## Cost

### What does festival ticketing cost with Ticket Fairy?

The ticketing software has no setup fee or required monthly fee. Each paid ticket carries a service fee that depends on the ticket price and your country, and free tickets carry none. You choose whether attendees pay the fee on top of the ticket price or you absorb it. The pricing page shows the rate for your country.

You choose who pays the booking fee before you create your first ticket type. With Added, fans pay the fee and see one all-inclusive price, and you receive the full ticket price. With Absorbed, fans pay exactly the ticket price and the fee comes out of what you receive. With Added Later, fans see the ticket price on your event page and the fee at checkout. Added Later is not available for events in Australia, the United Kingdom or the United States.

The fee falls as a percentage as your prices rise, with a small minimum on low prices. Your Ticket Types table shows the exact amount for every price you enter, so you know what fans pay and what you receive before you go on sale.

[Choose who pays the booking fee on your event](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

### What does a fan pay to resell a ticket at face value?

Outside India, each resale carries a 10% resale fee. The seller gets the ticket price back in full, and the fee is charged separately to their original card. Your event page can tell sellers about it.

The resale fee is 10% of the price the seller paid for the ticket, not counting the booking fee. For a ticket bought in a currency other than US, Australian or New Zealand dollars, pounds sterling or euros, the fee is capped at the equivalent of US$20. Events in India carry no resale fee.

A fan who cannot come opens their order and chooses Sell Ticket. The ticket is offered to the next fan on your waiting list for that ticket type, or to a friend the seller names. The new buyer pays the ticket's current price at an ordinary checkout and gets a ticket in their own name, and the old code stops working at your gates.

The seller gets back what they paid for the ticket and any add-ons that went with it. The booking fee is not returned unless we set your event up to return it. Their ticket still scans until the new buyer pays, and they can take it off resale before then.

## Fit

### Which festivals use Ticket Fairy?

Independent festivals, music and food festivals, and seasonal or annual festivals of every size sell their tickets with Ticket Fairy. Festival organizers and event planners often switch when they outgrow their old festival ticketing software, and our team moves their events across.

The multi-day festival template suits a greenfield weekend with camping. Timed-entry tickets suit a food or arts festival where each session has its own capacity. Small and first-year festivals start from the same template as sell-out weekends, and you can start core ticketing without a credit card, setup fee or required monthly fee.

Promoters who run concerts as well as a festival sell them all under one brand. Each event keeps its own tickets and reports, and your brand's Customers page shows each person's orders across all your events.

[Run ticketing for a music festival](https://www.ticketfairy.com/guides/run-a-music-festival)

### Can I plan my acts, crew and budget where I sell my festival tickets?

Yes. For music festival planning, you book acts, build the line-up, schedule each act's performance time and advance each act on the same event as your festival tickets. You plan your costs, crew, accreditation and traders on that event too, so every department works from the same figures.

The event you sell tickets from also holds the running order, the artists and what each act was promised, their flights and hotels, the task board, the budget and the messages you send fans. The stage time on your running order is the same time your crew works to and the same one in your announcement.

You plan crew shifts, accreditation passes, trader applications and incident reports in the Operations sections of the same event. Your heads of department plan from the same figures as your box office, and Fai can tell you what is running late across tickets, artists, travel and tasks.

### Can a small festival use Ticket Fairy?

Yes. Small, local and first-year festivals get the same festival ticketing software as sell-out weekends. You start from the multi-day festival template and publish your event page. Referral rewards, payment plans and the planning sections are there to turn on when you need them.

You sign up as an event organizer, enter your brand name and choose how you get paid. With Paid out after your event, you have nothing else to set up before you publish: Ticket Fairy takes the card payments and pays you 10 to 15 business days after your festival.

The multi-day festival template then asks for your dates and stages and lays out day and weekend tickets for you to price. The page, tickets and settings it builds are yours to change.

### Can I sell concerts and other events from the same account?

Yes. Ticket Fairy is event ticketing software for concerts, club nights, conferences, fairs and sports events as well as festivals. Each event keeps its own ticket types and reports under your brand.

Your colors, logos and fonts are set once on your brand, and your team gets their roles at brand level. Every new concert or festival under the brand starts with them.

You can duplicate an event you have run to start the next one as a draft with its tickets and settings, and group a tour, a season or a weekly night into a series. Your brand's Customers page brings each person's orders together across your events, so you can see which concert-goers also bought festival tickets.

[Manage many events without repeating the same work](https://www.ticketfairy.com/guides/run-many-events-on-one-platform)

### Can I customize festival ticketing for a boutique or independent festival?

Yes. You choose your own ticket types and releases, door times for each day, purchase limits and which add-ons go with which tickets. Your event pages, festival website and campaigns carry your logo, colors and fonts. If you want the ticketing platform under your music festival's own name, our team sets up custom white-label branding with you.

Your brand kit holds your tone of voice, colors, fonts and logos. Each new website you build starts in your colors, fonts and logo, and your AI ticket concierge answers fans in your voice.

