# Fill your screenings and keep every cinema on time

Sell passes and single screenings, plan your program cinema by cinema, and run every door from the same event your team works on.

[Get started free](https://manage.ticketfairy.com/registration) [Book Demo](https://www.ticketfairy.com/event-ticketing/book-a-demo) ![Ticket Fairy event schedule timeline with one row for each room and the times laid out across the hours of the day](https://www.ticketfairy.com/embeds/posters/marketing-event-production--schedule.png)

- Every screening sold to its own seats
- Program, filmmakers and press on one event
- Each cinema door scanning on your team's phones

## Plan your film festival program cinema by cinema

A film festival runs on its program: which film shows in which cinema, when, and for how many people. Set your event type to a film festival in the [Event Operating System](https://www.ticketfairy.com/event-operating-system), and your planning sections become Filmmakers, Cinemas and Screenings. You see the schedule cinema by cinema across each day, and your program team, box office and guest desk work from the same schedule. Use Ticket Fairy as your film festival management software as well as your box office.

Add each cinema, then schedule each screening into it with a start time. Filmmakers keep their contacts, travel and hospitality with them, the way artists do at a music festival. Press and industry passes go through Accreditation, with their own approvals and badges. Add each film with its running time, synopsis, poster and press kit, mark its premiere, and follow each submission from submitted through under review to accepted or rejected.

- **Filmmakers**: contacts, travel and hospitality for each guest
- **Cinemas**: each room in your program
- **Screenings**: each day, cinema by cinema
- **Accreditation**: press and industry passes with approvals

[Artists & line-up](https://www.ticketfairy.com/event-operating-system/artists-and-line-up) [Accreditation](https://www.ticketfairy.com/event-operating-system/accreditation)

## Sell film festival tickets, passes and single screenings

Some of your audience want everything, some want one day, and some want one film. Sell an all-access pass and day passes as ticket types, and sell a single screening as its own ticket type or as a time slot on a screening day. For numbered cinema seats, add a seat map event for each screening, and a main seat map for passes that hold one seat across the festival.

Run premieres, encores and industry screenings beside your public ones, each at its own price. Hide a press or delegate ticket type from your event page and open it with an [access code](https://www.ticketfairy.com/event-ticketing/event-promo-codes), so only the people you choose can buy it.

- **Festival and day passes**: ticket types for the whole festival or one day
- **Single screenings**: a ticket type or time slot for each film
- **Seats for each screening**: a seat map event per showing

[Seating & timed entry](https://www.ticketfairy.com/features/seating-and-timed-entry) [Ticket types & pricing](https://www.ticketfairy.com/features/ticket-types-and-pricing)

## Ask Fai to build and change your program

Ask Fai, the assistant inside your dashboard, to add a film with its running time, add a cinema with its seats or schedule a screening. She works out when each screening ends from the film's running time and any Q&A after it. If a screening overlaps another in the same cinema, she refuses it and names the film it clashes with. She shows you each change and makes it only once you approve.

Fai also sets up festival passes, including a credit pass that books a set number of screenings, and reviews press and industry accreditation requests. She can tell you about reservations and the audience rankings, where films are listed by their average star rating from the people who watched them.

- **Films, cinemas and screenings**: added in a sentence
- **Clash check**: no two screenings in one cinema at once
- **Audience rankings**: films in order of their average rating
- **You approve each change**: nothing changes until you say so

## Scan every cinema door and sell at the box office

Invite each scanner as Door Staff. That login opens the Entry Fairy app and nothing in your dashboard, so your team at each cinema scans on their own phones. A scan on one phone shows on all the others. Give each screening's ticket type its own doors open and last entry times, and the app refuses it outside them. Turn on repeat scanning for your festival and day passes, and set how many scans each day allows.

Your box office sells walk-up tickets from the same app. Take cash on any phone, or let the buyer tap their card, phone or watch on an Android phone. The money goes through the payment processing account you use for online tickets. The box office sales report shows each sale by seller or by date, with cash and card apart.

Open Check-In to see arrivals each hour against the tickets you sold, by day and ticket type. Refused scans shows each ticket turned away, with the reason, the entrance and the hour.

