## Can guests add a donation when they buy their seat?

Yes, as suggested gifts. Each gift you suggest, such as 25 and 50, is an add-on a guest adds beside their seat in the same checkout. Checkout has no field for an amount the guest chooses. For a gift of any other size, your own donation page can be linked in the words you add to the confirmation email.

Under Tickets on your event, in Add-Ons, you select Create Add-On for each gift you suggest. You enter the gift in Name, such as Gift of 25, and its amount in Price, and Description says what the gift pays for. With Unlimited on, the gift never sells out, and you leave Enabled on and select Create Add-On.

Your gifts then appear under the tickets at checkout. A guest adds one beside their seat and pays for both in the same order, with one confirmation email.

For a gift of any size, a brand owner with an active Vault account can create a Vault payment link and choose Payer chooses under Amount, so each supporter enters what they want to give. With Many times chosen, every supporter pays through the same link. When the link is in your own message in the confirmation email, every gift it collects goes into your Vault balance.

[Sell add-ons with your tickets](https://www.ticketfairy.com/guides/sell-add-ons-with-your-tickets)

## How much of a table booking is paid online?

You choose a share from 1 to 100 percent. We ask each table buyer for an identity check and charge the online share once they pass it. You collect any balance yourself, and we charge our booking fee on the amount paid online.

Under Tickets on your event, you select Create under Table Types. You enter the table's name, its price and how many of it you can sell in Stock. For a table of ten, you enter 10 in both Minimum Guests Per Reservation and Maximum Guests Per Reservation. In Online Deposit Percentage, 100 takes the whole price online, and a smaller number takes a deposit.

When you save, the confirmation repeats your split, such as a 25% deposit now and 75% for you to collect directly, and you select Confirm. After paying, the host photographs an ID document and takes a selfie. Once the host passes the check, Ticket Fairy charges their card, issues the ticket and sends the confirmation email. A host who passed the check before is confirmed at once.

When your door team scans the booking in the Entry Fairy app, the ticket shows Remaining to pay with the balance. Your team takes the rest of the payment however you choose, then marks it paid in the app. Bookings still waiting for their check are on the Needs Verification tab of Orders.

## Can each guest at a table give their own meal choice?

A table booking is one ticket for the whole party, so it holds one answer to a ticket question. Guests who buy single seats answer for themselves. To collect each table guest's choice, the person who booked the table can get a form with the same question. Or the table can sell as seats, so each guest answers for their own seat.

Under Settings on your event, you select Create Custom Field. Under Append to, you choose Ticket, so each seat carries its own answer. You choose a Radio or Select question, enter the question in Label, such as Your meal choice, and select Add Option for each meal. With Required on, every guest must choose before they can pay, and you then select Create.

A guest who buys four single seats answers once for each seat. A table booking is one ticket, so it carries one answer. When you ask, Ticket Fairy can turn on questions at checkout for your event that collect each table guest's name, email address and phone number.

To collect every meal at a table, the host can get a form with the same question, such as a contact form with your own questions on your gala website. Or the table can sell as single seats, so each guest answers for their own seat.

[Add a meal choice question to your checkout](https://www.ticketfairy.com/guides/add-custom-checkout-questions)

## Can a company pay for its seats by invoice?

Yes. The company's seats come in as a group booking, and you raise an invoice with the due date their terms give. The seats are held from the moment you send the invoice until it is paid. For a sponsorship or a bespoke package, you raise a Vault invoice with line items and send the sponsor's table from Guest Tickets once they pay.

On Group Bookings for the event, you select New group booking. You enter the company name, choose the Purchaser who receives the invoice, and add the ticket types and quantities the company is buying. You enter the Purchase order number and choose the Payment terms the company works to. When the company agreed a single price for the table, one agreed total can replace the per-seat price.

With Require sign-off before invoicing on, someone must approve the deal first, and you select Send for sign-off. Once your approver signs off, you select Raise invoice, choose the Due date the company's terms give, such as 30 days for Net 30 days, and leave Email the invoice now on. Ticket Fairy emails the invoice and its payment link to the purchaser.