For the platform itself, you can choose co-branded, where the Ticket Fairy footer and platform links stay on the page, or fully white-label, with no Ticket Fairy branding and your event sites on your own web address. Book a demo, and our team sets up white-label branding on your brand with you.

### What should I look for in festival ticketing software?

The right platform has a checkout that sells the tickets your festival needs, such as day and weekend tickets, camping and payment plans, and stays reliable on a busy on-sale. It is worth checking the festival ticketing fees, how fast you get paid, and whether door staff can scan tickets on their own phones. Ticket Fairy also has referral rewards, and you plan your acts, crew and traders on the same event.

A fair comparison prices one ticket you plan to sell on every platform you are comparing. The questions that matter are what the fan pays at checkout with every service, processing and order fee included, and how much you receive.

When the money reaches you matters too. If it arrives after your festival, you pay the site, the acts and production out of your own cash until then. So does whether you can see each buyer's name and email address while you are on sale, and whether you can export them.

Your shortlist is best tested with a festival setup you already use: day and weekend tickets, camping, a payment plan and a busy on-sale.

## Capability

### Can I sell day tickets and weekend tickets on the same event?

Yes. You can run the festival as a single event with a ticket category for each day and another for the full weekend. Each day ticket can have its own doors-open and last-entry times, and a weekend ticket can let its holder in once a day.

You create a ticket category for each day and one for the full weekend, and every price release sits inside its category. Fans then see Friday, Saturday, Sunday and Weekend as separate sections on your event page instead of one long list, and choose the day first and the price second.

On each day ticket, you turn on This ticket type has different door times and enter its Doors Open Time and Last Entry Time. The scanning app admits that ticket only between those times, so a Saturday ticket is refused on Sunday. Your weekend tickets stay on the event's own times, and under Ticket Rules you allow repeat scanning with a Day period and Max Scans of 1. A weekend ticket then gets in once in each rolling 24 hours.

Separate events suit a day only when it has its own venue, line-up or reporting.

[Set up ticketing for a multi-day festival](https://www.ticketfairy.com/guides/sell-a-multi-day-festival)

### How do day tickets, weekend tickets and camping fit together?

Fans buy day tickets, weekend tickets, camping and car park spaces in a single checkout and place a single order. A weekend ticket gets in once each day, and your door staff see the campsite band as each camping ticket scans.

Day and weekend tickets sit in their own categories with camping and car park spaces in add-ons under them, so a fan buys their festival weekend in one order instead of three. Each add-on is created once for the whole event, not once for each day.

You create a credential for each wristband, such as Weekend, Day and Campsite, and choose the ticket types or add-ons that get it. For a band every camper gets, you choose the camping add-ons and leave the ticket types empty. A ticket that matches two credentials shows both bands when it scans.

[Assign wristbands to each ticket type](https://www.ticketfairy.com/guides/issue-wristbands-by-ticket-type)

### Which ticket types can I sell for my festival?

With our festival ticketing software you can sell general admission, VIP, day and weekend tickets, camping and car park spaces, timed entry sessions and reserved seating. Each has its own price, capacity and release dates, and promo codes and group discounts apply to any of them.

A separate ticket type suits each admission that differs, such as general admission, VIP, Friday or the full weekend. For early bird, first release and final release at the same admission, create one ticket type for each release and group them in a category.

Each ticket type has its own price, allocation, per-order limit, door times and sale window. With Hidden turned on, a release stays out of sight until you reveal it, on a date or when the previous ticket type sells out. Setting Must be bought in multiples of to 2 sells a pair of tickets bought together.

[Set up ticket types](https://www.ticketfairy.com/guides/set-up-ticket-types)

### Can a multi-day music festival sell camping and payment plans?

Yes. Booking a festival is a single checkout, with day tickets, weekend passes and camping in the same order. Fans can spread the cost of festival passes with flexible payment plans, where your payment processing account supports them.

Camping, campervan permits, parking and shuttles are add-ons, each with its own price and stock. You can limit camping to the ticket types it belongs with, so a Sunday-only buyer is not offered weekend camping. With Limit to ticket quantity on, four friends on one order get four pitches at most.

Variants cover a campsite that comes in several pitch sizes, and you can keep a campervan permit out of resale if you want. When the last pitch sells, the add-on is no longer available and your tickets stay on sale.

[Sell parking, camping and merchandise with your tickets](https://www.ticketfairy.com/guides/sell-add-ons-with-your-tickets)

### What can I sell besides weekend and day tickets?

Camping, parking, shuttles, meals, VIP upgrades and merchandise sell as add-ons in the same checkout. Traders apply on your own page and pay their invoice, and you issue trader, crew and press accreditation with their zones and days.

You can sell camping, parking, shuttles, meal packages, VIP upgrades and merchandise as add-ons in the same checkout as your tickets. With the shipping-details option on anything you post, checkout asks the fan for an address.

