# Reuse email, text and gift certificate templates across your events

A doors email, a thank-you and a last-call text go out for every event a promoter or venue runs. A template keeps that wording once so anyone on the team starts from it, and the look still comes from your brand's design.

Keep the words you send for every event as templates for emails, texts and the gift certificate email, start any message from one, and switch off, copy or change them as your team needs.

For: Teams who send the same kinds of message for every event

Takes: 6 minutes

- [Open Templates](#step-1)
- [Choose the kind of template](#step-2)
- [Start a message from a template](#step-3)
- [Save a message as a template](#step-4)
- [Change one of your templates](#step-5)

## Before you start

- You're an owner, an admin or a marketing team member of the brand, and the brand is verified. Messaging is part of every plan.

1. ## Open Templates

Go to your brand, select **Messaging**, then **Templates**. **Your templates** lists what your team saved, above the ready-made templates from Ticket Fairy.

**Note:** Choose **All events** or one event above the list to see the templates saved for that event first.

2. ## Choose the kind of template

Select the kind of template you want above the list.

   - **Emails**: The words and blocks of an email. The look comes from the design the email uses, so a template works with any design.
   - **Texts**: The words of a text message.
   - **Gift certificates**: The email a buyer gets with each gift certificate. The gift code and its link fill themselves in when it is sent.
3. ## Start a message from a template

Select **Use this** on an email or text template. A new draft opens in **Messages** with the template's words in it, ready to change and send.

**Note:** The draft is a copy, so later changes to the template don't change it. **Use a template** in the message editor puts a template into a message you already started.
4. ## Save a message as a template

Open a saved message in **Messages**, select **Save as template**, enter a **Name** and choose **What it is for**, then select **Save template**. The template appears under **Your templates**.

**Note:** For a message about an event, **Who can use it** decides whether the template is for every event or only that one. A template for one event appears only when you message about that event.

5. ## Change one of your templates

Select **Change** on your template, change the words, then select **Save template**. An email template opens in the visual builder, and a text template opens in a dialog.

**Note:** A ready-made template can't be changed. Open it and select **Save a copy to change** to make your own copy.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

## Or have it done for you

Fai, the assistant inside your dashboard, can list your templates, save a message as a template, change one, copy it, switch it off or on, and start a message from it. She shows you the template and asks you to approve before she saves, copies or switches anything.

### In your dashboard, with Fai

Save \<MESSAGE NAME\> as a template for every event called \<TEMPLATE NAME\>, then switch off our old \<OLD TEMPLATE NAME\> template

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

No setup fees. No required monthly ticketing fee. No credit card required.

## Copy a template

Select **Duplicate** on one of your templates. A copy with (copy) after its name appears under **Your templates**, for the same events as the original.

Fai can copy one of your templates, and change the copy with you before she saves it.

### In your dashboard, with Fai

Copy our \<TEMPLATE NAME\> template and change the copy for \<EVENT NAME\>

## Switch a template off or on

1. ### Select Switch off

Select **Switch off** on an email or gift certificate template your team no longer uses. It leaves **In use** and nobody can start a message from it.
2. ### Switch it on again

Select **Switched off** above the list, then **Switch on** on the template. It goes back to **In use**.

Fai can switch one of your email or gift certificate templates off or on after she names it.

### In your dashboard, with Fai

Switch off our \<TEMPLATE NAME\> email template

## Upload or change your own HTML design

Select **Upload your own HTML** above your email templates to add an email design made outside Ticket Fairy as a zip file, on the previous Email templates page. On a design you uploaded, marked **Uploaded design**, select **Change on previous page** to change it there.

**Note:** Opened from an event's Messaging, the upload is for that event. **Use this** on an uploaded design starts a message with its HTML in the plain editor.

Fai can add an HTML design to an event's templates from a zip file already uploaded to your dashboard, after she confirms the event and the name with you. She can't upload the file for you, and changing an uploaded design is done on the previous Email templates page.

### In your dashboard, with Fai

Add the email design in \<ADDRESS OF THE UPLOADED ZIP FILE\> to \<EVENT NAME\>'s templates as \<TEMPLATE NAME\>

## Delete a text template

Select **Delete** on one of your text templates, then **Delete** in the dialog. Messages you already made from it stay as they are.

Fai can delete one of your text templates after she names it.

### In your dashboard, with Fai

Delete our \<TEMPLATE NAME\> text template

## Questions you might have

Can I send an email from a design I uploaded as HTML?: Yes. Select **Use this** on it, and the message starts with its HTML in the plain editor, because the visual builder can't open an uploaded design. To change the design itself, select **Change on previous page**.

Where do I change the email buyers get with a gift certificate?: Select **Gift certificates** in Templates, then **Change** on your gift certificate email, or **New gift certificate email** if there is none yet. Keep the gift code and link in it, because each buyer gets their own.

Are my templates from the Email Templates page here?: Yes. The email and gift certificate templates your team saved on the Email Templates pages of your brand and your events are listed here, and the switched-off ones are under **Switched off**.

Can I switch off a text template?: No. Texts are deleted instead, and messages made from them stay as they are.

What if a teammate changes the same template while I have it open?: Your changes stay on the page and the dashboard names who saved first. Select **Load their version** to see theirs, or save again to keep yours.
