# Know What Every Event Earned, Owes and Pays Out

The finance director of an events business carries the risk nobody else sees: deposits out months before the on-sale, ticket money held until after the show, and a production team spending against a budget in a spreadsheet. Ticket Fairy puts each event's revenue, costs, payout and payments on the same records your team works from. Two people approve every payment, every settlement shows its working, and Fai prepares the routine finance work for you to accept.

- Every event's revenue, costs and payout in view
- Payments approved by a second person
- Settlements your partners can check line by line

## See What Each Event Earned and When You Get Paid

Your event's Performance page shows net revenue from the first sale, with add-ons and table revenue in it and box office takings on their own card. The payment details in each publish review say when that event's payout is due and what can hold it back. In Vault, each event's money lists ticket sales and add-ons, refunds, fees, partner shares and the estimate of what reaches you.

Gross Revenue shows the ticket price before sales tax, and Revenue shows what you keep of it under your fee agreement, so the figure you forecast and the figure you receive are never confused. Once Ticket Fairy sends the money for an event it collects payments for, the Net revenue card is marked Released to bank. The Vault Events list shows every event's payout beside any Capital still to repay, so the cash position across a season is one list to read. The founder view goes further: profit and loss across editions and brands, a cash-flow forecast from your sales pace and payment dates, and a one-page board pack.

Each event can pay into the brand's usual bank account or into alternative payout details of its own, which suits a co-promoted show or a joint venture with its own account. Checking those details before the event, rather than after, is the difference between a payout on time and a recall.

- **Performance page**: net revenue from the first sale, refreshed while you watch
- **Money from each event**: sales, refunds, fees, partner shares and the estimate
- **Payout dates**: when each event pays out and what can hold it back

## Keep One Budget Finance and Production Both Trust

Your event's Budget page and the budget your production team works in are the same budget, so finance and production read the same figures. Plan each section, record actual costs as they come in, and see approved purchase orders, booking costs and ordered hire as committed costs beside them. The overspend shows up while there is still time to act.

Each act's all-in cost, from the fee and the agency fee to flights, hotel, per diems and backline, reaches the budget for you, and each shift's approved hours arrive at that shift's cost per hour. Every currency keeps its own total, so a European tour never hides an exchange-rate surprise inside one figure.

Across your brand, Spend compares planned and recorded costs for every event in a period, your biggest suppliers and the cost for each person scanned in at the door. You see which events earned their costs back and which supplier has quietly become your largest. People whose role cannot see your event's finances never see the budget or the contracts.

- **Planned and actual**: the difference for each section, stage or show day
- **Committed costs**: purchase orders, bookings and ordered hire
- **Crew costs**: approved hours at each shift's cost per hour
- **Spend across events**: costs per event, per supplier and per attendee

## Pay Every Artist, Supplier and Crew Member With Two People in Control

Payments due shows every deposit, balance, per diem, backline and supplier payment as overdue, due this week or coming up. Send a purchase order, match the supplier's invoice to it, and pay everyone the event owes from your Vault balance in one batch. Turn on payment approvals and a different owner or admin sends every payment someone prepares.

The approval rule covers payment batches, single payments and recurring payments, and the person who prepared a batch can never send it. A supplier you pay every event can be marked trusted, which takes one owner or admin to request it, a cooling period and a second owner or admin to approve it. Every batch keeps the history of who prepared and who sent it, and a sent payment comes with a confirmation letter you can hand to an artist or supplier who says they were never paid.

Fai reads each supplier invoice and says whether it matches the purchase order, so a padded invoice is caught before it is paid. Give your crew Vault cards with the limits, dates and kinds of business you set, and they add a photo of each receipt to the payment and link it to the event, so card spend lands in the right budget without an expenses form.

- **Purchase orders**: the supplier's invoice matched to the order
- **Payment batches**: everyone an event owes, paid together
- **Payment approvals**: a second person sends what someone prepares
- **Cards with limits**: for each crew member, with receipts on every payment

## Settle Every Show and Collect What Partners Owe You

Fai drafts each settlement from your ticket sales, your costs and the deal, and every line shows how its figure was worked out, so the artist's team can check it before you mark it agreed. Traders enter their takings and you invoice your share of their sales, sponsors pay Vault invoices with line items and a due date, and a payment link collects a table deposit or a hire fee.

A settlement takes ticket sales after refunds, costs from the budget actuals and the fee from the deal, and adds the act's own travel, hotel and agency fee without counting anything twice. A late refund or a new cost is one update away. A wrong line is reversed by a new line, and both stay on the sheet, so the record of what was agreed never changes behind anyone's back. Once shared, the lines are locked, and any change becomes a new version.

Each artist's share of their merch and cashless spend by bar and trader go into your settlements too. Fai reads each trader's till and card reports and says whether they match the figure entered, your minimum and maximum share of sales are applied for you, and the invoice goes out with a link to pay. Outside teams pay for the crew meals their people ate.

- **Drafted settlements**: every line with how its figure was worked out
- **Trader takings**: your share of sales invoiced to each trader
- **Invoices and payment links**: sponsors, hire fees and deposits paid into Vault

## Fund Your Deposits and Choose When Ticket Money Reaches You

Choose for each brand whether Ticket Fairy collects the card payments and pays you after the event, or whether the money goes to your own payment processing account as buyers pay. Decide who pays the booking fee on each event, and offer [payment plans](https://www.ticketfairy.com/event-ticketing/event-payment-plans) for higher-priced tickets. When the headliner and the venue want deposits before your on-sale, apply for Ticket Fairy Capital.

