# Offer hotel and flight bookings on your event site

Visitors can book their stay and their journey from the event site they already use. You choose the search distance for hotels, the dates the searches suggest and the airports visitors fly into.

Let visitors book hotels and flights from your event site, suggest dates and arrival airports, and set your own markup when your plan includes it.

For: Offering travel bookings to visitors of your event site

Takes: 5 minutes

- [Open Travel bookings](#step-1)
- [Choose the bookings to offer](#step-2)
- [Suggest the search](#step-3)
- [Set your markup](#step-4)
- [Save your preferences](#step-5)

## Before you start

- You are an owner or administrator of the event, or have platform support access.
- Your event has an event site. Start one with [Build a website at your event's link](https://www.ticketfairy.com/guides/build-a-website-at-your-event-link).

1. ## Open Travel bookings

Open your event, select **Event site**, then **Settings** and find **Travel bookings**.
![Ticket Fairy event travel booking settings](https://www.ticketfairy.com/embeds/posters/event-travel-settings--offers.png) Event site, Settings, Travel bookings.
2. ## Choose the bookings to offer

Turn on **Offer hotel bookings**, **Offer flight bookings** or both.

**Note:** Activity bookings are not available, so **Offer activity bookings** cannot be turned on. If an offer is unavailable for your brand, the section says so and keeps your saved preferences.
3. ## Suggest the search

Select **More travel options** to set **Hotel search radius (km)** from 1 to 50, the suggested check-in, check-out, outbound and return dates, and up to five three-letter **Arrival airports** separated by commas.

**Note:** Hotel searches start within 10 km, and an empty suggested date uses the event's default. A check-out or return date must follow the corresponding arrival or outbound date.
4. ## Set your markup

Enter **Your hotel markup (%)** from 0 to 20 when your plan includes it, and choose a percentage or fixed amount for the flight fare, seats and baggage under the additional travel options. A percentage can be up to 20; a fixed amount uses the event's currency and the limit beside the field.
5. ## Save your preferences

Select **Save travel settings** and wait for **Your travel settings are saved.**.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

## Questions you might have

How can a guest reopen a booking on another device?: While checking out as a guest, select Email me a booking link to send a link to the saved booking contact. This is optional and keeps the current payment page open. Open the latest booking email and select Open your booking. You can see available documents, review current cancellation terms and explicitly confirm cancellation when available. For an unpaid booking, review the current total, select the price confirmation and continue to payment. Select Check payment and booking if you need to check an earlier payment attempt. An email link does not renew an expired hold. If access has expired, ask for a new email before continuing. If the link no longer works, select Send me a new link; the email goes to the saved booking contact. A new link replaces earlier links and lasts 30 days. To add these bookings to an account, sign in, open Your trips and select Find my guest bookings. Enter the code sent to your current account email. This does not change the original recipient of a signed-in team booking.

Where can I find my tickets and travel together?: Sign in to the account you used to book, open My Tickets and select Your trips. Open an event to see its ticket orders, room-block stays, hotels and flights. Hotels booked from a venue page appear separately when there is no event. Open a booking for current details or select Manage booking to continue in its booking page. For a team purchase, the original booker also needs current event access. Each section has its own Next page link when needed. Turning off new sales does not hide your purchases. For a guest booking, open the latest booking email and select Open your booking. You can view available documents and review cancellation terms before confirming. A new email replaces earlier links, and each link lasts 30 days. To add guest bookings to your account, open Your trips, select Find my guest bookings and prove your current email with the emailed code. Existing owned trips do not need this extra step.

How do I add hotel information to an event-site page?: Open the page in your event-site editor and add an Accommodation section. Enter a heading and introduction, choose whether to show event room blocks and nearby hotels, and select from 1 to 24 nearby hotels; the default is 12. Event room blocks use your existing accommodation offer and open ticket checkout. Nearby hotel information appears when it is available for your event venue. When hotel booking is enabled and available, visitors can search dates, rooms, nationality and currency on that page, then continue with their chosen room to review its held price and pay. Adding the section does not turn on hotel booking. Change or remove it in the editor and publish your changes to update the event site.