Traders apply from their phone on your application page, with no account. You set pitch fees and extras such as power, water, passes and parking. Fai ranks each application against the mix you want, you decide, and Ticket Fairy raises the invoice for each trader you approve.

With a hotel block, fans book a room at your agreed rate in the same checkout as their ticket.

[Take food, drink and market trader applications for your event](https://www.ticketfairy.com/guides/take-trader-applications-for-your-event)

### Can I sell food and drink with my tickets?

Yes. You can sell meals, drink tokens and a drinks package for VIP ticket holders as add-ons with each ticket. With a cashless partner, fans pay at your bars and food stalls with the RFID wristband that got them in.

Each meal package or drinks package is an add-on with its own price and stock, and you can limit a VIP drinks package to your VIP ticket types. Fans add it in the same checkout as their ticket.

Food and drink traders apply on your application page, and you place each approved trader on a pitch on your site map. After the festival, you can check your traders' takings and invoice their share of sales.

[Check your traders' takings and invoice their share of sales](https://www.ticketfairy.com/guides/check-trader-takings-and-invoice-a-share-of-sales)

### How do I sell VIP packages and send guest list tickets?

Each VIP package can sell as its own ticket type that lists what it includes, such as a welcome drink or a meet-and-greet, so your hosts see it beside each guest. You can assign a host to each VIP guest or table, and the host gets an alert when that guest's ticket scans at the entrance. Complimentary tickets go to your guest list from a ticket type of their own, individually or from a CSV file, so comps never eat into a paid release and add nothing to your takings.

You send guest tickets from Guest Tickets on a ticket type of their own, such as a Guest list type, so comps are easy to count. Each guest gets a ticket with a barcode and their name. The form sends up to 40 tickets to one person, and a spreadsheet upload sends a whole list at once.

Guest tickets come out of that ticket type's stock and stay out of your takings, and the issued list shows who sent each one and when. Your exports mark each guest ticket, so you can tell comps from paid tickets after the festival.

Your VIP areas and tables can each have a host for every guest, who gets an alert when their guest arrives.

[Send free tickets to your guest list](https://www.ticketfairy.com/guides/issue-guest-tickets)

### Can an act's manager or a sponsor send out their own guest tickets?

Yes. Each partner gets a fixed allocation on the ticket types you choose and a sign-in link of their own. They add their own guests and cannot go past the number you set, so they stop asking you for each name.

You decide the limit for each partner first, such as the headliner's management, the radio station running a competition or your main sponsor. The partner needs no login to your event, and every guest they add gets a ticket that scans at your gates like any other.

You can also ask Fai to set up the allocation with the ticket types and limits you name. She shows you the allocation and the people who hold it before she saves anything.

[Let a partner hand out their own tickets](https://www.ticketfairy.com/guides/let-a-partner-hand-out-their-own-tickets)

### Can I use RFID wristbands and cashless payments at my festival?

Yes. Through an established cashless partner, each RFID wristband at your music festival is linked to its ticket, and fans pay at your bars and traders with the band that got them in. Fans add credit when they buy their ticket and later on your event page, and get their unused credit back after the event. Each tap counts towards the bar or trader that took it, so your settlement shows what attendees spent at each one.

Ticket Fairy connects a cashless and RFID partner for you, and top-ups and payments run through them. Each fan's wristband is linked to their ticket, fans top up at checkout and on your event page, and they get their unspent credit refunded after the festival.

Your settlement shows what fans paid at each bar and trader. A demo lets you talk through your bars and traders with us.

[See how fans pay at your bars with their wristband](https://www.ticketfairy.com/event-operating-system/front-of-house)

### Will referrals always add 20% to my sales?

No. Referrals bring up to 20% more tickets, and events with passionate audiences often exceed that. Your result depends on your event, your audience and the rewards you set.

Each fan who buys an eligible paid ticket gets a personal referral link by email and on their order page. You set three targets for referred sales, between 1 and 10. At the first two targets you choose the share of the fan's own ticket price they earn back, and at the third they earn back the full price. A new event starts at 10% after 2 referred sales, 30% after 5 and 100% after 8.

The targets are best set before your first sale, because the terms fans saw when they bought stay fixed. With Show referral rewards upsell on, fans see what they can earn before they check out.

The Influencers report lists each fan's link clicks, referred ticket sales, revenue and the reward they earned, so you can compare what the rewards cost with what they brought in.

[Reward buyers who bring friends to your event](https://www.ticketfairy.com/guides/reward-buyers-for-referrals)

### Will checkout hold up when my festival goes on sale?

Yes. When arrivals climb on a high-demand music festival on-sale, a waiting room in front of checkout shows each buyer their place in the queue and lets them in turn, so checkout stays reliable. The same waiting room protects high-volume presales for your festival. Fans can buy music festival tickets on any phone, because the checkout is mobile-friendly. At the festival, door staff check fans in on site with the scanning app.

A waiting room turns itself on in front of checkout when arrivals climb. Fans see their place in the queue and roughly how long they have to wait, refreshing the page does not move them up or down, and the fans already in checkout finish buying as normal.

