# Send automatic messages before and after every event

A club running a night every week, or a promoter with a season of shows, sends the same doors reminder and the same thank-you for every event. An automatic message holds that wording once and goes out for each event at its moment, so the reminder still reaches ticket holders on a week nobody has time to send it.

Switch on ready-made messages once, such as know before you go, an event-day text, a thank-you, tickets on sale now or a last chance, and each one goes out for every event, for the events in one event series, or for one event at the moment you set, to the right people, with a record of where it went.

For: Promoters and venues who run many events and send the same messages for each

Takes: 6 minutes

- [Open Automatic messages](#step-1)
- [Select Set up](#step-2)
- [Choose which events it is for](#step-3)
- [Set when it goes out](#step-4)
- [Choose who gets it](#step-5)
- [Check the message](#step-6)
- [Select Switch on](#step-7)
- [Check where it went](#step-8)

## Before you start

- You're an owner, an admin or a marketing team member of the brand, and the brand is verified. Messaging is part of every plan.
- Your own account has passed identity verification, because switching an automatic message on approves every message it sends.
- For a text version, event information texts go from Ticket Fairy's number, so no number of your own is needed.

1. ## Open Automatic messages

Go to your brand, select **Messaging**, then **Automatic messages**. **Your automatic messages** lists the ones you have set up, and **Add an automatic message** lists the ready-made ones with what each does and when it goes out.

**Note:** The messages are **Know before you go**, **Event-day reminder**, **Thank you for coming**, **Sorry we missed you**, **Tickets on sale now**, **Announce to your fans** and **Last chance**.
![Ticket Fairy Automatic messages with two set up, one on and one paused, above the seven ready-made messages](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--automatic-messages.png) Messaging, Automatic messages.
2. ## Select Set up

Select **Set up** on the message you want under Add an automatic message. The drawer opens with the timing, the group and a ready-made message that fills in each event's details.
![Ticket Fairy Set up Thank you for coming drawer with Send for, When it goes out, the group and the ready-made email](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--set-up-automatic-message.png) Messaging, Automatic messages, Set up.
3. ## Choose which events it is for

Under **Send for**, choose **All events**, **One event series** or **One event**. For a series or one event, search for it under **Event series** or **Event**.

**Note:** All events and an event series include events you add later. **One event series** appears when your brand has at least one event series.
4. ## Set when it goes out

Under **When it goes out**, enter the number and choose **Minutes**, **Hours** or **Days**, **Before** or **After**. The line under it names the moment, such as when the event starts or when ticket sales open.

**Note:** **Last chance** goes by sales instead: enter the share of tickets sold, between 50% and 99%, in **Send when this much is sold**.
5. ## Choose who gets it

Choose a **Group**, or keep the one the message starts with, such as **People who came** for a thank-you. For all events, the dashboard counts the people for each event when the message goes out.
6. ## Check the message

Read the subject line and the message, and change any wording. The details in curly brackets, such as {event\_name} and {first\_name}, are filled in for each event and each person.

**Tip:** Select **Put it in your voice with Fai**, then **Use this** if you like her version.
7. ## Select Switch on

Select **Switch on**, read what will happen, then select **Switch on** in the dialog. It appears under **Your automatic messages** as **On**, and goes out for each event at its moment without asking each time.
![Ticket Fairy Switch on Thank you for coming? confirmation saying the message goes out for every event, now and in the future](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--switch-on-automatic-message.png) Messaging, Automatic messages, Switch on.
8. ## Check where it went

Select **Edit** beside the message after its first event. **Sent so far** lists each event it went out for, and **Open message** shows that send with its results.

**Note:** An event is **Skipped** with the reason beside it, such as nobody being in the group for that event.

## Try these steps on your own event

Create a free account, build your event and follow the steps above in your own dashboard. It takes a few minutes and you do not need to book a sales call.

Your email address [Create a free account](https://manage.ticketfairy.com/welcome) [Book a demo](https://www.ticketfairy.com/event-ticketing/book-a-demo)

No setup fees. No required monthly ticketing fee. No credit card required.

## Or have it done for you

Fai, the assistant inside your dashboard, can list the automatic messages and your event series, set one up for every event, for one event series or for one event, change its timing, group or wording, and pause, resume or delete it. She shows you the message and when it goes out, and asks you to approve before she switches one on.

### In your dashboard, with Fai

Switch on the thank you for coming email for every event, rewritten in our voice, and show me the message and when it goes out before you switch it on

## Let Fai do it for you

Fai works inside your Ticket Fairy dashboard. Create your account, open Fai and paste the prompt above.

## Pause or resume an automatic message

Turn off the switch beside the message, then select **Pause** in the dialog. It stops going out until you turn the switch on again and select **Resume**, and messages it already sent stay in Messages.

![Ticket Fairy Pause this automatic message? confirmation over Your automatic messages](https://www.ticketfairy.com/embeds/posters/marketing-messaging-suite--pause-automatic-message.png) Messaging, Automatic messages, Pause.

Fai can pause or resume an automatic message, after she shows you which one and what changes.

### In your dashboard, with Fai

Pause the event-day reminder text until I say so

## Change an automatic message

Select **Edit** beside the message, change the timing, group or wording, and select **Save changes**. A message that is on uses your changes for every event from then on.

Fai can change the timing, group or wording of an automatic message and shows you the change before she saves it.

### In your dashboard, with Fai

Send the know before you go email three days before each event instead of two

## Questions you might have

Will switching one on send it for an event that is already close?: Only if its moment is still ahead, or passed less than six hours ago. An event whose moment passed earlier than that gets nothing, so switching on a thank-you does not email last month's crowd.

Can an automatic message go out twice for the same event?: No. Each automatic message goes out once per event, and **Sent so far** records it.

What happens if I cancel an event?: Automatic messages stop for a canceled event. Messages about an event also stop 15 days after it ends.

Can I have a different version for one event or one event series?: Yes. Select **Add another** on that message under Add an automatic message, choose **One event series** or **One event**, and choose the series or the event. Those events get that version instead of the all-events one. One you set up from **Automatic messages** in an event's own Messaging starts as a version for that event.

Which version does an event get when there is more than one?: The version for that event comes first, then the one for its event series, then the one for all events. Each event gets one version of each automatic message.

What if an event is in two event series that both have a version?: The event gets the version that was set up first, once. To choose a different one, set up a version for that event.

What does a marketing automatic message go to?: **Tickets on sale now** goes to people who pre-registered, and **Announce to your fans** and **Last chance** go to fans who agreed to your emails and have no ticket yet. Each carries an unsubscribe link.

How do I delete an automatic message?: Select **Edit** beside the message, then **Delete** and confirm. It stops going out, and the messages it already sent stay in Messages.

What happens to an automatic message when its event series is deleted?: Deleting the series pauses it, after the confirmation lists it. It stays in Automatic messages, marked **A deleted event series**, and cannot be switched back on. To keep sending it, set up a new one for every event or another series, then delete the old one.

What if a teammate changed it while I was editing?: The drawer keeps your changes and asks you to choose **Load their version** or **Save mine instead**.
