Sell VIP tables and bottle service through your promoters

Create a table type for each booth or bottle-service package, give every promoter their own link to sell it, and see the table bookings each promoter brings to your event under Sales by Promoter.

Before you start

  • You're an owner or an admin on the event. You need one of those roles to open Tickets and Team; with a stats role you can open Sales by Promoter but not create tables or invite promoters.
  • You have created the event and know, for each table or package, its price, how many you have, the smallest and largest party one booking can hold, and how much of the price you want paid online.
  • You have an email address for each promoter who will sell tables.
  1. Open Table Types and select Create

    Open Tickets, then under Table Types select Create.

    Note: A table type sells as one booking for a whole party, beside the entry tickets you sell as ticket types, so create a separate table type for each booth size, position or package with its own price. The event wizard opens the same form with the stock field called Max number of sales.

  2. Enter the name, price and stock

    Enter the Name buyers will see, such as VIP booth or Bottle service table, the Price of the table itself, and in Stock how many of this table you can sell.

  3. Set the party size

    Enter the smallest party in Minimum Guests Per Reservation and the largest in Maximum Guests Per Reservation. The table price covers the minimum party.

    Note: Buyers choose their party size between the two limits at checkout, and the price updates as they do. Enter the same number in both fields when a booth is for a fixed party.

  4. Enter the price of extra guests

    In Price Per Additional Guest After Minimum, enter what each guest above the minimum adds to the booking.

    Note: Enter 0 when the table price covers everyone.

  5. Enter the online deposit percentage

    In Online Deposit Percentage, enter the share of the booking a buyer pays at checkout, from 1 to 100: 100 takes the whole price online, and a smaller number takes a deposit, with the rest collected at the venue.

    Note: Every table takes some payment online, so there is no setting for paying the whole price at the venue. Our booking fee is charged on the amount paid online, not on the balance you collect yourself.

  6. Confirm the deposit

    When you save, the form asks you to confirm with your own figures: You have selected to collect a 25% deposit from customers to secure their reservation. You will be required to collect the remaining 75% directly. Select Confirm.

  7. Set when the table goes on sale

    Choose when this table type is available: always, once the previous table type sells out, or from a date and time you set in Sales start and Sales end.

    Tip: Use the sell-out option to open a second, pricier booth only after the first one is gone, and a sales end time to stop online table bookings a few hours before doors so your floor team knows the final list.

  8. Save the table type

    Save the form. The table appears under Table Types on the Tickets page, and buyers see it in the Reserve Tables section of your event page once the event is published.

When to add a promoter to the brand

A promoter who sells across all your events joins the brand team, under Brand, then Team, and gets a link for every event you run, including the ones you create later. A promoter who only works this one night joins the event team, under the event, then Team. Both pages list the current team under Team Members, and the event page marks brand promoters From Brand.

Note: A promoter can copy their own link and see the event's ticket sales, but can't change your tables, tickets or other promoters. The next steps work the same way on either page.

  1. Open Team and select Add Team Member

    Open Team on the brand or the event, then click Add Team Member.

  2. Enter the promoters' email addresses

    Enter each promoter's address in Email Addresses (press space or enter after each one).

  3. Choose Promoter and send the invitation

    Under Permission level, choose Promoter, then click Send Invitation. Each promoter gets an email with an Accept Invitation button, logs in or creates an account, and joins the team.

    Note: Until then the invitation waits under Team Invitations with a Status, where you can Resend it or Cancel Invitation.

  4. Share one invitation link instead

    Optional: Click Invite Promoters, copy the link and share it in your promoters' group chat. Anyone who opens the link and logs in joins as a promoter at once.

    Note: If the shared link reaches the wrong people, click Regenerate in the Invite Promoters dialog: the old link stops working, and the promoters who already joined stay.

  5. Tick Send Promoter Links when you publish

    When you publish the event, tick Send Promoter Links under Promoters. Each promoter gets an email with their own link and a QR code for it.

    Note: Scheduling the publish for later does not send the links, so send them from Sales by Promoter once the event is live. The email goes to everyone on the event and brand teams, whatever their permission level; if some of them should not receive it, ask support to leave named team members off it.

  6. Resend the links on a published event

    If the event is already published, open Performance, select Sales by Promoter and select Resend All Promoter Links.

The 7-day promoter link window

A promoter link opens your event page. A table or ticket booked within 7 days of opening it, in the same browser, counts as that promoter's sale. Promoters can copy their link themselves at the top of Performance, and you can copy any promoter's link for them from Sales by Promoter, which is how a promoter who has access through a tour gets theirs.

A buyer's table booking

Your event page lists each table under Reserve Tables, below the tickets, with its name, its price and a guests menu that runs from the minimum party to the maximum. When the buyer picks more guests than the minimum, the price rises by your per-guest price. A table with a deposit carries a 25% Deposit badge. Reserve Table takes the buyer to checkout, which lists the table with its guest count, takes the online share now and shows the rest as Pay on Check-in. We hold that share on the buyer's card rather than charging it, and charge it once the buyer passes the identity check.

Note: A buyer can hold one unconfirmed table at a time, and the booking is one ticket for the whole party, so the host shows one QR at the door. If you want every guest's name, email and phone at checkout, or want a buyer to add guests to a confirmed table later at the per-guest price, ask support to turn either on for the event.