- **Door Staff logins**: the scanning app and nothing else in your dashboard
- **Door times for each screening**: doors open and last entry on each ticket type
- **Repeat scans for passes**: the number of scans each day you allow
- **Box office in the app**: walk-up tickets for cash or a tap on Android

## Fill quieter screenings with codes, referrals and emails

An opening-night gala sells itself, and a weekday afternoon documentary needs help. Create a promotion with the codes your partners, schools and film societies share, and choose the ticket types it covers. A [group discount](https://www.ticketfairy.com/features/promo-codes-and-discounts/promo-codes-and-group-discounts) gives a lower price per ticket once a basket reaches the group size you set. Each buyer gets a personal referral link and earns back part or all of their ticket price as friends buy through it.

Email last year's audience before your program launch, or the holders of one screening's ticket type when its time changes. Give each poster, partner and post its own tracking link to see what each one sold. Sales by Promo Code shows the tickets and revenue behind each code.

Sell gift certificates worth a ticket type or a fixed sum, so a buyer can give a festival as a present without choosing the films.

- **Promo codes**: for the ticket types you choose
- **Group discounts**: a lower price for schools and groups
- **Referral rewards**: buyers earn back their ticket price as friends buy
- **Emails to ticket holders**: your whole audience or one screening
- **Gift certificates**: a festival as a present

## Hear what your audience thought and plan next year

After your closing night, send a feedback survey to everyone who checked in and see your Net Promoter Score beside last year's. Fai groups what people loved and what to improve, and you add the top improvements as tasks on next year's event. Copy your teams, shifts, pass types, hotel blocks, budget plan and forms into the next edition with the dates moved.

Compared with last time puts this year's ticket sales beside your last edition at the same number of days out, so each morning you know whether your festival is ahead. Offer last year's buyers their passes before the public on-sale.

- **Feedback survey**: for the people who came, beside last year's score
- **Improvements as tasks**: the top things to improve on next year's event
- **Next edition**: teams, shifts and pass types copied with the dates moved
- **Compared with last time**: sales against your last edition at the same point

## How film festivals use Ticket Fairy

- ### A film festival

A ten-day festival asks Fai to schedule eighty screenings across four cinemas. Fai refuses one screening that overlaps another and names the clash, and the programmer moves it to the next free cinema.
- ### A city festival across three cinemas

Volunteers at each cinema scan tickets on their own phones with a Door Staff login. Festival pass holders scan in at each screening they attend, and the box office sells walk-up tickets for cash or a tap on Android.
- ### A short film festival with an industry day

A short film festival hides its industry ticket type and sends the access code to buyers and programmers. Journalists apply for press accreditation, and the press team approves or declines each one.
- ### A documentary festival filling weekday screenings

A documentary festival gives schools a group discount and film societies their own promo codes for weekday afternoons. After closing night, it sends a feedback survey and adds the top improvements as tasks on next year's event.
- ### A film club with a monthly screening

A film club sells one pass that covers its season of monthly screenings. Members pay up front and choose their nights later, including nights the club has not announced yet.

## Questions About Ticket Fairy for Film Festivals

### Film festivals

#### How does Fai work out when a screening ends?

From the film's running time, plus the Q&A when the screening has one. A Q&A with no length set adds 15 minutes. You can also give her the end time yourself.

#### Which festival passes can Fai set up?

An all-access pass, a day pass, a pass for the cinemas you choose and a credit pass with a set number of screenings. Each pass can have the date and time it starts and stops working.

#### What happens to reservations when a screening is canceled?

All reservations on it are canceled, including people already checked in, and each screening credit goes back to its pass so the holder can reserve another film.

#### Can one screening have fewer seats than its cinema?

Yes. Give that screening its own number of seats, for example to keep rows back for guests. All other screenings in the cinema keep the cinema's number.

#### Can my box office sell tickets at the cinema door?

Yes. Your door team sells walk-up tickets from the Entry Fairy app they scan with, and takes cash on any phone. To take card, phone or watch taps, your team needs a compatible Android phone, your payment processing account must be in a country where tap to pay works, the event's venue must be in that same country, and your business or venue address must be complete.

#### Can a festival pass get into more than one screening a day?

Yes. Turn on repeat scanning for the pass ticket type and set how many scans each day allows. A ticket for one screening admits its holder once.

#### How do I keep industry screenings off my public event page?

Hide the industry ticket type and attach it to a promotion with no discount. People who enter your access code see it at its normal price, and nobody else does.

#### Can I email only the people with tickets for one screening?

Yes, when the screening is its own ticket type. Email the holders of that ticket type, and nobody else gets the message. Each email stays listed with who sent it and how many people it reached.

#### Does it suit a small film festival?

Yes. A weekend of short films in one cinema runs on the same tools as a ten-day festival across several cinemas, and free events cost nothing.
