Sell the glass, the tokens and the driver's ticket together

A souvenir glass and a card of beer tokens sell as add-ons beside the session ticket, each with its own price and stock. Limit them to the tickets they belong with, so your designated driver ticket is never offered a glass or tokens. Tokens bought before the day mean less cash at the bar and shorter queues. Match each ticket type and add-on to the wristband its holder gets, and the scanning app shows your door team the right band.

When the glasses run out, the glass add-on goes off sale and the sessions stay on sale. Add a second glass for the evening, or a smaller one for drinkers who want to try more beers.

Check every drinker's age once, at the gate

Set the youngest age you admit, and buyers enter their date of birth at checkout. Ticket Fairy works out their age for the day your festival opens and tells a buyer who is too young before they pay. At the gate, door staff see each guest's age status as they scan and mark the wristband as ID checked. Every bar can see the check was done, and your bar team logs each refusal.

One check at the gate means no second check at each bar, so the queues move on a busy evening. The refusal log gives your licence holder a dated record of every drinker refused service, ready for a licensing officer.

Choose your breweries and have every bar ready to pour

Breweries apply on your public application page, which shows your bar fees and the extras you offer, such as power and water. Describe the mix you want, such as local breweries first and one cider bar, and Fai ranks each application against it with her reasons. You approve, waitlist or decline each brewery. Approved breweries accept your terms, pay their invoice, book a load-in time and upload the certificates you ask for. When a brewery drops out the week before, a brewery on your waiting list is one decision away. Ask each brewery for its insurance and any certificate your licence needs, and Fai picks up each expiry date for you to check.

Staff every bar with volunteers who know their shift

Many beer festivals run on volunteers. Open a volunteer application form people fill in on their phone, and Fai reads each one against the roles you need. Accepted volunteers get a private page where they pick shifts, ask to swap or drop one and read their day sheet. A bar shift can carry a minimum age, so Fai offers it only to people old enough to serve. After the festival, approve each person's hours from the times they checked in and out.

Pay your breweries and see what the festival made

Brewery fees, bar takings and sponsor money go into your festival budget beside your own costs. When a brewery pays you a share of its bar takings, it enters them on its own page with its till reports, and Fai checks the reports against the figure. Your share goes out as an invoice with a link to pay. Pay the breweries you buy beer from straight from Vault, and take your ticket payouts every day as sessions sell, or after the festival.

Your festival budget shows planned against actual on every line, so you know what the beer, the hall and the glasses cost before the doors open. A disagreement with a brewery weeks later starts from the same reports on both sides.
