# Scan delegates into event sessions at the door and see who came

Workshop rooms at conferences and conventions fill up with people who never picked them while the delegates who did wait outside. Scanning each ticket at the room door lets in the people with a place, says plainly why anyone else cannot go in, and tells you afterwards which sessions people really came to.

Scan tickets at the door of each conference session so only the people who picked it go in, from the dashboard or a door link on a volunteer's phone. The attendance report then shows who came, who did not, who was turned away and your most popular sessions.

For: Running the doors of your conference sessions

Takes: 6 minutes

- [Open the session's door](#step-1)
- [Scan each ticket](#step-2)
- [Tickets a session door turns away](#step-3)
- [Read who came](#step-4)

## Before you start

- You are an owner, admin or producer on the event. The event's **Operations** page opens for those roles only.
- The session is open for picking in the Sessions view of Agenda, which is called Schedule on a convention and Programme on a business event.

1. ## Open the session's door

In **Agenda**, select **Sessions**, then select **Scan at the door** on the session.

**Note:** The door opens 30 minutes before the start and shows how many people are inside, how many picked it and the places.
![Ticket Fairy door of the Hiring your first designer talk, with the ticket field and the numbers inside, picked and places](https://www.ticketfairy.com/embeds/posters/marketing-event-sessions--door.png) The door of one session.
2. ## Scan each ticket

Scan the ticket's code into **Scan or enter a ticket code**, or type it and press Enter.

**Note:** The door says **Let them in**, **Already in** with the time they first came in, or **Not for this session** with the reason.

## Tickets a session door turns away

The door lets in only people who picked the session. It says why anyone else cannot go in: they did not pick it or dropped their place, the ticket is for another event or no longer valid, another ticket on the same account already used the place, the door is not open yet, the session ended or was cancelled, or the room is full. To let someone in who did not pick the session, add them to it in **Ticket holders**, then scan their ticket again.

3. ## Read who came

   Select **Attendance** above the sessions.

**Note:** Each session shows how many picked it, came in, did not come and were turned away, with the most and least popular sessions at the top.
![Ticket Fairy attendance report of a design conference, with places picked, people let in, no-shows, people turned away and the most and least popular sessions](https://www.ticketfairy.com/embeds/posters/marketing-event-sessions--attendance.png) Attendance across every session.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

Your email address [Create a free account](https://manage.ticketfairy.com/welcome) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

No setup fees. No required monthly ticketing fee. No credit card required.

## Or have it done for you

Fai scans a ticket into a session for you, after you confirm, and tells you whether to let the person in and why not. She also makes a door link for volunteers, without showing its address.

### In your dashboard, with Fai

Scan ticket TF8841QX into the Hiring your first designer talk at \<EVENT NAME\>

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

## Give door staff a door link

1. ### Make the door link

On the session's door, select **Share a door link**, enter a name for the phone or the person using it, then select **Make link**.

**Note:** Leave **Works until** empty to stop the link the day after the event ends.
![Ticket Fairy Make a desk link dialog for a session door, scanning tickets into the Hiring your first designer talk](https://www.ticketfairy.com/embeds/posters/marketing-event-sessions--door-link.png) A door link for one session.
2. ### Send the link to the door

Copy the link or show its QR code to the volunteer, who opens it on their phone.

**Note:** The address shows only once. The door page asks for no sign-in and scans tickets into that one session.
![Ticket Fairy session door on a volunteer's phone, with the ticket field and how many people are inside](https://www.ticketfairy.com/embeds/posters/marketing-event-sessions--door-link-page.png) The door link on a volunteer's phone.

Fai makes a session door link with the name you give, after you confirm. She never shows the link's address, so copy it from the dashboard.

Make a door link for Room 2 phone for the sponsor deck workshop at \<EVENT NAME\>

## Questions you might have

What if two doors scan the same ticket at once?: The ticket goes in once. The second door says **Already in** with the time it first came in.

Can door staff let someone in anyway?: No. A refusal at a session door is final. Add the person to the session in Ticket holders, then scan their ticket again.

Does the door work without a connection?: No. Each scan needs a connection, because the door checks that the person picked this session. The door says when it has no connection. Ask people to wait, and scan their tickets when the connection is back.

When does a no-show count?: Once the session has ended. **Picked but did not come** counts the people who picked it and were never scanned in.

What does the door page show about each person?: Their first name and ticket type, so door staff can greet them. It shows no email, phone number or order.