If Group Bookings is not switched on for your event, the page says so, and Ticket Fairy support can switch it on for your brand. For a sponsorship package, a brand owner raises a Vault invoice with line items under Vault, then Invoices, and sends the sponsor's table from Guest Tickets once they pay.

## When are auction bidders charged?

Only when the auction ends, and only the winners. Each bid is held on the bidder's card while bidding is open, and every hold that does not win is released. You cannot undo ending an auction.

Each lot can go up for auction on your event, such as a private dinner, a signed shirt or a holiday. You set the minimum bid, the bid increment, a reserve and when bidding opens and closes. You also choose how many winners there are and the ticket type each winning place gets.

A bidder who is overtaken gets an email saying they were outbid, so they come back and bid again. The auction can show on your event page beside your seats, or with Hide on the event page turned on, its link goes only to your donor list.

The Auctions page shows each auction as Scheduled, Live, Ended or Completed, with its highest bid and number of bids. View bids lists each bidder and their bid, and Cancel bid drops a bid and releases the hold on that card. When you end the auction, Ticket Fairy charges the winners and emails them their tickets. If no bid reaches your reserve, nobody is charged.

## Who sets up the seat map for our ballroom?

Ticket Fairy's team builds the seat map with you from your venue's floor plan. Without a map, you sell single seats and table types, and seat your guests yourself.

Your Ticket Fairy contact builds the seat map with you from your ballroom's floor plan, with numbered seats, tables and price zones. Guests then pick their own table or seat as they buy, and each ticket shows its seat in the order.

When a sponsor asks to sit nearer the stage, you can move that ticket holder to a different seat from their order, with no new order.

Without a map, you create a ticket type for each seat price and a table type for each table you sell. You can then seat your guests yourself from the list of every seat and table sold.

[Reserved seating and tables on a seat map](https://www.ticketfairy.com/features/seating-and-timed-entry)

## Who pays the booking fee?

You choose for each event. When you pass the fee on, guests pay it on top of the ticket price, and when you absorb it, the ticket price includes it.

Under Tickets on your event, you choose a card under Booking Fees on the Inventory tab, or choose it while you create the event. With Added, guests pay the booking fee on top and your cause receives the full ticket price. With Absorbed, guests pay exactly the ticket price and the fee comes out of what you receive.

The choice comes before your first ticket type, because you cannot switch between Added and Absorbed once ticket types exist. One choice covers every ticket type, table type and add-on on the event.

The booking fee depends on the ticket price and your event's country, and your Ticket Types table shows the exact amount for every price you enter. Free tickets carry no fee.

## Does Fai change anything without asking?

No. Fai can create your seats and tables, add the meal choice question and send sponsors their tickets. She can also take group bookings, set up an auction, and draft your run of show and emails. She shows you each change and asks you to approve it before anything is saved or sent.

You can ask Fai, the assistant in your dashboard, in a sentence, such as a table of ten at 1,500 with the whole price online. Fai fills in each detail and shows you the change before anything is saved. She always asks before she ends an auction and charges the winners.

You choose what Fai does on each event. On the event's Operations page, under Set up, then Fai's skills, Turn off for this event stops any work you do not want. What Fai can do lists the actions she can take on the event when you ask her. You need an owner or admin login for the brand to change these settings.

[Choose what Fai does on your event](https://www.ticketfairy.com/guides/choose-what-fai-does-on-your-event)

## Can a nonprofit sell tickets with Ticket Fairy?

Yes. Non-profit organizations and charities sell gala seats, whole tables and donations here. Guests can add a donation when they buy their seat.

Once your gala is created, single seats sell as ticket types and whole tables as table types from the same event. Suggested gifts sell as add-ons, companies get invoices for their tables and an auction raises more from your best lots. Sponsors and honored guests get their seats from Guest Tickets.

Ticket Fairy charges no setup fee. Free tickets carry no booking fee, and on paid seats you choose whether guests pay the booking fee on top, so the full ticket price stays with your cause.