You can split your tickets into releases with their own allocations and times, and send an invitation or a presale to your own list first, so part of the crowd buys before the public on-sale. Your announcement can tell fans that there is a queue and that it shows their place.

A fan who arrives after the last ticket has gone can join your waiting list, and you can email the list when you add a release.

[Keep a high-demand on-sale running smoothly](https://www.ticketfairy.com/guides/keep-a-high-demand-on-sale-running-smoothly)

### How do I stop ticket fraud at my festival?

You can limit tickets per order and per customer, and put a name on every ticket. On your busiest on-sales, you can ask buyers to prove who they are with an ID photo and a selfie. We watch each release for fraud while it is on sale, and when a fan resells, the new holder gets a new code and the old code no longer scans.

You set the maximum tickets per order and the maximum per customer account across every order, up to 20. With Names required, Name checks and ID required on, the email your attendees receive asks them to bring photo ID.

On your busiest on-sales, you can add an identity check to the event or to the ticket types under most pressure. Fans finish checkout and their card is held rather than charged until they pass. Orders waiting on a check collect on the Needs Verification tab, where you can send the check again, take the payment without it, or release the hold so the tickets go back on sale.

Your highest-demand release can run by invitation, presale code or password, because a bot cannot buy a ticket it cannot reach.

[Keep touts and bots off your tickets](https://www.ticketfairy.com/guides/keep-touts-off-your-tickets)

### Can fans join a waiting list when my festival sells out?

Yes. Once a ticket type sells out, your event page shows a Join Wait List form. Each ticket that comes back through resale, a refund or a canceled payment plan is offered to the next fan in line for that ticket type.

Each offer goes by email with a link to buy at the ticket's current price. It lasts thirty-six hours, or eight hours in the last day before your festival. A fan whose offer lapses leaves the list, and the next fan is offered the ticket.

The add-on waiting list works too, so camping and parking that sell out take one. You can cap how many tickets one fan can ask for, so returns spread across more people. Without a cap, a fan can ask for up to ten.

A new release is not offered to the list on its own, so email your waiting list members from Messaging when you add tickets.

[Run a waiting list for a sold-out event](https://www.ticketfairy.com/guides/run-a-waiting-list)

### Can fans book a hotel room with their festival ticket?

Yes. Once you agree a block of rooms with a nearby hotel, fans book a room at your agreed rate in the same checkout as their ticket, on your event page and in the checkout on your own website.

You enter the nights, the rooms each night, the rate fans pay and the hotel's release date as the last day fans can book. Once that day has passed, the rooms nobody booked go back to the hotel, and fans who booked keep theirs.

Fans also see the room under Where to stay on your event page, with a link to a map of hotels near your site. Each block shows the rooms booked and still for sale each night.

[Sell hotel rooms to your ticket buyers from a hotel block](https://www.ticketfairy.com/guides/sell-hotel-rooms-to-your-ticket-buyers-from-a-hotel-block)

### Can fans from abroad read my festival website in their own language?

Yes. Fai translates your festival website into Spanish, French, German, Indonesian, Russian, Danish, Norwegian, Swedish and Finnish, and your team can check each translation before you put the language live.

You add the languages in your website editor, and Fai translates your pages, sections and lists while you get on with other work. Review shows each translation beside the original, and fans choose their language from the menu at the top of your website.

[Translate your event website](https://www.ticketfairy.com/guides/translate-your-event-website)

### Can I sell festival tickets on my own website?

Yes. You can build your festival website in your logo, colors and fonts with the website builder that comes with your ticketing software, or embed the checkout in the website you already have. With the embedded checkout, your event ticketing stays on your own website: fans choose, pay and get their tickets without leaving it.

You copy the checkout snippet from your event's Embed page and paste it into the event page on your website. Fans choose tickets, pay and get their confirmation without leaving your site, on a phone or a computer. New buyers check out without creating an account, and a WordPress site can use the plugin instead.

To offer wallet payments in the embedded checkout, you add your exact website address and your web developer serves the verification file. When a purchase needs options the embedded checkout cannot show, fans see the full event page instead, so they still get every option you offer.

If you have no website yet, the website builder makes one for you. Each new site starts in your brand's colors, fonts and logo.

[Sell tickets directly from your own website](https://www.ticketfairy.com/guides/sell-tickets-on-your-own-website)

### Can fans buy tickets on their phones?

Yes. Fans can buy on any phone from start to finish, including in browsers opened from Instagram and other social apps. Door staff scan tickets with their own phones, and you can check sales and ask Fai questions from your phone.

Fans can check out in browsers opened from social apps that block third-party cookies. New buyers check out without creating an account, and returning buyers sign in with a code sent to their email.

Fans pay by card, Apple Pay, Google Pay or a local payment method where one is available. Your door staff install the Entry Fairy scanning app from either app store on their own phones.

### Can I connect my mailing list and my ad accounts?

With Klaviyo or Mailchimp connected, buyers who agree at checkout join your list. You add your Meta, TikTok and Google ad tracking once for your brand, and can send your sales data to Zapier or your own system with a webhook.