How do I give visitors arrival information?: Add a Getting there section to your event-site page. Enter an introduction and up to six airports, including each airport name, code, travel directions and notes. Add transfer information, entry requirements and arrival advice when needed. If you enter entry requirements, add the official source link before publishing so visitors can check it. You can save an incomplete draft. When flight bookings are available for your event and the visitor, Find flights opens a flight search in the section. Choosing a flight opens the event flight page with that same choice, where visitors enter traveler details and book. Choosing a result does not reserve or charge anything. The next question describes what visitors see when they search and book. Without scripts, Find flights opens the event flight page. Edit, reorder or remove airport rows in the same section and publish to update the public page.

What do visitors see when they search for and book a flight?: Visitors choose their departure airport, one of your event's arrival airports, dates, travelers, cabin and currency. The arrival airports show nearest first with their distance from the venue, and date buttons suggest the day before the event, the event day, the last day and the day after. Results open on the Best tab, and visitors can switch to Cheapest or Fastest. Where the flights differ, filters narrow the list by stops, airline, departure and arrival times, journey time, a checked bag, refundable fares, arriving before the event starts and leaving after it ends. Each flight shows whether it arrives before the event starts or after it, warnings such as a change of airport or an overnight connection, and the bags included. Select opens the full itinerary with up to four fare options, each with its bags, change and refund terms and price. After visitors enter traveler details, the price is held for a limited time and the page shows when the hold ends. Visitors then choose a seat for each traveler on each flight from the seat map and add extra bags, or skip this step. Seats and bags already added stay in the booking, and visitors can add more before they pay. The review shows the flights, taxes, seats and bags before payment. After the airline confirms, visitors see the airline booking reference and can add every flight to their calendar. If a visitor reopens a booking after starting payment, the page checks the payment, and I’ve already paid, check my payment checks it again.

Who receives the booking confirmation email?: The signed-in person who made the booking receives the confirmation email after the booking is confirmed. A different billing contact or traveler does not receive this email. Open the booking link in the email and sign in to that same account to see the latest details, even if new bookings have been turned off. For a team booking, you also need current access to the event. Cancellation and verified booking updates use the same recipient. A canceled booking does not mean that a refund has reached your bank account; the booking shows known amounts and whether the refund is still being confirmed.

Can I choose the currency I pay in?: Choose a currency before searching. Your browser remembers your choice; otherwise your local currency is preferred when available, followed by the event currency. Availability depends on the stay or flight. Review the actual currency and total when you hold the price and before payment. Changing the search currency does not convert an existing booking or its refund.

Where do visitors find the booking pages?: The published event-site home page shows Plan your visit with links to the bookings you have enabled and that are available for the event and visitor. Saving these preferences updates the links without republishing the site. Hotel searches use the event venue. Hotel and flight pages use your suggested dates. Turning an offer off removes its home-page link.

What happens to my markup when my plan changes?: Your saved markup stays. It applies only while your brand has markup access; otherwise bookings use zero organizer markup. You can still change other preferences. A request that also changes an unavailable markup will not save any of its changes.

What if someone else changes these settings?: Your changes stay in the form. Select **Reload their version** to read the saved version, then make your changes again and save. The page never silently overwrites a teammate's changes.

Why is my markup unavailable?: Your own markup needs the Pro plan. If your account is paused or website features are turned off for your brand, contact support to restart them. Saved preferences do not activate an unavailable booking service.

Can visitors book activities?: No. Activity bookings are not available, so **Offer activity bookings** cannot be turned on and your event site shows no activities to book. Saving travel settings does not make a booking or charge you.

How do I change or undo a preference later?: Open Travel bookings, change the fields and save again. Read the current values before making changes so your save includes the latest team preferences.
