner or admin role on the brand to make or cancel statements. An owner or admin of one event can mark that event ready to pay promoters.
- You need an owner role on the brand to approve a promoter's bank details. If you're an admin, ask an owner of the brand to do that part.
- You have set commission for your promoters, and they have sold tickets with it.

1. ## Open Commission on your brand's Team page

   Open your brand, select **Team**, then select **Commission**.

   ![Commission tab with the default commission, three commission structures and five promoters with what they have earned](https://www.ticketfairy.com/embeds/posters/features-promoter-commission--commission-tab.png)
   *Brand, Team, Commission.*
2. ## Select Payouts

   Select **Payouts** at the top of the tab. The page opens on **People**, with what you owe each promoter.

   ![Payouts page on People, with what each promoter is ready to be paid, waiting for sign-off, waiting for approval and paid, and their billing and bank details](https://www.ticketfairy.com/embeds/posters/features-promoter-commission-statements--people.png)
   *Brand, Team, Commission, Payouts.*

## Commission ready to pay

Commission from an event goes on a statement only after someone marks the event ready to pay promoters. Until then a promoter's commission shows under **Waiting for sign-off**, and once the event is ready it shows under **Ready to pay**.

3. ## Select Events

   Select **Events** to see each event where your promoters earned commission, then select an event whose sales and refunds are final, or select **Open** in its row menu.

   **Note:** An event's own **Team** page has a **Paying promoters** section on its **Commission** tab, with a **Ready to pay promoters** button for the same window.

   ![Payouts page on Events, with each event marked ready to pay promoters or not ready yet](https://www.ticketfairy.com/embeds/posters/features-promoter-commission-statements--events.png)
   *Payouts, Events.*
4. ## Mark the event ready to pay promoters

   Check the amount under **Commission ready to go on statements**, then select **Mark ready to pay promoters**.

   **Note:** If the event hasn't ended yet, tick **Mark it ready now, before the event ends** first. The window also warns you while some ticket refunds for the event are still waiting to be processed.

   ![The Ready to pay promoters window for an event that has not ended, with the commission ready to go on statements and the Mark it ready now tick box](https://www.ticketfairy.com/embeds/posters/features-promoter-commission-statements--sign-off-before-the-end.png)
   *Payouts, Events, one event.*
5. ## Select People

   Select **People** and, under **Show**, choose **Ready to pay**.
6. ## Select Create statement

   Open the row menu beside a promoter and select **Create statement**. To make several at once, tick each promoter and select **Create statements**.

   **Note:** You can make statements for up to 100 people at a time.
7. ## Choose the currency and the events

   Under **Currency**, keep **Every currency they earned in** or choose one. Under **Events**, keep **All events marked ready to pay promoters** or choose **Only some events**.

   **Note:** Each statement holds one promoter's commission in one currency, so a promoter who earned in pounds and euros gets two. You can choose up to 50 events.
8. ## Create the statements

   Select **Create statements**. The window lists each statement it made and names anyone it made no statement for, with the reason.

   **Note:** You can close the window while a large batch is still being made. The new statements appear on **Payouts** when they are ready.
9. ## Check the statement

   Select **Statements** and open a statement. It shows the **Commission**, **Events on this statement** with what each one earned and took back, and **What happened**.

   **Note:** A new statement shows **Waiting for approval**. Its **Total to pay** and its VAT or GST are worked out when it is approved, so until then it shows **VAT or GST if approved now**.
   **Warning:** After you pay a promoter from Vault, keep their statement as it is. Canceling it puts the commission back under **Ready to pay**, where the next statement picks it up again and you could pay it twice.

## Or have it done for you

Fai, the assistant inside your dashboard, can mark an event ready to pay promoters or undo it, make statements for one promoter, up to 100 at once or everyone with commission ready, cancel a statement waiting for approval, and approve or reject a promoter's bank details if you're a brand owner. She shows you each change and asks you to approve it first. When Vault asks you to confirm it's you, she sends you to the dashboard to finish. The command line and MCP have no promoter payout commands.

### In your dashboard, with Fai

```
Mark <EVENT NAME> ready to pay promoters, then make statements for every promoter with commission ready to pay and show me who they cover before you make them
```

## Approve a promoter's bank details

A promoter enters one bank account for each currency they are paid in, under **Payout details** on **My commission**. Their bank details go to the brands that have Vault, and a brand owner approves them before you pay the promoter.

