Understanding your event reports

# See your ticket sales pace and sell-out forecast

Promoters running an annual festival, a tour or a regular club night want to know early whether this year is on track. The forecast sets your sales so far against a past event of yours at the same number of days before its event day, so you can see if you are ahead or behind and when you can expect to sell out. That tells you when to push harder on marketing, and when to add a date or release more tickets.

Use Sales pace and forecast on your event's Insights page to see whether you are selling faster or slower than a past event, how many tickets and how much revenue to expect, and the day you can expect to sell out, then see how many of your buyers are new and how many came back.

For: Knowing early whether an event will sell out, and when

Takes: 6 minutes

## Your Insights page

- [Sales pace and forecast](#step-1)
- [New and returning buyers](#step-2)

## Before you start

- You're an owner or an admin on this event, or you have a **Stats** or **Limited Stats** login for it. Promoters do not see **Insights**. A Limited Stats login sees the ticket figures with no revenue.
- Your brand has at least one past event that sold tickets, to compare with. Both events need a start date.

- ## Sales pace and forecast

Open your event, go to **Insights** and select **Sales pace and forecast**. The card picks the past event to compare with for you: your most recent past event with sales in the same series, or when there is none, your brand's most recent past event with sales. The line under **Compare with** names it and says how it was chosen. To compare with a different event, open **Compare with**, enter part of its name and choose it; select **Use the suggested event** to go back to the event the card picked. The figures under it are **Tickets sold so far**, with the tickets you have available under it, **Pace**, which says how far ahead or behind the past event you are and how many tickets that event had sold by the same point, **Expected final ticket sales**, **Expected net revenue**, with the revenue so far under it, and **Expected sell-out**. At the foot of the card, **Expected tickets sold by day** runs from today to your event day: **Expected tickets sold** is where your sales go if they keep growing the way the past event's sales did, and **Tickets available** is the line they stop at.

**Note:** **How sure is this?** shows **Good estimate** when the past event had sold at least 50 tickets by the same point, has finished selling, did not sell out, could sell at least as many tickets as this event, and both events have a start date. Otherwise it shows **Rough estimate** and lists each reason under it in plain words: the past event had sold fewer than 50 tickets by this point, so a few sales change the forecast a lot; it has not finished selling, so its final total is still an estimate; one of the two events has no start date; or it sold out or had fewer tickets than this event, so its sales show how fast its tickets ran out rather than how many more people wanted one.
**Tip:** Compare with the past event most like this one: the same series, a venue of the same size and the same time of year. An event that has finished selling gives the most reliable forecast.

- ## New and returning buyers

On the **Insights** page, select **New and returning buyers**. It counts the people who bought tickets for this event as **Buyers**, with their orders under it, then **New buyers**, **Returning buyers**, with the orders from them under it, and **Returning share**. A returning buyer had bought tickets for another of your brand's events before their first order for this one, matched by account, email or phone.

**Note:** This is the same rule as the Returning label on the event's orders, so the two always agree. Until the first order comes in, the card says "No buyers yet. The split appears after the first order."

## Questions you might have

How is the forecast worked out?: Today is a number of days before your event day. The forecast takes how many tickets the past event had sold by the same number of days before its event day, and how many it sold in the end, and scales that by your sales so far. If you have sold 10% more than it had by this point, **Pace** says 10% ahead, and **Expected final ticket sales** is its final total plus 10%, held at the tickets you have available. **Expected net revenue** is your average net revenue per ticket so far times the expected tickets, and **Expected sell-out** is the first day the expected curve reaches the tickets you have available.

What can Expected sell-out say?: A date, when the expected sales reach the tickets you have available before your event day. **Sold out** when you have already sold every ticket available, **No ticket limit set** when your event has no ticket limit, and **Not before the event day** when the expected sales stay below your capacity. **Expected final ticket sales** never goes above the tickets you have available; when it is held at that number, the line under it says **Limited to the tickets you have available**.

What counts as the tickets I have available?: The tickets your ticket types can sell in total: each live ticket type's maximum number of sales. A ticket type with no maximum counts its stock when your event lowers the stock as tickets sell. When your event does not lower the stock, a ticket type with stock and no maximum keeps selling, so your event has no ticket limit. When your event has no ticket limit, or your ticket types have no quantity set, the card shows **No ticket limit set** and never says you will sell out.

Why is there no forecast for my event?: The card says why. With no past event that sold tickets, it says "There is no past event with sales to compare with yet. Choose one of your events above to see a forecast." After your event has ended there is nothing left to forecast, and **Pace** still shows how its sales compared. When this event or the one you compare with has no start date, add a start date to that event. When the past event had not sold any tickets this many days before its event day, choose another event or check again closer to your event.

Why does the card say the event is not one of this brand's events any more?: The event you chose to compare with was moved to another brand or deleted. Choose another event under **Compare with**, or select **Use the suggested event**.

Can I compare with an event that is still selling?: Yes. Choose it under **Compare with**. Its final total is not known yet, so the card shows **Rough estimate** and says so. The card never picks an unfinished or canceled event by itself.

Which tickets does the forecast count?: Tickets from buyers' orders, as your **Performance** page counts them. Complimentary orders, such as guest tickets your team issues, are left out, and a refunded ticket drops out.

Why can I see the forecast but no revenue?: A **Limited Stats** login sees the ticket figures with every money figure hidden, and the card says "Revenue is hidden for your role on this event." Ask an owner or an admin of the event to change your role if you need revenue.

Do new and returning buyers count the same person twice?: No. One buyer is one person, matched by account, email or phone, however many orders they placed for this event. **Returning buyers** counts the people who had bought for another event of your brand before their first order here.

How up to date are the figures?: The forecast and the buyer split refresh at most every 15 minutes, so a sale can take a few minutes to appear. The figures at the top of the **Performance** page show your sales as they happen.

Can Fai read the forecast for me?: Yes. Ask in ordinary language, and name a past event if you want to compare with a different one. Fai says it is an estimate based on that event, says how sure it is, and changes nothing.
