Understanding your event reports

# Track your event check-ins by hour

On event night you want to know how fast the crowd is arriving and how many ticket holders are still to come. The hourly check-in report shows door managers and promoters the scans by hour beside sales by ticket type, so you can move staff to the gate that needs them.

Use the **Arrivals** card on your event's **Check-In** page to see how many ticket holders are in right now, how fast they are arriving and which zone is busiest, then use the **Hourly** tab for **Check-Ins by Hour**, the running **Checked In** total, **Total Sold** and how many are **remaining**.

For: Watching arrivals during your event

Takes: 4 minutes

## Your Check-In page

- [Arrivals](#step-1)
- [Check-Ins by Hour](#step-2)

## Before you start

- You have an owner, admin, **Stats**, **Limited Stats**, **Support** or **Limited Support** role on the event. **Limited Support** can open **Check-In** from the event menu and view **Hourly** and **Individual Tickets**. If **Check-In** is missing from your event menu, ask an owner or an admin to give you event access.
- A **Limited Support** login cannot **Unscan** a ticket or use **Copy table**. A support administrator or an authorized super-admin account with **Check-In** management access can still **Unscan**.
- For an event with time slots, **Total Sold** shows 0 and **remaining** goes negative. Use **Ticket Type** and **Add-Ons** for that event's sales and allocation details.

- ## Arrivals

Open your event and choose **Check-In**. The **Arrivals** card at the top shows **Checked in** out of the tickets sold, **Tickets sold**, **Not arrived yet** and the **No-show rate**. Below them is a chart of arrivals every 15 minutes, by hour or by day, whichever fits the length of your doors. Where your scanners use zones, **Scans by zone** draws one line per zone. **Arrivals by ticket type** splits the tickets checked in for each ticket type into **Paid** and **Free or guest**, and **Scans by door staff** lists how many scans each person on the door made.

**Note:** The card counts each ticket once, at its first successful scan, and refreshes itself every minute while **Check-In** is open. The time after Updated beside the title says when the figures were counted, on your event's clock; select **Refresh** to count them again straight away. Until the first scan, the card says "Nobody has checked in yet. Arrivals appear here as your door team scans tickets."

- ## Check-Ins by Hour

Below the **Arrivals** card, select **Hourly**. **Check-Ins by Hour** shows how many tickets were checked in during each hour of the selected date, in your event's timezone, and the table below lists the same hours under **Time** and **Number of Tickets**. A tall bar is a busy hour at the door: use the pattern to plan door coverage, not as a queue length, a forecast or a measure of scanner capacity.

**Note:** The cards below the chart show **Checked In**, the running total of tickets checked in through the selected date; **Total Sold**, which counts the tickets sold for the event across every date, complimentary and not-yet-paid tickets included and payment-plan tickets left out; and **remaining**, which is **Total Sold** minus **Checked In**. These are ticket counts, not counts of people, so one person with several tickets counts each time, and a ticket refunded or canceled after it was scanned drops out of **Checked In** on the next reload. The line above the tabs says when their figures were loaded; select **Refresh tabs** to load the scans since then.

## Or have it done for you

Fai can read the live arrival figures, the hourly check-in figures and the ticket counts by ticket type from the sales report for the event, and explain how **Checked In**, **Total Sold** and **remaining** relate. Those ticket counts add up to **Total Sold**: they count tickets rather than orders, complimentary and not-yet-paid tickets included and payment-plan tickets left out, so they are not a paid-sales figure. The command line and the MCP server read the same figures.

### In your dashboard, with Fai

Find my event, tell me how many ticket holders are in right now and which zone is busiest, then show me its Check-Ins by Hour for each date and the running Checked In total, then show me the ticket counts by ticket type from the sales report and add them up the way the Total Sold card does

### From your own assistant, over MCP

Connect your assistant to [our MCP server](https://www.ticketfairy.com/mcp-server) and ask it:

Keep `--read-only` in your MCP configuration. This task only reads data, so your assistant does not need tools that make changes.