1. ### Open Bank details from promoters

   On **Payouts**, select **Bank details from promoters**. The page opens on **Waiting for approval**.

   **Note:** New and changed bank details can be approved 24 hours after they arrive, and the list says from when. You can't approve your own bank details, so another owner of the brand approves those.

   ![Bank details from promoters, with bank details waiting for approval, one in its security wait, and Approve and Reject on each row](https://www.ticketfairy.com/embeds/posters/features-promoter-commission-payouts--bank-details.png)
   *Payouts, Bank details from promoters.*
2. ### Approve the bank details

   Select **Approve** beside the promoter, then **Approve** again in the window.

   **Note:** Vault asks you to confirm it's you before it saves the approval. The promoter gets an email and a notice in Ticket Fairy when you approve.
3. ### Reject bank details that look wrong

   Select **Reject** beside the promoter, enter a reason of at least 10 characters, then select **Reject**.

   **Note:** The promoter sees your reason on their **Payout details** page and can change their bank details.

Fai can approve or reject a promoter's bank details for a brand owner, after the 24-hour wait, and asks you to approve each decision. She never shows the full bank details. When Vault asks you to confirm it's you, she sends you to the dashboard to finish.

### In your dashboard, with Fai

```
Show me the promoter bank details waiting for approval on <BRAND NAME> and approve <PROMOTER NAME>'s
```

## Cancel a statement

Cancel a statement while it is waiting for approval, such as when you're paying one event separately. Its commission goes back to ready to pay, so you can put it on a new statement.

1. ### Select Cancel statement

   Open the statement and select **Cancel statement**.

   **Warning:** Don't cancel a statement you have already paid. Its commission goes back under **Ready to pay** and the next statement would ask you to pay it again.
2. ### Confirm the cancellation

   Optional: Enter a reason of at least 10 characters, then select **Cancel statement**.

   **Note:** Your team sees the reason in the statement's history. **Keep statement** closes the window without canceling.

Fai can cancel a statement that is waiting for approval and asks you to confirm first.

### In your dashboard, with Fai

```
Cancel <PROMOTER NAME>'s statement waiting for approval on <BRAND NAME>
```

## Undo ready to pay on an event

Undo it when sales or refunds on an event turn out not to be final. Commission from the event then stops going on new statements until someone marks it ready again.

1. ### Enter the reason

   Open the event's **Ready to pay promoters** window and enter a **Reason** of at least 10 characters.

   **Note:** If statements waiting for approval hold commission from the event, tick **Cancel these statements when I undo**.
2. ### Select Undo ready to pay

   Select **Undo ready to pay**. The undo and its reason appear under **History**.

   **Note:** You can't undo once a statement with commission from the event is approved. Later changes then go on the next statement.

Fai can undo ready to pay on an event with your reason, and can cancel the statements waiting for approval that hold it. She asks you to approve first.

### In your dashboard, with Fai

```
Undo ready to pay promoters on <EVENT NAME> because refunds are still coming in
```

## Questions you might have

**How do I pay a statement?**

 Send a transfer from Vault to the promoter's approved bank details, as in [Pay your event suppliers from Vault](https://www.ticketfairy.com/guides/pay-suppliers-from-your-vault). The dashboard has no button to approve a statement or to record that you paid it, so the statement stays **Waiting for approval**. Keep it: canceling it puts the commission back under **Ready to pay**, and the next statement would ask you to pay it again. While it waits, Ticket Fairy makes no new statement for that promoter, and their new commission stays under **Ready to pay**.

**Why was no statement made for one of my promoters?**

 The Create statements window names the reason. The promoter may already have a statement waiting for approval, their new commission may come from events not yet marked ready to pay promoters, or their commission may come to zero or less after refunds.

**What happens to commission on a ticket refunded after the statement?**

 A statement never changes once it is made. The commission taken back goes on that promoter's next statement as a negative line.

**What if a promoter's commission comes to less than zero?**

 No statement is made, and the amount is taken off their next payment from your brand in the same currency. **People** shows it as taken off the next payment.

**Can an admin approve bank details?**

 No. Only a brand owner approves or rejects a promoter's bank details, and never their own. An admin can see the list and ask an owner to decide.

**Does the promoter see the statement?**

 Yes. Each promoter sees the statements you make for them under **My payouts** on **My commission**.

**Is there a charge for promoter payouts?**

 No. Statements and bank details approval are part of promoter commission, which every brand has on every plan.
