# Sell out every session of your beer festival

Sell capped sessions with a glass and tokens, check ages once at the gate, and bring in breweries and volunteers from one event.

- Every session full, and none over capacity
- Breweries chosen, paid up and ready to pour
- A volunteer bar team on every shift

## Run afternoon and evening sessions that each sell out alone

Beer festival ticketing starts with the session. Give your entry ticket time slots for each afternoon and evening, each with the number of drinkers your hall holds. When Friday evening sells out, it greys out on your event page while Saturday afternoon stays on sale. Ticket Fairy is beer festival ticketing software that counts every session apart, so a busy night never takes room from a quiet one. Build a long weekend from the Multi-day festival template, with tiers, a VIP ticket and parking ready to price.

Price an evening above an afternoon, and sell a weekend ticket beside the sessions for the drinkers who want every one. Each ticket type has its own price and allocation, so the weekend ticket never eats into the places your single sessions need.

A trade session for licensees and buyers can sit on the same event. Hide its ticket type and open it with an [access code](https://www.ticketfairy.com/event-ticketing/event-promo-codes) you give the trade, so the public never sees it. Set the dates the code works and how many tickets it opens.

- **Session time slots**: each session sold to its own capacity
- **Multi-day festival template**: tiers, VIP and parking ready to price
- **Access codes**: a hidden trade session for licensees

## Sell the glass, the tokens and the driver's ticket together

A souvenir glass and a card of beer tokens sell as add-ons beside the session ticket, each with its own price and stock. Limit them to the tickets they belong with, so your designated driver ticket is never offered a glass or tokens. Tokens bought before the day mean less cash at the bar and shorter queues. Match each ticket type and add-on to the wristband its holder gets, and the scanning app shows your door team the right band.

When the glasses run out, the glass add-on goes off sale and the sessions stay on sale. Add a second glass for the evening, or a smaller one for drinkers who want to try more beers.

Your door team sees the band for each ticket as they scan it, with one colour for each session and another for designated drivers. Bar staff can then tell at a glance who is driving home.

- **Glass and token add-ons**: offered only with the tickets they belong to
- **Designated driver tickets**: a ticket type with no glass or tokens
- **Wristbands by ticket type**: the right band shown as each ticket scans

## Check every drinker's age once, at the gate

Set the youngest age you admit, and buyers enter their date of birth at checkout. Ticket Fairy works out their age for the day your festival opens and tells a buyer who is too young before they pay. At the gate, door staff see each guest's age status as they scan and mark the wristband as ID checked. Every bar can see the check was done, and your bar team logs each refusal.

One check at the gate means no second check at each bar, so the queues move on a busy evening. The refusal log gives your licence holder a dated record of every drinker refused service, ready for a licensing officer.

Turn on names and ID, and each attendee's ticket email asks them to bring photo ID. The check at the gate then matches the name on the ticket to the person holding it.

- **Minimum age at checkout**: worked out for the day you open
- **ID checked at the gate**: marked on the wristband for every bar
- **Refusal log**: every refusal recorded for your licence holder

## Choose your breweries and have every bar ready to pour

Breweries apply on your public application page, which shows your bar fees and the extras you offer, such as power and water. Describe the mix you want, such as local breweries first and one cider bar, and Fai ranks each application against it with her reasons. You approve, waitlist or decline each brewery. Approved breweries accept your terms, pay their invoice, book a load-in time and upload the certificates you ask for. Ticket Fairy is a brewery ticketing platform that books the breweries as well as selling the tickets.

When a brewery drops out the week before, a brewery on your [waiting list](https://www.ticketfairy.com/features/orders-refunds-and-resale/resale-transfers-and-waiting-lists) is one decision away. Ask each brewery for its insurance and any certificate your licence needs, and Fai picks up each expiry date for you to check.

Breweries enter their own listing for the directory on your website, with the words drinkers filter by, such as IPA, stout or gluten free. You check and publish each one, and drinkers plan their route around the hall before they arrive.