You connect Mailchimp once for your brand, and fans who agree at checkout join the audience you choose a few minutes after they pay, with their name, email address and ticket type. A fan who later opts out is removed. Klaviyo connects to your brand by signing in or with a Private API Key, and you choose the list your buyers join.

Laylo and Hive get every paid order. You connect the advertising networks you buy from once at brand level, such as Meta and Google, and each network records the ticket sales your ads brought in.

A webhook sends each order to your own system or to a Zap in Zapier within a few seconds of payment, and again when the order is changed, transferred or refunded.

[Connect your mailing list and ad accounts](https://www.ticketfairy.com/features/integrations)

### Can I connect my CRM and my own systems?

Yes. Your event ticketing software connects to Klaviyo, Mailchimp, Laylo and Hive, and your ticket buyers join your lists without an export. Your developer can use the organizer API to create events and get their sales. Webhooks send each order to your CRM or reporting tools as fans pay.

An API key lets your own tools read your ticket sales. Your developer uses the organizer API to create events and get their sales.

A webhook on your brand receives the orders of every event on it, and a webhook on one event receives that event's orders. Send test on the Webhooks page checks that your tool accepts the delivery.

### Does Fai change anything or send money without asking?

No. Fai drafts tasks, emails, advances, settlements and payment batches, and someone on your team approves, changes or turns down each draft. A person sends every payment after confirming their identity.

Fai's skills on any event show the work Fai does on her own, such as reading contracts and riders, and you can turn off any item for that event only. What Fai can do lists the actions she takes when you ask. An action marked Asks you first always waits for your yes, and one marked Reads only looks things up and changes nothing.

You can ask Fai about your figures in your own words, such as which ticket type is selling slowest, and she answers in plain language or as a chart. Anything that changes an event, an order or a message comes to you first.

Money moves only when a person on your team sends it. With payment approvals on, a different owner sends each payment that another owner prepares.

[Choose what Fai does on your event](https://www.ticketfairy.com/guides/choose-what-fai-does-on-your-event)

## Switching

### What help do I get when I switch festival ticketing software?

Book a demo, and our team sets up your festival tickets with you and moves your events across from your old event ticketing platform.

The multi-day festival template asks for your dates and stages and lays out day and weekend tickets for you to price. You can also ask Fai to build the festival for you. She asks about your days, ticket classes, price releases, installments, camping and on-sale date, then shows you the setup before she creates anything.

If your past attendees are on your own email list, you can send them an access code before the public on-sale, so your most loyal fans buy first.

[Run ticketing for a music festival](https://www.ticketfairy.com/guides/run-a-music-festival)

### How quickly can I set up event ticketing for my festival?

You start from the multi-day festival template and answer its questions about your ticket price, capacity and extras. It prepares your day and weekend tickets with camping and car park add-ons for you to check. Your event page goes live when you are ready, or at the minute you announce if you schedule it.

If you ran the festival on Ticket Fairy last year, you can duplicate it instead. The copy is a draft that keeps the tickets, add-ons and settings, and entering the new dates moves the sale windows, door times and validity by the same number of whole days.

Schedule Publish puts your event page live on the minute your announcement promised. Each release then opens on its own date.

## Money

### When can fans pay for a festival pass in installments?

Fans can buy a festival pass on a flexible payment plan when they pay by card in a currency that supports plans. You choose the deposit, the number of payments and when the final payment is due. If a fan stops paying, the order is canceled after the grace period you choose and its tickets go back on sale.

You turn on a payment plan in your event's payment settings. You choose whether the first installment is a percentage, a fixed amount or the same as the later payments, how many installments fans can choose, whether payments are weekly or monthly, and how many weeks before your festival the final payment is due.

Each fan's schedule starts when they buy, so a fan who buys later gets fewer payments that still finish before your cutoff. A failed payment is tried again. An order still unfinished at the cancellation cutoff you set is canceled, its tickets go back on sale, and you keep the first installment.

Your plan settings lock from the event's first sale, so choose them before your on-sale. Your event page tells fans the deposit, the number of payments and the final date.

[Let buyers pay for tickets in installments](https://www.ticketfairy.com/guides/let-buyers-pay-for-tickets-in-instalments)

### When do I get paid?

Daily, once your own payment processing account is linked and active, while buyers pay. Daily payouts need a Stripe payment processing account in a supported Stripe country, or a Xendit payment processing account in Indonesia. Otherwise your own account pays out on its own schedule. If you choose Paid out after your event, payouts are processed 10 to 15 business days after the event finishes. Your publish review shows this for the event in front of you.

You choose how you are paid when you create your brand. Paid out after your event needs nothing set up, so you can publish straight away. Before your event, as tickets sell needs your own payment processing account active before your tickets go on sale.

A postponed festival is paid after it takes place, and a canceled one is held while we refund your buyers for you. Pending refund requests and chargebacks extend the wait.