[Run ticketing for a charity gala](https://www.ticketfairy.com/guides/run-a-charity-gala)

## Does it work for charity balls and gala dinners?

Yes. You sell single seats and whole tables for a charity ball, gala dinner or fundraising dinner, take donations at checkout and run your auction from the same event. Each guest gives their meal choice before the night.

You select Create Event and choose Start from scratch, then enter the gala's name, date, venue and description. On Tickets, you create a ticket type for each seat price, such as Gala seat and Supporter seat. Under Table Types, you select Create for each table you sell, with its price, the number of guests it seats and the share paid online.

You add a meal choice question on the event's Settings, send sponsors their tables from Guest Tickets and email your guests from Messaging. On the night, your door team opens Check-In and finds each guest by name or email address.

## When do we receive the money from our gala?

You choose how your brand is paid. With Paid out after your event, Ticket Fairy takes the card payments and pays you 10 to 15 business days after the gala. With Before your event, as tickets sell, each payment goes to your own payment processing account as it is made.

To be paid as tickets sell, you need your own payment processing account set up and active before your seats go on sale, and that account pays out on its own schedule. With Paid out after your event, you need nothing set up, so you can publish straight away.

When you are paid after the event, the money goes to the account under Payout Details on your brand's Details page, and one event can use a different account. It is worth checking before the gala ends, because a payout already sent to an old account has to be recalled.

Net revenue on Performance is what the event has earned, with add-ons and table guest revenue in it. Refunds taken after it and card fees come off before the payout, and pending refund requests or chargebacks extend the wait.

[Check the payout for your event](https://www.ticketfairy.com/guides/check-your-payout)

## Can guests pay for their seats in installments?

Yes. With a payment plan on for the gala, each guest pays a deposit at checkout and the rest weekly or monthly from the same card. You choose the deposit, the number of payments and how long before the gala the last one is taken.

You turn on Enable payment plan in your event's payment settings. You choose whether the First installment is a percentage, a fixed amount or the same as the later payments, then choose the Number of installments and whether they are weekly or monthly. You set how many weeks before the gala the final payment is taken, and when an unfinished order is canceled.

The plan covers the whole event rather than chosen ticket types. Ticket Fairy retries a failed payment for you, so check your plan orders a few days after each collection date. From your first sale onwards the plan settings lock, so every guest keeps the terms they agreed to.

[Let guests pay for their seats in installments](https://www.ticketfairy.com/guides/let-buyers-pay-for-tickets-in-instalments)

## Can we keep the gala for invited guests only?

Yes. Each patron and past donor can get a personal invitation with their own ticket link and limit. Or the event page can carry a password, or you approve each order before the ticket is issued.

In Event Settings, you turn on Invitation required to attend and select Save Event Settings. Under Interact, Invitations, you then start a new invitation with its subject and message. You add each recipient with their name, email address, Maximum number of tickets and Maximum transactions, or select Upload CSV for a longer list. It can go now, or later with Schedule Email.

Each invitation shows whether its link was opened and whether the guest bought. To send invitations, your brand and your own account must be verified, so contact Ticket Fairy support first if your brand is new.

For a simpler private sale, Password required to view event gives each group its own password. Sales by Password then shows which group bought. To decide on each order after checkout, you turn on Require order approval on the Tickets settings tab.

[Sell tickets by personal invitation](https://www.ticketfairy.com/guides/sell-tickets-by-personal-invitation)

## Can a corporate partner hand out seats to their own staff?

Yes. The partner gets a link of their own that lets them hand out only the seats you chose, up to the number you set. They never see your sales, your buyers or the rest of your event.

On Delegations for your event, you select Create Delegation. You enter the Delegation Name, such as the partner's company, then select Add Ticket and choose each Ticket Type, its Quantity and its Type. Under Add User, you enter the name and email address of the person at the partner who hands the seats out.

On the saved delegation, Manage Access, then Copy access link beside their name, gives you the link to send them. You can raise or lower their limit at any time. If you delete the delegation, the guest tickets they already issued stay valid.

[Let a partner hand out their own seats](https://www.ticketfairy.com/guides/let-a-partner-hand-out-their-own-tickets)

## How do we send sponsors and honored guests their free seats?

They get guest tickets from your own seats or table types. Each guest gets a ticket with its own barcode, and the seat counts towards your room without adding to your takings.