- **Brewery applications**: your fees, questions and certificates
- **Ranked by Fai**: against the mix you describe, with her reasons
- **Brewery directory**: listings breweries enter and you publish

## Staff every bar with volunteers who know their shift

Many beer festivals run on volunteers. Open a volunteer application form people fill in on their phone, and Fai reads each one against the roles you need. Accepted volunteers get a private page where they pick shifts, ask to swap or drop one and read their day sheet. A bar shift can carry a minimum age, so Fai offers it only to people old enough to serve. After the festival, approve each person's hours from the times they checked in and out.

Invite last year's volunteers back with their answers already filled in, so the regulars who run your cellar bar sign up in a minute. Accept, waitlist or decline people in batches, with one email each.

Volunteers see the hours they gave against the hours they worked on their own page, and you give the rewards people earned. Plan crew meal times and food needs for the kitchen, and hand out meals at your meal desk.

- **Volunteer applications**: read by Fai against your roles
- **Shifts with a minimum age**: offered only to people old enough
- **Hours and rewards**: approved from check-in times

## Pay your breweries and see what the festival made

Brewery fees, bar takings and sponsor money go into your festival budget beside your own costs. When a brewery pays you a share of its bar takings, it enters them on its own page with its till reports, and Fai checks the reports against the figure. Your share goes out as an invoice with a link to pay. Pay the breweries you buy beer from straight from Vault, and take your ticket payouts every day as sessions sell, or after the festival.

Your festival budget shows planned against actual on every line, so you know what the beer, the hall and the glasses cost before the doors open. A disagreement with a brewery weeks later starts from the same reports on both sides.

Give a sponsoring brewery its own ticket allocation, and they hand tickets to their best customers through one link, with no login to your event. Raise or lower the number at any time.

- **Share of bar takings**: checked by Fai and invoiced with a link
- **Vault payments**: pay breweries and suppliers
- **Partner allocations**: tickets a sponsor hands out

## How beer festivals use Ticket Fairy

- ### A charity beer festival run by volunteers

A three-day charity festival in a town hall sells four sessions, each capped at what the hall holds. Volunteers apply on their phones and pick their bar shifts, and Fai offers the cellar shifts only to volunteers old enough to serve.
- ### A brewery's own yard festival

A brewery runs a weekend in its yard, with guest breweries applying for the other bars. It gives its best trade customers a partner allocation and sells a token card with every ticket.
- ### A city craft beer week

A craft beer week holds a session at a different taproom each night, each its own event under one brand. Each buyer of a paid ticket gets a referral link and earns money back when friends buy through it.
- ### A cider and perry festival

A cider festival sells an afternoon and an evening session, with a designated driver ticket that comes with no glass. Every refusal at the bar goes in the log for the licence holder.
- ### An autumn festival in a marquee

A marquee festival sells reserved tables as their own ticket type beside general entry, with a stein and food tokens as add-ons. The door team scans every group in on their own phones.

## Questions About Ticket Fairy for Beer Festivals

### Beer festivals

#### Can each session have its own capacity?

Yes. Give the session ticket time slots, each with the number of drinkers it takes. A full session greys out on your event page while the others stay on sale.

#### Should the glass and tokens be add-ons?

Yes. An add-on sells beside the entry ticket with its own price and stock, and you choose the ticket types it goes with.

#### How do I sell a designated driver ticket?

Make it its own ticket type and leave it out of the glass and token add-ons. Give it its own wristband, so bar staff can see it.

#### Can volunteers pick their own bar shifts?

Yes. Each volunteer you accept gets a private page to pick shifts, ask to swap or drop one, and read their day sheet.

#### Does Fai choose the breweries?

No. Fai ranks applications against the mix you describe, with her reasons, and your team approves, waitlists or declines each brewery.

#### How fast do ticket payouts arrive?

You can take payouts every day as sessions sell, or after the festival. Daily payouts need your own Stripe account in a supported Stripe country, or your own Xendit account in Indonesia.

#### Does scanning work without a signal?

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each gate before you open.

#### Does the beer festival ticketing system suit a small festival too?

Yes. A one-hall festival with two sessions uses the same beer festival ticketing system as a city-wide beer week, and free events cost nothing.