It pays to check Payout Details under your brand's Details before your festival ends, because a payout already sent to an old account has to be recalled.

[Check the payout for your event](https://www.ticketfairy.com/guides/check-your-payout)

### Who can apply for Ticket Fairy Capital?

If your event business is eligible, you can apply for up to $3M in the United States or €3M in Europe. In the United Kingdom, you can apply for up to £5M. A funding partner reviews your ticket sales history, event track record and projected sales. The partner decides whether to approve your application and sets the terms.

Capital can cover artist deposits and booking fees, the deposit that holds your site or venue, stages, sound and lighting, and the marketing that starts your on-sale early. Your past on-sales count, wherever they ran.

You apply online. You receive a decision within a few business days, and if you are approved, funds typically arrive within one to two weeks. Repayments follow your ticket sales under the terms you agree with the funding partner, with no fixed monthly payments, and they stop once you repay the agreed total.

In Vault, the Events page shows any Capital still to repay beside each event's payout.

[See how Capital helps you pay deposits early](https://www.ticketfairy.com/features/capital)

### Is Ticket Fairy a bank?

No. The Ticket Fairy, Inc. is a technology platform and is not a bank. Vault banking services are provided through regulated banking partners. Ticket Fairy Capital financing is provided by third-party private credit partners, who make every funding decision.

Your ticket money arrives in Vault as fans pay. From there, you pay artists, suppliers and crew, give your team cards with the limits you set, collect deposits with payment links and invoice your sponsors.

Capital is an advance against your future ticket sales. A funding partner reviews each application, decides whether to approve it and sets the terms.

[See how you pay artists and suppliers from Vault](https://www.ticketfairy.com/features/vault)

### Can Ticket Fairy help me book and pay my acts?

Yes. Each act gets an offer, an advance and an all-in cost, and Fai drafts the settlement after the show. You pay artists from Vault, with a second person approving each payment when you turn on payment approvals.

Each act's All-in cost card adds up the fee, agency fee, travel, hotel nights and per diems from the records your team already keeps. Amounts in different currencies are never added together, so an act paid in pounds with a flight in euros has two totals.

After the show, you can draft the settlement from the act's accepted offer. Ticket sales come from your ticket records after refunds, costs from your budget actuals and the fee from the deal, and each line says where its figure came from. Reverse a wrong line with a new one, then share the settlement or save it as a PDF for the tour manager.

You can pay the act from Vault on its own or in a batch with your suppliers and crew.

[Settle a show with an artist after your event](https://www.ticketfairy.com/guides/settle-a-show-with-an-artist)

### Which phones can take card payments at the door?

Compatible Android phones. Taps work when your payment processing account is in a country where tap to pay works, your event's venue is in that same country, and your business address or the venue's address is complete. Cash sales work on any phone that runs the scanning app.

Fans tap a card, phone or watch on the back of a compatible Android phone, with no card reader to hire. If a phone does not offer it, the app names the reason. Once you fix what it names and save, the option appears within a minute.

You set up card payments once, on your payment processing account, and as many phones as you need can scan and sell at the same time. Card payments at the gate go through the same payment processing account as your online sales.

[Take card payments at your gates](https://www.ticketfairy.com/features/payments-and-payouts)

### Can fans refund their own festival tickets?

Yes. With self-refunds on, fans refund their own tickets from their order page, on the refund terms you agree with Ticket Fairy, while Ticket Fairy still holds the event's ticket money.

The amount a fan gets back can be the full face value, a percentage of it, the face value less a fixed amount you keep, or a flat sum. The ticket usually stops working straight away and goes back on sale.

You can turn self-refunds off at any time. Once your payout is released to you, self-refunds end for that event.

[Let buyers refund their own tickets](https://www.ticketfairy.com/guides/let-buyers-refund-themselves)

## Running the festival

### Which past festival are my ticket sales compared with?

Ticket Fairy suggests your last edition: the same name without the year, about a year earlier, at the same venue. With an owner, admin or producer login, you can choose another of your brand's events or turn the comparison off. Another brand's figures are never used.

Compared with last time puts this year's sales beside your earlier edition at the same number of days before each event starts. You see how far ahead or behind you are, with tickets sold, the share of capacity sold and last time's total. During the festival the fourth figure changes to Checked in so far, and afterwards you see no-shows and arrivals by time from the start.

The chart switches between tickets and share of capacity when your capacity has changed since last year. You also see the same comparison on your Today page each morning, without opening a report.

To see last time's figures, you need an owner, admin, producer, marketing or stats role on both events.

[Compare your ticket sales with your last event](https://www.ticketfairy.com/guides/compare-your-ticket-sales-with-your-last-event)

### How can I see how my festival is selling against last year?

The analytics and reporting in your music festival ticketing software show revenue, sales by day and how you compare with last year as sales come in. You can share live sales with a co-promoter or sponsor through a link, without adding them to your event. You can export the orders behind any figure to a spreadsheet.

