Share a private event site map with emergency services and suppliers

Safety advisory groups, ambulance crews and power suppliers all ask festival and event site managers for the latest site plan, and a PDF sent last week is already out of date. A private link to the live map, with only the places each of them needs, keeps everyone looking at the same plan.

Send the fire service, an accessibility team or a supplier a private link to your event's live site map, showing the exits, routes, power or other places they need on top of the public map. Each link ends on a date, records every opening and can be stopped at any time.

Before you start

  • You are an owner, admin or producer on the event. The event's Operations page opens for those roles only.
  • Your site map has the places each audience needs, such as exits, first aid, routes, power and water, drawn with their symbols.
  1. Open Share links

    Open the event, select Operations, select Site map, then select Share links at the top.

    Note: Each link shows who it is for, until when it works and how many times it was opened. Openings from the same place on the same day count once, unless the map changed in between.

  2. Make a map link

    Select Make a map link, then enter Who it's for.

    Note: Use a name they will recognise, such as Fire service or Northern Power.

  3. Choose what it shows

    Under What it shows, choose Emergency services, Accessibility, Suppliers or Choose the places.

    Note: Each choice lists the places it adds to the public map. With Choose the places, pick the kinds of place yourself.

  4. Choose how long it works

    Choose a length in Works for, then select Make link.

    Note: A link works for 1 to 60 days, and 14 days unless you choose otherwise.

  5. Copy the link and send it

    Select Copy the link and send it to them.

    Warning: The address shows only once. Copy it before you close it.

The map page they open

The link opens a page with your site map as it is now, the public places and the places for them, and a list of those places. It shows the names, shapes and symbols of places, never your notes or who is on your team, and asks for no sign-in. Every opening is recorded.

Or have it done for you

Fai lists your map links and how often each was opened, makes a link for the audience you name, gives a link a new address or stops it, after you confirm. She never shows a link's address, so copy it from Share links.

Give a link a new address or stop it

  1. Get a new address

    Select Get a new address on the link, then confirm.

    Note: The old address stops working at once, and an ended link works again for 14 days. Send the new address to the people who use it.

  2. Stop the link

    Select Stop on the link, then confirm.

    Note: Anyone who opens it sees that it has ended. A stopped link cannot get a new address, so make a new link.

Questions you might have

Does the link update when I change the map?
Yes. The link always shows the map as it is now, so a moved fire point or a new route shows the next time they open it.
Can I see who opened it?
Each link counts how many times it was opened. The link asks for no sign-in, so it cannot name who opened it.
What if the site plan is not uploaded yet?
The page says so and lists the places for them without the drawing.
What if they forward the link?
Anyone with the link can open it until it ends. Get a new address or stop it if it reaches someone who should not have it.