On Guest Tickets for your event, you select Send Guest Tickets. You choose the ticket or table type and the quantity, then enter the guest's email address and each ticket holder's first and last name, and select Send. For a long guest list, Upload CSV sends them all.

Each guest ticket comes out of the stock of the type you chose, exactly as a sold ticket does. Many teams make a Guest ticket type with its own allocation, so free seats never eat into the seats you sell. Sending a sponsor's table takes one table from that table type's stock.

The issued list shows each guest's name, ticket type, who sent it and when. You can send guest tickets as the owner, an admin or a curator on the event.

[Send free seats to your sponsors and guests](https://www.ticketfairy.com/guides/issue-guest-tickets)

## How do we refund a guest who can no longer come?

The event owner refunds the order from Orders and confirms it with a six-digit code Ticket Fairy emails them. The face value goes back to the guest's card, and their tickets stop working at once.

On Orders, you find the order on the Paid tab, open its row menu and select Refund. You check the amount and the order number, select Get authorization code, then enter the six digits from the email and select Confirm Refund. The order moves to the Refunded tab and the guest receives an email.

The Refund option appears once Ticket Fairy has turned on dashboard refunds for your event, on a card order paid through your own connected payment account, before the event's money has been paid out. Ticket Fairy support refunds a table booking, or an order with a ticket already scanned, for you. The booking fee stays charged on a dashboard refund.

To let guests refund their own seats from their order page, you turn on Allow customers to initiate refunds on the Tickets settings tab, on terms you agree with Ticket Fairy.

[Refund an order on your event](https://www.ticketfairy.com/guides/refund-an-order)

## Who on our committee can do what?

You choose a role for each person. An administrator sets up the gala, someone with Stats reads every report including revenue, a curator sends guest tickets and invitations, and Door Staff open the scanning app and nothing else.

On your brand, you select Team, then Add Team Member. You enter each address, choose the Permission level and select Send Invitation. Everyone in one invitation gets the same role, so send a separate invitation for each role. Someone with Limited Stats reads the reports without revenue, and someone with Customer Support works on orders.

Brand access carries to every event your charity runs. A volunteer who helps on one night joins from that event's team instead, and their access ends with the event. Only an owner can make someone an owner or an administrator.

[Invite your committee and choose what each person can do](https://www.ticketfairy.com/guides/invite-your-team)

## How do we email guests the dress code and timings?

On Messaging for your event, New Email reaches every guest or only the holders of chosen ticket types, such as your sponsors' guests. The email goes out under your charity's name, and replies come to your brand's email address.

Under Audience, you choose All ticket holders and RSVPs, or Specific ticket type holders and tick the types. You enter the subject and message, and turn on the switch that says the message is not for marketing. A test sent to yourself comes first, then you select Send and check the message once more before you select Send Email.

Back on Messaging, Show Recipients lists everyone the email went to, with Opened at beside each guest who opened it. Messaging stays open until fifteen days after the gala, so your thank-you goes out in the fortnight after the night. Your brand and your own account must be verified before you can send.

[Email the guests at your gala](https://www.ticketfairy.com/guides/email-your-buyers)

## How do we plan the running order of the evening?

A run of show on the event holds a cue for the reception, each course, each speech, the auction and the band. With the show caller named, every team works from the same times.

On the event's Operations page, you select Run of show. You choose the day, select Add cue and enter the Start time and What happens for each cue. Or Fai drafts the run of show for you, and you check her cues and save the ones you keep. The run of show outlines a cue that clashes with another, or that no department owns, and gives the reason.

Under Show callers, you select Add show caller and choose the team member who calls the evening. When a course runs over, Move on a cue moves it by minutes. Lock this day keeps the plan final.

A day sheet shared from a link reaches your caterer, your AV team and your host on their phones, with no login. A shared link always shows the latest run of show.

[Plan your run of show and who calls it](https://www.ticketfairy.com/guides/plan-your-run-of-show-and-who-calls-it)

## How do we see how many seats we have sold?

Performance on your event shows it. Tickets shows how many have sold and Net revenue what the gala has earned, and Sales by Type shows what each seat price has sold and brought in.