Payment after the event suits a business that wants Ticket Fairy to take the card payments for it. Money as tickets sell suits an established business that needs its cash for deposits and has a processing account to take it. Either way, the Performance page and the Vault Events list show what each event has earned and when it pays out.

Ticket Fairy Capital is an advance against your future ticket sales, assessed on your sales history from any ticketing platform and repaid from your ticket sales as they come in. The Vault Events list shows what each event still has to repay.

- **Payout timing**: after your event, or as tickets sell
- **Booking fee choice**: added, absorbed or added later at checkout
- **Ticket Fairy Capital**: an advance repaid from your ticket sales

## Let Fai Prepare the Finance Work and Give Your Accountant Every Figure

After each event, Fai works out who to pay from your bookings, the final fee of a percentage deal from the contract and the ticket sales, payment batches and invoice reminders. Each suggestion shows every step of her working with the contract or event money it came from, and you accept it, change it first or dismiss it.

Choose Off, Suggest or Do it for me for each kind of finance work. Accepting a money suggestion only prepares it, such as a payee on the event's list or a batch ready to send, and a person on your team still sends it. Dismiss a suggestion with a reason and Fai will not offer it again unless its details change.

For the books, Vault gives an official PDF statement for each currency with opening and closing balances, or a spreadsheet of every payment in and out. Order exports give one row per order or one row per ticket, and a Stats login lets your accountant read every report without the power to change anything. Each person on an event's list of who you owe says who last changed it and when, so the answer to an auditor's question is already recorded.

- **Prepared for you**: who to pay, deal fees, batches and reminders
- **Every step shown**: the working and the figures it came from
- **Statements and exports**: Vault statements, movements and order exports

## How Finance Teams Use Ticket Fairy

- ### A Festival With Dozens of Suppliers

Purchase orders go out from the event, Fai checks each invoice against its order, and the balance payments leave in one batch a second director approves. At year end, Spend shows which suppliers grew and what each attendee cost to host.
- ### A Venue Settling Shows Every Week

Fai drafts each settlement the morning after the show from the ticket sales and the budget. The tour manager checks every line, both sides mark it agreed, and the payment goes out with a confirmation letter.
- ### A Promoter Funding a Tour

Ticket Fairy Capital pays the headliner's deposits before the on-sale, and repayments come out of ticket sales date by date. The Vault Events list shows what each date has earned and still has to repay.
- ### A Food Festival Taking a Share of Sales

Traders upload their till reports after the weekend, Fai reads each one, and the finance team accepts the figures and raises every share-of-sales invoice the same afternoon. The invoices list shows who has paid and who has not.
- ### A Production Company With Crew on the Road

Each crew chief carries a Vault card limited to the tour dates and the kinds of business they need. Receipts are added to each payment as it happens, and card spend reaches the right event budget without an expenses form.

## Questions About Ticket Fairy for Finance directors

### Finance directors

#### Is Ticket Fairy a bank?

No. The Ticket Fairy, Inc. is a technology platform and is not a bank. Vault banking services are provided through regulated banking partners, and Ticket Fairy Capital financing is provided by third-party private credit partners, who make every funding decision.

#### When do we get paid for an event?

On an event Ticket Fairy collects the payments for, payouts are processed 10 to 15 business days after the event finishes. Where you take the card payments on your own account, you are paid on that account's own schedule. Postponed events, pending refund requests and chargebacks can extend the wait, and the publish review states the timing for the event in front of you.

#### How do we get Vault?

An owner or admin opens the Vault account for your brand and finishes a verification check. You can finish setup in Ticket Fairy for a business in the United States, Australia, Canada, the United Kingdom, Singapore, any EU country, Iceland, Liechtenstein or Norway.

#### Is Available now in Vault all ours to spend?

It is what Vault can move today. It does not take off refunds you still owe, Capital you have not repaid or money due to others, so subtract those before you commit to a payment.

#### Who on our team can see the money?

Owners and admins on the brand use Vault, and only the brand owner turns payment approvals on or off. Owners, admins and Stats logins see the whole Performance page, though Gross Revenue is hidden from a Stats login unless it is enabled for your account. Budget and Contracts show only to people whose role can see your event's finances.

#### How long does trusted status for a supplier take?

A request starts a 24-hour cooling period, during which any owner or admin can reject it. After that, a second owner or admin, never the person who asked, approves it after checking the bank details. If the details change after the request, approval stops and a new request is needed.

#### Are amounts in different currencies added together?

Not on an act's all-in cost or your brand's spend. Each currency has its own total there. A Vault payment can come out of a balance in another currency, with the rate and fee shown before anyone sends it.

#### Can Fai send money?

No. Accepting a finance suggestion only prepares something, such as a payee on an event's list or a payment batch ready to send. A person on your team sends it after confirming it is them, and a second person approves it when payment approvals are on. Do it for me is offered only for finance work that moves no money and sends no email.

#### What period can a Vault statement cover?

Up to one year, ending no later than today. Preparing one usually takes a few minutes, and a ready file can be downloaded for 30 days.

#### Who can apply for Ticket Fairy Capital?

If your event business is eligible, you can apply for up to $3M in the United States, up to €3M in Europe and up to £5M in the United Kingdom. A funding partner reviews your ticket sales history, event track record and projected sales, decides whether to approve your application and sets the terms.