The identity check after payment

Every table booking needs an identity check, so we know who booked before we charge the card and issue the ticket. After paying, the buyer lands on the Account Verification page, photographs an ID document and takes a selfie. The result usually arrives in seconds. If the check passes, we charge the hold, mark the order paid, issue the ticket and send the confirmation email. If it fails, we email the buyer the likely reason, such as a blurred photo, and they can try again on the same page. A buyer who passed the check before skips it, and their booking is confirmed at once.

Note: A buyer who leaves before finishing sees a Verify Account prompt on your event page and gets a reminder email after 12 hours. The card hold lapses after about 7 days on most cards and about 30 on some; once it has, we cancel the booking, put the table back on sale and email the buyer.

Bookings waiting for an identity check

To see who is still waiting, open Orders and select the Needs Verification tab. Each row offers three actions.

  • Resend verification: Sends the buyer the identity-check link again.
  • Capture & bypass: Charges the hold and confirms the booking yourself.
  • Cancel order: Releases the hold and frees the table sooner.

Warning: Capture and cancel can't be undone, and a booking counts in Sales by Promoter once it's confirmed.

  1. Open Sales by Promoter

    Open Performance and select Sales by Promoter. Each row is one team member with a link and shows their Tickets, Revenue, Visits, Promoter Link and a QR download.

    Note: The rows are your promoters and any owner, admin or curator on the event; the tab appears once the event has a promoter, and the figures refresh every 10 seconds while the page is open. A table booking counts once in Tickets, however many guests it holds, and a booking you refund leaves the row.

  2. Open a promoter's row

    Select a row to open it, then By Ticket Type to see how many of each table type and ticket type that person sold, or By Date to see when.

Revenue is what you keep of each sale that person made under your event's fee setup: the ticket or table price when your booking fees are added on top at checkout, or that price less the booking fee when your event absorbs fees. If your account has its own fee arrangement with us, Revenue follows it. Extra guests are included, any refund the buyer took themselves is taken off, and for a table it includes the balance you still collect at the venue. Visits counts each time your event page opened through that promoter's link.

  1. Open a promoter link in a private window

    Copy one promoter's link from Sales by Promoter and open it in a private browser window. Your event page opens with the table under Reserve Tables, showing the guest range and the deposit.

  2. Check the visit was counted

    Back in Sales by Promoter, check that promoter's Visits has gone up by one; the visit usually counts within a minute, so refresh the page if it has not changed yet. Once a buyer books a table through that link and passes the identity check, the booking appears on the same row, with the table type named under By Ticket Type.

    Note: If the table is missing from the event page, check the table type is active and its sales start has passed. If the visit still does not count, that person is not on the event or brand team, or their team access is turned off; any permission level on the team counts, so do not change their role.

Install the CLI from our CLI page, sign in with ticketfairy auth login, and choose the brand you are working on with ticketfairy brand use <BRAND_ID>. ticketfairy brand list and ticketfairy event list show the IDs the other commands use.

Use the command line to create and list table types, invite a promoter to one event and publish with promoter links. There is no command for Sales by Promoter, so open that report in the dashboard or ask Fai.

Create a table type. Prices are in the smallest unit of your event currency, so 40000 is 400.00, and the deposit is a percentage.

Take a table off sale

On Tickets, open the table's row menu under Table Types and choose Deactivate Table Type, which hides it from buyers and keeps its bookings. Activate Table Type puts it back, Mark as Sold Out shows it as sold out instead of hiding it, and Delete Table Type is only offered while nothing has been booked or added to a basket.

Note: Deleting a table type lets the next table type in the list go on sale if it was waiting for this one to sell out.

Fai can deactivate, reactivate or mark a table type sold out after you confirm. When she marks one sold out she asks whether buyers who already have it in their basket may finish paying or lose it. Delete a table type in the dashboard. The command line can deactivate a table type.

Questions you might have

Does a promoter get credit for table bookings as well as tickets?
Yes. Any booking made through a promoter's link counts as theirs, tables included, and each table type is listed on their row under By Ticket Type. Referral rewards for buyers are different: they never apply to tables, so a buyer who shares your event earns no money back on a table booking.
How do I collect the rest of the table price at the venue?
When your door team scans the booking in the Entry Fairy app, the ticket shows Remaining to pay with the balance, worked out from the table price and any extra guests. Take the payment however you choose at the venue, then mark it paid in the app so the booking no longer shows a balance.
Do the guests at a table each need a ticket?
No. A table booking is one ticket for the whole party, and the door team scans it once for the host. The guest count is on the booking, so the team knows how many to seat. Sell entry tickets as ticket types for everyone who is not at a table.
Why is a promoter missing from Sales by Promoter?
The table lists members of the event, brand or tour team who hold the promoter, curator, admin or owner role and whose access is turned on. Check Team for the person: if they never accepted the invitation, resend it, and if they hold a stats or door staff role, change it to promoter.
What can a promoter see when they sign in?
A promoter opens Performance and sees ticket sales and sales by ticket type for the event, with their own Promoter Link at the top. They do not see other promoters' figures, Sales by Promoter, your tables or your team.
Why does a sale I know a promoter made not show on their row?
A booking counts for a promoter when the buyer opens their link and books within 7 days in the same browser. A buyer who opens the link on a phone and books on a laptop, or who opens another promoter's link afterwards, is counted elsewhere. A booking you refund, in full or in part, leaves the promoter's row along with its Revenue.