Find my event by name and call the check-in statistics tool for its hourly check-ins. For a standard event, read GET /api/events/\<EVENT\_ID\>/relationships/performance?section=release\_breakdown for the ticket counts behind Total Sold, and explain that they include complimentary and not-yet-paid tickets and leave out payment-plan tickets. For a time-slot event, use the dashboard's Ticket Type or Add-Ons report instead

## From your terminal

Install the CLI from [our CLI page](https://www.ticketfairy.com/cli), sign in with `ticketfairy auth login`, and choose the brand you are working on with `ticketfairy brand use <BRAND_ID>`. `ticketfairy brand list` and `ticketfairy event list` show the IDs the other commands use.

Use the command line for the event's check-in figures, including the hourly buckets. Use the API command below for the ticket counts behind the dashboard's Total Sold card; the check-in output alone cannot work out Total Sold or remaining.

### The event check-in aggregate, including hourly buckets, as JSON

ticketfairy checkin status \<EVENT\_ID\> --output json

### The release breakdown used for Total Sold, as JSON

ticketfairy api /api/events/\<EVENT\_ID\>/relationships/performance --query section=release\_breakdown --output json

## Questions you might have

How often does the Hourly report refresh?: The tabs load their figures when you open **Check-In**, and the line above them gives the time they were loaded on your event's clock. Select **Refresh tabs** to load the latest scans. The **Arrivals** card above the tabs refreshes itself every minute.

How often does the Arrivals card refresh?: Every minute while **Check-In** is open, and at once when you come back to a browser tab you left. The time after Updated beside the title says when the figures were counted, on your event's clock, and **Refresh** loads them straight away. If a refresh fails, the card keeps the last figures and says which time they are from.

Why can **Checked in** on the Arrivals card differ from the Hourly tab?: Both count each ticket once, at its first successful scan, so a ticket that leaves and comes back is still one ticket in. The **Arrivals** card refreshes itself every minute, and the **Hourly** tab shows the figures from when the tabs last loaded. **Tickets sold** on the card counts the event's valid, checked-in and for-sale tickets, guest tickets included, so it can also differ from **Total Sold** on the Hourly tab.

Why do the zone lines add up to more than the people checked in?: **Scans by zone** counts every scan at each zone, so a ticket holder who enters two zones counts once in each. **Scans by door staff** counts every successful scan each person made in the same way.

When does the no-show rate appear?: After the event ends. Until then the **No-show rate** reads **Shown after the event ends**. It is the share of tickets sold that were never checked in.

Why can I not see Scans by door staff?: A **Limited Stats** or **Limited Support** login does not show the names of the people on the door, so the card leaves that list out. An owner, an admin, or a **Stats** or **Support** login sees it.

What does **Checked In** count?: Tickets checked in through the date you select, added up hour by hour. Each ticket counts once, at its first successful scan, so a ticket that leaves and comes back still counts once. It counts tickets rather than people, so one person with three tickets counts three times, and a ticket refunded or canceled after scanning drops out the next time the tabs load.

How are **Total Sold** and **remaining** calculated?: **Total Sold** counts the tickets sold for the event across every date, complimentary and not-yet-paid tickets included, so it can be higher than paid sales. Tickets bought on a payment plan are left out. **remaining** is **Total Sold** minus **Checked In**: a rough gap rather than available inventory, and it can go negative. On a time-slot event **Total Sold** shows 0, so use **Ticket Type** and **Add-Ons** for those figures.

Why is **Check-Ins by Hour** empty?: No scan has come back for this event yet, so the chart shows 24 empty hours and there are no date tabs. Select **Refresh tabs** after the first accepted scan; if it is still empty, confirm that the scan belongs to this event and that your login can open **Check-In** before asking an owner or admin to investigate.

Why do **Total Sold** and **Checked In** not match another report?: They come from different places. **Total Sold** counts the tickets sold across every date, payment-plan tickets left out, while **Checked In** counts scans through the date you have selected. Compare the same event on its latest date before reading **remaining**.

Does this include an event with time slots?: Yes, for the hourly chart. The cards show 0 for **Total Sold** and a negative **remaining**, so use **Ticket Type** and **Add-Ons** for those figures.