Performance shows tickets sold and net revenue, and refreshes about every five seconds while the page is open. Ticket Sales has a row for every day with running totals, and Sales by Type shows what each release has sold, including a release no fan has bought yet.

For a co-promoter or sponsor, you can create a sales report link covering only the ticket types and add-ons they have a stake in. They open it with their own Ticket Fairy login and watch sales and revenue update every ten seconds.

Your ticket buyers download to a CSV file with a row for each ticket, and you choose whether add-ons come as rows or as columns.

[See how your ticket sales are going](https://www.ticketfairy.com/guides/check-your-sales)

### Can every head of department see the festival's finances?

No. Only people whose role can see your event's finances see Budget and Contracts. Door staff get the scanning app and nothing in your dashboard.

You choose each person's role when you invite them, for every event under your brand or for one event only. Stats reads every report including revenue, Limited Stats reads the same without revenue, Customer Support works orders, and Door Staff opens the Entry Fairy scanning app and nothing else. Owners and administrators have full access, and only an owner can make someone an owner or administrator.

A visiting promoter or a one-day door team joins from that event's own team page, so their access covers that event only.

[Invite your team and choose what each person can do](https://www.ticketfairy.com/guides/invite-your-team)

### Can my box office and gates work from the same tickets?

Yes. Your box office sells from the same tickets as your event page, so you manage a single list of tickets and nothing sells twice. At the entrance, your door staff scan tickets on their own phones and see which wristband to hand over.

Your box office sells walk-up tickets in the Entry Fairy app from the same ticket types and availability as your event page, so you cannot oversell. A second gate, a roaming seller and your box office on site can all sell at the same time.

Door staff take cash, or a tap of a card, phone or watch on a compatible Android phone. Box office sales have their own card on Performance beside your net revenue. Box Office Sales lists each sale by seller or by date with cash and card apart, so you can settle up with each seller on the night.

[Sell walk-up tickets at your gates](https://www.ticketfairy.com/features/check-in-and-box-office)

### How do festival-goers get their tickets and get in?

Each attendee gets their tickets as QR codes by email and in their account. Your door staff scan them with the free Entry Fairy app on their own phones and see which wristband to hand over. A scan at any entrance shows on the phones at every other entrance.

Everyone who scans joins as Door Staff, so each person has their own login and opens the scanning app and nothing else in your dashboard. Every admission then shows who scanned it.

As each ticket scans, the app shows the wristband or badge for that ticket type and its add-ons, such as the campsite band for camping. A refunded or canceled ticket shows no band, because the app refuses it.

When a fan at the gate is told they are already inside, Individual Tickets finds them by name or email address and shows when the ticket went in and who scanned it.

[Scan tickets at the door](https://www.ticketfairy.com/guides/scan-tickets-at-the-door)

### How do I keep the queue moving at the gates?

Your door staff scan the QR code on each fan's phone with their own phones, and the app shows the right wristband straight away. A weekend ticket scans in once each day with the same QR code.

Everything at your gates can be ready the day before: each person who scans has their own Door Staff login, the Entry Fairy app is on every phone, each ticket's rules at the gate are set and each ticket type matches its wristband.

While the gates are open, Check-In's Hourly view shows how many fans came in each hour against the tickets sold. You can see when the queue builds and when the rush has passed.

[Prepare your door team for event day](https://www.ticketfairy.com/guides/prepare-your-door-team)

### Does the ticket scanning app work without a signal?

The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each entrance before you open. The accreditation desk and the crew meal desk keep going without a connection and catch up when it is back.

Before the gates open, a test ticket scanned on every phone confirms each one is ready. The first phone admits it, and every other phone shows it as already checked in with the time and who scanned it. A phone that shows neither result is not signed in or has no connection.

Your accreditation hand-out desk and crew meal desk carry on serving people when the connection drops. Staff scan and act as usual, and each phone keeps every action and sends it once the connection is back, with nothing counted twice. A staff gate checks every pass with the server, so without a connection it asks staff to check passes by eye.

[Let event staff work a desk from their phone](https://www.ticketfairy.com/guides/let-event-staff-work-a-desk-from-their-phone)

### Can I run several stages and entrances on the same festival tickets?

Yes. Before show day, you see when the same act is booked in two places at once or a performance runs past curfew. A scan at any entrance shows on the phones at every other entrance, and a weekend ticket scans in once each day with the same QR code. Your box office sells walk-up tickets from a phone at the entrance, and traders, crew and press come in on accreditation with the zones and days they can enter.

Each time you change the run of show, Ticket Fairy checks the whole day again and marks each problem Serious, Check or Minor. Under Timing rules, you enter each stage's shortest changeover and its opening and closing times, and how long an act needs between two appearances.

You can select a fix to see which cues move and where, then apply it. Fai tests each fix against the rest of the day before she offers it, so a fix never adds a serious problem, and Undo puts the cues back.

At the gates, every phone shares the same scans, so a ticket admitted at one entrance shows as already checked in at every other entrance.

