## Hold Your Dates and Make Offers Agents Say Yes To

Open a new offer and see what you paid this act before and the fee range Fai suggests, then start from a template or reuse your last offer. Add the deposit, due dates, set length and the agency fee as an amount or a share of the fee, and email the offer to the agent. Each counter-offer stays with the offer, so anyone on your team can see where the deal stands, and when the agent accepts, the act is booked onto your event.

A venue's calendar shows every confirmed show and every first, second and third hold on each room, so the talent buyer and the venue team stop double-booking a Saturday. Challenge the first hold when a better offer arrives, and the Needs attention list shows a challenge that was missed or a hold about to lapse, so a date never slips away while you are waiting on an agent. Before you commit, model the fee against the ticket sales you can expect from demand and your past editions, and see any radius clash with the act's other shows nearby. When a show is confirmed, choose whether to keep the other holds on that date as backups or release them.

Acts and speakers who apply through your own Apply to play or Submit a talk form arrive scored by Fai and your review panel, and reviewers can score without seeing names. Accepting an application adds the act to your line-up with a draft offer and a started advance, so an open call fills your smaller stages without a second round of paperwork.

## Turn the Agent's Paperwork Into a Signed Deal

When the agent sends back their contract, invoice and riders, Fai finds them in your connected mailbox or in the files you add and says what each one is. The contract is compared with your offer term by term in plain words, so a changed fee, deposit, date or set length is clear before you sign. Fai also flags risky clauses, such as radius, cancellation and exclusivity, with the clause and the reason beside each one. The invoice goes into Payments due and your budget, and the riders become answers to accept on the act's advance.

For an act without an agent, send your own contract from a template and the act signs on their phone without making an account, then you countersign. A festival booking a whole line-up sends several contracts together from the same template, with any act missing an email address kept as a draft and the reason shown, so nobody falls through the gaps.

Payments due lists every deposit and balance by the date it is due, and you mark each one paid with the date, how it was paid and its reference, or pay it with Vault. Your finance team sees what is owed to every act without a spreadsheet passed around by email.

## Get Every Advance Back Without Chasing

Send the tour manager one advance link, and their team enters travel, hotel, schedule, technical, hospitality and guest list details and uploads riders without making an account. Fai fills in answers from their replies, forwarded emails and tour books and shows the words each one came from. Set each act's guest list places, rooms, nights, meals and drinks from the offer, and the act sees what is left and asks you for more.

The tour manager adds their travel party one person at a time or pastes the list from an email, with each person's role, diet, room and arrival, so your hotel and catering numbers come from the people who are really travelling. Nobody at the hotel or in the van needs an account, and the act's team stops ringing your liaison to ask where their car is.

Your runner gets one shopping list for the dressing rooms, added up from every rider for each day, and the meal desk shows the meals and drinks each act has left as their pass scans. Each performer page adds up the all-in cost of the act: the fee, the agency fee, every trip, the hotel stay, per diems, backline and their share of hire. After the show, Fai drafts the settlement from your ticket sales, your costs and the deal, and every line shows how its figure was worked out. A door deal or a split after costs is only as fair as the figures behind it. #### Does the act's team need a Ticket Fairy account?

No. The agent or tour manager opens their own link, fills in their part of the advance, uploads riders and can sign your contract on the same page. Hotels and drivers open their own links without an account too.

#### Can I sign the agent's own contract online?

Not their own PDF. Sign it the way you usually do, then upload the signed copy, which marks the offer as contracted. For an act without an agent, send your own contract for signing online.

#### How long does a challenged hold have to confirm?

You choose how many hours when you send the challenge. The first hold has that long to confirm or let the date go. If they do not answer in time, the Needs attention list offers to give the date to your act, and your hold moves up to first only when you confirm it.

#### What happens when an act asks for more guest list places or rooms?

On their link they see what is left and cannot go over it, and they ask for more. The ask goes to the approver your approval rules name, or else to your team.

#### Does Fai change an advance without asking?

No. Fai suggests answers with the words each came from, and a person on your team accepts or rejects each one. An answer that would replace what someone entered is saved only when a person chooses Replace.

#### Does Fai book flights and hotels?

No. From a performer page, Fai finds flight options and places to stay for you to compare, and you book the one you choose. The pickup planner uses the drive times you enter, and offers each one again for the next pickup between the same places.

#### Are fees in different currencies added together?

No. An act's all-in cost shows a total for each currency, and amounts are never converted or added across currencies.

#### Can everyone on my team see what we pay each act?

No. Fees, budgets and contracts show only to people whose role can see your event's finances, so your artist liaison team can run advances and hospitality without seeing the deal.

#### Do reviewers see who applied?

Only if you choose. Reviewers score each proposal from 1 to 5 from their own link, and you decide whether they see names.