The page refreshes about every five seconds while it is open. Ticket Sales gives one row per day, with the tickets sold and the revenue, and the chart above it plots the same run by day or by week.

Guest tickets for sponsors and honored guests count at zero. Ticket Sales leaves them out and Sales by Type lists them under their ticket type, so the gap between the two is roughly what you have given away. To see how this gala is selling against last year's at the same point, Insights has Compared with last time.

[See how your gala is selling](https://www.ticketfairy.com/guides/check-your-sales)

## Can supporters earn money back by bringing friends?

Yes. Every guest who buys a paid seat gets a personal referral link, and earns back part of their seat price as friends buy through it. Referral rewards apply to seats, not to table bookings.

Under Tickets on your event, then Settings, Disable Rewards System stays turned off. You set each tier's target from 1 to 10 referred sales and the share of the guest's seat price they earn back. A new event starts at 10% after 2 referred sales, 30% after 5 and 100% after 8.

With Show referral rewards upsell on, your event page explains the rewards before guests check out, and you then select Save Ticket Settings. The targets are best set before the first sale, because the terms guests saw when they bought stay fixed. Influencers shows each guest's clicks, referred sales and earned reward.

[Reward guests who bring their friends](https://www.ticketfairy.com/guides/reward-buyers-for-referrals)

## How does our door team find each guest on the night?

Your door team scans tickets with the Entry Fairy app on their own phones, and finds a guest by name or email address in Individual Tickets on Check-In. Each row shows when the guest checked in and who admitted them.

Each volunteer on your door joins as Door Staff. That login opens the scanning app and nothing else in your dashboard, and their invitation carries the app store links. A ticket scanned on one phone shows as already checked in on every other phone, with the time and who admitted the guest.

The check-in report shows arrivals by hour against what sold, so you can see whether every table has arrived before dinner is served. The app needs an internet connection to scan, so check the connection at each door of your venue before guests arrive.

[Scan tickets at the door](https://www.ticketfairy.com/guides/scan-tickets-at-the-door)

## How do we find out what our guests thought of the gala?

A feedback survey after the gala reaches every guest who checked in. Each guest gets one email with their own link, and Fai picks out the themes in their answers for next year.

On the event's Operations page, you select Feedback, then Use the standard survey. Edit questions changes the wording or adds a question, then Schedule lets you choose the Days people can answer. The survey then says Scheduled and when it sends.

The survey goes once to each email address with a ticket that was checked in, and guest passes are left out. The questions are fixed once sending starts, so change them before the send time. You can open Feedback as an owner, admin or producer on the event.

[Ask your guests for feedback after the gala](https://www.ticketfairy.com/guides/ask-attendees-for-feedback-after-your-event)

## How do we set up next year's gala?

This year's gala duplicates into a new draft, and you enter the new dates. The ticket types, table types and settings come with it, and you choose whether the team, promotions, email templates and checkout questions come too.

On Events, you open the menu on this year's gala and choose Duplicate Event. You enter the new Event Name, Short Name, start and end dates and Event web address. You select each extra part to carry over, such as custom fields for your meal question, then select Duplicate.

The copy stays a draft until you publish it, and this year's gala keeps its orders, guests and check-ins. Your committee starts next year with the seat prices, table types and meal question already in place.

[Copy this year's gala into next year's](https://www.ticketfairy.com/guides/duplicate-an-event)

## Can we take RSVPs and sponsor enquiries on our gala website?

Yes. An RSVP form or a contact form with your own questions can sit on a page of your gala website. You get an email for each new reply, and every reply waits under Form replies.

In the website editor, you select the page, select Add a section and choose Contact form or RSVP form. You choose Your own questions and select Add a question for each one, with an answer type such as a date, a number or a choice from a list. You select Save changes, then Publish changes.

Under Settings, you enter the address that gets each reply in Send form replies to. Ticket Fairy keeps replies that look like spam apart and does not email you about them. A form also works on a page with a password, so only your invited guests can send it.