[Check your running order for clashes before show day](https://www.ticketfairy.com/guides/check-your-running-order-for-clashes-before-show-day)

### When do fans get their festival tickets?

Fans get their tickets by email as soon as they pay, with QR codes they can show from their phone. Two kinds of event are different. At an event in Dubai, each ticket is registered with the Department of Economy and Tourism first, and fans get a second email when their tickets are ready. If your event is set up to send confirmations without tickets attached, fans get the email without them. If a fan loses the email, your box office finds the order and sends the tickets again. When a door time or entrance changes, you can text ticket holders as well as email them.

When a fan's email address had a typo, you open the order, select Edit Ticket and correct the name or email address. The barcode stays the same, so a ticket already saved to a phone still scans. Saving sends nothing, so select Resend in the order's menu to send the same tickets again.

You can search your orders by the fan's name, email address or order number. When the search finds nothing, the fan has usually booked under a second email address.

[Resend a buyer's tickets and fix their details](https://www.ticketfairy.com/guides/resend-tickets-and-fix-a-buyers-details)

### How do I answer fans' questions?

Your team can answer fans' chat, email, Instagram and Messenger messages from a shared Support Inbox. The AI ticket concierge answers fans on your website from your own FAQs and pages. Questions it cannot answer go to you, to Ticket Fairy support, or to both. The people who answer fans can have the customer support role, so they can find orders in the ticketing software and resend tickets.

You can create a concierge for your whole brand or for one event, and add a topic for each question fans ask, such as door times, age limits, bag rules and what a ticket includes, with the answer you would give yourself. You point it at your FAQ, policy and venue pages or a Google Doc, and choose how often each page is checked, from every hour to once a month.

When a fan picks a ticket in the chat, the concierge puts it in their basket and checkout opens on your page. You choose where the questions it cannot answer go: to your own team, to Ticket Fairy support, or to Ticket Fairy support first and then your team.

The preview lets you ask your hardest questions before fans see it.

[Give ticket buyers an AI concierge](https://www.ticketfairy.com/guides/give-buyers-an-ai-concierge)

### What can I do for fans if my headliner pulls out?

You can publish the changed line-up, email every ticket holder the same day, and refund the fans who ask, either order by order or by letting fans refund their own tickets on the terms you agree with Ticket Fairy.

You change the act on your line-up and review the change before you publish it, so your event page and festival website show the new bill together. Messaging on your event then emails your ticket holders, or only the holders of the day ticket the act was on.

To refund an order yourself, you open it on the Orders page and select Refund. Ticket Fairy emails you a code to confirm it is you, and the face value goes back to the buyer's card. You need to be the event's owner, and Ticket Fairy turns on dashboard refunds for the event when you ask. Refunds from the dashboard stop once the event has been paid out.

Fans who want to come anyway keep their tickets, and the tickets you refund go back on sale.

[Refund a fan's order](https://www.ticketfairy.com/guides/refund-an-order)

### What happens to fans' tickets if I have to postpone or cancel my festival?

If you postpone, fans keep their tickets for the new dates and you choose who can ask for a refund. If you cancel, Ticket Fairy refunds the event within one to two days, apart from any order it cannot refund.

Postpone from Event Details whenever a later date is possible, because a postponed event can still be canceled later and a canceled one is hard to bring back. You can keep the new dates hidden while you confirm the site and the acts. Ticket Fairy emails every ticket holder when you confirm the postponement.

When you cancel, each fan gets an email as their own refund goes through, and that email says only that the event is canceled. Your own message can go out the same day, and your event page can tell anyone who reaches it what happened.

You can postpone or cancel until the event ends or its funds are paid out.

[Change the date or call off an event](https://www.ticketfairy.com/guides/change-or-call-off-an-event)

### Can I see the weather forecast for my festival site?

Yes. Weather intelligence on your Performance page shows the forecast for your venue beside your ticket sales, with your festival days marked, once the festival is a week away.

Each day shows the high and low, the chance of rain, the wind, and sunrise and sunset at your site. While the festival is further away, Historical shows what the first day is usually like at your site: the average high and low, the record high and low, typical rain, humidity and wind.

A severe-weather warning shows above the forecast, so you can plan cover, water, staffing and messages to ticket holders in good time.

[Check the weather for your event](https://www.ticketfairy.com/guides/check-your-event-weather)

### How do I set up next year's festival without starting again?

Copy from last event brings your stages, rota, passes and budget into the new edition with the dates moved. People, bookings, answers and money spent stay with last year's festival.

On the new event's Operations page, you select Set up, then Copy from last event, and choose the event to copy from. The one that looks like your last edition comes first. Each part shows what it adds, and a shift at 18:00 on the Friday lands at 18:00 on the Friday of the new festival.

For the tickets, you can duplicate last year's event, check what each release sold on Sales by Type before you change prices, and email last year's attendees an access code or an invitation before the public on-sale.

After this year's festival, Fai groups your feedback survey comments into what people loved and what to improve, and you add the improvements as tasks on next year's event.
